Dear St. Johns County Schools Community,

The St. Johns County School District has embraced the challenge of transitioning to an online/remote learning environment as a response to the COVID-19 threat worldwide and more specifically in our own community.

This document, The Instructional Continuity Plan, is designed specifically for this situation we are facing in 2020 and is designed to provide information for parents and employees. Therefore, some topics included in this document will not apply to everyone but are specifically developed to assist in the implementation of an online/remote educational system. I encourage you to review the Table of Contents to find information that may support your role in this learning process.

Throughout this document you will read references to distance learning, online learning, and/or remote learning opportunities. Technology will play a primary, vital role in this system. While not all student learning will require internet or technology to complete, all communication will take place through technology. This is a shift in the way we perceive the classroom for all teachers, students, and parents. While this plan is a guide for implementation of online instruction, there will be adjustments as implementation proceeds. As always, we will focus on student learning first as we make the necessary modifications.

INTRODUCTION – ST. JOHNS COUNTY SCHOOL DISTRICT PLAN

Our St. Johns County School District Instructional Continuity Plan represents our best and most family-centered thinking, one based on a clear and principled commitment to equity, access, and sustained learning.

Teachers and Principals will work with students and families to provide meaningful standards- aligned, distance learning opportunities.

All students will have access to these online learning opportunities.

Access is defined as students having the technology, time, and support they need to complete learning opportunities. This includes an electronic device and internet, on a needs basis, and continuous communication from teachers and school leaders.

During this time, we are empowering teachers, families, and students to have time and space to manage this new reality. This may mean slowing down and remembering that less can be more in this current environment.

We are especially mindful of the needs of students who receive special education services. We have sent a letter to those families. This document addresses and guides you through what will happen with their IEPs, related services, and other supports.

We know you have questions about how grading and other assessments will work. We will have more details about this going forward, but for now please note that all grading will be formative in nature. Students in AP, IB, or AICE will hear specifically from their high schools within the coming days about grading and examinations.

Please know that in the complexity and uncertainty surrounding this situation we are maintaining maximum flexibility and a student-centered approach to current and upcoming decisions on grading and credits.

You may also have questions about how you will be able to support your students on these new distance learning platforms. We are exploring ways of training parents/guardians on this technology as we go forward.

We will, as a community of educators, students, and families, continue to create the best possible learning opportunities for our students.

INTRODUCTION – INSTRUCTIONAL CONTINUITY PLAN

The vision for our off-site instructional model for students, faculty, staff, families… OUR COMMUNITY… is to extend our sense of care and communicate that we will work together and persevere through learning challenges during those rare, but difficult, times when we must move our regular instruction away from our school sites. For our community, this Instructional Continuity Plan (ICP) has been created to assist school staff and families with understanding the resources that will be available to you during long-term school closures. Our goal is to connect our schools with our children to continue the instruction and classroom relationships among teachers, staff and students that have been established throughout the school year. The St. Johns County School District is committed to providing the best resources for each student and will make every effort to ensure that our students’ educational opportunities continue while also attending to his or her social-emotional needs during uncertain circumstances. Our ICP will focus on:

Curriculum and Instruction- how each child will continue to receive instructional services

Digital Access - ensuring each child has access to online resources

Family Resources- providing access to the answers families need to ensure a productive experience while away from school

WHAT IS ONLINE LEARNING?

Have you ever...

• Been online using a phone, tablet, or computer?

• Read or sent an email or text?

• Typed a document, developed a slide deck, or created some other thing using an electronic application?

• Had a conversation with someone via Face Time, Google Hangout, SeeSaw, Skype or some other app?

• Recorded a video or taken a picture of something using a device of some sort?

• Shared a picture, document, video, website link, or anything else with someone using a technology tool?

• Watched a video or movie using a device?

• Learned anything or shared what you learned about something when doing any of the above activities?

• Used a technology device in any way and learned something from it?

If you can answer "Yes" to any one of the above questions, then chances are you have engaged in online learning -- especially if you created something that you shared with another person.

ONLINE LEARNING - HOW DO I PLAN MY DAY?

To develop your daily schedule, think about what it's like during a typical school day.

Think about:

• how teachers post schedules in the classroom

• how bells remind students and staff when class is over.

• your ability to stay focused

• how long you can reasonably devote your full attention to a task.

Below is a sample daily schedule. Your schedule will depend upon your family dynamics and personal learning needs.

• 7:30 AM - Get up, get dressed, eat breakfast, brush teeth, etc.

• 8:15 AM - Organize learning space, turn on computer/device, log into Schoology

• 8:30 AM - Review daily communications from teacher and get necessary learning materials (books, workbooks, etc.)

