About this Guide The Facilitator Development Programme has been developed in order to equip Facilitators to facilitate the Caring with Confidence sessions with groups of carers. This Guide outlines how the Facilitator Development Programme should be delivered by expert facilitators who have, themselves, facilitated the Caring with Confidence sessions. This Guide should be read and used in conjunction with the Best Practice Guide (also available from the DH website). The Objectives of the Facilitator Development Programme (FDP) are for participants in the FDP to: Begin to understand the role of a Caring with Confidence facilitator Learn, build and develop the key facilitator competences needed to run Caring with

Confidence sessions with groups of carers Understand the essentials of the Caring with Confidence sessions and how the

different sessions help carers to address key issues Be assessed against the FDP competences, to determine at the end of the FDP

whether they will go forward as a facilitator

People will have received copies of different plans. Set up the room with chairs arranged in a loose horseshoe with as much free floor space as possible. Position small work tables on the outside of the seats against the walls. Make sure there is water and easy to eat fruit in the room.

Welcome everyone and introduce them to the Facilitator Development Programme, the aims and shape of the three days

Brief them about the transparent and ongoing assessment and competences

Warm them up and agree the group contract

11.00 am Day 1 WELCOME Explain the essentials of Caring with Confidence

The programme aims to involve carers in facilitated group sessions using the materials provided

the group sessions are delivered by two co-facilitators who have been appropriately trained and coached

carers (unpaid, adult carers) are at the very heart of this

this Facilitator Development Programme - or FDP - is the starting point to becoming a co-facilitator

CONTRACTING Tell them you know how they might feel – a little anxious, uneasy, uncertain perhaps - and that it‟s our job to support them through these three days and that the FDP is not competitive but collaborative. Confirm that they have to share responsibility for their learning and wellbeing on this FDP and so should keep in close touch with us if they don‟t understand or are worried about something. Check they are OK with this and that there are no problems of understanding or commitment to working within the group setting in this way.

ASSESSMENT Explain that the point of the competence framework and the FDP supported learning is to equip them to begin the journey to becoming group facilitators. Hand everyone an FDP Assessment Review form. Go over the content of a form in outline to reassure participants that achieving 2s in each if the competences should be possible by the end of the 3 days for anyone with the aptitude for this work. Explain the scoring system. Check understanding. Reassure people that these are the 6 competences we will be concentrating on. We will also introduce the other competences during the FDP to give them the whole picture of the framework for assessment. And we will expect

them to become much more competent in all of these competences after the FDP when they are delivering the sessions. 11.15am WARM UP/INTRODUCTIONS Find out who is here by asking everyone to say something about themselves to the rest of the group. Ask them to choose a character from a book or a film or a song that they particularly associate themselves with. When they have had a moment to think, ask each of them to tell the others who their character is. As they do this they will probably tell or show something about themselves. Invite everyone to use this short exercise to help them remember each other person in the group. 11.45 CARER FOCUS Get them to say what – if anything – they already know about the Caring with Confidence sessions. Gather some of their responses and thoughts and make sure the following are covered:

The sessions are for adult unpaid carers in England

People who facilitate the sessions should be competent facilitators first and foremost – you do not have to have personal experience of caring to be a facilitator

That‟s because these are not „taught‟ sessions where someone trains carers in a particular topic; these sessions are facilitated, by two co-facilitators, to enable the group to get the best from the session

Emphasise that the 96% approval ratings from carers are in large part due to the facilitated nature of the sessions

COMING IN AND OUT OF ‘ROLE’ Explain the different hats they will be taking on and off over the course of the FDP – Learner Facilitator and Carer Participant – that sometimes we will ask them to take on the role of the carer within practice sessions and throughout the FDP we will be asking them to reflect upon their learning as facilitators. 12.10 WHAT THEY NEED FROM THIS FDP Leave people for 2 minutes to consider what they each need from these 3 days and to capture on A6 cards as in “My Needs and Concerns” activity.

