Owners of businesses talk about the need to compete with their competitors. What makes an organization really stand out from their competitors is the depth of the relationship they have with their customers.   To remain competitive, businesses must provide tools so anyone with a customer-facing role in their organization can present the best image of the company to their current and prospective customers. Anyone talking to customers – sales people, field support people, office staff, etc. - needs to have access to detailed knowledge of the customer interactions. And they all need to be looking at the same information so they are all singing from the same song sheet. It’s also becoming more and more important for this information to be available from wherever they are working – the office, on the road, at a client’s location or even from home.   Providing a combination of tools that deliver on this need allows businesses of any size to personalize the conversation…a way to distinguish your business from everyone else.   Today we’ll look at how CRM and Office 365 can help your business from three perspectives: a sales person on the go; the head of sales managing a team; and, you the business owner trying to grow your business efficiently. Open Outlook & Open Email from Alex Wu   Here we see something very familiar to everyone – Microsoft Outlook email in Office 365. Since the first thing most people do to start their day is to check email, we built an app that provides a snapshot of Dynamics CRM customer information right from inside of Outlook.   Track Email to Opportunity "Northwind Traders"   Because Office 365 and Dynamics CRM Online are built to work together, here we see much more information about this contact than kept in Outlook alone. Because this customer is tracked in CRM Online, the detailed information about the customer is able to be presented right where the sales person is working –within the context of the email they just received.   To make it easy for you to provide tools to help your team be productive anywhere and on any device, we have created several ways in which customer information can be managed. Included in the core subscription price to Microsoft Dynamics CRM Online is access to CRM via a web browser – but, we feel you shouldn’t have to pay extra to access your customer data in other ways – it’s your data! We have an add-in to Outlook - like we just showed – to access CRM data from within your email. We offer an app designed specifically to take advantage of the touch experience of virtually any tablet AND you can access your Dynamics CRM data with an app for the wide array of mobile phones available today. Access needs to be seamless and, with our solution, it is!   Having this kind of freedom provides the ultimate flexibility to team members. In this example, we’ll show you the view of a sales person using a Dynamics CRM for Tablets. Notice the simple interface with rich information about their customers, literally, at their fingertips!   Open CRM for Tablet App and Open Northwind Traders Account Here we see the account Northwind Traders. I'm currently working an opportunity with them and Alex is one of the stakeholders in the deal. Within Dynamics CRM Online for Tablets, we see things like notes that anyone made during past interactions, a history of service cases and other important details about the customer. Click to the and Open the “Northwind Printers” opportunity Everything is linked together. Open Associated Documents We can use Dynamics CRM Online in conjunction with Microsoft SharePoint or OneDrive to allow us to capture all our related shared documents and link them to the CRM records. Everything in one place! View Activities (My Activities) You can even use Dynamics CRM Online to keep focused on the important tasks. Here we see a personalized view of an activities list that will ensure your team members stay on track. Search for “Northwinds” in the Opportunity list using CRM (WEB) Check out the multi-entity search We’ve already seen Microsoft Dynamics CRM Online working on a tablets and with a phone. Now we will access Microsoft Dynamics CRM Online from the web as if we are back in the office. Regardless of how you access Dynamics CRM Online, of course, the information is the same. One way to drive productivity is to bring consistency into the equation. It’s often the case in businesses of any size that people with the same role do the work in very different ways. Inevitably, one person stands out as the most efficient of the team and, consequently, the most effective. The trick is to capture this “best practice” business process and make it a part of everyone’s job. The Business Process Flow in CRM is a great tool for scenarios like this. This is where organization, consistency and productivity is born.

Click on the different stages of the business process flow and display different related tasks. We see a very simple set of stages in a sales process – Qualify, Develop, Propose, and Close. These stages - and the tasks beneath them - can be tailored to exactly what processes you want your teams to follow. For example, if you are selling cars, maybe you have found that if you send a personalized thank you note and run a credit report after the prospect takes a test drive, they are 20% more likely to buy from you. You can make these steps part the Business Process Flow within Dynamics CRM Online that everyone follows. You can even create “branching” – if “A” happens, then do these tasks; if “B” happens, follow these steps instead. Repeated tasks like these can be easily automated within Dynamics CRM Online. Automating and organizing processes for your business is a way to simplify the day-to-day lives of your teams. They can help your teams move thru the sales process more quickly with a high degree of organization and consistency. And, perhaps most importantly, bringing this level of organization can allow your team more time to focus on customer interactions. Open the Sales Activity Social dashboard (Sales > Dashboards) to review a pipeline by stage graph Organizing your business in this way also helps you and your managers/supervisors get an immediate snap shot of where things stand. Let’s take a look at some of the tools that can help you better manage your teams and deals. This is an example of a dashboard within Dynamics CRM Online that can be used to help you keep a pulse on your business and on your teams. We talked about the different stages of the sales process before; here is how Dynamics CRM Online organizes that information into a view of your pipeline by each stage. Click to view records of the pipeline graph and then click on one stage to show list of opportunities within that stage Of course, any of these dashboard elements are easily configurable to show what’s important to your business including views of the performance of our sales people. (Sales Management Dashboard is a good example.) You can even drill down and get the details of any of these stages or of any individual’s activity– really useful to help coach your staff and take actions on specific deals to help close more business.
