What’s your best collaboration success story? That is, what did you achieve that you wouldn’t have necessarily achieved had it not been for collaboration?

1 | I do not have one best particular success story but rather multitudes of success stories in which all stems from working with others cohesively. In a collaborated eff ort, the success is being able to work with others in such a way that allows your own intuitive ideas to truly thrive with other great ideas. Any successful projects usually involve these three principles when working with others, in my opinion. #1, defi ne and focus on clear-cut goals with exact deadlines.  #2, communicate with each other clearly and freely while eliminating any distractions. #3, stems from #2, and that is eliminating any road blocks by reacting to these changes quickly and effi ciently.

2 | Th e roll-out of an organization-wide Microsoft Dynamics NAV system and its core processes across EMEA including each country’s regulatory localizations.3 | Right now that would have to be our monthly fi nancial statement package. Our division controllers, corporate fi nancial analyst, CFO, and I have worked closely on diff erent aspects of our closing process to be able to effi ciently report our monthly results. We are constantly looking for ways to create better communication and reporting between the divisions and corporate to create a comprehensive reporting package for 35 companies worldwide.

4 | I’m not sure I can focus on one time; we use collaboration between departments a lot in our company.

What’s the most valuable aspect of collaboration?1| Th e ability to gain practical knowledge and to apply what you learned.

2 | It enhances teamwork and distributes expertise.3 | Th e people involved, because each team member brings something diff erent to the table, whether it is expertise in writing project plans and scopes, organizing of the project as it occurs, execution of the fi nal product, or even just the ideas that are contributed during planning and brainstorming sessions.

4 | It allows multiple people to bring ideas to the table and then together work through best practices to come up with a group decision.

What does collaboration mean to you?

1 | Networking and sharing ideas with others to achieve common and clear-cut goals.

2 | It stimulates new ideas, solves problems, enhances teamwork, and distributes expertise. Th e goal is to allow collaboration to propagate naturally and hence feed off the culture of the organization.

3 | Getting the opportunity to work with others towards a common goal. Everyone has ideas on how something should be done, and without working collaboratively, we can fi nd ourselves with tunnel vision, forgetting to look at multiple aspects within one decision. For example, how does this decision aff ect warehouse functionality versus accounting? Are we making the process too labor-intensive just to put controls into place? 

4 | Working with others to work through problems and projects and get the best results.

Back when she was First Lady, former Senator and Secretary of State Hillary Rodham

Clinton wrote a book titled “It Takes a Village”. Th e book was essentially about how it

takes all people in a community, not just the core family, to raise a child. We see similar

principles within our own NAVUG™ community, where it takes a village to continually

support each other, nurture our networks, and improve our knowledge base as we all

strive to provide our companies with the best possible business solutions using our ERP system of

choice, Microsoft Dynamics NAV.In the fi ve years I’ve been actively involved in this community, I’ve seen some amazing examples of

how this village of Users collaborates to solve business problems for their companies.

I know two controllers who met through NAVUG who have bartered knowledge back and forth

every year. One year, one controller taught the other how to use and enhance account schedules. Th e

next year, the other controller traded information about intercompany consolidation. Th e year after

that, they exchanged information on budgeting. Th is tradition has continued every year, with these

two Users fi nding ways to enhance their use of Microsoft Dynamics NAV by trading information and

brainstorming ideas.Th rough sessions at a past NAVUG Forum, a number of Users voiced concerns about having

diffi culty in creating a suitable business process for correctly using EFT (electronic funds transfer)

to pay vendors. Th is group worked together over the following year, exchanging information on how

to get it done. Two of those Users presented a Customer Showcase at the next NAVUG Forum and

shared how they solved the challenge for their companies.Every year, more than 100 volunteers collaborate to provide ongoing webinars to the User group

at large. Th ese webinars include presentations on specifi c topics as well as interactive discussion

formats, allowing the participants multiple opportunities every month to assist each other with

business challenges. Time and time again on these webinars, I hear examples of Users who help each

other immediately if they can, and if they can’t, they follow up with each other through email or

phone calls, helping to make connections until questions are answered.

Recently, NAVUG has been reaching out internationally, searching for ways to collaborate with

Users in other countries. Th ey made a foray into the international community for the fi rst time in

January of this year by going to Rome, Italy, and will be returning to another international event

in November. Th is event will continue the work of growing the User group in other countries,

expanding the village to the international community, and creating new ways for all of us to exchange

the information and help each other.As an active blogger in the Microsoft Dynamics community, I’m particularly excited about the

launch of the new NAVUG Collaborate tool. By incorporating social media into a platform that

gives us a “home base” where we can update each other on educational events, answer each other’s

questions, and connect and build our networks, NAVUG has created another place where the work

of the village is made possible. Every person who participates makes the community stronger, and with a stronger community,

each participant benefi ts.So why do they do it? What could possibly possess a group of people who all have full-time jobs

of their own and families and lives to invest time to volunteer their time to help other Users? I think

there are a few reasons:

I like collaborating. There, I said it. Do you? That’s ultimately what NAVUG™ is about.

Whether it’s one Member collaborating with another on the pros and cons of actual

inventory cost versus standard, or a member of the Microsoft product team collaborating with

NAVUG to gain feedback toward Sicily (the code name for the next version), we collaborate.

Columbus collaborated with the Spanish monarchy to re-discover the new world. Ronald

Reagan and Margaret Thatcher collaborated to pressure Gorbachev to take down the Berlin

wall. In a word, collaboration is about solutions.

It’s not a new concept, but it’s interesting to me that in the age where you can find the

answer to almost anything on the Internet, collaboration seems more important than ever. I

believe the catalyst is two-fold: It’s incredibly easy to collaborate via constantly emerging tools

and channels, yet we have less time to figure out solutions. The discussion has changed from,

“Should I?” or “How?” to “What method is most efficient/effective?” Whether searching

online, posting a question somewhere, or attending an in-person event, you have to be

prepared and targeted.

