About Content Centre

Why was Content Centre developed? Why is it beneficial? Content Centre was created to help streamline content development across AstraZeneca. A 12-month

audit of assets within SEARCH revealed numerous duplications and redundancies in content. To reduce

these redundancies and provide a cost-effective way of obtaining and leveraging reusable assets, Global

Commercial Operations (GCO) launched Content Centre. Content Centre provides a new way of working

and will function as an operational bridge between Global teams and local marketing teams by working

closely with the GCO Regional Delivery Team to understand local market needs. GCO will work closely

with Global Product and Portfolio Strategies (GPPS), Specialty Care Launch Academy (SCLA), Global

Sales Academy (SCA) and other teams to produce full assets and/or chapters with validated content (i.e.,

approved by Global Nominated Signatory with complete source files, reference lists, annotated citations,

licenses, and global rights). This then allows the local marketing teams to more efficiently and effectively

reuse globally produced assets.

Previously only GPPS promotional materials were available as Validated Assets in Content Centre. Now,

Content Centre expanded to include Specialty Care Learning Academy curricula and other eLearning

training assets for growth and mature brands.

Why should I use the materials in Content Centre? Content Centre contains full assets with/without chapters with validated content ready for use. Going to

Content Centre before creating new content reduces redundancies and provides a more efficient and

cost-effective way of preparing an asset, obtaining local approval, and delivering to our external

customers.

What are the metrics for success in Content Centre?

Accessing Content Centre

How do I access Content Centre? Content Centre may be accessed by going to the Content Centre Welcome Page and using the links at

the top of the page. If you already have SEARCH bookmarked on your browser, you will be able to

access Content Centre from that link as well. A job aid is also available on the Content Centre Welcome

page which provides detailed information on how to access content within Content Centre. If you need

access to Content Centre, please request via [email protected].

What is the process for requesting Content Centre access for outside

agencies? Outside agencies must follow the Exostar process to gain access to Content Centre. The Exostar

process is as follows:

New User completes the User Request Form and sends it to the GCS Customer Support Team.

A ticket is then created for the Exostar Team

The Exostar Team will create a profile and automated emails are sent to the User with Username, Password & System Generated Password.

User will follow the instructions for the First time Login and create a profile for Exostar.

Once the profile is created, GCS Customer Support Team will activate the User in the Exostar tool and provide them the access to Content Centre and other tools.

User can use Exostar Username or their email address to access Tools.

How do I gain access to the security group for medical assets on Content

Centre? To gain access to Content Centre and the GMSL security group, please email your request to Content-

[email protected] and your request will be reviewed by the core team to ensure proper

compliance.

What measures are in place to prevent commercial teams from viewing

medical assets? Medical assets are provided with additional metadata that restricts their viewing to only those individuals

who are members of a custom security group. Access to this security group is tightly controlled and

monitored by the GMSL and Content Centre teams

Can medical affairs personnel access commercial content? Yes, medical affairs personnel can access commercial content.

Is Content Centre available in other languages? Validated Assets are available in English. Non-Validated Assets may be available in additional

languages.

Asset Availability and Planning

What are Validated Assets and Non-Validated Assets? Validated Assets are assets that are globally licensed and include all source files. These assets are

clearly structured for ease of reuse and are available in an editable format so that they can be easily

localized. These assets also include editable manuscripts with annotated citations. Content Centre

highlights Validated Assets more prominently to encourage local market reuse of globally validated

content. Validated Assets are clearly identified in Content Centre by a “Validated Asset” tile on the

thumbnail.

Non-Validated Assets have not been reviewed by the Content Centre team to ensure all source files are

present or globally licensed and may not be endorsed by GPPS.

How do I know when a new Validated Asset has been uploaded to Content

Centre? There are several channels used to communicate when new content is available.

1. The Content Centre Planning Calendar is updated to include a link to the asset in Content Centre.

2. A Promote email will be sent to local markets to inform users that a new asset has been uploaded

to Content Centre.

3. New Validated Assets are featured on the Content Centre home page, marked with a Validated

Asset icon within the thumbnail tile.

4. An email notification can be set up directly from the Content Centre. The Content Centre job aid

(on the Content Centre Welcome Page) provides instructions on how you can subscribe to email

notifications or you can open “My Profile” within Content Centre.

Can Non-Validated Assets be reused? Yes, a Non-Validated Asset can be reused. However, it will most likely require more effort than reusing a

Validated Asset since source files may or may not be included, licensing may not be global and other

important information for reuse may be missing.

Non-Validated Assets are helpful when looking for inspiration or to see what other local markets have

created.

What types of assets will be available? Content Centre provides both promotional assets as well as learning assets. Brand assets that are

common across many markets, such as Core Visual Aids (CVAs), Interactive Detail Aids (iDAs), videos,

Mechanism of Action (MOA) videos, emails, and websites are some examples of promotional assets.

eLearning modules, slide decks and assessments are some examples of learning assets.

