Supplemental Guidebook for the 4-H Dairy Cow
Project and Record Book
The information in this guide is for the purpose of aiding your project
recordkeeping in Farmeron’s online platform. Although you will have
access to all of Farmeron’s features , some may go unused due to the
simplicity of 4-H projects compared to running entire farms.

Initial Settings Your Farmeron account will come prepopulated with the following settings and material items:
Daily Milkings: 2 times per day This setting is used to identify how many times a day a cow is milked.
Partners: The partners set up in your account will be those who you are either purchasing from or selling materials
to.

Animal Locations: 2 (named “Heifers” and “Milking Cows”) Animal locations in Farmeron do not necessarily represent actual physical locations (though they
sometimes may). Instead, they are virtual pens which allow you to differentiate between feeding groups.
For example, if for your project you have a heifer and a milking cow, you will want them in different
animal locations so that you can set up for them different feeding rations.
Material Storage Locations: Like animal locations, material locations do not necessarily need to represent actual physical locations.
They are set up in order for Farmeron to organize where to store the materials you are either collecting
(milk) or using (feed).

Material Codes: Material codes are used to represent materials which you may be purchasing in the future for use on
your farm. Before you buy or use a material, a code must first be set up for it so that when you record
that material’s delivery to your farm, Farmeron will know which material storage location it should go in.

Account Setup In order to customize your account to your farm, additional locations and materials must first be set up before you
import your animals and begin recording events.
Please turn to the following pages in order to view detailed instructions on how to do prepare your account. (Follow
these steps in order)
Page 5: Creating animal locations in Farmeron (An initial virtual pen named Barn has already been set up for you. Please
skip this step if this one location is enough for your project.)
Page 23: Creating a milk location (A milk location named Milk Tank has already been created for you. Please skip this
step if this is enough for your project.)
Page 6: Creating a new storage location (The five Material Storage Locations detailed in the Initial Settings have already
been created for you. Please skip this step if these are enough for your project.)
Page 7: Creating material master record (The twenty Material Codes detailed in the Initial Settings have already been
created for you. Please skip this step if these are enough for your project.)
Feeding Setup After all of your material codes are in place, you will need to input inventory amounts. For the purposes of your 4-H
project, you will be setting up very large amounts of inventory in your account (this will not affect your financial reports
because only the materials that are actually consumed will be counted). In order to input all of inventory amounts, turn
to the following page:

under Quantity and select “ton” under Unit.)
After all of your inventory is in the system, you must set up your Feeding Group (which is directly linked to Animal
Locations) and what Ration will be fed to your animal(s). The following page contains detailed instructions on how to do
this:

Entering Your Project Animal(s) Into Farmeron For the purpose of your 4-H project, you will be importing your animal(s) into Farmeron manually one by one. Doing so
will allow you to place them in your virtual pen (Animal location) which has already been assigned a feeding ration (Bill
of Materials). This means that the feeding of your animal(s) will automatically be recorded on a daily basis in Farmeron.

Recording Events After all of your materials have been set up, inventory amounts have been recorded, feeding groups have been
established, and your animals have been imported, it will be time to record everything that happens to your animal(s);
from the milk they produce daily to any fertility and health-related events. Please use the following guides to help you
with this:

Farmeron instructions for daily use Short instructions for everyday Farmeron event recording and usage
Creating animal locations in Farmeron You have the ability to define at least basic animal locations records, which will be used in different areas of your
Farmeron account: housing animals, keeping track of animal migrations, defining feeding and cleaning schedules for
different locations, location cost allocation, etc.
1.) While viewing Storage locations under the Master records tab click the 'Add animal location' button.
2.) Enter the Name and Practical capacity for your location. You will also have to select a Feeding group to be
assigned to it. Once you have entered this information just click the 'Save animal location' button to create the
new animal location.

Creating a new storage location Storages are phyisical locations or facilities built for storing your farm materials, used to track your material costs and movements. You
can assign existing material on your farm to a certain storage through 'Material receipts'
1.) While viewing Storage locations under the Master records tab click the 'Add new location' button.
2.) Enter the Storage location name and Code, add a description if desired, then click the 'Save' button to create the
new storage location.

for the material. You need to
enter the name, code, material
group, and measurement unit
and production origin for the
material.
All other information is optional
and it helps you monitor other
aspects of your material, if need
be.
Creating material master record When you wish to receive a certain type of material on your farm, the first step is creating a master record for that material.

Important notes:
The measurement unit for feeding material will be used in the process of formulating feed rations – on a per animal per day
basis
If production is set for 'Internal' you can enter 'Own production estimate'
When defining feed materials used in ration formulation process, please choose material groups marked with 'for DFO'
(Daily Feeding Order)
When defining drugs, please choose 'Veterinary' group + 'veterinary medicines' subgroup
When defining vaccines, please choose 'Veterinary' group + 'vaccine' subgroup
When defining reproductive materials, please choose 'Veterinary' group + 'semen for insemination' or 'sexed semen'
subgroup
3.) When all of the information is entered,
and you wish to save the material code
information, just click the 'Save' button.
Now that you have created the material
code, you can receive the material. You
can do this by either creating a Material
receipt, or Initial stocking the material.