• 8:45 AM - Engage in first virtual session or chat session or video tutorial or whatever the topic is for the day

• 9:30 AM - Begin assignments

• 10:00 AM - Take quick stretch and nutrition break

• 10:15 AM - Return to assignments, keep working, document learning in whatever way is required

• 11:00 AM - Check communications for any additional announcements

• 11:15 AM - Lunch and movement (Take a walk. Dance. Do jumping jacks. Run. Follow an online workout routine. Just move!)

• 12:00 PM - Return to assignments, keep working, document learning in whatever way is required

• 01:00 PM - Engage in second virtual session or chat session or video tutorial or whatever you know you've been asked to do

• 01:45 PM - Take a quick stretch and nutrition break

• 02:00 PM - Return to assignments, keep working, document learning in whatever way is required

• 03:00 PM - Summarize your learning in whatever way your teacher(s) has requested, and submit your evidence online

As a reminder, when you're online, be sure to:

INTRODUCTION TO ONLINE LEARNING FOR PARENTS AND STUDENTS

St. Johns Online Learning

As we begin our online learning journey, our initial two goals are

• Goal 1- Make students and families are aware of the specifics of the St. Johns County online learning process and show you some of the ways we will be supporting students throughout this process.

• Goal 2- Have students log into and become familiar with our online instructional tools.

To Get Started:

1. Keep an Open Mind

Grades K-5 will connect with the teacher using the teacher designated platform

Grades 6-12 will connect through Schoology

Watch the Video Link (Link will be provided.) The video on the homepage is a great place to start as it will walk your child through the login process. After you have watched the video, connect directly with your teacher to begin your home learning experience.

ONLINE LEARNING - EXPECTATIONS

What you can expect from us:

Please know that, as we shift to online learning, there are likely to be successes and challenges along the way. Also, know that we will do everything in our power to make sure that your child continues to receive a high-quality education.

• Timely, clear communication

• A computer and/or hotspot to provide internet access for families with greatest need

• Specific instructions on how to access the online instructional content.

How you can help:

• If your child needs a computer, please submit a Laptop and/or Mobile Hotspot (internet access) Request Form via the St. Johns County School District website

• Please review with your child the online learning expectations and responsibilities provided by their teacher.

Regarding Technology

Families, here are answers to some very frequent questions regarding technology:

• If you don’t have laptops yet, don’t worry. We are easing into this, and all will be understanding if technical challenges delay your participation.

• If you have filled out the survey and you are eligible for technology support, you will receive communication regarding when and where to retrieve your device.

• If you picked up your device and it is not working, call your school. We anticipate a high call volume as we work to get all students connected. Please be patient.

• What if I can’t get to the school to pick up the computer? Please contact your child’s school and they will provide assistance/ further information.

• Who do I contact if my child is having difficulty accessing Schoology? Please work first with your child’s teacher. If they cannot solve the problem, they will direct you to the correct person.

• How will I communicate with my child’s teacher? Currently, we are asking parents to communicate with the child’s teacher in the same manner they would have in the past (email, telephone, etc.). One difference will be that parent teacher meetings will take place either by phone or virtually.

CURRICULUM AND INSTRUCTION DELIVERY

❑ Students will have access to digital materials and instructional activities to remain engaged in learning during the time schools remain closed.

❑ Core Materials will be used as the main instructional resources, assignments and activities for all students in the designated grade levels and supplemental materials will be available for enhancement/enrichment activities.

DIGITAL ACCESS

❑ K-12 families who need a device or internet connectivity may request access by visiting the SJCSD website to complete the Computer/Hotspot Request Form. You may contact your child’s school if assistance is needed with completing the form.

❑ Schools will assign technology devices to those families who have indicated they need a device for use at home.

FAMILY RESOURCES

❑ Families will have access to school personnel by phone and email to address unique needs.

❑ Students will have access to breakfast and lunch to ensure proper nutrition. Distribution centers have been identified and posted on our district webpage www.stjohns.k12.fl.us.

INSTRUCTIONAL PLAN - DETAILS

CONTENT DELIVERY

Students will have access to digital materials and instructional activities to remain engaged in learning during the time schools remain closed.

Core Materials will be used as the primary instructional resource for all students in the designated grade levels and supplemental materials will be selected by the classroom teacher. Other resources will be available for enhancement and enrichment activities.

Students will have access to teacher, grade and school specific instructional materials to remain engaged in learning during the time their school and/or the district is closed.

In the event a teacher is unable to provide classroom specific instructional materials, students will have access to grade‐specific material provided by district supervisors.

Case managers will continue to support students with disabilities and monitor their progress.

Tech support will be available to help families with digital materials during the school and or district closure.

