PRACTICUM SUMMARY The Practicum (SSCI 4098U) is an elective course with a placement component and in-class component. The Practicum represents 100 hours of placement (unpaid) over the course of one academic semester (Fall or Winter). It is an intensive, challenging, and potentially rewarding academic course. A general overview of the Practicum objectives, processes, and expectations is provided in the section entitled What is the Practicum? To be eligible for the Practicum, students must be in good academic standing and possess a minimum of 84 credit hours (4th year standing) by the end of third year. Prospective students must participate in the Pre-Practicum Curriculum (see Practicum Planning Chart). This is a competitive process: After the initial Application and Practicum Interview, the Practicum Office will invite the strongest applicants to register for the Practicum course (SSCI 4098U), while unsuccessful applicants will be advised to take an elective in its place. The Pre-Practicum Curriculum is a demanding, in-depth process that tasks students with a series of time-sensitive assignments and requirements. Its purpose is twofold: 1) Students have an opportunity to develop and sharpen their overall real-world preparedness, and 2) To provide the Practicum Office with a clearer understanding and assessment of students’ knowledge, skills, abilities, goals, and, above all, placement readiness and professional-suitability (under Academic regulations/Academic conduct/Professional unsuitability in the UOIT Undergraduate Academic Calendar).

The Pre-Practicum Curriculum begins in the Winter semester of 3rd year with an email from our office to all eligible students. In this email, we will recommend that students register for, and attend, an optional Practicum Information Session. Our email will also contain a more detailed version of the Practicum Manual (containing specific dates and an application form). Students must complete and submit the Practicum Application Form, Personal Statement, Cover letter, Resume, and ID (photocopy) by the application deadline. The Practicum Office reserves the right to remove students from the Pre-Practicum Process at any time, as outlined in the Practicum Planning Chart, (and advise them to take an elective in its place.)

The Practicum Planning Chart is designed to help students prepare for the Practicum. Its guidelines, provisions, and deadlines apply to all eligible 3rd year students wishing to register for the 4th year Practicum course.

The PRE-PRACTICUM CURRICULUM at a glance:

1) Attend an optional information session. 2) Complete and submit Practicum Application Form, Personal Statement, Cover letter, Resume. Ensure your materials

adhere to the templates (samples) provided. 3) Book and attend a Practicum Interview with the Practicum Office. 4) Apply for a Vulnerable Sector (VS) check. Submit proof of payment (i.e. receipt) by the deadline. 5) Complete WHMIS and Health and Safety training. Submit the certificates by the deadline. 6) Upon successful completion of steps 1-5, you will receive an email confirming the details of your potential

placement. 7) Attend a placement interview (meeting) with your potential placement supervisor. If successful, in conjunction with

your placement supervisor, complete the Practicum paperwork and establish a placement schedule. 8) If granted permission, register for the Practicum course (SSCI 4098U). 9) Commence your placement hours when the semester begins and attend the accompanying Practicum lectures.

WHAT IS THE PRACTICUM?

Fourth year Social Science and Humanities students have an opportunity to develop and refine their personal, professional and academic goals by taking part in a Practicum placement with a non-profit, community-based organization. The Practicum allows students to gain valuable skills and knowledge while making positive inroads in surrounding communities. The Practicum is not a realistic means of attaining employment. The majority of our students do not secure a job with, or resulting from, their placement. Our best-performing students are able to achieve a letter of recommendation and/or continued volunteer opportunities. The Practicum is an elective course (3 credit hours) with a placement component and in-class component. The placement component consists of 100 hours (unpaid) over the course of one academic semester (approximately 13 weeks). The scheduling of hours is established at the placement interview / meeting with the placement supervisor. To be successful in the Practicum, students must be able to manage a consistent 8-10 hours of placement each week. Students with a pre-existing range of commitments or constraints (e.g., job(s), sports, family, school, travel/commuting, etc.) are advised to make a careful decision as to whether or not they can realistically accommodate Practicum placement hours (8-10 hours per week) in their schedule. The in-class component (5 classes) helps students navigate their personal, professional, and academic goals. Largely, students are evaluated on their ability to identify the relationship between theory and practice. In addition to the successful completion of 100 hours of placement, the Practicum course consists of a major theoretical assignment, reflection journals, in-class presentation, and a learning contract. To be eligible for the Practicum, students must be in good academic standing and possess a minimum of 84 credit hours by the end of third year. Students who perform well in the Pre-Practicum curriculum will be invited to register for the Practicum course. Unsuccessful applicants will be asked to register for an elective in place of the Practicum. Parts of the Pre-Practicum Curriculum include: attending an optional Practicum Information Session, completing a Practicum Application Form, submitting a personal statement, cover letter and resume, attending a Practicum Interview, applying for a Vulnerable Sector (VS) police check, and completing WHMIS and Health and Safety training. Please refer to the Practicum Planning Chart for specific details. Practicum Benefits for Student: • A well-rounded education, enriched by practical application of classroom learning • Opportunities to gain relevant skills and realistic expectations of the workforce before graduation • Opportunities to gain a broader understanding of career options • Maturity and self-esteem as productive members of the workforce as well as confidence and skills developed

