FACT SHEETMODULES PEBBLESTONE FASHION MODULES Pebblestone Fashion ® has a modular construction, offering the following modules*: WHOLESALE/DISTRIBUTION This is the base module which is required for every installation of Pebblestone Fashion. It contains the complete setup of item variants and dimensions, matrix views and entry screens, prices per variant and SKU information per variant. These functionalities are implemented within the inventory, sales, purchases, manufacturing, and logistic areas of Microsoft Dynamics NAV. Additionally, special fashion functionalities are included in this base module. These include the presales process, tracking replacement items in sales orders, registering un-delivered quantities with a reason code, and maintaining historic sales orders for sales forecasting. BUYING GROUPS In many countries, individual retailers are organized into ‘buying groups’. Buying groups invoice individual retailer’s using their Buying group account. The buying group module enables companies to balance open transaction of the individual retailers against the total payment of the buying group. Electronic exchange of information with the buying groups becomes a streamlined and efficient process. MANUFACTURING The manufacturing module of Pebblestone Fashion substantially enriches the functionality of the standard Microsoft Dynamics NAV. As well as introducing the matrix, it streamlines the process of working with Dynamics NAV. For example: creating detailed BOMs per variant simply requires the setup of one standard BOM. Once the settings are entered, the system will configure the rest of the calculations. REMOTE SALES Most sales representatives for fashion companies are constantly ‘on the road’. The remote sales module allows a real-time, or ‘offline’ recording of seasonal and direct orders. Using XML files, sales representatives can communicate with the same software throughout the company. INTER COMPANY Many fashion companies’ headquarters are based in one country while the subsidiary sales offices are located elsewhere. Streamlining operations is essential to the fluidity of production and the integrity of financial transparency. The process is twofold: first, the financial information retained within the subsidiaries is directly derived from the central system. Data is transferred from one system to another, accurately conveying the entire financial reporting process. Secondly, because of the utilization of regional databases, the information is localized to meet all the legal and fiscal requirements of the operating country. ADVANCED FORECASTING Within weeks of presales, decisions have to be made on the quantities to produce or purchase, making correct final estimates difficult. CORPORATE WEARThe corporate wear base module enables you to specify a certain garment set per customer order. This garment set can be assigned to one or more job responsibility groups. The assigned garment set can then be linked to a contact (wearer) recording default sizes in case the clothing being worn requires adjustments. Once the sales order is finalized, an authorization is required before the sales order can be processed. Delivery of the item can then be tailored to the specific needs of either the customer (purchaser) or to the individual wearing the garment. The base module will also include a set of reports, providing a customer/garment set overview as well as the outstanding sales per customer/wearer.

CORPORATE WEAR ENTITLEMENTSIn most companies each employee is given a yearly budget, which is represented either as a value amount or as points. The corporate wear entitlements module makes order entry using budgets simple. The items for purchase will automatically be suggested and the system will counter-check the employees’ budget, informing them of the remaining balance.

VALUE ADDED SERVICESAll embellishments like embroideries, prints, and special measurements can easily be administrated in value added services. The data is stored for future reference. Sometimes it is necessary to track individual garments on the basis of serial numbers. When such a garment is returned, the value added services module will reveal what route it took, what adjustments were made and which employee used it. This module is most often used in collaboration with corporate wear (for example, companies in promotional wear or brand owners who regularly use prints and embroideries in their garments), but it can also be used as an individual module.

It compares and contrasts the current presales data to previous information, allowing collection and dissemination of current and historical information: Did we get more or less customers than the previous year? What was their average purchase order? What obvious developments occurred within particular collections? What are the calculated estimates using positive, average and negative scenarios? What trends are occurring and will the action continue to be replicated throughout the presales period, and if not, what are the possible outcomes? Ultimately the final decision is up to the end user with the assistance of various scenario simulations.

SALES TARGETS AND ANALYSISThis module enables tracking of sales targets outcomes based on customer and item information, while viewing the results in one transaction. This tool accurately accommodates the moratorium (often five to six months) that occurs between the submitting of orders and delivery of the product.

VENDOR RATINGFashion companies have a high level of dependency on their suppliers. It

is necessary that evaluations of each vendor occur in a structured manner. A few of the areas the vendor rating module can be utilized for are measuring how well a vendor adheres to delivery deadlines, supplying correct quantities, and charging agreed upon rates. In this module, the user can define any and as many subjective evaluation criteria as required and measure the results per supplier, purchase/production order and/or receipt. LOGISTIC SERVICE PROVIDERS The core business of fashion companies is to design market and sell apparel, footwear, sporting goods or accessories. Delivery itself of the product is not. Outsourcing is essential. Information on expected receipts, actual stocks and planned deliveries should be exchanged between the systems of the fashion company and the service provider on a regular basis. This module enables the user to set up the structure of information exchange

by entering parameter values without having to create program code.

