FIRSTDOC CONNECTION QUARTERLY 2
Are you longing for a SharePoint user
interface but not quite ready to move
off your Documentum system? Do youhave a need to serve up personalized
content to internal and external users
in a way that WebTop simply cant
do? Then FirstDoc SPX (SharePoint
Xperience) is what youve been
looking for.
What is SPX?
Simply put, FirstDoc SPX provides
the ability to view, edit, and manage
content stored in FirstDoc through a
SharePoint user interface. Using indi-
vidual Web Parts which are the build-ing blocks of a SharePoint page,
FirstDoc features and functions can
be embedded in a SharePoint portal
for a more flexible deployment.
SPX is based on Wingspans DocWay
Web Parts, which provide the basic
Documentum to SharePoint connec-
tion. We chose DocWay because it is
the most flexible product on the mar-
ket and enables SharePoint to deliver
the FirstDoc business rules our users
have come to know and expect.
Functions such as Create/Import,
Checkout/CheckIn, and Initiate/Finish
Workflow are all available within the
Web. Users will require little to notraining, because all functions are
available through a right click context
sensitive menu.
Easier Control over ContentIncreases Productivity
Perhaps the most compelling feature
of SPX is the ability to personalize, or
filter the content that is made avail-
able within the Web part. Content can
be filtered by queries, starting folders,
or even a specific document. With
these filters on, users will only be ableto see and interact with the files that
are presented to them in a particular
Web part. For instance, have you ever
had the need to give someone access
to a folder structure, but prohibit their
ability to navigate folders above it in
the hierarchy? Now you can, because
SPX can confine access to a particular
folder structure without allowing users
to navigate above their starting point.
This is especially beneficial when
working with external partners on
Clinical Studies. You may want your
partners to see the TMF folder struc-
ture for that study, but not see any
other studies in your docbase.
Lastly, each SPX Web Part can be
configured to point to more than on
docbase. This is extremely helpful fo
users who need to access files in mu
tiple repositories. For example, their
Inbox can contain all of their tasks
from all of their docbases, and save
them the trouble of having to go to
each separate Inbox. And searching
a plus too, if a user has permissions
more than one docbase, they can ru
cross docbases searches from within
the search Web part.
Not just for FirstDoc Only
Employing standard DocWay func-
tionality, SPX will also work with you
non FirstDoc Documentum docbase
This can be a great strategy to bridg
ing the gap between your disparate
repositories and providing a true
enterprise content management
experience for all of your end users.

About FirstDoc 6.0
Based on your feedback for functional
enhancements, we have a great oppor-
tunity to introduce new and exciting
features in FirstDoc 6.0. CSCs devel-
opers have been busy on the release
that will continue to expand upon SPX,
bringing more functionality directly to
SharePoint. FirstDoc 6.0 will introduce
the ability to personalize SPX Web
parts making them more relevant to
your individual business needs and
improving the user experience. Read
on to learn about a selection of
whats coming.

standard Documentum VDM process
Big News on theCollaboration Front
Ever since we started working with
users on document management sys-
tems one area more than all the oth-
ers has generated discussion during
workshops what tools are available
for collaborative authoring and
review? As you know, the most widely
deployed solution is the use of PDF
based annotation tools. Many of our
users find these difficult to manage
and work with, particularly when
many comments are attached or co-
authoring is required. Give us track
changes they proclaim well in 5.0
we went some of the way with the
Track Changes Edit workflow, but of
course, that needed people to workon the document one after another,
not true collaborative working.
Well now we are excited to announce
that with FirstDoc 6.0 the capability
for concurrent track change-based
authoring will be available. The
Collaborative Review Xperience or
CRX add-on will allow multiple
authors to make tracked changes to
a document and share these changes
using a SharePoint collaboration work-
space. This functionality, originally
deployed in FirstPoint, will be inte-
grated into the Documentum
Workflow enabling the automated
setup of the workspace and notifica-
tion of members and the management
of concurrent changes to the docu-
ment. Upon completion the updated
document will be brought back into
the Docbase when the workflow tas
is concluded. See the diagram belowfor details of the process flow.
This major development is a massive
step forward for the authoring com-
munity. Suddenly collaborative autho
ing in a controlled environment
becomes a reality. Users will be able
to work on their documents without
having to take them out of the syste
and into the uncontrolled world of th
file-share and email.
Your users will love it, the complianc
and risk managers will love it. And
for users of SPX the experience will
a seamless extension. Contact us on
how you can bring authoring into th
21st century.