through working with others • Documented practical experience, a resume, job search skills and a network of contacts upon graduation • Experience with self-directed learning (developing and implementing personal and professional goals and

strategies) Practicum Student Responsibilities: • Check UOIT.net email daily. Respond to Practicum Office/ Placement emails within 48 hours • Conform to all the conditions and rules that apply to employees in the organization • Exercise ethical workplace conduct • Set goals for learning • Work on enhancing academic, professional and personal goals • Maintain employer confidentiality • Accept feedback and suggestions for improvement in a positive manner • Resolve problems or issues that may arise in a prompt, professional manner

• Advise the field supervisor and Practicum Office of any concerns or problems as soon as they arise The Practicum Application Form and Practicum Interview help the Practicum Office understand each student’s unique set of goals, interests, and expectations. This process helps guide the effort to match students with appropriate organizational environments, populations, and projects. As soon as students receive notification of their placement ‘match’ with a prospective organization, they must take immediate steps towards completing a specific (targeted) cover letter and resume by the deadline provided by the Practicum Office. The Practicum Office will send the application (cover letter and resume) to the organization on behalf of the student. The organization will establish an interview with the student, or the Practicum Office may advise the student to contact the placement supervisor directly to establish an interview. At this point, students are committed to their assigned placement and may not drop it in favour of an alternate placement. If students have a successful interview with their prospective organization, they may proceed with the 100 hours of fieldwork and accompanying course materials. If the student has an unsuccessful interview, the Practicum Committee may attempt to arrange an alternative course of action (in some cases, the Practicum Office will not move forward with the student). If a suitable alternate placement cannot be secured, the student will be advised to register for an elective in place of the Practicum. Students wishing to discuss matters with the Practicum Office must book an appointment through [email protected]. Students’ meeting requests must detail the specific reason(s) for making an appointment. In the interest of time and efficiency, the Practicum Office will not discuss issues already addressed in the written materials provided herein. The Practicum Application Form and the Practicum Interview are the best formats to address individual ideas, questions, and considerations. Students Registered with Student Accessibility Services UOIT, and by extension the Practicum Office, is committed to inclusion and equity in the learning environment. The Practicum Office operates under the Ontario Human Rights Code (OHRC) and the Accessibility for Ontarians with Disabilities Act (AODA). Students requesting accommodations and supports are required to register with Student Accessibility Services at UOIT’s downtown Oshawa location. Registration with Student Accessibility Services does not appear on any official university record. All documentation provided to the Practicum Office is kept in a locked cabinet. Personal information is not shared with anyone (including placement supervisor(s) or prospective placement organizations) without your prior written consent. Students Wishing To Arrange Their Own Placement Students wishing to coordinate their own placement are expected to satisfy the requirements outlined in Pre-Practicum Curriculum. These students must first consult with, and receive permission from, the Practicum Office before making arrangements with a prospective organization. Students who attempt to arrange their own placement (without permission from the Practicum Office) will be removed from the process.

Attendance is optional for students wishing to enrol in the Practicum, but strongly recommended. The information session is your opportunity to ask questions and learn more about the Practicum, Pre-Practicum Curriculum, expectations and more.

Complete the Practicum Application Form in advance of the deadline. Applications deemed incomplete will not be accepted and you will be advised to secure an elective in place of the Practicum course.

Create and submit a Personal Statement, Resume, and Cover letter.

You are required to follow the template provided in this manual. At this point, your choice of organization does not influence the eventual outcome of your placement.

For the purposes of this exercise, kindly address your cover letter to an organization you have researched. Do not address your cover letter to the Practicum Office or members of the Practicum Office. Your cover letter and resume will be reviewed by the Practicum Office in order to provide feedback for improving your materials (your materials will not be sent to the organization). Follow the templates provided in this manual. If your personal statement, cover letter and resume do not adhere to the templates your documents will not be accepted and you will be advised to secure an elective in place of the Practicum.

SUBMIT THE FOLLOWING DOCUMENTS:

PRACTICUM APPLICATION FORM PERSONAL STATEMENT COVER LETTER and RESUME ID (photocopy) - driver’s license (or other valid government-issued, picture ID)*

* The Practicum Office requires a photocopy of your ID to produce a letter for your Vulnerable Sector police check. The letter allows students who reside in certain regions in Ontario to obtain the Vulnerable Sector police check at a reduced volunteer rate.

