AbstractIndoporit distribution limited is a company who distributes alcohol and non-alcohol of many brands (domestic and imported) in northern India, its deals mainly of Carlsberg and Bacardi brand which comes under IMFL and 70+ imported alcohol along with indospiriti also distribute the Dabar and Narang, Red

bull, avian and many other brands of mineral water.

Process starts from retails shop that is beer and wine shops that firstly give order to DSSIDC,DTTDC,DSCSC,DCCWS under corporation then corporation make a estimate and send it to excise department after getting estimate excise department send that demand data to Indospirit then Indospirit send that demand to manufacturer after all, manufacturer supply the liquor to Indospirit through excise department excise department calculate all sort of taxes like revenue, vat taxes and send invoices to the Indospirit on that behalf of all shops (there demand of particular liquor) and also issue a transportation permit which is validated for 4 days from making order, transportation permit means within 4 days order should be reach to shops and unloaded from the truck if its fail then extra penalty has to pay for extending the transportation permit. Now how bills, challan and invoices circulates Indospirit send all the orders to the shops along with their invoices then sales team collects all invoices from the shops duly signed by the owners of the shops then submission completed in the indospirit and then these all submission send to the corporation then corporation made cheques on the name of manufacturer, this process happens regularly after that all cheques send to manufacturers and manufactures pay to Indospirit.

In AutoZone project I did my part which given by my mentor to do and work was to gather all information about all automobile companies (brands) like 2 wheelers, 4 wheelers, 3 wheelers an so on, to provide all service to them at one place.

The major findings are :

1. Loopholes in overall operation.2. Differences between actual stock counting and record made by

accountant.3. Find out the all brands of automobiles for AUTO MANDI project.4. Find out the fault made on websites and inform to engineers to rectify

it.

The methodology used:-

i) A pilot study of two major firm one there was Chawla distribution of kingfisher beers and sees how they works and take some positive things and implemented in our company.

ii) For other information i used to capture all information related to this business like legal procedures filling of different forms while working by all

employees who working there.

INTRODUCTION:-

Indospirit is a leading importer, distributor of alcoholic beverages in North India. We are a professionally managed organization with a young and dynamic team. We believe our core competency is our service quality, ensured by a very motivated & energetic team, due to which we have gained an excellent reputation for maintaining strong and fruitful relationships with both our partners and the market.

The organization is headed by our MD, Sameer Mahandru, who is an alumnus of IIM Bangalore (2004). He has worked with companies like Hindustan Lever, Asian Paints, SABMiller in the Sales & Marketing function for more than 6 years prior to starting operations at Indospirit.

Our CFO, Amit Dadoo is a Chartered Accountant, and was the National Credit Control Manager with SABMiller in his last assignment. He has also worked with Reliance Infocomm & Delphi Automotives in the past.

Offices

We have fully equipped, state of the art, offices in Delhi & Haryana.

Warehouses

We have approx 50,000 sqft of warehouse space in Delhi & Haryana.

Our warehousing facility is modern and state-of-the-art, allowing us to stack, sort and store products as per world class safety standards.

The warehouses have ample parking spaces and conveyor belts to ensure quicker turnaround times and are fully fitted with security and fire safety equipment.

Our ERP interface helps us to react quickly to special requirements and to maintain inventories accurately and efficiently.We also have a privately owned Custom Bonded Warehouse with a capacity to store around 15000 cases of Imported liquors.

The warehouse is air cooled to maintain a temp of 19 degrees throughout the year.

Commercial Vehicles

We have our own fleet of 40 Commercial Vehicles to transport stocks in & around our markets. These trucks have special permissions to ply during office hours and can move freely in all zones including ‘No-Entry Zones’.We rely on our own fleet so that the turnaround times can be reduced and

supplies can be made in the least possible time.

Statutory Compliances

We have ensured all statutory compliances to operate warehouses/Shops/Offices in India. We meet all Labour Laws, PF, ESI, Shop & Establishment Acts, Fire Safety Norms, Delhi Liquor License Rules, Customs Act, Sales Tax and other such legal requirements to operate businesses in India.

Domestic Liquor

We operate Excise Bonded Warehouses (L1 Licenses) to distribute Domestic Liquor in North India. We provide comprehensive Route-to-Market solutions to manufacturers to increase their Sales Volumes & Market Shares in the local markets. We take care of Marketing, Sales, Distribution & Collections for the brands in the respective geographies.