And that’s why NAVUG provides multiple options for collaboration: this magazine, NAVUG

Forum, 100+ webinars a year, in-person local chapter meetings, 50+ online Academy classes,

the membership directory, the Partner Solutions directory, and several more. And recently we

unveiled NAVUG Collaborate (catchy title, eh?) – a new, fun way to post questions, get answers,

share resources, and enable you to further target your collaboration. Make sure you log in and

see all the great interactions and collaboration going on at http://community.NAVUG.com.

Lately I’ve been collaborating with our new NAVUG Program Director, Sherry Linares.

Sherry is a long-time Microsoft Dynamics NAV User and NAVUG Member, and I’m very

excited about the energy and ideas that she brings to NAVUG. Please join me in welcoming

Sherry to our community, and I encourage you to connect with her on Collaborate.

Music Together Reaches Out

Music Together continues to gain popularity in Elkhart County, Indiana, where the Goshen College

Music Center offers and promotes its family classes and Music Together Preschool throughout the county.

Discussions are underway with a broader county educational initiative, too, with the goal of using Music

Together classes to increase parent/child engagement. “Music Together for Elkhart County” hopes to offer

one free family class to every child born in the county, to be followed by sliding-scale scholarships for

Stonewall Kitchen Wild Maine Blueberry Jam Sent on

Space Mission

Stonewall Kitchen Wild Maine Blueberry Jam flew to space in June; it was scheduled to ship to the

International Space Station (ISS) on the space cargo vehicle designated as HTV4. The jam was one of the

food items the ISS astronauts ate while flying around the world in low Earth orbit.

“It’s such a wonderful opportunity to have our jam, a delicious taste of Maine, sent to space,” said Janine

Somers, director of marketing for Stonewall Kitchen.

In order to send the jam into space, NASA requested the Stonewall Kitchen research and development

team source alternate packaging as the company’s standard glass jar was not permitted.

“Our Wild Maine Blueberry Jam is produced in a glass jar, but for safety reasons, we couldn’t send glass

into space. We also needed to find a suitable replacement that could withstand our hot fill required for shelf

stability,” said Janine. “Our R&D team sourced a natural polypropylene container and used a metal plastisol

lined cap. Since this is not our standard packaging, we put our label on the front of the package to make it

look like it’s from home. We loved creating a custom jam for space travel.”

Midwest Regional Chapter Holds

Successful Annual Meeting

The well-attended annual meeting of the NAVUG™ Midwest

Regional Chapter took place in Waupaca, Wisconsin on May 22.

A welcome reception held the prior evening enabled Members to

gather and reminisce with other Members both tenured and new to

NAVUG. 

The next day began with fun-filled introduction lines and the

exchange of business cards amongst Members.   In the timed

icebreaker, Members found out as much as they could about another

organization while sharing highlights of their own companies and

roles. It was a wonderful way to meet and greet people. In fact, if

it had been the only component of the annual meeting, Members

would have met their objectives of meeting other Members that share

the same business challenges as they do.

At the meeting, Members were given a sneak peek of NAVUG

Collaborate. The exciting announcement was well received, with

Members looking forward to an additional resource for learning and

sharing.

The day’s learning sessions included: Deep Dive into Reporting,

Budgets for Microsoft Dynamics NAV, OData: What Is It and How

Do We Use It, Ask Your Peers, Web Services, Microsoft Dynamics

NAV 2013 Overview, Service Management/Manufacturing, Tips and

Tricks: Share Your Favorite, and sponsor sessions. Table topics during

the lunch hour enabled discussions on a specific topic or industry and

helped ensure that every moment of the annual meeting counted.

More than a century ago,

a group of dairy farmers

along the Oregon Coast

banded together to form the

Tillamook County Creamery

Association (TCCA), a cooperative driven by the

mission to enable small operations to pool resources

in order to put out a superior product. Even though

the operation is much larger today than it was

in 1909, Dave Wiser, Tillamook’s enterprise IT

product manager, says that quality still trumps size.

The association is made up of just more

than 100 member farm owners who act as

shareholders. The main purpose of the association

is to take in milk from the farms and make cheese

and ice cream. The numbers, while dramatically

smaller than mega brands, are impressive: Each

year, Tillamook transforms approximately 1.8

billion pounds of milk into 150 million pounds

of cheese and 4.5 million gallons of ice cream.

Butter, sour cream, and yogurt are made in

smaller quantities. Tillamook employs nearly 650

people at its manufacturing plants in Tillamook

and Boardman, Oregon. The Tillamook brand is

perhaps most well-known for its award-winning

naturally-aged cheddar cheeses, which are

shipped from distribution centers in Oregon,

Idaho, Utah, and Illinois.

Dave joined TCCA at the end of 2009 as

controller in the accounting department.

Equipped with his ERP implementation

experience, he joined the core Microsoft

Dynamics NAV team, which was already well on

its way to deploying Microsoft Dynamics NAV,

which went live March 1, 2010.

“Our main role was to combine not only our

financials, but also manufacturing and inventory

control processes as well,” Dave recalls. “They

were disparate systems, and we wanted to use

common data among all of those areas. We

wanted to bring those processes into a common

system for better control and costing of inventory

and a better view of processes overall. We wanted

a more streamlined operation, more control, and

the ability to do better forecasting.”

Costing has been an issue, but not because

of the technology. “The way cheese is costed is

difficult because as it sits on the shelf, it changes

form,” Dave explains. “Making one thing and

selling another is a challenge from a process point

of view.”

Inventory management, however, is much

improved since the Microsoft Dynamics

NAV deployment. The view throughout the

organization is better, consistent and accurate

data is being used for more informed decisions,

and data on quality testing – which is critical in

a business with food products at its center – is

being leveraged more strategically. “We can

create certificates of analysis and conduct cause-

and-effect studies, which in some cases we’ve been able to use to

correct processes that were problematic,” Dave says.

On the manufacturing side, TCCA is working with a Partner to

customize the manufacturing resource planning (MRP) module of

Microsoft Dynamics NAV with the goal of using the module to better

manage raw materials, such as ice cream flavoring. “We’re hoping to

save costs by not having inventory we don’t need,” he says. “I also

believe this will help us save on floor space. Plus, since we’re dealing

with food products, this should help us reduce loss of raw materials

to spoilage.”

