General Information

Exhibitor Set-up of the Booth Area

Saturday 25 June 15:00 hrs – 19:00 hrs

Dismantling of the Booth Area

Tuesday 28 June 16:00 hrs –19:00 hrs

Please note that the booth itself will be set up and dismantled for you.

Shipment and Deliveries

Shipments can be sent directly to the hotel up to 10 days before the start of theconference. Please note however that the Grand Hôtel is not responsible for coveringany costs associated with import duty or taxes. This must be arranged with your ownshipping company.

Electricity

Standard supply of electrical current available is:

- single-phase 220 V, 50 cycles/hertz- three-phases 380 V, 50 cycles/hertz

Supply of 110 V, 50 cycles/hertz, 50 amp current can be provided upon request. 110/120V, 60 cycles/hertz current is not available.

Internet

WiFi internet access is provided free of charge in the Grand Hotel

Rules and Regulations for Exhibitors 

Cancellation of SpacePlease note that the cancellation deadline is 20 May 2011. After this date, no refunds will

be possible.

Changes in the Exhibition Set up PlanERA Europe reserves the right to make minor alterations to the exhibition site plan asnecessary and to accommodate the requirements of the venue, the delegates and theexhibitors. Any change will be confirmed to the exhibitor in writing.

Free Flow of DelegatesNothing may impede the free flow of delegates in the aisle, ie. nothing may be built in theaisle, nor may furniture or equipment stand in the aisle space.

Cleaning

The aisles and gangways of the exhibition areas will be kept free and clean by the hotelstaff. Cleaning of the individual booths is the responsibility of the exhibiting company.

Activities Outside of the Exhibitors BoothAll demonstrations or other promotional activities must be confined to the relevantcompany’s booth. No exhibitor will be allowed to display signs in the common areas of the hotel without prior consent from the organizers. Stand personnel, includinghostesses are not allowed to distribute items of any kind outside the confines of thecontracted exhibit booth.

Disruption of other ExhibitsERA Europe reserves the right to restrict exhibits which, because of noise, method of 

operation, materials or any other reason, become objectionable. No microphones or loudspeakers are to be used on the exhibition floor.

SecurityAlthough security will be provided for the overall protection of the exhibition, exhibitorsare entirely responsible for the security of any goods or personal belongings brought tothe exhibition. Also please note that exhibit booths must be staffed by at least oneperson during the exhibition opening times.

LiabilityERA Europe cannot accept responsibility for damage caused by an exhibitor nor for losssustained by an exhibitor. Exhibitors must carry full liability insurance for themselves,their employees, and their subcontractors. The hotel appointed subcontractors are fullycovered. CityExpo AB MAY REFUSE TO SET UP YOUR BOOTH IF AN INSURANCECERTIFICATE CANNOT BE PRESENTED.

Restrictions from the Hotel

• Display of signs or banners is not allowed within all public areas of the hotel.

• Consumables, i.e. food and beverage items, may not be brought into the hotel

(except under special permission).

• The exhibit can only be the area placed as its disposal and cannot be extendedto the other public areas of the hotel.

• The exhibitor undertakes to return the space in its original condition.

• The use of adhesive tape is prohibited on the marble floor of the foyer.

• The hotel will not advertise the exhibit except within the exhibit area itself. Anysigns and/or advertisement in the exhibit area, which the hotel may object to, willbe removed.