Imported Liquor

We own an Air Conditioned Private Custom Bonded Warehouse to import duty free liquor from across the world. We also have L1F license to sell Imported Liquor in local markets. We have a regular business with all the Duty Free Channels and supply our brands to all the duty free outlets in North India. We also have the required licenses to sell Duty Paid Liquor to all vends and to supply to other wholesalers & distributors in India.

Non Alcoholic Beverages

Apart from our Liquor portfolio, we distribute Non alcoholic beverages like Juices, Energy Drinks, and Mineral & Sparkling Waters etc to On Premise customers (Hotels, Clubs, and Restaurants).

Grant of L-1 Licence:-

Every year Government of Delhi formulates the Excise Policy and in pursuance to this policy all the liquor Licences (L-1) are granted for the wholesale vending to a Company or a society or a partnership firm or proprietorship firm provided the applicant owns distillery / breweries / manufacturing units/bottling plants.

The applications for the grant of Licence are invited through the public notice published in some of the leading newspapers. An application for the grant of L-1 Licence is required to be made in response to the public notice in the prescribed format together with its Appendices ('B' and 'C') to the Collector of Excise. The prime job of L-1 Licensee is to supply liquor to the holders of L-2, L-3, L-4, L-5, L-19 and L-19 A, L-52, L-53 licences in the National Capital Territory of Delhi.

The aspirants for the grant of L-1 Licences have to comply with the procedure as laid down in the terms and conditions for the grant of L-1 Licences which are made available in the Office during the notice period. The applicant has to submit the following documents along with the application on the prescribed format :

1. Solvency Certificate from SDM (except in case of a Public Ltd. Co.)

2. Income Tax Clearance Certificate

3. No Dues Certificate from Collector (Excise)

4. No Dues Certificate from Sales Tax Officer

5. Declaration of distillery on affidavit regarding sale and minimum ex-distillery prices and distance of distillery from Delhi.

6. Chartered Accountant's Certificate for sale and minimum ex-distillery prices.

7. Certificate from Excise Authority concerned regarding sale figure.

8. Power of Attorney

9. Registered partnership deed/memorandum and Article of association / (Distillery/Winery/Bottling Unit/Brewery).

10 Duly audited annual account and balance sheet of distillery.

11. Attested copy of the licence for establishment of distillery/winery/bottling unit/brewery.

12. Attested photocopies of export passes/EVCs verifying the sale figure of the whisky and rum brands for which distillery has applied.

13. Trade Mark Certificate.

14. User ship agreement under Trade & Merchandise Marks Act, 1958.

15. A certificate from a government authorized laboratory or other reputed private institutions regarding quality of brand.

16. An affidavit stating that there is nothing adverse or against the applicant in view of the provision of rule 7 of Delhi Intoxicants License and Sale Rule, 1976.

17. Documentary evidence to prove that the product is manufactured from natural alcohol (Double distilled) Extra natural alcohol.

The IMFL/beer brands proposed to be sold by applicant on L-1 Licence should be owned by the distillery and in respect of IMFL brands excluding wine, the applicant should be in possession of trade mark certificate in respect of these brands.

In addition, for approval of whisky and rum brands, such brands should have sold a prescribed minimum quantity in All India Market excluding Delhi as indicated in the terms and conditions. For the year 2009-2010 the minimum sale criteria as per maximum retail price for each quarts bottle are given below:-

Grant of L-2 Licence:

L-2 Licence for retail vend of foreign liquor/beer are granted only to selected undertakings of the Delhi government namely DTTDC, DSIDC, DSCSC and DCCWS. Any proposal in respect of premises for opening of a vend would come from above Corporations. As such an individual who wants to give his premises on rent for opening of vend has to approach any of these corporations, which

after looking into suitability of the premises approach the office of the Commissioner of Excise for grant of L-2 licence in respect of the premises.

Broadly any premises to be suitable for opening of liquor vend should meet the following requirement :-

1.

The vend premises should be in a pucca building with minimum floor area of 150 sqft. On a floor and located in commercial area.

2.

The vend premises are inspected by the site inspection committee. The Committee inspects the shop to ascertain that the premises meet the requirement of excise rules as below :

  1.

"No liquor shop for consumption off the premises shall be located within a distance of 75 metres from the following, namely:

      Major educational institutions

      Religious Places

      Hospitals with fifty beds and above 

    Explanation I: - For the purpose of Clause (a) above, major educational institutions would mean middle and higher secondary schools, colleges and other institutions of higher learning recognized by the Government of NCT of Delhi or Government of India.