While Dave has plenty of ERP experience, he still relies on the

insight provided by other IT pros for guidance and inspiration.

Tillamook joined NAVUG™ shortly after going live in 2010. Dave first

attended NAVUG Forum that fall, a gathering he says never fails to

be incredibly valuable in terms of learning how to make the most of

Microsoft Dynamics NAV.

At the same time, based on the success of chapters in other regions,

he wanted to get something up and running in the Pacific Northwest.

“Regional groups are great because you can network with people in

your own backyard,” Dave says. “Many of them are having the same

issues you are, so they can help. Plus they’re a great sounding board.

And it cuts down on travel time and costs.”

The group’s initial meeting, attended by 30, was in Seattle; the

second, which took place at Microsoft’s office in Portland, Oregon,

drew about 50. The group voted to meet twice a year, once in each

city, gathering for six or seven hours so that people don’t need

to spend the night away from home. Dave says he wants to fold

in topics from Forum since not everyone attends the event and

include a Customer showcase and plenty of time for Q&A and

networking.

Dave is pleased with the Pacific Northwest Chapter so far. “It’s

a very intimate group,” he says. “We interact very easily with one

another because we’re all there to exchange ideas.” At the same time,

he’s always looking for additional Members and input on how to make

the Chapter even more useful. “As we mature, what’s the ultimate end

game for the Chapter?” he says. “What do we want it to look like?” If

Cutting Blank Checks

Q: What is the most efficient way to void a blank check through

the A/P system if you want to just send a blank check to a check

printing vendor yet still document it through the system for audit

trail purposes?

A: Cut the check in your “Play” or “Test” system because then you’re

not affecting any of your outstanding accounts payable transactions.

You receive a check that is not valid, yet it can still be sent to the

bank for their testing of the microfont or to a vendor who needs to

see a voided check. Another option would be to do it in your live

system and print it for $0.01 to any vendor. Create an invoice, cut

the check, and then financially void that check. You’ll end up with

$0.01 on your A/P. Create a credit for that cent and offset the two.

The final option is to print the check on plain white paper. Next,

take the check stock that would have been used and void it in the

system. Now you have a blank check with the check number it will

show voided in the system.

Resource vs Service Module

Q: Could you give me a general overview explaining the difference

between the Resource module and the Service module?

A: The Service module is the best module if you truly have a service

element to your business. It’s a great tool to schedule both repairs and

maintenance on fleet service. You want to record the workers who

do the repairs, track it, and have a dispatch board. You can actually

have contracts to do repair and maintenance. The best example is

selling service to Customers to maintain the products you sell them,

such as a warranty or service contract. It will do the auto billing for

you on a monthly/quarterly/yearly basis; however, you schedule the

billing cycles. The Service module keeps track of the warranty, what’s

billable, and what’s not billable according to the warranty – what’s in

plan or out of plan.

The Resource module is for charging people’s time. You charge

a person’s time through a sales invoice. You set up people as

resources; then set up a billing rate. You will need to set up Resource

anyway if you do the Service module because Resource stores the

people. You put in their cost, their markups, and so on to properly

do the billing. You can also have regular sales pricing based on

your customer agreements for the time, and of course parts as well

if you sell parts to do the repairs and maintenance in the service

contracts. It’s two different worlds: Resource needs to be set up to

make Service work because of the people side. Without the process,

you’ll never know the actual time/effort put in by people to know

the actual expenditure on the cost side to figure

out what profit was made.

Depreciations

Q: We have the Fixed Assets

module and for normal fixed

assets, we set up the assets

and start depreciating. For

a capital lease, we need to

make lease payments, and

we’re having trouble getting

the depreciation correct.

When we’re making payments

against a capital lease, how do

we relieve the liability?

A: We do not have the right experts on

the call today; however, a great resource

you might try is a website called www.msdn.

com (Microsoft Developers Network). Look in

the library menu. Many great end User resources

are detailed yet practical about how to do the process.

A possible option is to set up an invoice in A/P and make partial

payments against it and leave the asset alone. You would set up the

fixed asset at the outset when you create the fair market value of the

asset and create an amortization schedule for purposes of the capital

lease. Use the Fixed Assets module to set it up first. One side would be

the Fixed Assets; the other side would be a liability on the balance sheet.

The payments would pay a portion against the liability and a portion

against interest – against the invoice set up in A/P. So, you split the

invoice and the fixed asset stands alone and receives depreciation.

Vendor Payment Reports

Q: After a check run is completed, is there a report we can go

back to in order to print a listing of all the invoices paid for each

check cut?

A: Generally the process would be from the history on the vendor.

So, if you’re looking for the remit information (all the invoices

paid with each check), go to the vendor card and drill down on the

invoices field, and you should have a line for each invoice included

on the payment. Filter the document number as the check number,

and you’ll see all the individual invoices paid as well as the check

amount. You want to treat it as a query against the vendor by

filtering the information. Another option would be to use reporting

capabilities, such as SQL Server. You could

also ask your Partner to customize and

design a pretty simple report for you

by using a reference on the vendor

ledger entries and allowing you

to define a range for the check

numbers. You can also tie the

GL register to the new ledger

payments. You can navigate on

the register and find the range

of register transactions covered

on the check run. You can filter

the information to receive the

payment journal information.

The report doesn’t give you the

vendor ledger information unless

you deal with SQL and attach the

vendor ledger details. But for just a simple

ad hoc report, you can start with GL ledger and tie it

to the vendor ledger entry table.

Non-item Specific Charges

Q: What is the best way to set up a non-item specific charge (e.g.

wire fees) for our Customer service representative to use? We

currently insert the GL code when entering an order.

A: Try setting up a Resource. You could set up your own posting

group, which tells the system where to post both the sale as well as

any cost associated to the transaction. In addition, with Resource, you

can make the code easy for your Customer service team to manage. If

you already have a posting group set up that will put the item in the

correct GL account, you can piggy-back on another posting group as

all posting groups are in the same tables.

