MEET THE FACILITIES BUSINESS OFFICE STAFF:Meet the business operations office of facilities administration . WINTER WEATHER KEEPS FACILITIES VERY BUSYMECHANICAL DEPARTMENT Dan Hutchinson, Superintendent

The winter weather kept most of the facilities teams busy with busted pipes, flooding, heating issues, plumbing repairs and so much more . The mechanical department, during the last month, responded to many calls due to freezing temperatures . Some of the plumbing calls came in after hours and the team arrived to the university pretty quickly to assess the problem and turn off water in the building to ensure minimal property damage . Everyone in the plumbing department did an amazing job working after hours, as well as during regular hours and did an outstanding job of minimizing damages . Thank you to Anthony Williams, Micah Ford, Ron Boren, Elzie Rosebud and David Buss, supervisor for your above and beyond efforts .

CUSTODIAL DEPARTMENT Edwin Jeffres, Custodial Superintendent

The custodial staff responded quickly to clean up and keep water under control when a water line erupted in the Link Building . Water poured out of the basement mechanical room into the tunnel and elevator . Clean up efforts shown below included Cortez Dickerson, Stephan Cooper, Derrick Hall, Larry Harris and Will Johnson, supervisor .

SAFETY NEWS - ELECTRICAL SAFETY Scott Campbell, Campus Safety Officer

Many electrical hazards spotted in the workplace include the inappropriate use of extension cords . The first and most noted violation is damaged cords . Cuts, fraying, or damaged plugs can cause electrical shock or fire if used . Although extension cords can be useful, when a cord is used for several weeks or months, OSHA doesn’t consider the use temporary . This opens the door for a violation .

The NEC and OSHA make it clear that temporary electrical devices are to be removed immediately from service once the construction work or other purpose for using the temporary wiring is completed . Temporary wiring is not to be used as permanent wiring . Extension cords are not to be daisy chained to extend the length . In general a single extension cord should not exceed 100 feet in length, and should be properly rated for the job that it is required . Furthermore, extension cords can create trip hazards if they are not laid out properly or have some sort of cable guard drop cover, or “over floor” cord protector should being used . In general, many extension cords are used in environments (i .e . wet, construction, emergencies) that do not have ground fault circuit interrupters (GFCI) attached to them, or plugged into a GFCI circuit . GFCI will protect users from shock or fire if the cord is damaged, wet, or penetrated by another object and shut off the power . Its important to ensure all extension cords are protected by a GFCI device or plug while in use .

HVAC DEPARTMENT Allen Barton, HVAC Superintendent

The HVAC, Mechanical, PM and Boiler departments have been super busy in the last few months! Damages due to winter weather included the following buildings: MSB - room 123 fin tube coil damage, Johnson bldg . – Air Handler Unit (AHU) #7 coil damage, Pharmacy bldg . – AHU #4L coil damage, Hyman – main AHU coil damage, Alexander bldg . – AHU #4 coil damage, 920 bldg . – AHU #3 coil damage, 920 bldg . - AHU #4 coil damage and 930 bldg . AHU #5 coil damage, all of which were due to low temperatures . Pictured below is the 930 madison building cooling tower water pipe that froze and burst . This is only one example from the many phone calls and work order tickets coming in non-stop for repairs . The weather related incidents sometimes resulted in buildings being shut down for hours or closed completely while repairs took place . It was all hands on deck, almost daily, which certainly made for a busy few months of challenges . Great job to the HVAC team for their dedication and hard work during these crucial times . This team works around the clock on a daily basis to keep the campus up and running .

CAMPUS CLEAN UP AFTER WINTER WEATHER Snow and ice closes the UTHSC campus

A few days of snow and ice last month required facilities department efforts to clean up, shovel show, and sand walkways to ensure the safety of employees when the campus re-opened . Whit Sutton, associate director of facilities, expressed how proud he was of the team members that volunteered and showed up at 4:00 am, in 8 degree temperatures to clear the campus of hazards . Hats off to Steven Massey, Jeff Fields, Robert (Willie Earl) McKinney, Ronnie Coburn, Verdale Walters and their crews .

Ramona Ivy, building manager, College of Dentistry, shared her thanks: “I have received several comments on the great job clearing ice from the X lot . I too would like to commend them on a job well done with C lot and all points entering the Dunn building . I never have to worry about slipping on a slick surface when our folks are on the job . Please thank them all for everything they have done to keep us all safe .” Take a look below .

KEY AND LOCK CONTROL MANAGEMENT Key and lock control management is under Facilities Administration . If you need to turn in, transfer, have new keys issued, or have locksmithing needs do the following: 1) Complete a request form found on the facilities website under the key control tab (https://www.uthsc.edu/facilities/key-control.php). 2) Attach the form to an Archibus work order request (link found at the bottom of each page of the Facilities website) .

We are located in the Physical Plant Building (room 224) . Office hours are 7:45 am – 4:45 pm, Monday through Friday . For further assistance, please call 901 .448 .6837 .

OUR MISSIONThe Facilities Services Department is responsible for the basic operation and continuous maintenance of the physical properties of The University of Tennessee Health Science Center .

FACILITIES TRAINING - MULTIPLE GENERATIONS IN THE WORKPLACE Facilitator: Vikki Massey, Director ITS We want to send a huge thank you to Vikki Massey for facilitating training for our entire organization on the topic: Multiple Generations in the Workplace . Trainings were held on January 29, 30 and 31 to accommodate our large organization .

We appreciate Vikki’s flexibility and taking time out of her busy schedule to train the organization again this year . She did an outstanding job facilitating the training to our team . The training included details and helpful tips for both supervisors and employees on managing every aspect of multiple generations in the workplace .

Thank you Vikki for accommodating the entire facilities organization (200+ employees) with four training sessions that covered our employees’ various shift times .