Think about what it is that you need out of these three days, so that by the end, it will have been a good use of your time? Collect these one at a time and cluster on board. Be alert to any which may be unrealistic, unachievable or outside the remit of the FDP. Flag these as possibly needing to be addressed beyond this FDP. Thank them, saying that we are going to do our best to address each of these over the next three days. Acknowledge any cards that are unrealistic or unachievable. Encourage responses to create a list of what the circumstances would need to be over the next 3 days in order to have the best chance of achieving what the participants need – the list may contain words like Honest, Supportive, Non-judgemental, Fun, Listening to each other etc. Write these up on flipchart. Tell people that the coaches will - and participants should - do their best to stick to what is written on the list in order to achieve what they need from the FDP as written on the A6 cards. [Use the prompts below if key points have not been covered:

Confidentiality. We will all be introducing ourselves, discussing things, and being ready to make a mistake. So can we all agree that whatever is said in this group remains with the FDP and we don‟t repeat it to other people outside the FDP?

12.30 EARLY PRACTICE TASK Create three groups and give each group one of the following briefing sheets: Group 1: You now have exactly 10 minutes to prepare to facilitate a 10 minute whole group discussion on any aspect of popular culture - art, music,

football, media, bingo, Facebook - you choose. You will introduce the discussion and record the key points of the discussion. Thank you. Group 2: You now have exactly 10 minutes to prepare to facilitate a 10 minute small group task. Set the small groups - twos or threes - a task of your choosing as long as it takes no longer than 3 minutes to complete. Spend the remainder of the 10 minutes taking feedback from and across the small groups. Thank you. Group 3: You now have exactly 10 minutes to prepare a 10 minute exercise which uses the floor space within the room as a means of visually representing differing opinions on a subject relating in some way to any topical issue. Thank you. After 10 minutes ask each group to deliver their session. Run all three sessions. Quickly feedback the processes at the end of all three sessions. Reassure everyone that they have already begun to demonstrate the key

facilitation skills necessary to deliver the Caring with Confidence sessions. Stress how much they‟ve already done!

1.15pm LUNCH 45 minutes

2.00pm Welcome everyone back and tell them about the facilitator prompts format for the competences. Emphasise these are for facilitators, to support their practice, not something to go through with carers at sessions. Hand out the first of the Prompt cards Agree the Contract. Tell them how that happened this morning. Remind them about the process with the cards and the flipchart so they really understand. Give out the following prompts, giving each one to a third of the group to discuss for ten minutes and report back on:

Stay Independent Respect everyone Connect emotionally Listen to what they say and support and consolidate understanding. THEN give out the A5 pouches for them to put the cards into. 3pm ABOUT THE SESSIONS

Introduce the session plans. These are a kind of map or outline plan which we are going to look at all the different sections of, over the next few days. Everyone should have a received one session plan by email before coming to the FDP. Explain that there are 7 generic sessions, name them and go through the bulleted information on the A1 laminated chart Overview (of the other six sessions). Explain the structure: FYW is the first session, then carers can attend one or more of the others, in an order. Emphasise Caring with Confidence isn‟t like a traditional, sequential course, it‟s a mix-and-match programme which carers can dip in and out of – although many do choose to attend all the 3-hour sessions, much like a course. Ask them to help carers by using this terminology: programme rather than course; session rather than workshop; facilitator rather than tutor; and avoid the word „training‟ – it‟s a turn-off for many carers, where their caring role is concerned. Give out the A4 laminated Routefinder sheets (clipped together) and get everyone into small groups to discuss what is on the sheets and start to get an idea what the different session cover. Allow 10 minutes for this, and ask them to come back with any questions they have about the sessions. Answer any (high-level) questions they have, but do not get bogged down in details. Emphasise that we‟re asking them to look at the existing sessions – not re-design them. We know the product works. Explain the sessions all have a very similar structure; the introductions and ice-breaker, the core content, the problem solving and the session closure. In the case of one session – Caring and Resources – the core content is quite different from the others and that we will be looking at that session separately.

You need to manage energy here, find some additional way for everyone to go through these, other than them all (and the coach) sitting down throughout.

Explain now they‟ve got the big picture clearly in their heads, we‟ll start to look at the detail after the break.