MOBILE DEVICES

District students (non-charter) in grades K-12 will be surveyed to determine if they have a need for a mobile device at home to access instructional activities.

Schools will assign mobile devices based on need.

Schools will use their current inventory of mobile devices, including devices in carts, to check out to students.

Mobile devices must be checked out using the Acceptable Use Policy though the SJCSD.

K-12 families who need a device or internet connectivity may request access by visiting the SJCSD website to complete the Computer/Hotspot Request Form. You may contact your child’s school if assistance is needed with completing the form.

District staff will coordinate transfers of devices between schools where needed.

Dear Parents and Guardians,

You have received information from Superintendent Forson regarding planning instructional continuity for all SJCSD students. In addition to that information, I wanted to share preparations that are being made to address the unique needs of our ESE students.

We have received guidance from the United States and Florida Departments of Education that schools have been provided flexibility for students who receive IEP services. During this school closure, SJCSD will provide specially designed instruction and related services virtually to the extent practicable. This may include computer-based learning for many of our students but may also include work packets sent home and video or phone conferences with teachers and service providers to provide instruction and answer questions. Required evaluations, re-evaluations, IEP meetings, etc. will also be held virtually to the extent practicable. If there is any type of delay, a plan to move as quickly as possible to prevent further delay will be documented and communicated with families. IEP teams will monitor each student’s progress and determine what, if any, remediation may be needed when students return to school.

I have communicated with our ESE teachers and service providers the District’s expectation that they share their work schedules with their students’ families, including when and how instruction will be provided, how to contact them, and when they will be available to answer questions. We have asked that they flex their schedule to make themselves available at least two evenings per week to accommodate parents who work during the day. ESE services will continue and although they will look different, please know that your teachers and other service providers will be working diligently to make sure every child’s needs are met.

Now more than ever families and school staff must work together to help our students succeed. Please do not hesitate to reach out to your child’s teachers and other service providers should you have any questions. Thank you for your continued support.

Parent Communication

In the virtual classroom, the telephone and the computer are the key pieces of equipment that

help a teacher to facilitate the learning process by effectively increasing students’ on-task

learning, communicating with teachers and reaching out to resources for support.

WHAT TO EXPECT AND GETTING STARTED

Students will use their user name and password to access online instructional resources. If you

need your student’s sign-in information, please contact the school using the main number. The

school numbers are all listed in the “Additional Family Resources” section.

The teacher’s goal is to connect with the class live, at least twice a week via Schoology

PARENT TALKING TO CHILDREN ABOUT COVID-19

Talking to Children About COVID-19

Remain Calm and reassuring– Children will react to and follow your verbal and nonverbal reactions. Remind them that you at home and the adults at their school are there to keep them safe and healthy. Let your children talk about their feelings and help reframe their concerns into the appropriate perspective.

Make yourself available– Some children may need extra attention. It is important that they know they have someone who will listen to them. Tell them that you love them and give them plenty affection.

Avoid excessive blaming– It is important to avoid stereotyping any one group of people as responsible for the virus. Be aware of any comments that other adults are having around your family.

Discuss new rules or practices at school- Be sure to discuss any illness prevention habits, including frequent handwashing or use of alcohol-based hand cleansers.

Communicate with your child’s school– Let your school know if your child is sick and keep him or her home.

Monitor television viewing and social media– Limit television viewing or access to information on the internet and through social media. Speak to your child about how many stories about

COVID-19 on the internet may be based on rumors and inaccurate information. Be aware that developmentally inappropriate information can cause anxiety or confusion, particularly in young children.

Maintain a normal routine to the extent possible– Keep to a regular schedule, as this can be reassuring and promotes physical health.

Be honest and accurate– In the absence of information, children often imagine situations far worse than reality. Children can be told how the disease can be caught and how to protect themselves.

MEAL SERVICES

The Florida Department of Agriculture and Consumers Services and USDA have approved meal service during the time of unanticipated school closures. This program focuses on areas of eligibility based on economic need. For meal service locations, please refer to the website, www.summerbreakspot.org.

• Children may receive meals at the nearest participating site, even if it is not where they attend school. This eliminates the need for families to drive to multiple schools.

• Each day, lunch for that day and breakfast for the next day will be provided at the same time.

• School sites will operate from 11 a.m. to 1 p.m. • Community sites will operate 11 a.m. to Noon

Meal services will be provided at select schools that are not included in the need-based Florida Department of Agriculture and Consumer Services and USDA programs.

• These meals are intended for children in need of meals during the unanticipated school closings, typically those who participate in the school lunch program based on need.

• Meals will be provided through a walk-up and drive-thru service in the parent drop off loop at the participating schools.

• The meals will be provided to children 18 years or younger. Children must be present to receive meals.