    Explanation II: - For the purpose of Clause (b) above, a religious place would imply a religious place having a pucca structure with a covered area of more than 400sq feet.

    Explanation III: - The measurement of distance shall be from the midpoint.  The actual main entrance/door of   the premises proposed for license to midpoint of the actual main door/entrance of the building of the places mentioned in clauses (a), (b) and (c) above.

  If the proposed premises meet the above requirement and found suitable, the grant of L-2 Licence is approved and the concerned Corporation is required to deposit Rs. 2,00,000/- as licence fee before issue of licence. At present shops are in operation all over Delhi.  License fee can be deposited on pro rata basis in quarterly terms.

  These vends sell IMFL/Beer brands at rates fixed by the Excise Commissioner. Retail sale rate are printed on labels of IMFL and beer bottles. At present, while cheapest IMFL is sold in Delhi for Rs 100/ bottle, high priced scotch brands are available up to Rs. 1600/quart. Lager beer brands are sold in price range of Rs. 25/- to Rs. 40/bottle.

Grant of L-3/L-5 Licence in Hotels:

On site Consumption Licences :

Department grants licence to hotels which are holding star classification and approval of Department of Tourism, Govt. of India which are considered necessary for grant of Licence in form L-3. L-3 license empowers the hotel for service of foreign liquor to the residents in their rooms. 

These hotels can also seek separate Licence in form L-5 for service of liquor in exclusive bar and in the restaurant / bar in the hotel premises. The service of liquor is restricted to specified premises of bar and restaurant only. The hotel is required to submit application on its letter head accompanied by the following documents :-

1. Documentary proof regarding legal status of the hotel i.e. whether it is a company, partnership firm etc.

2. Whether the hotel is in legal possession of the plot.

3. Completion certificate in respect of the hotel building.

4. Trade licence from the Local Authority i.e. MCD/NDMC as the case maybe

5. Lodging House licence from the Local Authority.

6. Certificate of registration of eating House licence issued by the DCP (Licensing).

7. Documentary proof regarding applicant being an Income Tax Assessed and Sales Tax-Assessee.

8. The applicant is required to submit lay out plan of the hotel, site plan of the licence outlets and the liquor stores

9. Proof of Department of Tourism. GOvt of India indicating the project approval and also recommendation for  grant of L-3/L-5 license

10. NOC from Delhi Fire Service

The applicant hotel is required to submit application to the Commissioner of Excise. After scrutiny of the papers submitted and the same having been found to be in accordance with the rules, the hotel premises is inspected by the concerned Excise Officer from the department who submits report to the licence granting authority. The inspection as above is to determine status of the premises under the Excise rules particularly w.r.t. rule 11 of the Delhi Intoxicants Licence and Sales Rules, 1976 which provides that :-

"No liquor shop for consumption 'on' the premises shall be located within a

distance of 75 metres from the following, namely :-

(a)

major educational institutions

(b)

religious places;

Once the hotel has been found to be suitable for grant of licence, the views of the public/residents are invited on the proposal giving them 7 days time in this regard to file objections before the licensing authority. This is done through pasting of notices and also through public announcement in the area. After no objection has been received, the competent authority proceeds with approval for grant of licence. After approval, the hotel is required to submit fees as prescribed under the rules. On deposit of the same, licence is issued to the hotel. L-5 Licence for exclusive bar/restaurant within the hotel is granted in conjunction with L-3 Licence only and requirements listed above also apply for grant of L-5 Licence.

Grant of L-4 Licence in Independent Restaurant:

L-4 Licence is granted to an independent restaurant approved by Department of Tourism, Govt. of India. Such restaurants can apply in the office of the Commissioner of Excise in prescribed form and submit documents as indicated in the application form. The restaurant should be situated in commercial area with adequate parking space. The restaurant has to meet the requirement of rule 11 of Delhi Intoxicants Licence & Sales Rules, 1976 as quoted in case of L-3/L-5 Licences conditions. Rest of the procedure for the grant of Licence is the same as indicated in case of L-3/L-5 Licence.

Possession limit for liquor:

Liquor being an excisable article cannot be stored by a person like any general commodity. Possession limit has therefore been prescribed. Any individual person can possess at his residence alcoholic beverages within the prescribed limit for bonafide consumption by him and by members of his family or his guests. The present possession limit is given below: -

Foreign liquor whether imported or made in India 18 litres

Beer/wine (mild drinks) whether imported or made in India 36 litres

Cider 9 litres

Country liquor 3 litres

Note : An individual is allowed to carry one unsealed bottle of 750 ml. while entering into the National Capital

Territory of Delhi from other States.

