Additional fees will be charged for any plastic, wood or glass items left behind after
moving out or dismantling.
ICE2012 has the authority to set the opening hours and the days for installation and
dismantling of the booths. The Exhibitors are not allowed to dismantle their booths before
the show officially ends.

Ⅲ. Terms and Conditions
This document is provided to assist the Exhibitors and Contractors to meet their legal obligations
and to provide information regarding the rules that must be observed while working within the
EXCO. It is up to the reader to conduct sufficient inquiries to stay fully informed, in order to keep
abreast of relevant legislation and as to fulfill all the obligations as required by the relevant
authorities and governing bodies.
The EXCO and the Organizer do not assume responsibility for the accuracy or omissions of any
statements, opinions, advice or information in these guidelines.
The EXCO and the Organizer reserve the right to stop or suspend any work if, in their opinion,
the health and safety obligations of people are not being met. Nor will they be responsible for any
costs associated with any work interruption, equipment damage or loss or any inspection by a
government inspectorate.
1. Shell Scheme Booth : Set-up and Dismantling to be done by the Organizer
The Organizer provides the following (Please refer to image of Shell scheme booth):

1.1 Size per 1 Booth: 3m x 3m (provided for up to 2 booths)
- Structure: Partition, company name (English and Korean), number board
- Floor: 9m2 needle punch carpet
- Furniture: One information desk with one chair
- Electrical: Three spotlights (100W), two electric socket (220V), two arm spotlight
• Should extra electricity be required, please submit a separate application.
The Organizer will provide 1kW per booth.
• Additional installation and purchase shall be made by the Exhibitor.
• The company name sign will be marked in English and Koran in a uniform style,
written in capital letter
1.2 Notice
Any company that causes damage to the Shell scheme booth panel by nailing or using
adhesives is fully responsible for the cost of returning the panel to its original state.
Therefore, please pay attention to the statements above. Contact the official contractor
for more detailed information regarding the booth.
2. Space Only Booth : Booths to be built by the Exhibitor
• The Organizer provides only space for the booths
• In the case of more than 2 booths, space is only provided.
2.1 Construction
(1) The Exhibitor is recommended to select one of the registered companies for
construction of the customized booth (including electricity, sign board, and carpet) and
take all the necessary measures and inform ICE2012 Secretariat the details of the
construction.
(2) The size of the structure and the exhibits shall be limited to 5m in height. All
construction or decoration items above 3m must be positioned 1m away from the
neighboring stands and away from the aisles. The sides of desks, decorations or panels
facing neighboring stands must be smooth, plain and painted in neutral colors or
covered in wall covering that is neutral in color.
(3) Any fittings on the facade must have a 50% opening on each of the sides which face
out onto an aisle. Any transparent structure which allows visitors to clearly view the
inside of the stand (glass, transparent textiles, etc.) may be considered as an open
partition.
Their location and the type of materials used must be specified before the stand
proposal can be accepted. Their height will be limited to 3m at the edges of the aisles.
2.2 Submission of Design & Drawings
All Exhibitors must submit their booth designs and drawings and get prior approval for
the booth design, along with its size, materials, an overview floor plan, a sectional floor
plan and an elevation of each exhibition stand from the ICE2012 Secretariat and EXCO
by August 10, 2012.
2.3 Approval of Stand Construction
(1) The Organizer and EXCO shall, after reviewing the design drawings, decide its
appropriateness before approving the construction of the exhibition stands and can
request revisions on areas found to be in violation of the Fire Code and other mandatory