Creating a new material receipt
1.) Click on the '+Record' button, taking you to a shortcut that enables you to record the most common daily
activities on the farm.
2.) Click on the 'Add material receipt' button.
3.) Select a partner that will be delivering the goods, date of the delivery and click 'Next' to enter receipt details.
Note: If you are receiving materials from multiple partners, you do not need to define the partner that delivered the goods.

4.) When you have selected the material to be received, storage location where it will be stored and the quantity
and price, you can add the material by clicking the 'Add material' button. You can add all of the goods that are
being received on this screen.
5.) After you add all the items that are going to be received, click 'Next' and you will be taken to the last step,
confirming the material receipt.
Note: All the materials must be defined in your Materials in the Master Records tab for you to be able to receive them.
6.) Review the details of the material receipt, and when you are satisfied, check the 'I am sure I want to confirm
this receipt' check-box and click 'Done'

Creating a new delivery note
1.) Click the '+Record' button, taking you to a shortcut that enables you to record the most common daily activities
on the farm.
2.) Click on the 'Add delivery note' button.
3.) Select a partner you will be delivering your goods to.
4.) Click on 'Next' to enter delivery note items
Note: To deliver goods, you must choose an existing partner that deals with your farm. You can define partners in the 'Partners' tab of
your 'Master records'

5.) When you have selected the material to be delivered, type and storage location fields will be automatically
updated. When you have defined quantity and the selling price, you can add the material by clicking the 'Add
material' button. You can add all of the goods that are being delivered on this screen.
6.) After you add all the items that are going to be delivered, click 'Next' and you will be taken to the last step,
confirming the delivery note.
Note: All the materials must be pre-defined in your ‘Material master records’ in order for you to be able to deliver them
7.) Review the details of the delivery note, and when you are satisfied, check the 'I am sure I want to confirm this
Delivery note' check-box and click 'Create delivery note'

Feeding your animals in Farmeron All your animals have to be fed: our feeding procedures allow you to track detailed daily feed consumptions for every single feeding
group existing on the farm. This is mostly an automated process, but the first step is to create your feed routines.
1.) While viewing the Feeding tab under the Dairy module you need to click Bill of materials or BOM for short.
2.) On the Bill of materials overview page you have the list of all created BOM's for your farm. Click on the 'Create
new' button to start creating a new one.

3.) Enter the name that will be used to describe the bill of materials.
4.) Now click the 'Add new component' button to begin adding ingredients
5.) Select the material you wish to use in your recipe, and define the quantity that will be used to feed a single
animal

6.) Once you have added all of the components to the Bill of materials click the 'Create recipe' button
When a Bill of materials is created you need to connect it to a feeding group in Farmeron, and a Feeding group is
connected to a particular animal location, so that your automated feeding process can run smoothly.
7.) Click the 'Assign BOM to feeding group' button

8.) Select the feeding group that reflects the type of animals the BOM was designed for and click the 'Assign'
button.

Moving animals in Farmeron
1.) Click on the Movements tab in the Dairy module and then click the 'Move animals' button
2.) Select animals that will be moved from the Animal list and click 'Select animal destination'

3.) Select the appropriate animal location for moving
4.) Once the appropriate locations are selected, click the 'Complete moving action' button

1.) While viewing Entries in the Dairy
module, you can click the ‘Add
animal receipt’ button

the partner that provided the
animals purchased.
3.) When all of the required information is entered, click
'Next'.

4.) Enter all the general animal information regarding the ID, general status etc.
When you have entered the information,
click on the 'Add animal' button.
5.) When you have added all of the animals
entering the farm to the receipt you can
click 'Save' and create your animal
receipt.

1.) When on 'Dairy' module,
viewing the Exit tab,
click on the 'Add new
exit' button.
2.) Define exit type and partner that
will receive the animals, if it's
that type of an exit where
another party is involved.
3.) When all the required data is
entered, click 'Next'.

4.) Using the search box or by
selecting the animals from the
animal list, add all of the animals
that are going to exit the farm.
When all of the animals have
been selected, click 'Next'.

5.) Define the price, weight and exit
reason in the last step.
6.) When all the details have been
defined, click 'Create'.

Creating a milk location
1.) While viewing Milk locations under the Inventory tab, click the 'Add new location' button
2.) Enter the Location name and Code, add a description if desired, then click 'Save' button to create the new milk
location.
3.) Since different types of milk can be stored in different tanks on the same location, when viewing active milk
locations, you can use the 'Add tank' button on a specific location, to define a tank.

4.) Enter the Milk tank name and Code, add a note if desired, such as type of milk stored here, then click 'Save' button
to add the tank to your milk location.

Recording Milk Production Step 1: In the Dairy tab under Animal List, click on any Animal ID #.
Step 2: Click on Open full profile from
the Quick Profile that pops up.
Step 3: Click on Milking under the Activity tab.
Step 4: Click the green Add milking button to enter
the milking details.