Many of the brands also have an asset type called Branding Elements. This asset type contains logos,

Core Claims Guides, Brand Master Files and high resolution versions of images.

How can I be sure I’m accessing the most recently approved assets? Validated Assets appear first on brand pages as Validated Assets are the most recently approved

versions of the asset. Validated Assets have an icon underneath the thumbnail indicating that it is

validated content. Non-validated Assets do not have this indicator. When conducting a free text search,

the results show the most recently uploaded assets, therefore the Validated Asset icon is a helpful

indicator to differentiate between Validated and Non-validated assets. Local markets and local learning

managers can also check the Content Centre Planning Calendar to see when new assets are planned for

release.

Assets which were approved globally but have expired are indicated with a red exclamation point (!) in the

upper right-hand corner of the asset tile. Since all assets must be approved locally, these assets will

remain in Content Centre.

Can images be changed? A market can substitute artwork if there is not something applicable for their country. However, we

encourage local markets to consult their branding guidelines for additional guidance and check the

branding elements folder for possible additional images.

Who populates the planning calendar? The Content Centre team populates the calendar with feedback from the appropriate global team.

How do global teams evaluate which assets will be promoted to Content

Centre? GPPS in partnership with the Content Delivery Director (CDD; Rose Pimpinella for US based GPPS

brands and Nichola Menzel for UK based GPPS brands) plan for assets being created that have potential

for reuse by local markets.

SCLA works closely with the Content Centre Learning Content Operations Manager (LCOM; Helen

Redshaw) to review and promote out the curricula to local learning managers which has the potential for

reuse by local markets.

What is the process for GPPS/SCLA and their Agency of Record (AoR) to

obtain Global Nominated Signatory approval? The AoR and GPPS team review the final assets produced by the Content Centre Production Partner

(CCPP) before submission to the Global Nominated Signatory for review.

For iDetails, the functional review will be done through the Veeva Sandbox. To review functional iDetails,

GPPS teams and their supporting AoRs will need access to the Global (EU) Veeva Sandbox Environment

to review the functional assets. Access can be requested by contacting IT-Service-Desk-

[email protected].

When an asset has been globally approved, it will still need to be locally approved once it is downloaded

to make sure that it is compliant with local standards

I don’t see my brand on Content Centre. How do I find out if/when my brand

will be available? Most brands that are supported by global teams will have content available through Content Centre over

time, including launch brands. You can check the planning calendar for information on when new brands

or assets will become available. In any case, we invite you to check the Non-Validated Assets folder on

the Content Centre platform for assets potentially re-usable.

Are assets available for all local markets? Yes. However, all assets need to be approved by each local market Nominated Signatory.

How will an asset that has been approved globally be handled through the

local approval process? Once Validated Assets have been translated and localized, all assets must be submitted for local market

Nominated Signatory approval (AZAP for US market). eLearning content may not need local Nominated

Signatory approval. Please check with your compliance team if you are unsure.

Will assets be available in my language? All Validated Assets in Content Centre will be in English. However, GCO offers the opportunity for local marketing teams to utilize preferred production suppliers for the translation of assets. Reach out to your GCO Regional Delivery Team for assistance in localization.

If I am in a local market, can I upload my asset(s) into Content Centre for

reuse in other markets? Local marketing teams should contact their respective GCO Regional Delivery Team who will work with

the Content Delivery Directors to determine if an asset should be included in Content Centre. If the global

team determines that the asset has the potential for global reuse, and therefore included in Content

Centre as a Validated Asset, then Content Centre will work with the local market and the global team to

validate the content. This includes purchasing the global rights and licenses, obtaining sources files for

the local asset, and loading the asset into Content Centre to allow other markets to reuse. Once local

markets download the content and translate it, the localized content will need to be locally approved. Only

a local Nominated Signatory can approve in-market materials.

Assets without global approval can still be uploaded into Content Centre. These assets will sit in the Non-

Validated section of Content Centre. In this case, brands should have their agencies send assets to GCS.

These agencies should fill out the Non- Validated version of the MRF (available on Content Centre)

completely and provide necessary source files.

Local Learning managers can upload the localized and approved learning curricula into the Non-Validated

section of Content Centre by having their agencies send assets to GCS. These agencies should fill out

the Non- Validated version of the MRF (available on Content Centre) completely and provide necessary

source files.

If the asset is not considered as a Validated Asset it may still be eligible as a Non-Validated Asset.

Are there any specific assets that the local agencies should search for in

Content Centre before developing it themselves? Local markets and local learning managers along with their agencies should search for assets that are

similar in type to the ones that they are creating. Agencies should also check other Validated Assets for

the same brand to see if any of the brand content can be leveraged. For instance, if content found within

an asset type (such as iDA) is deemed valuable for reuse, the content can be used for another asset type

(such as Congress materials). The same is true for elements contained within an eLearnings modules. A

part of an eLearning module can be used in an iDA or congress materials as long as it is approved by the

local Nominated Signatory and unlimited rights are purchased. Most eLearnings curricula only have

limited rights purchased since they were developed originally for internal use.