3.30 pm AFTERNOON TEA 30 minutes

People may have to check in to their room here so they may need more time. 4.00pm FIRST PRACTICE DELIVERY Give out and discuss Work together prompt. Into 4 groups. Each group prepare to deliver Finding Your Way opening sections:

Icebreaker Encourage a volunteer pair from each group to have a go at delivery. Leave them 15 minutes to prepare then run the four sections without comment. Debrief. As part of the debrief, explain the overall purpose of the session plan and quickly talk them through the layout and different functions of the session plan on the page. 4.45pm Remind them of the tasks they did before lunch in the three groups and then coaches model:

10.00am PEER REVIEW and FEEDBACK Introduce peer review and challenge and feedback. Split the group into two parallel facing lines. Label one line A and one line B. Tell everyone in line A that you want them, when you give the signal, to take a step towards the person opposite them in line B. After taking a step forward, tell them something you like about what you observed of them so far and what you think would make that even better. Tell B that they must listen to what is said, say thank you to B (nothing but Thank you) and step back. Run the feedback lines exercise. Ask Bs how it felt to receive and A‟s how it felt to offer the feedback. Generate a discussion while people are still standing in the facing lines to reinforce good practice in giving and receiving feedback. By doing this: - what session situations might you use feedback in? - will it always be compliments, ie positive things? - how else could feedback work? Ask the people in line of A‟s and the line of B‟s to re-shuffle so they are facing a different person. Now repeat with B telling A something they have liked about them, paying them a compliment. Recap this section about feedback and what makes for effective feedback. Use the F-I-T model here to emphasise that feedback needs to be: - Focused - Illustrated - Timely Get group to sit in circle.

Consolidate best practice re giving and receiving feedback by having a general discussion about feedback with questions like:

What does feedback feel like?

When should you receive it?

Good /bad feedback - which do you remember? Why?

Do you thank others for feedback? And sometimes decide to disregard feedback that isn‟t helpful?

11.20am Lead into an exercise where each person tells the group one thing about themselves that might be surprising. Make this sharing very supportive and encouraging. Emphasise how everyone told their story in a different way. Hand out Be Yourself prompt. Explain. 1.00pm LUNCH 60 minutes

2.00pm DELIVERY PRACTICE Welcome group back and use appropriate energiser to get them into right state to do delivery practice. In the small teams they were in at 12.30, run the delivery practice in the following order with the coaches delivering the final two links: Be sure they use the training time convention of 5 minutes = 1 minute, 10 minutes = 2 minutes etc. Remind them of „matching cards‟ ice breaker they did yesterday and that that comes immediately before „Knowledge and Skills‟. Ask them to deliver the „Knowledge and Skills‟ section. Debrief. Coach run „My Needs and Concerns‟ exercise (from Finding Your Way). Coaches remind them of the Routefinder activity they have already done which comes before this next group: Ask them to deliver the „Stop/Go‟ section. Debrief. Coach Talk them through how „My needs & concerns‟ works in Caring and Life, then on to... One Coach do Koosh balls exercise (from Caring and Life). Then make the link from this to „Keep Both Wheels Turning‟. Ask them to deliver the „Keep Both Wheels Turning‟ section. Debrief. Coaches do Lifecare Bingo (from Caring and Me) Then make the link from this to „Healthy Eating‟. Ask them to deliver the „Healthy Eating‟ section. Debrief.

4.00pm Continue Delivery Practice from before afternoon tea. Complete this session chunk delivery and debrief. 5.30pm Introduce Caring and Resources session to the whole group. Run the whole session really quickly, making sure people understand the different elements and sequence. Check their understanding. Give the facilitator prompt Caring and Resources. Ask them in pairs to spend 5 minutes with the Caring and Resources prompt. Take questions and reassure them about this session and how well it works with carers. You will need some flexibility here. Participants will be really tired but lots of gear changes will energise them for another session later. This is the hardest afternoon but remember it‟s the only day they aren‟t travelling here or home and it‟s the whole point of the FDP being residential. They will have a break before dinner and they‟ll feel great that they‟ve done so much. 6.15pm Close BE VERY CLEAR with everyone that they must (a) be on time for breakfast the following day and (b) allow enough time to check out before the Day 3 session begins – they won‟t have any time to check out otherwise. We will sort taxis if they need them. BRIEF the after dinner homework club - to run the first 30 minutes tomorrow morning. There are two rules: (i) you must keep to time (30 mins) and (ii) everyone must be involved in the decision-making process. They can do anything they want and use anything they can (legally) procure to do it. 7.00pm Drinks reception