For Permission of possessing Liquor in excess of Normal Possession Limit one has to apply for L-49.

Format for L-49 Licence.

Temporary Licence for service of liquor in Parties/functions/Conferences

1.

At Residence

 No Licence is required by an individual for serving liquor to his guests and family members at his residence provided the liquor served is within permissible possession limit

2.

For Licensees allowed for onside Consumption Hotels/Clubs/Restaurants)  Licence (L-20)

 L-20 licence is granted to licenced hotels, restaurants and clubs for service of foreign liquor inside/outside their licensed premises on temporary basis for hosting a function on a specific day.

 Any eligible hotel, restaurant and club can apply for grant of L-20 licence in the prescribed Performa after depositing Rs 3000/- as licence fee. 

  The prescribed Performa required for grant of L-20 licence.

At any other premises - Licence (L-49A)

 L-49 A licence can be obtained on payment of Rs. 3,000/- for service of liquor in any party, function, marriage etc. at a specific premises anywhere in Delhi excluding public parks subject to the following conditions: -

  The area is screened off from public view;

  Liquor is served to adults above 25 years of age;

 Liquor is procured from authorized source in Delhi. (the license holder must be having the bill in original issued by retail liquor vend in Delhi from where the liquor has been procured).

 An individual/organization can apply for grant of L-49 A licence in the prescribed Performa.  This licence can be obtained from the window at the Excise Department or from the specified liquor vends. 

  The prescribed proforma required for grant of L-49 A licence.

  The details of the liquor vends authorised to issue L-49A licences.

Grant of L-19 Licence:

L-19 licence is granted to a club registered with the Registrar of Firms/Registrar of Cooperative Societies, for service of foreign liquor to its members only subject to provisions of Punjab Excise Act, 1914 as extended to the National Capital Territory of Delhi and the rules framed there under and instructions issued from time to time.

Any eligible club can apply for grant of L-19 licence in the prescribed Performa with the required documents

Policy for L-12/L-12F (old L-53/L-53F)

Learning from operation:-

Learned all procedure of filling the format form namely as Route Chart in which we fill deptt, shop name from whom to received and whom to delivered and also transit breakage, bond breakage about all brand of like Carlsberg, tuborg beer, breezer, b.s.rum, b.lemon citrus, apple razz, e.t.vodka etc. This format mainly made for the purpose of total of all receipt and delivery after made all addition and deduction of breakage for the excise duty check when excise officers come to check for excise duty.

Now after brief this is process wise that what I learned:-

First of all I met with Mr. Ganesh Jha (Bond manager) and look that what he do and ask about each and everything which he filled in format in Route chart then he said that he made all estimate of Bacardi import from 29th of September to 31st of march, he firstly deal in rum depends on their cases sizes in format:-

Quartz- 650ml- 12bottles

Pints-330ml- 24bottles

Nibs- 180ml- 48bottles

Minature- 60ml- 150bottles

He filled all columns date wise import of beverages of Bacardi from 29 th

September to 31st march for totalling all import and also breakage namely transit breakage and bond breakage, transit breakage are those breakage who occurs during import it is the cost which face by exporter and bond breakage are those breakage which occurs in warehouse and this cost face by Indospirit. After entering all transactions totalling the all sums and then deduct the breakage and prepare for the purpose of excise duty and to made future claim from manufacturer.

I noticed that he follow three steps for made all entry first one entry made in original books at the same time of received the cases then its transfer it into format for totalling and then its transferred in another book for check and verification made by M.D of the company for final check and for rectification of import and distribution.

Then after this secondly we made entry for Breezer (soft drinks) in which they have different category like:-

2. Lime flavor3. Cranberry flavor4. Jamaican flavor5. Litchi flavor

Other process is same as above.

BACARDI INDIA PRIVATE LIMITED:-

1. Decide what have to order like how many quantity of which brand like litchi, orange, cranberry etc.

2. All estimate send to excise duty and for other legal requirement to get import permit of imfl/beer in the union territory of Delhi in bond. In this form

Permit number, Validity date of delivery the order items, Name of L-1 and L-1A company name which is licensed by

government to do business of beer in India and all information about quantity of beer/if ,

Rates, Weight in liter, Mode of transport, Route name of transport, rate of import pass fees, Amount paid, and Duly signed by all higher authority for final delivery like signature

of distt. Excise office and other concerned authorities for verification and stamped to get final permit for delivery of order beverages.