requirements.
(2) The Exhibitor, who has received a request for revision from EXCO or who intends to
make revisions to the submitted drawings, shall submit the revised drawings and obtain
approval from EXCO.
(3) For electrical installations and related works, the Exhibitor shall submit an electrical
installation layout drawing to the Organizer and EXCO by no later than three weeks
prior to the set up period to obtain approval from EXCO.
(4) Should the Exhibitor or its Contractor obtain conditional approval from the Organizer
and EXCO to perform any necessary construction and work based on the Organizer
and EXCO’s review of the submitted documents as prescribed in paragraphs 1, 2 and 3
of this Article, the Exhibitor shall make every effort to satisfy all of the conditions
requested by EXCO. Failure to comply will result in the Contractor being removed from
EXCO’s designated contractors list. The Organizer and EXCO reserve the right to deny
power supply and all other supportive services to the Exhibitor.
2.4 Work Report
(1) For any and all work to be performed in the exhibition halls, each responsible
Contractor shall submit a “Declaration for Work & Stand Contractor” (Form 4) to EXCO
by no later than three weeks prior to using the exhibition halls.
(2) All personnel and labor force shall, at all time, wear identification cards issued by
EXCO and duly observe the regulations of EXCO.
2.5 Work Permit for Extra Hours
A list of workers who wish to remain in the exhibition hall either for installation,
dismantling or other work after the closing hour (20:00) needs to be submitted to the
security guard. The permit is issued by the Organizer. Failure to report the extra hours
beforehand will incur additional expense including exhibition hall rental fee and guard
fee.
2.6 Ceiling Work/Rigging
(1) Permission from the organizer and EXCO is required in order to do ceiling work.
Please submit a structural analysis report. Any structure loaded over 50kg must get
approval from the organizer when submission of a report. Since it takes about 3 weeks
to get permission, we advise you to send detailed information of any potential ceiling
work as soon as possible.
(2) Ceiling work or rigging may only be undertaken and altered by a designated rigging
company.
(3) The highest point of the sign or its support must not be higher than 8.5m.
(4) The sign must be confined within the stand limits and be set back 1m from any
separations between the adjoining stands or the aisle.
2.7 Instructions on Construction of Two-level Exhibition Stands
(1) To construct two-level exhibition stands, the Exhibitor shall submit a structural
assessment report by no later than 15 days prior to construction.
(2) The total floor area of the two-story exhibition stand must be less than 1/3 of the total
floor space rented.
(3) At least 1/2 of the perimeter of the two-story exhibition stand must be open structure.
(4) The stairs of the two-story exhibition stand shall be wider than 1.2 meters.

(5) Fire extinguishers must be installed at locations every 10 meter distance within the
two-story exhibition stand.
(6) In case a roof structure is constructed over the two-story exhibition stand, automated
fire-prevention sprinklers must be installed at locations every 10m2 of the roof structure.
(7) The width of the entrance doors must be wider than 0.9m with doors opening in the
direction of the evacuation plan and rechargeable emergency lights must be installed on
the upper side of the doors.
(8) Security personnel must be on-site at all times.
2.8 Compliance of Fire Code and Other Related Laws
(1) All materials used to construct exhibition stands including the floor carpet must be
fire-retardant or non-flammable materials.
(2) The Exhibitor shall comply with the Fire Code and other related laws in selecting and
using installation materials.
3. Restrictions 3.1 Restrictions on Electrical Installations
The Exhibitor shall comply with each of the following rules in performing electricity works:
(1) Electrical power for spot lighting shall not exceed 100W per square meter.
(2) For wiring, 600 Volt EV cables shall be used. 600 Volt IV cables and PVC cords are
not permitted.
(3) No fuse breakers shall be used on the main power source switches.
(4) In the case of installing 220 Volt power outlets, materials specifically designed for
220 Volt shall be used and power outlets shall be installed at least 30cm above ground
level.
(5) Switches to operate exhibition goods and lighting shall be installed separately.
(6) Class III grounding shall be applied to the motors and machineries used for the
operation of exhibition goods.
(7) Any and all electrical installation works shall comply with Electrical Regulations.
(8) Electricity supply will be provided after a safety inspection has been conducted and
approved by EXCO.
3.2 Restrictions on Heavy Exhibition Goods
(1) The weight of exhibition goods brought into and displayed at in/outdoor exhibition
halls of EXCO shall not exceed 5 ton/m2.
(2) In the event that heavy exhibition goods are required to be brought into the
exhibition halls, the Exhibitor shall submit a “Heavy Exhibits Move-in Order Form” (Form
7) along with all required attachments prescribed in the application by no later than
three weeks prior to bringing in respective good(s) to obtain prior approval from EXCO.
Upon installation of the respective good(s), the Exhibitor shall be in full responsibility of
taking necessary measures to disperse the weight load of the good(s) on the floor.
(3) Should the Exhibitor fail to comply with the stipulations of paragraph 1 and 2 of this
Article, EXCO reserves the right to deny power supply and other forms of supports and
the Exhibitor shall be in full responsibility of any and all consequences deriving from
such failure to comply.
3.3 Restrictions on Hazardous Materials and Handling
(1) In the event that hazardous material(s) are required to be brought into the exhibition

