This Exhibitors’ Manual is designed to assist exhibitors in planning for 20th Conference & Exhibition on Occupational Safety & Health (COSH 2017) on 18-19 September 2017 at Putrajaya International Convention Centre (PICC), Putajaya, Malaysia. Please take time to read through it, ensuring that the necessary action is taken and service forms are returned as required by their respective deadlines. Note :

1. Exhibits should not be sent to the Exhibition Hall/Venue before the booth construction has been done.

2. The Organizer will not be responsible for the safe keeping of exhibits items which arrive in advance.

3. Exhibitors much ensure that their booth shall remain open during opening hours.

4. Should there be any changes on the schedule, Official contractor will update accordingly.

5. Putrajaya International Convention Centre (PICC) is a non-smoking venue. Smoking is strictly PROHIBITED during move

in or move out periods in all areas of the venue.

GENERAL INFORMATION, RULES & REGULATION

1. SECURITY & ACCESS

This section covers aspects of security and access. Kindly make sure the relevant are submitted before the deadlines. a) All the exhibitors who working in the exhibition halls must wear official COSH 2017 Malaysia PASS at all times. b) The Organizer reserves the right to evict any Exhibitor who no wearing the official COSH 2017 together with the lanyard provided. c) The Organizer strongly recommended that exhibitors can arrange for insurance coverage during the events as well as build-up and

tear down period. Exhibitors are reminded to take good care with light, portable or attractive items after the close of exhibition. d) It is strongly recommended that the exhibitors shall be inside their booth area from 5.00pm on 19 September 2017 when the

exhibition halls are re-opened for moving-out. Although the organizer will maintain security surveillance at all time, but exhibitors are advisable that should attend inside their booth until all the items are moving out.

e) The Organizer will not accept liability for the lost/theft/damage to any exhibits at any time during the move-in, during exhibition day and move-out period, therefore the exhibitor shall be responsible for all exhibits in transit to and from within the confines of the exhibition area or venue.

f) Exhibitors must wear the Exhibitor’s Pass to enter the exhibition hall for setting up, removal of booth and during exhibition period. For general safety, exhibitors should give the pass to their working staff only. During the exhibition period, if any exhibitor does not meet with above requirement, the Organizer reserves the right to stop the exhibitors from displaying/showing/selling or distributing the relevant product at the Exhibition. The Organizer also reserves the right to terminate the exhibitor’s participation immediately without any compensation.

2. INSURANCE a) The Organizer will not responsible or be liable to any exhibitor, their employees, contractors or agents in respect of any direct or

indirect loss or damage to any exhibit or property or injury to person, arising out of or in any way connected with the exhibition. Exhibitors are strongly advised to arrange insurance coverage against such loss or damage, including risk of fire, natural disaster or any act of god throughout the duration of the exhibition.

b) Exhibitors will be responsible for the loss or damage to property (include those belonging to other Exhibitors and person) or injury caused by themselves, their employee or agents. Every Exhibitor who participating in this exhibition will INDEMNIFY the Organizer against all claim of whatever nature (which may be made against the Organizer) arising out of or in any way connected with such exhibitor’s participation in the exhibition.

c) All Exhibitors must purchase indemnity insurance to cover public liability and all risks in respect of loss or damage to goods and property as well as injury to person or any legal liability claim from third parties.

3. LIFTS & ESCALATORS Delivery of exhibits or hand carry items by personal four-wheel trolley or fordable trolley must be used and only permissible to and from loading bay.

4. COMPANY NAME ON EXHIBITION BOOTH & EXHIBITION DIRECTORY

Exhibitors’ company names as stated in the application will be printed on booth fascia and exhibition layout plan. The name which shows on the booth’s fascia/decoration (for customized booth) must be same as the name of directory. Exhibitor who wish to show their brand/publication name or group company name on their fascia/decoration which differ with the name of directory, MUST request and obtain prior approval from Organizer, by providing the relevant documentation, to prove that the exhibitor’s company is the brand/publication owner or is appropriately licensed thereby, or is a member of the same group of companies as the exhibitor, at least 3 month before the commencement of the Exhibition. The Organizer reserve the right NOT to accept any exhibitor’s request if the documentation is not completed. No display of brands/publication name or other company names on booth fascia/decoration is permitted where the exhibitor has complied with this paragraph, and the Organizer reserves the right to request Exhibitors to change their booth fascia/design or amend the decoration of booth in case of non-compliance.

5. BRANDING

Exhibitors are strictly forbidden to sublet or share the booth area to or with any third party. Any exhibitor who found of this sub-letting prohibition will be asked to remove all illegitimate third party business cards, materials and exhibits (promotional or otherwise) from its booth area IMMEDIATELY at its own cost and also will be banned from taking part in all the COSH 2017. An exhibitor may also promote, distribute or display exhibits, printed matters or graphic materials bearing the name of its wholly-owned, subsidiary or Third Party Company having a formal agreement with itself appointing the exhibitor as agent or distributor of the third company, or allow the employee of such subsidiary or third party company to run business for such subsidiary or third party company at its booth area. Exhibitors are reminded to obtain prior written permission from the Organizer if the exhibitors wish to conduct the said activities for their subsidiary or Third Party Company. Exhibitors are required to provide some form of documentation to conform the relationship between the exhibitors and the relevant subsidiary or third party company when application is submitted.