3. And fill a form which legal term these form are mainly fill by those

company who do business in the field of Indian made foreign liquor form name are:- (FORM-L, F, B, 11), in which this information includes:-

Name of consignee, Name of consignor, Place to which issued, Route by which dispatched, Number and date of permit(if any), Duty paid by consignee, Import fee export fee paid by consignor, Truck name,

Truck driver name, Description of liquor, Batch number, Behind this form there id hologram utilization report in which

truck number and total cases of liquor mention.

4. Then there is other enclosure of quality certificate report in which these things includes:-

Date , Name of distillery and address, Name brand, batch number, date of manufacturer, Import pass date number and date, Export pass number and date, This certificate certified that whatever consignment issued for

Delhi excise are free mention alcohol and other harmful ingredients. And duly signed by Bacardi India pvt limited and also a counter signed.

5. After these all process Bacardi get the final right to release the order made by Indospirit and made a stock transfer note cum delivery challan in which:-

Address of Bacardi India pvt limited mention, Invoice number , The address of Indospirit, Permit number, Pass number, Transporter name, STN number, TIN number, Truck number, Item description, Quantity, Rate, Amount, Net amount, Bottling fee, License fee, Export fee, And lastly grand total and signed by concerned authorities of

Bacardi India pvt. Limited.Then after loading the truck there is transportation number (TP number) which means that within this date the truck should reach its

destination otherwise it may catch by law. When truck reached Indospirit then unloaded process starts in which lots of man power used company paid them as cases load on truck like 50 paisa for per case like wise example if there is 1200 case then its calculated Rs.600.

All process same in CARLBERG INDIA PRIVATE LIMITED also there is little bit difference in format only.

From today learning I learned about many legal terms which are very important for any liquor distribution companies and it’s so mandatory it can’t be denied.

Today learned about the procedure of submission of BILLS AND CHALLANS:-

When liquor is transported then along with liquor challan issued to all retailers to get signed after counter check of delivery then they returned that challan after their sign to the company.

Procedures are as follows:-

1. Enclose a letter to contain the following: To whom to write this bill, Department address, Subject is submission of bills and challans

And then main body of letter in which write that how many bills and challans related to supply and amount to request to pay.

2. Then there is tax invoice in which these things mention:- Above address of the company Address of the purchaser Order number Invoice number Date Tin number Transportation pass number Quantity, size, rate per case value of liquors VAT rate added to total goods value Total invoice value with VAT Signature of selling dealer /manager or agent

signature in which these things includes:- Order number Party name Transportation pass number Date of TP made and supply date Particulars about delivery of liquor Authorized signature

4. Submission report:-

In which all report of all order mention collectively with the name of shop about their order of quantity and brand and sum total of all.

5. Revenue chart:- Revenue chart made for the purpose of accumulate all estimate of total revenue made by particular brand to show the excise department.

Then after receiving all challan from all retailers we check all documents and enclose all and send to headquarter of manufacturer for payment. This whole process takes around 90 days. Whatever payment made by retailer they directly made on the name of manufacturers.

On 21st of April I worked with Mr. Sanjay and follow him while doing his work, he is working in billing department as he said.

He told me about liquor that there are two type of liquor:-

Imported, which directly imported from outside; Domestic, this is made itself in India known Indian made foreign liquor

(imfl).

There are 3 types of purchasers:

DCCWS, DSCSC, DTTDC, DSIIDC, these are under corporation; L-52, 53, 56, these are private purchaser direct from Indospirit. Hotels, club, restaurants.

Here in this department he follows some process to receive order and made final submission under corporation (DCCWS/DSCSC/DTTDC/DSIIDC) these process are as follows:-

He receives all order from excise department:-

o All shops made their demand in corporation and corporation submit

their demand in excise and then excise department made that order for delivery to Indospirit through mail.

Then take all printout and made challan on the name of particular shops and send them with their orders.

Then sales man collect all challan after getting cross check by the owners of shops and collect in Indospirt office.

Then after getting all challan billing department made a tax invoice and submission for getting cheque from corporation after getting authorized signature.

For private (L-52, 53, 56), invoices made only, company deals personally but have to follow all rules and regulations of excise.

For hotel/club/restaurant- invoice /debit note both are made.

All order mainly made after 6p.m. evening. Validity of TP is 4 days.