halls, the Exhibitor shall submit an “Application for Handling Hazardous Materials”
(Form 8) by no later than 2 weeks prior to bringing in respective material(s) to obtain
prior approval from EXCO. No other hazardous materials shall be permitted other than
the material(s) pre-approved by EXCO.
(2) In handling hazardous materials, the Exhibitor shall comply with the Fire Code and
other related laws. Liquefied petroleum gas and butane gas are not permitted inside the
exhibition halls.
(3) Handling of fire is not permitted inside exhibition halls without prior consent and
approval from EXCO.
(4) The Exhibitor shall comply with the instructions of EXCO in handling and storing of
hazardous material(s).
(5) The Exhibitor shall be in full responsibility of any and all accidents derived from
remitting hazardous material(s).
3.4 Restrictions on Utilization of Electrical Equipment
(1) The Exhibitor shall comply with each of the following stipulations in utilizing electrical
equipment.
① Utilization of compressors, chainsaws, electric planers, grinders and other
electrical machines is not permitted in the exhibition halls.
② Highly dangerous exhibition goods such as boilers, furnaces and stoves shall not
be operated inside the exhibition halls.
(2) In the event that utilization of the above stipulated electrical equipment is inevitable,
the Exhibitor shall obtain prior consent and approval from EXCO to use the restricted
tools and 10 equipment on a conditional basis.
3.5 Restrictions on Use of Electrical Heating Equipment
(1) In using electrical heating equipment, the Exhibitor shall install a perimeter fence
around the equipment for safety in case the surface temperature of the equipment
exceeds 70℃.
(2) Electrical heating equipment to be displayed and demonstrated in the exhibition
stands must be at least 20 cm above ground and shall only be permitted on
fire-retardant structures. Any and all forms of wooden structures are not permitted as
suitable display structure.
(3) Walls adjacent to electrical cookware, iron and other heating products shall be
protected with fire-retardant material.
(4) No carpet or Pytex shall be installed in the exhibition stands where electrical heating
equipment is to be demonstrated.
3.6 Prohibition of Smoking
Smoking in all indoor areas of EXCO is prohibited except those areas designated by
EXCO to permit smoking. When deemed necessary, the Exhibitor may operate
additional smoking areas upon obtaining prior consent and approval from EXCO on the
conditions of installing a required ventilation system and satisfying the fire prevention
measures at the Exhibitor’s expense.
4. Safety/Fire Regulations
4.1 Safety Regulations for Exhibition Structures and Installation
(1) Displaying exhibits and structures in the hallway between booths and causing any

inconvenience for delegates is strictly prohibited.
(2) Fire resistant materials and incombustibles are strongly recommended, particularly
for lighting screens, backdrop or block out curtains, etc.
(3) The Exhibitors are responsible for their own exhibits and are not allowed to drive
nails and screws on the walls and floors. Furthermore, the Exhibitors are not allowed to
use painting materials that are indelible if spilt on the floors, roofs and raw materials of
the booth. Anyone who violates the above rules must compensate for the damage.
(4) In case of fixations of structures to the floor by nailing, the prior approval of the
Organizer's office is required. The floor shall be returned to the former condition
afterward.
(5) The height of the floor inside a booth shall be limited to less than 10cm. Note that a
facet of the booth facing the hallway shall be in decline for visitors' safety.
(6) Constructors shall at all times carry an admission card for entry.
4.2 Fire Regulations
(1) Exhibits and all other materials within exhibition hall shall be incombustible
according to Fire Prevention Regulations.
(2) The Organizer may ask participants to take appropriate fire safety precautions and
the participants should comply.
(3) Explosives, flammable materials and other dangerous materials may not be brought
into the exhibition halls. The use of such materials within a limited scope may be
allowed if required for demonstration.
(4) The following type of dangerous materials shall not be brought into the exhibition
halls:
• Oil such as gasoline and kerosene, flammable gases and high-pressure gases
such as propane
• Generators of flammable gases
• Electrical heating devices for cooking
• Explosives
• Other items which the Organizer believes could cause fire, explosion and other
accidents
(5) If the Exhibitor fails to arrange fire extinguishers during exhibition, the Organizer may
install such equipment, in which case the Exhibitor shall pay all expenses.
5. General Regulations
5.1 Security of Exhibition Halls
ICE2012 has a contract with a security company in order to provide reliable security
services during the set-up, congress and dismantling periods. Although 24 hour security
is provided, the ultimate responsibility for displayed exhibits and equipment lies with the
individual exhibitor. The Organizer will not be responsible for any damage caused by
natural disaster, arson, theft or breakage. Staff shall stay in the booth in order to keep
the exhibits from theft and damage. In addition, insurance is recommended.
5.2 Noise control
Use of sound devices may be permitted, but the volume shall be minimized to not
disturb others. The intensity of the sound shall be restricted up to less than 85 decibels.
The Organizer's office is authorized to take measures against those not complying with