6. DISPLAY/SELLING PUBLICATIONS Acceptable exhibits should be products, multimedia products which related to company’s works and audio-visual publishing (eg: introduction on company’s profile, company’s background, job’s description etc) The exhibitors should occupied at least 60% of the display area of each booth with the relevant exhibits and products. If any exhibitors wish to distribute/sell some souvenirs and gifts items in promoting the main exhibits, such products should not exceed 10% of the booth are. The exhibitor need to submit the list of souvenirs and gifts items to the Organizer at least one month prior to the opening of the Exhibition and get the approval.

7. UNSUITABLE PUBLICATIONS The Exhibitors shall ensure that the exhibits which prohibited by Malaysia law are not display to the public. The expenses incurred in the removal of the said exhibits should bear by the Exhibitor and all claim for compensation by the aggrieved party should indemnify to the Organizer if any.

8. SECURITY & SAFETY The Organizer reserves the right to limit any constructions or demonstrations that pose as potential safety hazards. Inflammable materials are strictly prohibited in the Exhibition Hall.

9. FIRE SAFETY All fire protection system, exits and evacuation routes must not be obstructed. No item may remain within 3 meters of any exit. Storage of any combustible materials within the Exhibition Hall is prohibited. Or any toxic or hazardous materials which include flammable liquid and compressed gas are prohibited. If any exhibitors wish to use gas stove which uses only gas cylinders or canisters, please inform the Organizer or Official Contractor for approval.

10. BALLOONS Toy balloons which contain helium are PROHIBITED.

11. AIR CONDITIONG Air conditioning is not provided during build-up day and dismantle day.

12. AISLE Exhibitors are not permitted at any time to obstruct of any aisle space (yellow box), or obstruct access to the emergency exit, fire hose and fire extinguisher cabinet or building control access door or open panels, etc. Please remember to keep all your exhibits inside your booth area all the times. The Organizer, Official Contractor or venue owner reserve the right to have any items obstructing or restricting access to the above removed at the exhibitors cost, without any liability for loss and damage.

13. COPYRIGHT Any exhibitor intending to use any film, video tapes, sound or other material which is covered by any type of copyright, is required to obtain approval from the appropriate authorities and to indemnify the Organizer from any claims that may arise.

14. TRADE EXHIBITION MANAGEMENT

The Organizer reserves the right to be the sole judge of any exhibits and may at its sole discretion, require any exhibit to be immobilized or removed.

15. ANIMALS Live animals are not permitted in the Exhibition Hall (unless the animals are related with the purpose of the exhibition.

16. LOSS OR DAMAGE a) The Exhibitor acknowledge its awareness that the person appointed to the Organizer to undertake any official tasks including the

official contactor and the official freight forwarder are independent contractors and not agents of the Organizer. b) The Organizer shall not be liable to or responsible in any manner whatsoever for any loss or damage to the exhibitors property

(including the Exhibition Materials) or any part thereof howsoever caused whether by the aforesaid official contractor or the freight forwarder or arising from or shipment to or from the exhibition premises or otherwise.

17. DRAPES Material used for lining, drapes or overhead structure or as part of the theme or display to the public must be rendered non-flammable as per “The Malaysia Fire &Rescue Department” requirement. The use of flammable materials is strictly prohibited unless treated with fire retardant.

18. PUBLICITY / PROMOTIONAL EVENT If exhibitor would like to organize public/promotional events within their own booths which might easily attract crowds, separate written application must be submitted to the organizer at least 3 weeks period to the commencement of the COSH 2017. Full particulars of the proposed event (including the nature of the event participants’ name and the details of the activity, etc) must be included in the written application. The Organizer reserves the right to turn down the application, or require the exhibitor to change the proposed event and make a fresh application, the proposed event to be carried out is not in line with the image of COSH 2017, may raise public safety problems (eg: crowd control issues), or is not suitable to be held during the exhibition period of COSH 2017. Where the exhibitor intends to hold in the booth or in the public area any donation campaigns or other events required to be held with a license, the exhibitor must obtain the necessary license from the relevant government body prior to exhibition at the COSH 2017. The organizer has the right to turn down any application for events not so licensed. Any such unlicensed events cannot held at the COSH 2017. The Organizer has the right to immediately terminate such as that comes to its attention. Exhibitors also need to provide sufficient staff to maintain order at the venue. If the public/promotional events carried out by an exhibitor attract a crowd and /or affect traffic of people/order at the venue or the normal operation of other exhibitors nearby, re-locate the Organizer has the right to immediately such publicity/promotional events to an appropriate location or immediately terminate the relevant event. The Organizer reserves the right to, at any time, ban any event undertake without prior written approval or which contravenes the Term and Conditions or any terms and conditions imposed by the Organizer from time to time. Publicity Materials of any exhibitor may only be distributed from the Exhibitor’s own booth. No advertising, demonstration such as mascot, “sandwich man” or canvassing for business may be carried out anywhere else within the Exhibition Venue. No exhibits or advertising sings shall be placed.