PRODUCT DATA MANAGEMENT: PDMCollection cycles begin with design. The creative team, working in advanced CAD/CAM programs and/or paper and pencil, create items for new collections. Technical parameters are then established and recorded using the product data management (PDM) functionality. This includes a bill of materials, details of fabrics and accessories, size specifications, washing and packing instructions, pictures, and sketches. The objective of PDM is to provide the production site with detailed instructions on the assembly of the items. The PDM module of Pebblestone Fashion executes this function while still being fully integrated within all other business processes.

SURCHARGE POSTINGFreight, handling costs, and import fees are crucial in reflecting the total costs of a product. Most companies prefer to post value costs against the pre-calculated estimation in their invoices. The Pebblestone Fashion surcharge posting module enables post value cost billing, itemizing the supposed value against a general ledger account that acts as a transparency provision for the final bill charged on the invoice.

LETTER OF CREDITDue to the extended periods drawn out over the supply chain of the fashion industry (several months between ordering and actually delivering), companies advocate payment conditions with optimal insurance clauses guarantying

reimbursement. This is executed using L/C payments. On the basis of L/C’s issued by the customers, suppliers can get credit with their banks to purchase the necessary fabrics and accessories they need to produce the orders. This module of Pebblestone Fashion enables the user to create Letters of Credit with an appendix detailing individual sales or purchase orders.

EXTENDED CALCULATIONSFashion companies can never fully predict with certainty what the finished product will cost. However, predicted sales from presales, expected in-house expenditure and sales calculations still need to be established within the final budget. The extended calculations module of Pebblestone Fashion can expedite financial calculations.

BOX LOGISTICS Assortments are fixed combinations of different colors and sizes of an item in one box. However, many customers tailor-order their own combination of colors and sizes, often cross purchasing from different vendors. It is vital to the overall logistics that custom driven assortments are defined and created, allowing shipments to be bar coded and scanned on a carton basic versus individual items. Pebblestone Fashion’s ‘box logistics’ is a module that enables the user to coordinate work from the production site to the shop floor.

CONSIGNMENTMore retail customers are requiring their suppliers to stock shop floors without actually invoicing the goods. This can be either in “shop-in-shop” concepts or within any other store provider. After the retailer has sold the merchandise, the actual quantities transferred to the buyer are then recorded in the system as sold. The consignment module enables merchant retailers to view the storage of stock in multiple locations allowing the data to be centralized into one viewable/billable application.

FASTREACT INTERFACEPlanning processes within the fashion industry are very complex. Graphical representation, with drag and drop functionality is essential to the strategic planning. Pebblestone Fashion’s ‘Fastreact Interface’ is a module that enables the user to interpret the chain supply from the production site to the shop floor.

TRAFFICMany logistical processes are built using a large number of consecutive steps within the system. Adherence to the process is vital to the completion of each of these steps. Changes within one process can affect the outcome within another process such as sales, purchase or production orders. Pebblestone Fashion’s traffic module tool tracks all changes within the logistical processes in an efficient and effective capacity.

QUEUE POSTINGThis functionality of this module allows for the separate posting of tasks into a virtual queue. From here they can be processed individually without users having to wait for their colleague’s orders to clear.

EDI FASHION UNITEDThis module makes it possible to communicate electronically with your vendors and customers. The five following standard messages are part

of the module: PRICAT (price-list), ORDRSP, DESADV, INVOIC, ORDERS. All messages will be created according to the WWS-profile. This profile is used by FashionUnited eBusiness.

COMMISSIONCommissions are typically the motivating force behind the sales department. The commission module accommodates multiple commission percentages per sales person based on a combination of item category, order type and brand. When sales orders are invoiced, the commission that should be paid is calculated. The module takes into account what invoices are paid as well as automatically creating purchase invoices for the sales person or agent. Several commission statistics can be extracted from this module.

PRODUCT LIFECYCLE MANAGEMENTProduct lifecycle management (PLM) assists you in tracking an item during the various stages of development. This module allows a proactive approach to product development by alerting users not only to unexpected bottlenecks and delivery problems but to expected completion dates. The notifications and steps recorded in PLM are user defined and can be utilized in a variety of situations. E-mail notifications can be automatically sent to warn users/ managers on what process need to be undertaken.