How can I get the correct material, such as high resolution graphics, that

must be sent to the agency? Selecting “Yes” during the download process will allow you to get the fully editable source files. Validated

Assets have been verified for complete source files. Non-Validated Assets may not have complete files so

we encourage you to use the validated files as much as possible. Selecting "No" to the question "Include

Associated Files?" at download will result in the simple download of a preview only. Source files are not

included unless you choose "yes".

Does the completed Metadata Request Form (MRF) allow us to use the

asset at local level with all copyrights required? The MRF will provide details about the licensing as well as any information that the local market may

need to purchase. As far as possible, global licenses will have been obtained for promotional assets. For

eLearnings and other training assets, in most cases only global limited rights have been purchased, as

the original intent was for internal use only.

Is learning content also available on Content Centre? In addition to promotional content, learning materials are now available on Content Centre. These assets

can be found by clicking the “Brands/Unbranded” tab on the Content Centre home page and are broken

down by therapy area or brand. Learning assets also can be filtered by modality such as eLearning, slide

deck or assessments once on a specific brand page.

Who can I contact if I cannot find the learning material I am looking for? If you are unable to find learning material that you have been notified is on Content Centre, please

contact the Content Centre to remedy this issue. Please review the Content Centre Planning Calendar to

determine whether additional learning materials are in the planning or production phases.

Can I access learning material if I have already done promotional learner

training? If you already completed training and have been using Content Centre for promotional material, you will

be able to look at learning material. However, certain areas of the learning content is restricted based on

your role. If you are in a learning development role, you will be able to see learning assessments. If you

are in another type of role, you will not be able to access assessments.

How are learning materials displayed on Content Centre? Similar to promotional material, learning materials will be uploaded onto Content Centre in sections which

may be broken down further. When a large learning programme is added to Content Centre, it will likely

be available at the asset level that a user can go through with the assessments available separately.

Learning Managers should review the curriculum map available in the download package to ensure all

assets have been downloaded.

How do I recognise a medical asset verses a commercial one? Medical assets will have GMSL clearly shown in the title as well as having the asset type shown as

Medical Materials.

Download Logistics

How long does it take to download the file? This inevitably varies with file size. However, AZ marketers will rarely need source files themselves so

they can choose to download only a preview (often a .pdf or .mov) and send a link to their agency who

can download all the source files separately, Content Centre has implemented file download acceleration

technology to ensure Content Centre downloads are as fast as currently possible within the constraints of

the local infrastructure. The first time this file accelerator process is used, a brief installation process

occurs, however this is a one-time process.

Where do downloaded files end up? The downloader is required to select a file destination. The file name path cannot exceed 216 characters,

therefore Content Centre recommends that you download files to your Desktop to limit the length of

the file name. However, this destination can be on a removable drive if required.

What do I need to download? Should I include associated files or not? In order to download only the preview files and not the complete package, please select “No” in

the Download Asset popup that is displayed after selecting the download option. This will be a

smaller, faster download package and will include all of the files needed to preview an asset.

In case you want to access the complete source files and associated documents, it is best to

select “Yes” to include associated files option. This download package is larger, but contains all of

the source files, reference lists, annotated citations, licenses, and global rights. After download,

please make sure you check the zip file in the Associated Files folder. This is where all the

source files are stored.

Can the associated source file download option be made default? The default option is currently not an option at the user level. In order to download source files, the user

needs to select “YES” for the “include associated files” option.

Are the reference documents present on Validated Assets? For copyright reasons, Content Centre downloads do not include PDF copies of reference documents.

However, all Validated Assets come with a fully referenced English language manuscript with annotated

citations. These annotated citations include page number and paragraph number so that anyone with a

PDF of the reference can see exactly where in the publication the reference is located. All reference

documents may be viewed within the global approval tool, however these documents are not available for

download due to copyright restrictions.

Support

Who are the local Production Partners? There are several Preferred Production Partners to support the localization and translation of content. Contact the GCO Regional Delivery Team in your area.

Is Content Centre going to make any content changes for the assets? Content Centre is responsible for the validation of the asset and for the HTML coding of iDAs, not the

content itself. Content is the responsibility of the global team. Content Centre will only make changes that

the global team or a localizing market requests.

If the local marketing teams need help purchasing fonts, who do they reach

out to? If the fonts have not been purchased globally, then the local agency would buy the fonts on behalf of the

local markets. The details for purchase will be in the MRF as well as the Usage Rights Information section

on the Content Centre.

What other services does Content Centre provide? Once learning content has been localized and approved by your Local Nominated Signatory, Content

Centre can also assist with testing and uploading of learning content on both the GCA Portal and

AZLearn. In addition, Content Centre can help add learners to your curriculum and provide you with

reporting. A special team named GCO Global Learning Services has been created to assist you with