the noise control regulation. If necessary, the supply of electricity to the booth may be
disconnected.
5.3 Cleaning
Waste produced during installation or removal of structures shall be collected and
cleaned by the Exhibitor. Additional expenses for remaining materials, such as plastic,
wood, glass, etc. may be claimed to the Exhibitor.
5.4 Non-fulfillment of the Possessory Right
The ICE2012 office is authorized to discretionarily use any booth that has been
incompletely installed by the due date of the display. Furthermore, if the Exhibitor fails to
notify the Organizer's office of cancelling the use of a booth in advance, the Exhibitor
may be deprived of the priority to use the booth.
5.5 Re-lease
In case of sublease or re-lease, the Organizer's office may restrict the participation of
the Exhibitor.
5.6 Classification of Return Freight and Application for Disposal
Fill out the Disposal Instruction form distributed from a designated shipping and
customs company and submit it to the Organizer's office as soon as possible for prompt
delivery.
5.7 Display of Exhibits
Displayed items shall not create inconveniences to visitors and shall be kept within the
booth line. If the Exhibitor fails to conform to this rule, the Organizer’s office may
demand those items to be relocated. This rule is designed to give equal opportunities to
every Exhibitor in terms of space and visibility. Any item that is visible from the pathway
or other Exhibitors’ booths shall be decorated at the Exhibitor’s expense. Decoration,
lighting and audio equipment should not disturb other Exhibitors or their booths.
6. Exhibit Move-in & Move-out
6.1 Exhibits Move-in
The Exhibitor shall submit all goods and materials to be exhibited no later than 3 days
prior to move in of goods and materials.
(1) The exhibits' move-in/out shall be completed within the designated time. All
cardboard boxes and containers used for wrapping shall be removed by the Exhibitor.
(2) Additional installation, replacement or modification of exhibits' arrangement during
the exhibition period shall be prohibited. If required, work shall be implemented in
accordance with approval from Organizer's office after the exhibition-hours.
(3) A supervisor in charge of the move-in shall manage all work, staying in the booth.
The Exhibitor shall be liable for theft and damage to the exhibit during the move-in.
(4) The Exhibitor shall individually contact a rental company to hire a forklift for the
move-in/out.
(5) Note that all vehicles for work shall be placed in the parking lot behind the exhibition
center (3 hours free).
(6) Please note that no garage space is offered in the exhibition halls.
6.2 Exhibits' Move-out
The move-out shall be strictly prohibited during the exhibition period. If necessary,

approval of the move-out should be acquired from the Organizer's office. 7. Dismantling
7.1 Removal of Exhibits and Structures
(1) Shell Scheme Booths
Additional equipment and interior items shall be moved out within the period of removal.
(2) Space only Booths
Structures and remaining materials shall be completely removed. Extra expenses for
dismantling structures and materials abandoned in the exhibition halls shall be claimed to
the Exhibitor.
Ⅳ. Utility / Other Services
1. Electricity (Supply)
1.1 Installation Details
Electrical power supply shall be provided for the Exhibitor as follows.
- 220V/60Hz/Single phase
- 220V/60Hz/Triple phase
- 380V/60Hz/Triple phase
(1) Shell Scheme: Main trunk line, lighting, switch, consent, etc. shall be installed by
designated constructors (Note that additional electricity may be charged). Basically,
1kW of electricity shall be supplied free of charge.
(2) Space Only: Only a main trunk line shall be installed and the Exhibitor shall
complete the electricity work by himself. All electricity work shall be reported to the
Organizer. In the case of Space Only booths, the electrical power is not provided free of
charge. Please submit an application form after checking the total kW of all equipment
including lighting.
1.2 Attention
(1) Since electrical power is supplied in 220 Volt single phase, make sure if a down
transformer needs to be prepared.
(2) Electrical power supply shall be provided for each booth from 1 hour before opening
to half an hour after closure during the exhibition. Exhibitors demanding electricity
power supply for 24 hours should submit an application to the Organizer.
(3) Excessive use of electricity may cause fire accidents. All electricity work shall be
carried out by registered electricity constructors.
(4) The Exhibitor shall apply for electrical power for both lighting and machines to
prevent fire caused by excessive use of electricity. Compensation in the case of fire
may be claimed to the Exhibitor.
(5) The Exhibitor shall install interior lamps, fluorescent lamps, incandescent electric
lamps, taking fire prevention measures into account. All materials shall be
incombustibles.
(6) Exhibitors who temporarily need to use electricity for a trial of operation for
machinery are required to submit an application form for work. Use of compressors,
power saws, electric grinders, etc. is strictly prohibited.
(7) Since electrical equipments are stored under trench covers, use of water in the