Step 5: Enter all the milking details in the pop-up window and click the green Add milking button.

Shortcut to creating daily records In order to perform a fast and seamless recording procedure, you can click '+Record' (1.) item in the main upper menu.
The resulting window contains a list of most-used recording actions and allows you to quickly access the recording
procedure wizard, without the need to search for it throughout the system. Just click on the desired action (2.).

Recording a Health check
1) Click the „+Record“ shortcut
2) Select the Health check event from the Health events drop-down
3) Enter the details of the event that is going to be recorded. Use the quicksearch
box to find the animals that were treated, enter the treatement information
and just click “Record event“

Recording a preg check
1) Click the „+Record“ shortcut
2) Select the Preg check event from the Fertility events drop-down
3) Enter the details of the event that is going to be recorded. Use the quicksearch
box to find the animal that was checked, schedule any subsequent tasks and
just click „Record event“

Recording a calving event
1) Click the „+Record“ shortcut
2) Select the Calving event from the Fertility events drop-down
3) Enter the details of the event that is going to be recorded. Use the quicksearch
box to find the animal that gave birth, enter the newborn calf information, add
it to the list and just click “Record event“

Recording a dry off event
1) Click the „+Record“ shortcut
2) Select the Dry off event from the Production events drop-down
3) Enter the details of the event that is going to be recorded. Use the quicksearch
box to find the animal to dry off, select the new location for the animal and just
click „Record event“
Note: Not all of the event types were listed, but they differ slightly from one another, mainly by the data you need to
enter, so the examples above should be enough to get you started

Printing Animal Treatment Record in Farmeron Step 1: In the Dairy tab under Animal List, click on any Animal ID #.
Step 2: Click on Open full profile from
the Quick Profile that pops up.
Step 3: Click on Health under the Activity tab.
Step 4: Click the Print button to print the list of
all health events for that particular animal.

Tip: In order to view/print all Health events, click on Health under the Dairy tab then click Print. Or, you can click on any
Event Code in the list in order to view more details about all the animal that were affected by that health event.

Printing All Animal Data in Farmeron Step 1: In the Dairy tab under Animal List, click on any Animal ID #.
Step 2: Click on Open full profile from
the Quick Profile that pops up.
Step 3: Click on Master record then Print.

Creating a Breeding Record in Farmeron Step 1: In the Dairy tab, click on Dynamic reports on the left-side menu.
Step 2: Click on the green Create new button.
Step 3: Check off all the filters on the left-side menu related to your report (Last
insemination date, Sire of conception, Current lactation, Due date, Last calving
date, & Last calf ID) and click the blue Apply filters button. (Additional helpful
filters are: Average conception rate, Calving interval, Previous calf ID, Last sire
used for insemination, Times bred, Total calves, & Insemination count)
Tip: Clicking the header of any column will allow you to sort by that column.
Step 4: Download your report to Excel by clicking on the Cloud button or print it by clicking on the Printer button.

Creating a Milk Production Record in Farmeron Step 1: In the Dairy tab, click on Dynamic reports on the left-side menu.
Step 2: Click on the green Create new button.
Step 3: Check off all the filters on the left-side menu related to your report (Avg.
daily milk income, Avg. daily milk production, Avg. monthly milk income, Avg.
monthly milk production, Current lactation total fat produced, Current lactation
total solids/protein produced) and click the blue Apply filters button.
Tip: Clicking the
header of any
column will allow
you to sort by that
column.
Step 4: Download your report to Excel by clicking on the Cloud button or print it by clicking on the Printer button.

Printing Lactation Curve in Farmeron Step 1: In the Dairy tab under Animal List, click on any Animal ID #.
Step 2: Click on Open full profile from the Quick Profile that pops up.
Step 3: Click on Milking under the Activity tab.
Step 4: Press ctrl+P on your keyboard to print the lactation
curve and other Current lactation info.

Obtaining a Feed Expense Record in Farmeron Step 1. Navigate to the inventory tab
This will direct you to the Stock balance and movements page where you will be able to view each materials’ entries,
exits, remaining balance, and price for a given date range.
Step 2. Select the desired date range and material exit type for the report
Enter in the desired date range by clicking on the beginning date and selecting the day from the calendar; repeat for the
ending date. From the material exit type drop-down select ‘Feeding’. Click ‘Apply’.
Step 3. Select ‘Print or download Excel file’
After clicking ‘Print or download Excel file’ you will have the option to either print the completed report, or download to
Excel for further changes. For example, you can download to excel to find the total cost of the feed used for the month
by multiplying the material’s weighted average price by its exit amount. Below is an example of the report:

Printing Profit/Loss Statements in Farmeron Step 1: In the Dairy tab under Animal List, click on any Animal ID #.
Step 2: Click on Open full profile from
the Quick Profile that pops up.
Step 3: Click on the Actual Economics tab.
Step 4: Click the print data button next to
any graph in order to view/print a tabular
version of any graph with specific data
points. In order to print any graph, simply
press ctrl+P on your keyboard rather than
the print data button.