TECH CORNER
The FirstDoctor Is In:Jon Ominsky
Many of you have
contacted me over
the last several
months with vari-
ous technical
questions. And be
sure, your feedback
makes FirstDoc a
better product.
Id like to take
the opportuni-
ty to discuss the dominant issue in my
first contribution to the Tech Corner.
As of FirstDoc 4.3, field level valida-
tion for property screens is config-urable and can be accomplished via
the Property Validation Configuration
objects. These can support validations
such as enforcing a pattern for text
entry, e.g., a social security number
###-##-####. They also support
enforcing the dates fall before, after
or between specified dates.
In addition, as of FirstDoc 4.3, you
can automatically assign a propertys
value based on other property values.
For example, you can automatically
set the name and title of CRF Pagesto the CRF Page ID and the CRF Page
Name. This is useful when scanning
in case report forms.
Be sure to keep in touch with us so
we can address these and any other
tech issues that are on your mind in
upcoming FirstDoc Connection
Quarterly editions.
Hot Tech Topics
FirstDoc Scanning Integration
Did you know?FirstDoc has a fully integrated scan-
ning solution employing the power
InputAccel to rapidly import paper
content into a FirstDoc repository.
This multi-tiered solution provides
tools that streamline the process of
assigning metadata, reviewing content
and automatically launching post pro-
cessing activities achieving tremen-
dous operational efficiencies over
manual methods.
Following are the major components
of the scanning integration suite:
Batch Creation Assign common
property values to all documents in
a batch
Index Assign property values to
individual documents from within
InputAccel
Derived Properties Automatically
assign property values (such as
object name or title) based on literal
data and other properties
Post Import Processing
Automatically launch a workflow
with a configurable set of selected
users, initiate a status change
and/or send a notification to users
informing them the new document
was imported
With this tool set, a user can assign
common properties for a batch of
similar documents and have the
system automatically assign unique
properties and send the documents
on review/approval workflows
without ever logging into Webtop!
User Tech Tips
Did you know you can use subscrip-
tions to have quick access to a cabi-
net, folder, or file?
Instead of navigating through the
repository to find the item, you can
access it quickly through
Subscriptions.
You can also
have FirstDoc
send a notifi-
cation to your
Inbox when-
ever a sub-
scribed item
is checked in.
You can turn notifications on and off
on an item by item basis.
And FirstDoc enables you to register
interest on a particular document at
different points in its lifecycle. As the
document enters a registered status,
you will receive an e-mail notification.
To register interest in a document,
you must have at least Browse
permission on that document.
Notifications are delivered using the
language of the recipient if the sys-
tem is configured to use multiple
locales with different languages.
Notifications may include links to
the associated documents. When
you click the link, the PDF renditio
opens, if available. If there is no PD
rendition, the document opens in i
native format.
Using Restricted Edit on dictionary-
based properties.
Restricted Edit can be particularly
useful as a means for responding to
real-world changes that affect value
in the standard and product-related
dictionaries. However, a number of t
dictionaries are cached by the system
and may not show newer values
immediately. To solve this problem in
the long term, caching can be dis-
abled using the Document Definition
SDLs. On an operational level, an
administrator can use Tools->Flush
Cache to force the system to revisit
the dictionary.

FirstDoc Users Group meetings are
enjoyable and rewarding for FirstDoc
users at all levels and from all func-
tional areas. As always, this years pro-
gram consisted of user presentations
as well as product strategy and
release updates from CSC only
we held the meetings in festive San
Antonio, Texas and beautiful
Rome, Italy. The user groups
included the results of the
ever-popular Focus Group
sessions in which users have
an opportunity to share their
comments and suggestions
directly with the development
group from CSC.
Over 70 attendees from more
than 30 companies attended
the two user group meetings.
Customer presentations are
always a highlight as our cus-
tomers share their strategies,
successes, and challenges with
each other and broaden their view
of what other companies are doing in
the industry to solve similar business
challenges. This year was no excep-
tion. Hot topics included SharePoint,
migrations, Best Practices, perform-
ance, and Documentum 6 as well as
FirstDoc functionality.
In the US, there was
demand to move to a
broader, longer, and more
rich user group with Business
and Technology break outs.
We will be introducing this
new an improved user group
style in 2009.