Process starts from retails shop that is beer and wine shops that firstly give order to DSSIDC,DTTDC,DSCSC,DCCWS under corporation then corporation make a estimate and send it to excise department after getting estimate excise department send that demand data to Indospirit then Indospirit send that demand to manufacturer after all, manufacturer supply the liquor to Indospirit through excise department excise department calculate all sort of taxes like revenue, vat taxes and send invoices to the Indospirit on that behalf of all shops (there demand of particular liquor) and also issue a transportation permit which is validated for 4 days from making order, transportation permit means within 4 days order should be reach to shops and unloaded from the truck if its fail then extra penalty has to pay for extending the transportation permit. Now how bills, challan and invoices circulates Indospirit send all the orders to the shops along with their invoices then sales team collects all invoices from the shops duly signed by the owners of the shops then submission completed in the indospirit and then these all submission send to the corporation then corporation made cheques on the name of manufacturer, this process happens regularly after that all cheques send to manufacturers and manufactures pay to Indospirit.

Import Permits: The Import Permits are issued to the L-1 licensees after payment of import fee. The concerned Excise authority of the state where the distillery is located issues export permits on the basis of the Import Permits to take the liquor out of the state without payment of Excise duty. The Excise Inspector posted at the Bonded Warehouse after scrutinizing all the documents allows the stock for in-bonding.

Transport Permits: Transport permit is a document which authorizes L-1 licensees for taking out the specific quantity of liquor mentioned in Transport Permit for supply to a specified destination. Transport Permits are issued only after the deposition of requisite Excise Duty/Revenue by the Licensee. On receipt of the Transport Permits, the Bonded warehouse Excise Inspector allows the stock for transporting it to various retail outlets, clubs, and hotels/restaurants.

Analysis of Indospirit, SWOT analysis:-

Strengths of Indospirit which we have to utilize optimally and have to maintain for long run Distribution-ship for reputed brands like Bacardi and Carlsberg Company’s own transportation vehicles Single distributer of one brand in one region (no competitor in one region

for a particular brand)

Weaknesses: these are some areas of concern and we have to work on these to the extend we can Dependency on suppliers (low bargaining power against suppliers) Operational inefficiencies at bond (high unloading and loading breakage),

inappropriate loading etc. High bargaining power of corporations (buyers like DSCSC, DSIDC, DTTDC.

They are major buyers and has significant market share), so they can emphasize their terms and conditions. This is also because the brand in which Indospirit is dealing has low market share than the competitors like Kingfisher.

Unorganized paper work

Opportunities: Utilizing its distribution network for other product categories for which

same channel can be used and have same customers (for example non alcoholic beverages especially carbonated beverages might have a market for which same distribution strength can be used)

Indospirit has an opportunity to establish its own retail shops (forward vertical integration)

Indospirit can also invest in manufacturing of wine (backward vertical integration) if funds are available

Diversification in other related businesses- e.g. hospitality (wine and dine),

Threats: Change in governments’ rules and regulations, duties etc. Products are not socially accepted (society is not open to these products) Vulnerability to cultural issues Intense competition from rival brands like Kingfisher (which has larger

market share)

On the basis of my learning’s and observations these are recommendations I Suggest to Indospirit Distribution Limited:-

Indospirit can negotiate on compensation for breakage during transit and in bond with suppliers. (

Indospirit can ask manufacturers for collaboration in their marketing strategies (so that demand can be increased) if demand of product will increase then Indospirit will also get benefitted.

A rack system for beer cases can be installed in bond, the advantages are: (this could be beneficial if Indospirit bear all in bond breakage loss) Reduction in breakage (due to distribution of pressure, the pressure on

the case at base will be less as comparison to if cases are stacked simply) Quick unloading (stacking can be done from top rack as well as from

bottom simultaneously) Stock near to its expiry date can be carried out easily (no need to remove

all case placed above a particular case)

While learning some basic knowledge at the same time I also focus on management in Indospirit and finding their weakness to just strengthen it because I think these two month I am here for my summer internship and also for Indospirit, so in this duration I just I want to do such remarkable change which will very helpful for more growth for Indospirit in future and I do my best to do something remarkable.

Today I see one major problem in security there are lots camera hanging here and there in office, in bonds, at the gate but they all are not working, they should be start at least important area must be cover every second during working time like at the gate and in bonds this s very important to be more alert for more better work and to maintain a proper discipline inside the employees some employees just doing their job only for shake of doing their job. So to keep proper watch on this as well as on labour it is very essential to start these CCTV as soon as possible.