Closing Processes

Q: We haven’t done many of the closing processes for inventory

in A/P, primarily reconciling A/P to G/L. If I start using these

processes immediately, will it post a bunch of stuff to the G/L

or do I need to test it in a test data base? We have never closed

an inventory period and began using it in 1999. We are not on

Microsoft Dynamics NAV 2009.

A: I would only suggest the process if you have an exact replica in

your test system. Don’t try in your live system without testing. If you

run the Adjust Cost regularly, that’s half the battle; the other half of

the battle is closing inventory periods after you

run the Adjust Cost. You will have things

post back to the beginning of time.

The question is can you isolate the

transaction so that you can reverse

it and actually fix it. It’s hugely

risky and has some pretty big

consequences. If you have a

really good test system where

you are confident, it’s the same

data as the live system. Give it a

try and confirm the results.

You will need to open your

GL back to 1999; next, you’ll want

to be able to find the differences

in order to reverse the transactions.

The big question would be what is the

financial impact posted to the current period

versus reversed information? You will need to

go period by period, go back to the first month,

run it, go to the second month, run it, and close the inventory periods

one by one until you end in 2013. What we’ve done in the past is close

all the inventory periods left open and post all the transactions in the

current period. Run the trial balance before the process, and run a

trial balance after, and make sure there are no other transactions, and

make one big journal entry for the differences.

Adjust Cost Routines

Q: We’re on standard cost so we do a standard cost worksheet,

suggest items to standard cost, and do a reevaluation journal as

needed. Is our process considered an Adjust Cost routine?

A: No, with average cost, the Adjust Cost routine being run

regularly and the inventory period being closed in tandem

would be really important. Why? Because it’s hitting all of your

transactions within the open period and looking for changes. So it

behaves in a challenging way if you’re not following a strict routine

and maintenance process. An Adjust Cost can be run at the end

of every day before doing invoicing because your standard cost

and reevaluation journals aren’t going to catch transactions like

shipments already posted, whereas Adjust Cost will find and update

the information. If you receive an item that has already moved all

the way through the system without a standard cost and you want

everything to be reflected correctly, it won’t be

caught until you do the Adjust Cost.

Line Limits in Excel

Q: We’re using Microsoft

Dynamics NAV 2009 RTC and

would like to export data to

Excel, but it’s limited to 5,000

lines. What is the best way to

get past that issue?

A: We know exporting

information out of the RTC

has been challenging, and many

issues seem to be solved with

Microsoft Dynamics NAV 2013.

Most of our membership really hasn’t

moved yet even though people seem to be

actively planning to move forward. Some of

those interim solutions are critical to share among the

membership. We do have some instructions on how to change

from 5,000 to 150,000 lines by going into the config file and opening the

notepad. It’s a little technical, so we’ll send the instructions out to you.

(Note: these instructions are posted, along with the recording of the

webinar, on NAVUG.com)

Negative Remaining Quantities

Q: We have a negative remaining quantity in inventory, although

the actual inventory balance is positive. Something is occurring:

positive transactions are not appropriately applying to open

negative transactions.

A: Two things can be causing the challenge: Do you have multiple

locations set up, or do you have your stock keeping unit set up in

conjunction with those locations? Start with stock keeping. If you

have multiple locations, look to see if you’re missing stock keeping

units in each of the locations. Check to see if the wrong locations

are being used when doing transactions. If you have a fixed reorder

quantity, make sure you are making the changes appropriately on all

of the SKU cards if you make a change to your ordering amounts for

and marketing for a

manufacturer, Brian

Houser’s focus is on

the bottom line. But

as an employee of Lighthouse for the

Blind, a 501(c)3 nonprofit driven by

the mission to assist individuals who

are legally blind maintain dignity and

independence by making available

employment, education, and services,

he’s motivated by much different

factors, even after more than 10 years

with the organization. “My position

has a warm and fuzzy feeling to it that you’re simply not going to

find with 99.9 percent of the other sales and marketing positions out

there,” he says. “When you see people with a sight disability come into

work every day, on time, navigating the building without any help and

feeling happy to have a job, and one they perform well, you simply

stop sweating the small stuff. Since I’ve been at the Lighthouse, things

that used to stress me out simply aren’t that important anymore.

Our employees’ positive attitude and commitment to their job just

makes me feel good and want to bring in more opportunities to offer

more jobs.”

Feeling good combined with serious business is a recurring theme

at Lighthouse for the Blind.

While the unemployment rate for people with degrees and full sight

averages to about eight percent nationally, the rate for those who are

blind and legally blind is a whopping 70 percent. The mission of Light-

house for the Blind, at the most fundamental level, is to help people

make the transition from being a recipient of publicly funded services

to being a taxpayer. To do this, the organization manufactures a seem-

ingly eclectic range of products that includes aerosol paints and prim-

ers, aerosol and liquid cleaners, dog repellant for the postal service,

contract packaging for medical kits and devices, male external cath-

eters for the Veteran’s Administration, and paint created exclusively for

the U.S. Forest Service, who use it to mark trees in the various national

forests. Brian adds that “while most people refer to their organization’s

portfolio as a product mix, I refer to it as a product mess.” Government

and military entities comprise 85 percent of Lighthouse for the Blind’s

customers, with most products sold through General Services Admin-

istration and Defense Logistics Agency.

A Significant Payback

One aspect of his work that Brian says he feels particularly good

about is a study conducted by the National Industries for the Blind,

which determined that for every dollar spent on products and ser-

vices manufactured by organizations such as Lighthouse for the

Blind, $3.33 is returned to the customer via decreased transfer pay-

ments, such as Medicaid and Social Security Disability Income, and

increased income and FICA taxes, thereby saving taxpayers money

while fulfilling an important social mission.