exhibition halls is strictly prohibited.
2. Additional Furniture/Telephone/Internet Lines/Others
(1) Upon the request of the Exhibitor, the Organizer shall install additional facilities in
the exhibition booth.
(2) In any event that telephones or other facilities are lost, damaged or rendered
defective, the Exhibitor shall be liable for repair. To order additional furniture, please
refer to the related order form.
3. Shipment/Freight
3.1 General information EXPO LOGIS INC. is able to handle all kind of exhibition goods to come for “ICE 2012” in Korea. The agency comprehensive range of services include Customs clearance, Transportation, On-site handling and Re-export arrangements handled by our fully equipped and experienced team of executives supervisors and workers. 3.2 Time Schedule (Deadline for exhibition goods)
(1) Seafreight arrival at Busan seaport: August 9, 2012(10days before moving target date)
(2) Airfreight arrival at Incheon airport: August 12, 2012(7days before moving target date)
3.3 Documets
(1) Following document are needed for customs clearance in Korea.
- Bill of Lading (B/L) or Airway Bill
- Commercial Invoice & Packing List
- Insurance Policy
* For Ocean shipment, all original (copy) shipping documents should be sent to
EXPO LOGIS INC. No later than 3days prior to the vessel arrival.
* For Air shipment, a telex / telefax pre-alert must be sent to EXPO LOGIS INC. indicating
the AWB, Flight No, Carrier’s name, Number of packing, Weight, Dimension and Name
of exhibitor / Booth number.
* Each invoice packing list should indicate as possible regarding Description, Quantities,
unit price, total amount, gross weight and Measurements.
* Exhibitors are cautioned to note that price indicated on the shipping documents must be
reasonable. Also, customs will not accept “No Value” or “Free of Charge” invoice.
Price must be mentioned for all items including consumable items.
* Separate invoice / packing list should be made for Given-away, Consumable, Literature
and other promotional materials in one separate invoice from those of exhibits.

3.4 Packing
All items should be packed separately according to the following three categories.
- Category A : TEMPORARY IMPORT
- Category B : Items accompanied A.T.A Carnet.

Please do not mix exhibits and consumables in one invoice.

3.7 Insurance
Exhibitors are highly recommended to carry an ALL-RISK insurance policy on their goods
from departure through to final destination after the show. 3.8 Import customs clearance
(1) Temporary import (BONDED) – In case of exhibition site is allowed as
“BONDED AREA” by Customs Authorities.
- SOLD Item during the show: To be removed to bonded W/H after exhibition
and then buyer can clear customs for permanent import with payment Duty & Tax.
- RETURN Item : To be transported Busan or Incheon airport after show.
Return instruction should be known to us at least one days before show is over.
Otherwise, The shipment would be charged from show-site to B w/h additionally

(2) Permanent import (for FREE-Distribution)
- Consumable goods such as leaflet (100% Duty Free), Give away and other
Promotional items valued less then US$5.00 (C.I.F value) per piece are Duty
Free. However, such items must be reasonable in quantity and in price in the
option of Customs. Otherwise, such items shall be dutiable
Consumable goods should be marked such as weight, quantity over the
Packing List & Commercial Invoice separately.
- Decision of “Dutiable or Duty Free” will be advised at the time of Customs
Inspection at exhibition site regardless of the afore mentioned provision.

- In accordance with the Korea Customs regulations, all items under
temporary
- (in Bond) entries are exclusively under the control of the customs authorities.
Exhibitor cannot distribute or consume any goods unless customs duties &
Taxes have been paid.