Time:-

Just made strict timing for all employees where they on the top level or in lower level to do work, because I observe many employees come late in office they don’t have any specific time to enter in organization and leave as they want, in absence of yours they just roaming here and there openly like a garden. Discipline must be maintained strictly. At the gate entry should be maintain or at reception for entry of all employees time of entry and time for exit.

Breakage:-

Unloading very carelessly and I never listen any employees in bond who scold or tell something to labour about how to unload and how to not, from this there lots of breakage happened, and employee speaks together that it’s no effect to Indospirit all breakage claim be made to the manufacturer companies, it’s very bad because ultimately its destroy lots of resources. I surveyed to other distribution channels of liquor to just see the unloading pattern there I see that they use forklift while unloading and loading the cases and breakage was so less so here also forklift must be install and trained the employee about how to unload and load the truck from which breakage happens less. Many breakage keep in bond and its effect a lot to the bonds its creates lots of dirtiness and lots of flies, insects, bacteria, fungus etc.

And today I see some weakness in unloading the cases from the truck, lots of labor are being are use in unloading they collides many times with each other and breakage happened many times to remove this we can decrease labor force and we can install small forklift to unload the cases from the truck which cause:-

Standardized the system. Reduce the bond breakage. Minimum labor force. Cost saving. More safety. Save lots of time. Fast unloading. Fast delivery the orders to the retailers. More effectiveness and efficiency.

I observed that many employee do their work effectively but have to manage some internet service like we have to band on sites like Facebook, Orkut, Porn sites and many other sites which is not any use at the time of working or not use in organization, just band on these sites because I observe many times many employees get diverted from their original works and use these type of site and waste lots of time of their own and for whole organization, I think little things makes big different that’s why many work remain pending for long time and not completed on deadline. JUST GIVE STRICT INSTRUCTIONS TO ALL USERS OF INTERNET IN ORGANISATION ABOUT USAGE.

Printer of getting order must be increase by one more for more efficient work and to save lots of time.

Need to motivate our employees:-

We need to motivate employees keep in mind that each individual is different and

therefore everyone is motivated by different things. Because I found that here lots

of workers are not motivated and they don’t like to do work they do just to earn

salary but they don’t get satisfaction level and don’t enjoy their work while working

they always do work in pressures. While one employee may be motivated by money

another may be motivated by working with supportive co-workers. One way to find

out what motivates our employees is to discover their wants and needs. One way to

do this is by performing surveys or questionnaires. Below are several factors that

can motivate employees.

Incentives -

Incentives are one of the most common things to motivating employees. Employee

incentives can be money, gift cards, gifts, vacation trips, etc. The best way to

decide what incentive to use to motivate employees is by asking them what they

would like. We may be surprised that it’s not always money that an employee

seeks.

Responsibility -

Show our employees that you trust them by giving them responsibilities. Employees

usually like having some control and making choices. It makes them feel as if they

are a necessary part of the business.

Pleasant work environment -

If an employee is working in an environment where there is a lot of negativity

between management and employees this can diminish his/her motivation. An

employee will be more motivated if he/she is working with supportive co-workers

and management. So please maintain the environment of organisation, abuses

must be abolished in office. And work in team.

Interesting work -

Performing the same tasks everyday will become boring and repetitive for

employees unless they enjoy what they do. Find out what tasks our employee is

good at and enjoys doing. Providing our employee with a task he/she enjoys can

prove to be an effective method of motivating employees.

Listen   -

Listen to your employee’s concerns and take them seriously. Employees can

become more motivated when they discover that you care about their concerns and

problems.

Reward Good Work -

Acknowledge employees who put in the extra effort. we can have an “Employee of

themselves what they want.

Be Positive -

A positive attitude can be contagious. As a manager and leader it is important to

have a positive attitude. Something as simple as a negative tone in our voice can be

enough to reduce employee morale.

Competitive salary -

Though money is not always an employee’s main motivation, a competitive salary

can help an employee feel that they are receiving what they deserve for their job

and find out what really motivates our employees.

there is nothing to motivate them to work harder.

Be Flexible -

Don’t make employees come to work when they are sick. Don’t penalize them for

emergency situations. If it’s possible be flexible with the employee’s schedule. For

example give them the option of choosing the day of the week they want off. By

doing this we show description. If an employee is under-paid they will often go

searching for other job that offers competitive salaries and this is the loss of our

organisation.