Lighthouse Gives Back

Lighthouse for the Blind’s 2013 investment in community pro-

grams is $1.5 million. The investment occurs in many ways, one of

which is by supporting 15 community enrichment programs for the

blind in Missouri and southwestern Illinois. Some programs offer

camps with activities such as rock climbing and other sports while

others focus on helping people become more confident in indepen-

dent living skills such as banking, laundry, and cooking. One pro-

gram sends youth to space camp in Huntsville, Alabama where they

participate in various activities including simulated space missions

using Braille mission instructions, as well as Braille labeled switches,

buttons, and levers.

Keeping it Running

To keep the operation running smoothly, Lighthouse for the Blind

deployed Microsoft Dynamics NAV in March 2012. Much of the

functionality it relies on in the solution for is typical of companies

in the manufacturing industry. It’s used for finance and accounting,

order entry, shipping, billing, planning, routing, bills of materials –

essentially the entire manufacturing process.

But the product has distinguished itself for Lighthouse for the Blind

in numerous ways. First, it’s compatible with other popular Microsoft

products. Since the screens are familiar and more simply laid out,

they are easier for people with vision impairments to navigate. The

solution also works better with screen magnifying and screen read-

ing technology than the company’s previous software as well as other

software considered before choosing Microsoft Dynamics NAV.

Finally, the auditors like it. “The auditors were expecting a mess,

but we’re in better shape than any organization they’ve seen before

that just went through a transition to a new ERP system,” Brian says.

“That’s because of our work, our Partner, and the technology.”

Joy of Working

Lighthouse for the Blind employs people who are blind or legally

blind at all levels, from the manufacturing floor – where employees

earn prevailing wages – to the sales team. While his position is like

many other jobs in that some days are better than others, Brian says

that even after a decade he has yet to wake up dreading going to

work. “Work is like a social network here,” he says. “People meet

other people who have similar issues and challenges, and together

they help each other solve them. So it’s a very social environment,

almost like a family.” NAVUG

What’s your best collaboration success story? That is, what did you achieve that you wouldn’t have necessarily achieved had it not been for collaboration?

1 | I do not have one best particular success

story but rather multitudes of success

stories in which all stems from working

with others cohesively. In a collaborated

effort, the success is being able to work

with others in such a way that allows your

own intuitive ideas to truly thrive with

other great ideas. Any successful projects

usually involve these three principles

when working with others, in my opinion.

#1, define and focus on clear-cut goals

with exact deadlines.  #2, communicate

with each other clearly and freely while

eliminating any distractions. #3, stems

from #2, and that is eliminating any

road blocks by reacting to these changes

quickly and efficiently.

2 | The roll-out of an organization-wide

Microsoft Dynamics NAV system and its

core processes across EMEA including

each country’s regulatory localizations.

3 | Right now that would have to be our

monthly financial statement package. Our

division controllers, corporate financial

analyst, CFO, and I have worked closely

on different aspects of our closing process

to be able to efficiently report our monthly

results. We are constantly looking for

ways to create better communication

and reporting between the divisions and

corporate to create a comprehensive

reporting package for 35 companies

worldwide.

4 | I’m not sure I can focus on one time; we

use collaboration between departments a

lot in our company.

What’s the most valuable aspect of collaboration?

1| The ability to gain practical knowledge and to

apply what you learned.

2 | It enhances teamwork and distributes expertise.

3 | The people involved, because each team member

brings something different to the table, whether

it is expertise in writing project plans and scopes,

organizing of the project as it occurs, execution

of the final product, or even just the ideas that are

contributed during planning and brainstorming

sessions.

4 | It allows multiple people to bring ideas to the table

and then together work through best practices to

come up with a group decision.

What does collaboration mean to you?

1 | Networking and sharing ideas with

others to achieve common and clear-

cut goals.

2 | It stimulates new ideas, solves

problems, enhances teamwork, and

distributes expertise. The goal is to

allow collaboration to propagate

naturally and hence feed off the culture

of the organization.

3 | Getting the opportunity to work

with others towards a common goal.

Everyone has ideas on how something

should be done, and without working

collaboratively, we can find ourselves

with tunnel vision, forgetting to look at

multiple aspects within one decision.

For example, how does this decision

affect warehouse functionality versus

accounting? Are we making the process

too labor-intensive just to put controls

into place? 

4 | Working with others to work through

problems and projects and get the best

results.

Back when she was First Lady, former Senator and Secretary of State Hillary Rodham

Clinton wrote a book titled “It Takes a Village”. The book was essentially about how it

takes all people in a community, not just the core family, to raise a child. We see similar

principles within our own NAVUG™ community, where it takes a village to continually

support each other, nurture our networks, and improve our knowledge base as we all

strive to provide our companies with the best possible business solutions using our ERP system of

choice, Microsoft Dynamics NAV.

In the five years I’ve been actively involved in this community, I’ve seen some amazing examples of

how this village of Users collaborates to solve business problems for their companies.

I know two controllers who met through NAVUG who have bartered knowledge back and forth

every year. One year, one controller taught the other how to use and enhance account schedules. The

next year, the other controller traded information about intercompany consolidation. The year after

that, they exchanged information on budgeting. This tradition has continued every year, with these

two Users finding ways to enhance their use of Microsoft Dynamics NAV by trading information and

brainstorming ideas.

Through sessions at a past NAVUG Forum, a number of Users voiced concerns about having

difficulty in creating a suitable business process for correctly using EFT (electronic funds transfer)

to pay vendors. This group worked together over the following year, exchanging information on how

to get it done. Two of those Users presented a Customer Showcase at the next NAVUG Forum and

shared how they solved the challenge for their companies.

Every year, more than 100 volunteers collaborate to provide ongoing webinars to the User group

at large. These webinars include presentations on specific topics as well as interactive discussion

formats, allowing the participants multiple opportunities every month to assist each other with

business challenges. Time and time again on these webinars, I hear examples of Users who help each

other immediately if they can, and if they can’t, they follow up with each other through email or

phone calls, helping to make connections until questions are answered.

Recently, NAVUG has been reaching out internationally, searching for ways to collaborate with

Users in other countries. They made a foray into the international community for the first time in

January of this year by going to Rome, Italy, and will be returning to another international event

in November. This event will continue the work of growing the User group in other countries,

expanding the village to the international community, and creating new ways for all of us to exchange

the information and help each other.

