Q&A
Defining and Maintaining Accurate Space Data
Step 1:◦ Start by noting the “Year Built: XXXX” in the General
Information section
Step 2: ◦ Open each space to make sure all spaces have an
effective date that matches the year built, or have a different AND consistent effective date.
◦ Preferred effective date for initial input is year built
Step 3:◦ Verify that the total building sf has remained constant*◦ Pay close attention to Correct vs. Update edits
Step 4:◦ Check all Space attributes for reasonableness
Yes
• General space type guidance.• How to treat parking areas?• Definition of Weekly Operating
Hours.• Gross floor area
No
UPDATE CORRECT
Use to: Record operational changes in space attributes
Correct an error or replace temporary & default values with accurate values
Examples • A tenant builds a data center in the building
• Vacant space increases or decreases
• Tenants lay off or hire workers• Tenants extend their hours of
business• A new wing is added onto the
building
• You learn that data center sf actually belongs in Office
• You input rentable sf instead of gross sf by mistake
• You input a temporary estimate for # of workers or PCs and later obtained the real value
• You learn the definition of operating hours and need to adjust previously input values
Change Effective Date? Yes No
Creates a Space Revision History? Yes No

A revision history, but very close Effective Dates:
Should have used “Correct” but selected “Update”
Portfolio Manager requires a change in the Effective Date
when selecting “Update”
A current Effective Date with no revision history:
User selected “Correct” but changed the Effective Date
Portfolio Manager assumes that there was no space data prior to the
Effective Date.

For tenants moving out: Subtract “Office” SF & Add “Vacant” SFTotal Building sf must remain constant
(unless demolitions or additions)
+ “Office” GSF
– “Vacant” GSF
“Update” Occupied and Vacant space GSF & Effective Dates for new tenants moving into the building.
Input Vacant space only if >10% of GSF
Set hours, workers & PCs = 0
Regularly update vacant
& occupied spaces as conditions

INCORRECTCORRECTX
Why does this mixed use building get N/A for a score?a.The hotel sf has default valuesb. The sf of the data centers should be listed as one spacec.A majority space type doesn’t existd.I’m not sure
Defining and Maintaining Accurate Energy Data
Step 1:◦ Verify that all meters have an initial “Start Date” within
30 days of one another Step 2:◦ Verify units of measurement & apply reasonableness test
Step 3:◦ Make sure metering configuration has been set (esp. MF)
Step 4:◦ Review costs and apply reasonableness test A quick cost check: Click “View all Meter Data in Excel” to
download all meter data In Excel, use first empty column and enter formula for
“Energy Cost” divided by “Energy Use” (the preceding 2 columns)
Copy & paste the formula down the column To quickly assess whether the cost per unit is reasonable and
whether it remains relatively constant over time
Portfolio Manager uses:c = hundredk = thousandM = million
Some natural gas companies use:M = thousandMM = million
(Chicago and New York)

Score = “N/A” < 12 Months of Energy Data
Step 1: Check most recent data inputs for errors
Step 2: Space data: ◦ Check Space Revision History to detect changes using Update◦ Check to see if total building sf changed
Step 3: Energy data: ◦ Check for decimal errors◦ Download energy data into Excel & input formula for cost per
unit of measurement Example: Cost / kWh Apply reasonableness test
Reason Given for “N/A” Possible Solutions
Less than one full year of energy data Is one lagging meter holding you back? Obtain current data or wait till a full year of energy data is available.
Gaps or overlaps in meter data Fix the typos.
Weather data is not yet available Wait another few weeks.
Less than one full year of space attribute data
Review your Effective Dates or wait till a full year of data is available.
Less than 50% of building is defined by one of the main space types (e.g., Office) Do you have Other or Retail space that belongs in Office?
Operating hours are less than 30 hours per week
Large vacant areas (0 operating hours) can cause the building’s average operating hours to drop below 30.
GSF of Enclosed and Non-Enclosed parking areas is larger than building sf Sub-meter and remove the parking garage from PM.
Retail or medical office space is less than 5,000 sf; bank space is less than 1,000 sf
GSF of "Other" space is more than 10% of building sf
Evaluate if the space has been entered correctly.
Older buildings are less efficient Atriums create inefficiencies in energy use*
(EPA position) Water consumption affects the energy
performance score Purchasing green power makes buildings
more energy efficient Every time a new building is added in PM, it
gets harder to earn a high score
Identify a potential error in this Maryland office building’s meter.
a.The data looks like an electric meterb. The units of measurement can’t be thermsc. It looks like the building is located in Alaska, not Marylandd. The high/low energy months are reversed from what you’d expect
Portfolio Manager Upgrade
What’s being changed?◦ Database architecture◦ System processing◦ Web services (formerly known as Automated Benchmarking Services (ABS)
◦ User interface Simpler, more streamlined functionality Easier-to-generate graphical reports Improved sharing features
What’s not being changed?◦ Your data◦ Portfolio Manager Metrics
Portfolio Manager will be UNAVAILABLE◦ June 2013 ◦ For at least 2 weeks to allow for the migration of data to the new,
upgraded Portfolio Manager
More information regarding the estimate of how long Portfolio Manager will be down will be provided in March

There will be a separate document for each space type that can earn a score. Don't worry about understanding the statistical tests used to determine which variables affect energy consumption. Be sure to review the Lookup Table on the last page to get a feel for how the energy efficiency ratio was used to create the scale associated with individual scores.

Space types that earn a score
From within PM, use the drop down menu of space types as a starting point. All space types listed up to Warehouse can earn a score. From Multifamily to the bottom of the list may NOT earn a score (at this time). Bank/Financial Institution, Courthouse, Hospital, Hotel, House of Worship, K-12 Schools, Medical offices, Municipal wastewater treatment plants, Office, Residence Hall/Dormitory, Retail store, Supermarket, and Warehouse.

Space types that do NOT earn a score
Multifamily, Parking, Swimming pool, and Other. You should be familiar with the list of Other space types because a lot of benchmarking is for these Other space types. From within PM, click the Help index, select Space Type Definitions and click Other to see the various categories of Other space types. Notice that Other appears in the Other drop down list, suggesting that any space/building type can be benchmarked in PM. There are also sub-categories. Ex. Public assembly: library, social/meeting, entertainment/culture, and recreation. If the space type has EUI data on the resource to the right, it cannot earn a score.
