Exporting from Excel to Buildsoft

To convert an excel worksheet into buildsoft; you must first convert this worksheet into a format known to buildsoft called CSV “comma delimited”.

Open the BOQ file in Microsoft Excel format

Make sure you click on the excel sheet that you want to import such as ‘Sub-structure’.

Click on the file menu and select “Save As”.

To save the excel file into a CSV format: Open the excel workbook to be converted such as above. Click on the file menu and select “Save As”. Change the “Save as type” to read “CSV Comma Delimited” then select a

location to save the file in the “Save In” box, then click the “Save” button. See below

Once you click save the following screen will come out and you click ‘OK’.

Once you click ‘OK’, the following screen will come out and you click ‘Yes’.

After you click ‘Yes’, then you can close the file. Once you close the file, the following screen will come out and you click on ‘No’.

Note: After you had save as CSV file, you can close the file and reopen the CSV file by using Microsoft Excel and you can make some changes on this file in order for you to import it smoothly into Buildsoft.

Open the CSV file by using Microsoft Excel1. After you save as CSV format, close the file and reopen the file.

Note: Some time you open the CSV file in other computer, you will see all the description, unit, quantity, rate and amount columns combined together.So, make sure the regional setting in your pc is set “English” in language section.

2. Once you open the CSV file, you will see the following screen.

Make sure you select ‘All files’.

This is the CSV file and below it is excel file. You can see the different between these two files.

You can delete the description that you don’t want to import into Buildsoft such as the name of the project or collection page (Buildsoft will automatic come out the collection page for you).

Make sure there’s a blank line between two continuous item descriptions (except each item description is shrinking into one cell and not as shown on this screen).

Make sure your description is same row with unit and quantity. If the description separated into various rows, please make sure the last description is same row with the unit & quantity row.

Note: Please copy the last row of the item and paste it into row below the last item. Make sure you have spacing between them. If you didn’t do this, normally it will not import the last item in your CSV file, so you have to check the last item after you had imported the CSV file into Buildsoft.

3. Make sure the quantities and the rates value are not with comma such as 2,000.00 and it must be like 2000.00.

Highlight the quantity column and right click your mouse and choose “Format Cells”. Then you will see below screen.

Select “Number” and make sure you untick this box.

4. After you have made some changes, you need to save the file. Once you click one save button, you will see the following screen come out and you click on “Yes”.

5. Once you click “Yes”, the following screen will come out again and you click on “Yes”.

6. Then, you can close the file. Once you close the file, the following screen will come out and you just click on “No”.

To Import the CSV file into Buildsoft: Open Buildsoft and create a new job Open the new job to the Job Summary, level 1. Click on the Tools menu and click on “Excange” and select Import

Click on the option “Convert Comma Separated Text File” Click the browse button to locate where you have saved the CSV file, see

below

Click on the file name in the left window so it is displayed under file name as shown above.

Click OK

A Define Columns window will appear as shown below

Note:You will have to select what type of information appears in each column e.g. Bill Ref, Description, Qty, Unit, Rate, etc.

1. Click on “Item Description Go Over One Line” so a tick appears in the box.2. Click on NEXT until the first item shows up under the details heading.3. Select the Type by clicking on the drop down menu arrow beside the item

and select from the list.4. Click on NEXT5. Repeat steps 2 & 3 until a pattern appears in the lining up of each item

Example:

If you just want to import description, quantity, unit, rate and total, the rest you just select “Ignore” from the drop down list.

Once you have selected a Type for each item, Click on CONVERT

A progress indicator will appear

This will now convert your CSV file into the Buildsoft Global System.

Click on EXIT Click OK

Note: Please recalculate all sublevels after you had imported the files.