As an active blogger in the Microsoft Dynamics community, I’m particularly excited about the

launch of the new NAVUG Collaborate tool. By incorporating social media into a platform that

gives us a “home base” where we can update each other on educational events, answer each other’s

questions, and connect and build our networks, NAVUG has created another place where the work

of the village is made possible.

Every person who participates makes the community stronger, and with a stronger community,

each participant benefits.

So why do they do it? What could possibly possess a group of people who all have full-time jobs

of their own and families and lives to invest time to volunteer their time to help other Users? I think

there are a few reasons:

» We’ve all been there. All the people who volunteer to help the User group can tell a story about

when they were new to Microsoft Dynamics NAV and felt like they were alone.

» We’ve all been helped by other Users. Each one of those people can also tell a story about how

they had business problems and another User helped them. Every time I hear one of these

stories, I’m always so impressed by the overwhelming feeling of gratitude and relief that comes

through as people came to realize they didn’t always have to pay someone to help them and how

empowered they felt to be able to solve it on their own.

» We realize the benefit of this community. Because we’ve been able to help each other out, each and

every person has brought value back to their organizations in the form of solved problems, greater

knowledge and understanding of our ERP systems, and the type of future preparedness that only

comes through staying current on emerging technologies.

» We want to give back. Each person who volunteers realizes the advantage this gift of support has

been to them and wants to give back to others.

Think these stories don’t apply to you? Think again! If you were able to reach out to a group

of informed people who aren’t invested in selling you anything, what would be the quality of

information you would receive? These people have real-world advice and real-world experience with

Microsoft Dynamics NAV. They use the solution in their job every day, just like you do. Whether

you are looking for advice on best practices or just an honest opinion on what type of solution to

choose, this is the group who can get that to you. If that doesn’t convince you, put together a return

on investment analysis. What’s the benefit of being able to support yourself through the network you

have developed?

Just this year another strong business leader, Sheryl Sandberg, the chief operating officer

of Facebook, authored a book called “Lean In”. While this book focuses in on gender politics in

the workplace, the message she conveys with equal strength is to get involved in what happens at

your office and in your community. Don’t hold back. Bring your talents to the table. Speak up and

participate.

If you feel that NAVUG has brought some benefit to you, get involved in collaborating, in whatever

form works for you. We are always looking for Users to lead webinars, facilitate discussions, lead

sessions at the annual conference, engage in social media, blog, and find ways to connect with each

other in a meaningful way. I encourage you to set a goal for what you can do to contribute to the

effort this community puts forward to continually grow this User group.

If you haven’t yet been actively involved with NAVUG or if you’re brand new to Microsoft Dynamics

NAV, know that you don’t have to struggle to come up with a solution on your own for what you need.

There are other Microsoft Dynamics NAV Users out there who have gone through what you’re going

through and are ready and willing to help. There is a whole village available to you through NAVUG,

whose call to action is to support each other through the ability to collaborate. NAVUG

Lee Weiner is ready to pass the reigns over to Marc Allman.

Lee, CFO for The Bradshaw Group, has served as the

NAVUG™ chairman since June 2010, when the group was

transitioned from an independent User group to that of

one of the Dynamic Communities brand of User groups.

“Back then we were trying to grow membership and the services

we offered to get Users to meet other Users,” says Lee. “I remember

fondly our goal and task of getting more people involved, because

when there are many more involved Users, Partners, and ISVs, then

there are many more educational opportunities to help Users.”

NAVUG has grown from 450 Members to just under 1,300 Member

organizations in the past three years, creating a cohesive and vibrant

community where people truly want to help each other.

“NAVUG is now at a point where it’s poised for even more growth,

both in the United States and internationally, with a very good base

of Users and Partners,” continues Lee. “Helping to get NAVUG to that

place is what I’m most proud of.”

Marc, COO for AMS Controls Inc. and the incoming chairman,

got his first taste of NAVUG when he attended NAVUG Forum in

2011. He is excited at the prospect of being involved in the strategic

direction for the group.

“I hadn’t really thought about leading the group until they asked

me,” says Marc. “It’s an interesting prospect for me to get involved

at this level and see how I can help. I think it’s also good to go from

being an attendee to helping make things even better.”

HANDING OVER THE

REIGNS

He has great timing on his side as Microsoft Dynamics NAV and

NAVUG are in a fantastic place to make good things even better

given product advancements, a large installed base, and a growing

User group community.

“The User community has grown in North America because the

product has evolved,” says Lee. “There is a need for people to learn

more sophisticated ways to use it, and the best way to learn is from a

fellow User. Doing so enables people to use this tool in ways that they

never would have imagined. Microsoft Dynamics NAV is the engine

of a business, and you need to know how to drive the Ferrari before

it’s fun to use.”

In addition to peer-to-peer exchanges, Lee praises Partners and

Microsoft for their involvement in NAVUG.

“It’s important to have VARs as part of the group as they’re very

strategic and make the community strong with their knowledge,” says

Lee. “In addition to that, Microsoft has been great. This can’t work

without Microsoft, and they’ve been a trusted partner, supporting

our events, and giving us the resources for Users to have good

experiences. Without their support, we wouldn’t have grown this

fast.”

Supporting that growth is something that is part of Marc’s goals for

NAVUG over the next year.

“Since we’re approaching 1,300 companies that are Members, we

need to make sure that we’re a go-to resource for those companies,”

says Marc. “Much of the content that’s generated by NAVUG comes

from Members, and many times it’s a few people who do a whole lot

to get that out there. I’d like to increase the User participation on the

content side to get more people sharing what they know and how

they learned it.”

“It really is about Members helping Members and Users helping

Users,” continues Marc. “Increasing participation on both sides –

contributors and students/attendees – would be a good thing.”

Another goal of Marc’s is to help in the alignment of NAVUG with

other Microsoft Dynamics NAV User groups around the world.

“If we can get groups that are doing the same thing to align, we can

start sharing content and getting some commonality amongst that

content,” says Marc. “It really is a more efficient way to go. As long

as the international expansion doesn’t hurt North American Users, it

can be a positive thing.”