Submit your Practicum Application Form, Personal Statement, Cover letter, Resume and a photocopy of your ID.

The Practicum Office will review your documents by early April. You will receive one of two possible messages sent to your UOIT.net account:

1. You will be invited to attend a Practicum Interview with the Practicum Office.

The Practicum Office will assign a Practicum semester (Fall or Winter) to your file. You will complete your placement and Practicum course during your assigned semester. Students completing the Practicum course during: FALL: Will be interviewed during April/May WINTER: Will be interviewed during August/September

2. You will be advised that you have not met the requirements and will not receive permission to register for the Practicum course. You will be advised to select an appropriate elective in place of the Practicum.

NEXT STEPS:

Attend your Practicum Interview with the Practicum Office. The date, time, and location of the meeting will be sent to your UOIT.net email account. Incorporate the feedback you receive during your interview into improving and updating your resume and cover letter.

All students, except for residents of Toronto, will receive a letter on UOIT letterhead at the time of your Practicum Interview. This letter explains to your local police services that you are a UOIT Practicum student applying for a Vulnerable Sector (VS) check. Toronto residents will be given an application form. When you apply for your VS check keep your receipt. You will be asked to submit your “receipt” (original or photocopy) to the Practicum Office. Your receipt is proof that you have applied for your check. VS checks can take several weeks to several months to process. Most placement organizations require a VS check, and you will be required to bring a copy to your eventual interview with a practicum organization.

Complete “WHMIS for Everyone – The Essentials” training https://ssbp.mycampus.ca/prod/www_hso.ghs1.p_main You will receive a "Proof of Completion" certificate once you complete the training. You must save and/or print the certificate before exiting the module No other form of WHMIS will be accepted by the Practicum Office. This training is good for one year.

Complete “Health and Safety at Work” training http://www.labour.gov.on.ca/english/hs/elearn/worker/index.php You will receive a "Proof of Completion" certificate once you complete the training. You must save and/or print the certificate before exiting the module. No other form of Health and Safety training will be accepted by the Practicum Office. This training is good for one year.

Interviews Apply for VS police check. Complete WHMIS training. . Complete Health and Safety training.

Successful students will receive permission to register for the Fall or Winter Practicum course via an email sent to their uoit.net account. Students who do not meet the requirements will be asked to choose an elective in place of Practicum.

All materials must be submitted by the deadline in order to move forward.

Deadlines for each semester will be provided to all eligible students.

Once your Practicum file is verified as complete, you will be advised of your placement match (organization) via your UOIT.net account. In turn, you will forward an electronic copy of your resume and cover letter (addressed to the placement supervisor / organization) to the Practicum Office. The Practicum Office will forward your materials to the organization on your behalf.

You must not contact your placement organization unless instructed to do so by the Practicum Office.

Contact MUST be made within 48 hours of notification from the Practicum Office. You will contact (or be contacted by) the placement organization to arrange an interview.

Prior to your placement interview/ meeting you will receive an electronic folder of documents, timelines and ‘next steps’, from the Practicum Office. After securing a placement, arrange a time to complete these documents with your placement supervisor/ placement organization. The completed forms are required in order to continue with your placement.

Ensuring your Vulnerable Sector (VS) check, cover letter, resume, class schedule, and references are available for the interviewer at the interview

Submitting all required paperwork to the Practicum Office by or before the due date. Students who fail to submit their paperwork in a timely way will be removed from the Practicum.

PERSONAL STATEMENT

The Personal Statement is one of the most important components of the Practicum Application package. The

information provided will help the Practicum Office determine which candidates will best contribute to, and benefit

from, the Practicum experience.

The Practicum Office encourages you to think critically about your experiences, interests, goals and expectations and use

this opportunity to share any information you believe will help the Practicum Office assess your candidacy.

There is no formula for writing a successful Personal Statement. The weakest Personal Statements tend to be very

general or lack detail, e.g. I would like to gain important skills and experiences in my field. The best Personal Statements

are clear, organized, honest and realistic.

Some points to include:

Summary of your community and/or academic leadership and involvement

Specific academic or extra-curricular interests that may shape your future career/academic goals

Description of your unique skills, abilities or knowledge that will assist you during the Practicum experience

Specific information about your expectations for the Practicum, including the type of organizations, populations

or groups you hope to gain experience with

Your personal statement should be no longer than 1 page (500 words, 12 pt. font, single spaced) in length. Please be

sure to proofread and edit your submission. Use proper spelling and grammar to ensure that your Personal Statement is

error-free.

An effective cover letter should complement, not duplicate, your resume. The cover letter is your opportunity to add a personal aspect to the skills and qualifications outlined in your resume. Below is a typical view of a cover letter.