Apart from this I found many mistakes on websites and suggeted to engineers for rectification these are fallows:-

The blue line to be visible at the top of the first strip and bottom of fourth strip, at all times through the whole website. The position of the (1) Top strip, (2) the News box/Index box & (3) The bottom ribbon will not change through the entire website. Wherever the content of the text is more than that can fit in the text box part, a very sleek scroller or a page down arrow to be provided on the right side of the screen to move. But the other parts of the website to remain stationery on screen. Create a page for Important Links & updates with the index box. Content for the same will be mailed separately.

a)      About us Changes-

The word ‘about us” to come inside the blue box in the same font as other headings.

The margin on the right side of the text to be increased. It is too close to the end of the page. This is to be done for the whole website.

Once the heading is clicked, its colour should change & remain changed until some other heading is clicked.

The word retailer to be removed from the text of about us:-“Indospirit is a leading importer & distributor and retailer of alcoholic beverages in North India.”

The Sub Headings below Operations will be only: - Domestic Liquors, Imported Liquors, and Non Alcoholic Beverages. Please remove the other words. Do the same for the headings in the text part as well.

‘Warehouses’ to be replaced with ‘Warehouse’ in both heading as well as text.

The green color of warehouse & commercial vehicles font to be changed to similar font as other headings.

b)      Products-

You can make the same blue colored box on the left with the word “Products’ inside it on the top. Further you can make subheadings as “Beers, Wines, Whisky, White Spirits, Brandy, Liqueurs, and Other Drinks”. Details are being prepared for the text part of it. The line spacing between the subheadings to same as used for about us.

 

c)      Distributors for Changes-

The word ‘Distributors For’ to be inside the blue box at the top.

If the company name is clicked from the index box, the details of the same should come on top in the text screen.

The size of the logos to be reduced. In fact the width of the logo and the website hyperlink to be approximately same as the size of the text alongside it.

The logo and the website link to be on the left side & the respective text on the right side.

The partner website link if clicked should open in a separate window and not in the existing window.

 

d)      Gallery-

Please make the index box on the left and brand gallery as first subheading & team gallery as the other subheading. Pictures will be mailed separately for both.

 

g)      T&C, Privacy policy Changes-

Both need to have the index box with respective subheadings. The font color of subheadings to be changed and made same as the other text subheadings.

h)      Intro Page Changes-

Glitter and sparkle in the logo and a streak of light passing through the logo.

The enter button to be made in 3D style so that it looks like a button, can be in some different color as well.

Some animation to happen once it is clicked along with some sound.

The blue background part to be reduced. White will be 66% of the screen. Blue will be 33%.

The clicking hand to appear only when the cursor is on the enter button and not when it is still outside the button.

The font to be changed or made slightly larger & in higher resolution, so that it is clearer than it is right now for all text.

The centre of the logo & the center of the enter tab to be aligned together.

i)      Home Page Changes-

The logo on the top left to be slightly reduced in size and the base of the logo to be merged with the blue line separating the two ribbons, so that the blue line seems to become a part of the logo itself. It should be aligned in such a way so as to look that it is originating from the logo.

The complete page to fit into 1 screenshot. The top & the bottom should be visible in the full screen without scrolling down.

The 2nd ribbon and the top edge of the first ribbon to have rounded edges like rest of the edges.

The respective logos in the 2nd ribbon to have hyperlink to the respective details on the “Distributors For” page.

The word “news Update” to be centrally aligned. The news details to be still and not move. There should be arrows

at the top and bottom of the frame to do page up & page down. No separate page should open on clicking this but the last news to be visible in the same space. The user should be able to move up & down with the arrows to read all the news.

The font of the “Important Links & Updates” to be same as “News Update”. “Important Links & Updates” to be in 2 lines & centrally aligned.

The bottom most ribbon to be aligned as follows: - (Contact us) / (Follow us on “f” “in” “t”) / (Site Map) / (Terms & Conditions) / (Privacy Policy).

The colour of the font of the bottom most ribbon to be dark blue-same as the top tabs.

‘Welcome to Indospirit’ to be deleted & removed. The edited content of the intro text is being mailed separately. The font of the intro text to be same as news text.

The logos of ‘Dabur’ & Narang group” to be reduced in size and the logos of Beam Global & Carlsberg & Sula to be increased in size proportionately.

Sainov Logo to be used with the “negative of the image” so that the black becomes white & vice versa.

Small text Tabs to come over the flash. “Beer, Wine, Whisky, White Spirits, Brandy, Liqueurs, Other Drinks”.

No white should be visible between the changeover of the pictures & between the squares.