In addition to his goals for NAVUG over the next couple of years,

Marc feels passionate about Microsoft Dynamics NAV and the

potential the size of its installed base offers Users in the NAVUG

setting.

“Microsoft Dynamics NAV as a product can feel a bit neglected at

Microsoft when you see the resources poured into other areas,” says

Marc. “It’s important that we stay positive about the installed base as

it is number one among the products, and there are a lot of Users out

there. We should be proud of that and keep our voice out there so

Microsoft doesn’t forget about this huge group.”

The transition between leaders should be an easy one, given that

Lee and Marc have similar values for the group and advice for its

Members, which is to be active participants.

“Whether that’s taking advantage of the learning opportunities or

sharing what you’ve learned with fellow Users, the strength of the

community comes from participation,” says Marc. “As an aside, I’d

like to express my gratitude to Lee for his past service. I have big

shoes to fill and am so thankful for all he’s done for the Microsoft

Dynamics NAV and NAVUG communities.”

While Lee won’t be leading NAVUG into its next chapter, he plans

to stay involved with community webinars and events.

“It’s been a pleasure to work with people who were happy to share

information as well as see the light bulb go off for people who were

looking for a solution,” says Lee. “All in all, it’s been fun, interesting,

and informative. If I can check the box on those items when I’m doing

something, I think that’s the most important thing.” NAVUG

Partner Power International

is a company with roots

in Navision Software as

its founder, Poul Kjaer,

worked at Navision to

establish the software (now Microsoft

Dynamics NAV) in new markets. Poul

found that many new Users wanted

locally-based Partners to help with

their multi-national businesses, but that type of infrastructure

wasn’t available. That need birthed the idea of Partner Power, a

network of Microsoft Dynamics Partners that could be brought

together to support a User’s needs at the local level. The company

celebrated its 10th anniversary in 2011 and today works with more

than 50 Partners in 60 offices around the world.

NAVUG: How did Partner Power build its Partner network?

Henning Lund (HL): We first thought about acquiring local

Partners, but historically when you acquire a company, half the

organization starts its own company the next day. We’d rather

work with somebody who is successful doing business locally

while working with other Partners.

We built up the Partner network from 2003 to 2007 with the

policy that we wouldn’t establish ourselves in a market where

there weren’t Customers.

NAVUG: What type of work do you focus on these days?

HL: We do a lot of training for Partners and Users as well as

integrations and upgrades. There are numerous extensions of

Microsoft SureStep – templates, roles, tasks, etc. – that aren’t

standard for international deployments, so when Microsoft

Dynamics NAV Users either need to do an upgrade or want to

scale in other countries or have business needs they want to take

into consideration, we work with them to see what should be done.

NAVUG: How do you ensure that Partners are doing good

work at the local level?

HL: That’s really important to us, because if a Customer is running

projects in multiple countries, they’re very concerned about

the local implementations. We do a quality review every time a

service is delivered so that we have almost real-time feedback.

This enables us to know instantly if something needs to be fixed

or if we need to send a roast to somebody because they did an

excellent job. If you don’t react rapidly, you can’t stay in control,

and we need to stay in control.

We’ve been developing transition management at the local

level, which is a subset of change management, but it focuses

on how you get an org to work in a distributed way without too

much resistance locally. It looks easy on paper, but there are a

lot of things that need to be done. Since we added transition

management, the quality of reviews has gone up several points,

and it’s been one of our top innovations this year.

NAVUG: How do you find your Customers?

HL: Very often through references. The international community

is not really that big, and often times it’s somebody who has

checked in their network or with Microsoft and local Partners.

We’ve had some instances where a Customer has asked for

referrals in several countries, and all the referrals point to us.

That’s a good feeling.

When a Customer comes to us, they have typically already

decided to do an international deployment of Microsoft

Dynamics, but they may have doubts as to the product they

should use and how to make this work. We can help determine

the scope of the project, create a budget, and give them full

transparency into the operation.

NAVUG: What are the next steps?

HL: We take responsibility throughout the whole life cycle. When

we have the right project scope, Partners are sub-contracted to

work under a central project manager from Partner Power. We

design the project together with the client, instead of giving our

list of contacts in say, Asia, and tell them good luck. In many

countries you have to have the right relationship to get attention,

and typically Partner Power is in the top five for Customers

locally. That’s the benefit of having a sense of control, but also

having local people work with local people.

There are also a lot of considerations

when you work internationally, and it

generally comes as a surprise the amount

of requirements to say, work in Europe,

given the small geographic size. For

example, Denmark is a country of six

million people, but we speak a language

that nobody else does. Local cultures

are so strong, and local knowledge is an

absolute must.

NAVUG: That almost sounds easy. Is there such a thing as making

international business easy?

HL: The nice thing about international business is that it’s often

repeatable. We work in a model where if you have to do work in 10

or 20 countries, all the agreements are the same. The local Partners

know the culture and can give advice on everything from services to

“do’s” and “don’ts” in the area.

However, international business differs greatly from a localized

business in that the goal is to make the company more uniform

and utilize best practices derived from a central plan. Good

consultants typically meet with their Customers, listen to their

requirements, and make recommendations. That practice results

in scope creep at the international level, so we take consultants in

and make sure they understand the role they play and that their

role in a centralized project is something quite different than in a

localized project. It’s a big pitfall if everybody isn’t in alignment,

one where the Customer ends up paying for wasted weeks, even

months, of time.

NAVUG: What do Users like best about working with you?

HL: They appreciate that we’re specialized in what we’re doing. Our

whole business revolves around this task. We’ve done this more than

500 times now, have been where they’re going, and have a proven

model of how to get there in an efficient way. Time to market is

essential. All the normal drivers – such as eliminating islands of data

– are there, and the longer the project takes, the longer it is before

they can harvest the benefits.

Another thing they like is the centralized

model. They have the benefit of doing things

through local Partners in a consolidated

effort in one contract.