9.00am WELCOME BACK to Day 3. Homework group start the day. everyone back and ask them to run their „after dinner homework‟ slot. Spend about 10 minutes debriefing their session. Hopefully they have done something that you can link easily to the 9.30am Managing Energy prompt which you can give out here and discuss. 9.40am Set up the day by recapping. Acknowledge the intensity and demands of the FDP experience and emphasise the demanding nature of this programme and that they are doing theory, practice, content and getting to know and work with each other. They should feel tired! Brief the rest of the day including the 4pm close and the closing 1:1 slots which will happen before they leave. 10.00am Say a bit about the Caring and Coping session, its main theme, what happens up to Stress Circle. One of the coaches demo the Stress Circle followed by everyone having a go of capturing the model on one of the four flipcharts around the room. Give out the Stress Circle prompt. Reinforce the importance of facilitators getting the questions right in order to elicit the sort of responses you can work with, as evidenced yesterday as well in the Caring and Resources session. Have the Stress Circle session notes ready for those who want more than the demonstration and prompt at this stage.

11.00am COFFEE 20 minutes

11.20am Split the group into 4 smaller groups. Brief what they are going to do – big chunks of session delivery. One coach will work with two of the groups, the other coach will work with the other two groups. Give them 30 minutes preparation time.

Each coach work intensively to equip their groups to understand and deliver one of the following to the rest of the large group: Key thing here as the Coaches are doing this: They each work intensively to coach two groups for 30 mins (ie give 15 mins to each group) The coach must know the session chunks very well indeed (know the point of the session chunk, how it‟s achieved, any „gear changes‟ involved or what the key/trick is to making it work, how it actually plays with a group of carers – eg how they respond, what might they might need a bit of help with...). And the coaches here are also recommending who should do the facilitating, including giving key opportunities for practice to participants who haven‟t yet done much/need to demonstrate one or more of the six FDP competences/have a question mark about their progress at this stage of the FDP. Tell them what happens before and after each section and where appropriate model the links ahead of each of these:

12.30pm LUNCH 45 minutes

1.15pm Quick Quiz based on everything they‟ve done so far (this is to model style of medication quiz). Design the questions that will really work well to reassure and energise your group at this stage. 1.15pm Carry over remaining ‘chunks’ from morning Coaches demonstrate the action planning tools from Finding Your Way. And talk them through how the sessions close, with feedback etc. Go back to „My Issues‟ cards and the flipchart sheet (Honesty, etc) from Day 1. Ask the group to remove any of the cards – or shout out anything on the flipchart - that they feel has not been addressed during the FDP. Discuss.

Talk about what happens next:

At the check out 1:1 slot everyone will know what to expect on their assessment form

Soon after the FDP – usually within 2 days – they will receive an email with their form

Everyone who is successful will then be contacted by their new coach – usually within 2 weeks of the FDP

Hand out and discuss the final prompt: End Well Ask everyone to find a quiet spot in the room where they feel comfortable writing something – and to stay sitting roughly in a large, open circle with plenty of space. tell them you‟re going to ask each person to write a word or a phrase

about everybody they have spent these three days with tell them that these words or phrases will be read some time after we

finish, possibly days or weeks from now when the time is right for the recipient and that what is written will be important to them following their involvement in this intensive three days

hand out a sheet of A4 card to everyone and ask them to write their name in the middle of the card, leaving space all around their name

wait while they find a pen tell them you are going to give them the signal when you want them to

pass the card on to the person on their left and that you will give the signal when everybody has finished writing their word or phrase

Remember the word or phrase will be written about the person whose name is written on the card

ask them to keep all their writing on the same side of the card that has the person‟s name on it

ask everyone to hand their card to the person on their left, to write. when the person has finished writing ask people to pass the card on the

person on their left Do this as many times as there are people in the group until everybody‟s name appears on the card held by the person on their right. The other coach now collects all the cards and places each card in an envelope you have prepared earlier with the person‟s name on the envelope that will correspond to the card you will put in that envelope. Reassure people that they will get these cards back and that no one will read what is written on them.

Thank everyone for their involvement. The other coach hands out the envelopes as they are sealed. Invite people to say goodbye to the colleagues they have worked with the last 3 days. Hand out, ask everyone to complete and then collect the individual FDP Feedback Forms.

3.15pm FINAL 1:1 ‘CHECK OUT’ SLOTS Run the final 1:1 check out slots to reassure people where they are up to and to explain what they can expect in the Review forms you will email to them in the next two days. At the check out slots, be sure to give each person a slip confirming whether they have been successful or not. Give each successful person a copy of the card with „Ten Tips for Working with Your Coach‟.