Finally, because we’re specialized, many

of our team members have more than

20 years of Microsoft Dynamics NAV

experience. With the network we have, if

we need an expert in a specific area, we

know right where to go, and we can move

the right person in the first time around, which is the best way to

increase efficiency.

NAVUG: Do you have any new endeavors for Users?

HL: We’re running a blog where we discuss the product from an

international perspective; for example, we have been communicating

about the consolidated Microsoft Dynamics NAV localization

information that we have collected for more than 70 countries around

the world, which is an overview that you can’t even get from Microsoft.

This past year at Convergence we were a Gold sponsor and did a

flash mob. That was a lot of fun.

We also participate in User group meetings all over Europe and the

world, working on our main goal to get people and organizations to

the next level with Microsoft Dynamics.

NAVUG: What do you like best about what you do?

HL: Next year will be my 25th anniversary with Microsoft Dynamics

NAV, and I don’t know what I’m missing as I haven’t tried anything

else. Microsoft Dynamics NAV is what started my career, and it’s

close to my heart.

What’s fueling me is talking to Customers and finding Customers

that have been around almost as long as me. That’s something that’s

unique about Microsoft Dynamics. It’s a large channel with great

products, and when you’ve been working with it as a User or Partner,

you stay with it.

There’s a lot of history built up there. I travel more than 100 days

a year with the product under my arm, so it’s a big part of my life; it’s

where I have my friends, and I’m doing what I like. NAVUG

Marc Allman, our new

NAVUG™ chairman, is

chief operating officer of

AMS Controls, Inc, an

industrial automation

company that provides control systems and

production management software for the metal

processing industry.

AMS Controls is also a family-run organization that

Marc’s father, Rick Allman, started in 1977. Rick is mostly

retired now, and Marc and three of his siblings have taken

the helm.

NAVUG sat down with Marc to see what our new

chairman likes about working with his siblings, the

challenges he encounters in his business, and how NAVUG

has helped AMS Controls.

NAVUG: Do you see AMS continuing as a family-run

organization in the future?

Marc Allman (MA): That’s a long way out for me as my son

is 4 years old. I do have a 16-year-old niece, but she’s shown

zero interest so far.

NAVUG: What are some of the benefits of working in a

family-run business?

MA: It’s nice in a lot of ways, one of which is that we get to see

each other often. There are times when Sunday dinner at my

parent’s house is great and other times it’s uncomfortable,

depending on what’s going on at work.

We share a vision of where we want to go, but it can be a

challenge as the stakes are pretty high when you’re feeding

your own families. It’s also a challenge to keep the business

growing over the years.

NAVUG: AMS Controls has started to expand globally.

Tell us how you’re accomplishing that.

MA: We have a sales and service office in Austria that employs

a father-son duo. We opened that office in 2008, which was

in the midst of that horrible recession, so it was a slow start.

We also have a South American office due to a former intern

of ours who moved back home to Bogotá, Colombia, after

completing an international exchange program with us.

In sales and service, the translation is a big thing. Having

people live in those regions has allowed us to get into places

where we wouldn’t be otherwise because people like to have

local support.

Our international presence is a slow growing thing. It’s

not a huge area of investment for us, but it is gaining us a

global presence.

NAVUG: When did AMS Controls start using Microsoft

Dynamics NAV?

MA: We implemented the product in 2008; before then, we

used home-grown systems. Having an engineering mindset,

we could write software, but we couldn’t think of all the

possible accounting issues, and it became a distraction.

We made the decision to outsource it and select a product

that we wouldn’t have to think about. Ultimately, Microsoft

Dynamics NAV has helped us focus our business more on

what we actually do, since we were using our developers

to create accounting programs when they could have been

making products for us to sell.

NAVUG: That’s definitely a plus to have them back to

work on their actual job! What plans do you have for

your Microsoft Dynamics NAV use?

MA: We’re in the midst of upgrading to Microsoft Dynamics

NAV 2013 and implementing Job Manager. We do a lot of

big projects where we retrofit equipment. It can be time-

consuming, and we’re hoping to get more visibility through

use of Job Manager.

Using it is kind of a long time coming as we originally

started implementing it with Microsoft Dynamics NAV

2009 R2, but when we were finished, Microsoft Dynamics

NAV 2013 came out, and we decided to wait to use it until

we were using it with the new version. We hope to have it

installed and ready for use in the next few months.

NAVUG: In addition to that lack of visibility in some

areas, what other challenges do you encounter in your

business?

MA: The biggest thing right now is sales. We’re really good

engineers, but not necessarily good salespeople, which

doesn’t help with that growth thing I mentioned.

Another is that we have a lot of possible directions we

could go and have a hard time focusing on where we should

go. The thought of what “could be” is overwhelming, so we’re

looking at picking a few things and taking advantage of the

opportunities they bring.

NAVUG: I guess it’s safe to say that you’ve found NAVUG

to be helpful, since you’re chairing the group now, but

is there anything that you can pinpoint

as far as what NAVUG has done to

help your organization in your use of

Microsoft Dynamics NAV?

MA: There are a couple aspects to how

NAVUG has helped us. One of them is

having access to people like Bob Bergman

from ArcherPoint. I have learned a ton

from him on the manufacturing side of

Microsoft Dynamics NAV.

My sister is our controller and attends

numerous finance webinars, learning a lot

from Kerry Rosvold of Augsburg Fortress

Publishers.

Bob and Kerry are just two of the great

NAVUG resources from whom we’ve seen

great impact in the way we run Microsoft

Dynamics NAV in our organization.

NAVUG: You’re right, they’re terrific

assets. Our theme for this magazine

issue is collaboration. How does

collaboration help your organization?

MA: For us, collaboration means a better

product. We’re very customer-driven in

terms of how we develop our products,

and many of our product changes over

the years have been driven by customer

problems.

As we create new software for

production management, we’re working

with our customers directly to answer

their needs. We pick a couple of

organizations and visit them, do an onsite

observation of their processes, and come

back to them with how we can solve their

challenges.

Collaboration with customers has allowed

us to get to where we are today. NAVUG