19. LEFTOVER GOODS IN THE HALL Exhibitors shall take full responsibility toward goods that they left in the hall after the exhibition / during dismantle. Exhibitors who need the official Contractor to keep their goods will be charged based on the quantity of goods, transportation, storage, and labour. Exhibitors are not allowed to bargain for the charges.

20. CLEANLINESS Exhibitors are fully responsible for keeping their own booth clean during the exhibition. Exhibitors are only allowed to litter the unwanted things/garbage at the garbage at the garbage disposal area.

21. SPECIAL PROVISION The Organizer reserves the right to amend and make charge when deemed necessary.

22. DISCLAIMER

The Organizer shall not liable to any claim for compensation by the Exhibitors in the Exhibition is suspended or cancelled due to floods, fire, power failures, riots, or any disruptions beyond the control of the Organizer. All audio-visual equipment must generate a noise level which does not cause any annoyance or inconvenience to other Exhibitors or visitors. Public Announcement system (P.A System) is prohibited at all Exhibitors’ booth area. Work of any kind carried out at the Exhibition Hall must conform to the current local laws and regulations in force in Malaysia and those specified by the Organizer. This applies to the Exhibitor, its agent, contractors and subcontractors. All of the exhibitor’s identification staff/workers should have valid visa for foreign workers. The Organizer reserve the right to stop any work which contravenes with any of these laws and regulations and the Exhibitor shall have no claim against the organizer or its agent for any loss or damage relating thereto. If the exhibitor fails to comply with the above rules or the directions of the Organizer, the Organizer reserves the right to penalize such exhibitor, including but not limited to by delaying such exhibitor’s turn in selecting a stand for the COSH 2017 in the following year, or to cancel its entitlement to exhibit in future at COSH 2017.

FORM 5 INDEMNITY LETTER

RULES & REGULATIONS TO ALL NON-OFFICIAL CONTRACTORS

COSH 2017, 18-19 September 2017 Venue: Putajaya International City Centre,(PICC), Putrajaya It is the responsibility of the contractor to ensure all regulations, policies and deadlines outlined in the Contractor‘s

Regulations during COSH 2017 are observed carefully and performed by the Contractor involved in Exhibition. The

following guidelines must be adhered to:-

Part 1 PICC Rules and Regulations.

1. All non-official contractors are required to register with the Official Main Exhibition Contractor.

2. No build-up materials are allowed to pile into the aisle/gangways, loading bay obstruct fire exit door and

firefighting equipment. Please remember to keep your entire materials inside your stand at all times.

3. Covered footwear must be worn at all times whilst working on site. No thongs, sandals or open-toed shoes are

allowed.

4. No consumption of food items is allowed either at the back-of-house, loading docks, along the venue or in the

public areas.

5. Material used for lining, drapes or overhead structure or as part of the theme or display to the public must be

unless treated with fire retardant.

6. No persons under age 18 years old are permitted to enter or work on the premises.

7. Smoking is not allowed at any time in the Halls and associated work areas.

8. All contractors and their employees are strictly prohibited from using the guest’s toilet facilities or loitering at

the lobby and guests area

9. All contractors must wear a pass supplied by the Event Organiser or the Official Exhibition Contractor all the

times when entering the Centre.

10. All contractors must ensure the removal of all debris, rubbish and packing materials from the premises.

11. Activities which generate dust such as welding, sanding sawing are strictly prohibited. Stand structure shall pre-

fabricate off site and no major painting is permitted.

12. Only non-toxic primarily water-based, paints are permitted. Any liquid chemical in bottle must be label and Spray

painting is not allowed within the centre.

13. Proper scaffolding, including ladders and work platforms, must be used for any construction activities above 3m

in height within the venue and must comply with the relevant safety and health regulations.

14. Personal Protection Equipment and the use of hard hats is mandatory when working at height above 2 metres or

in restricted dangerous and or hazardous areas.

15. The workers also need to wear suitable protective clothing and appropriate protective accessories for eyes, ears,

feet and hands where relevant. When an access platform is not practicable, an alternative is to provide safety

harness which can protect workers from falling from working areas.

16. No obstacles to be placed in the aisles and all parts of an exhibit are to be contained within the stand.

17. Unruly or unacceptable behaviour and violent acts are strictly prohibited. People acting without due care for

others or not following directions of Security personnel may be evicted from site.

18. Any person caught committing unsafe work practices and or non-compliance activities will be prohibited from

working in Shangri-La Hotel Kuala Lumpur.

19. The Security Department deals with all reported incidents. Any incidents occur during the build and tear down

activity, the contractors should report to the Security Department.

20. Any incidental damage for non-compliance for this restricted height will be liable for compensation to the venue

for damage.

Part 2 : COSH 2017 Rules and Regulations

1. All contractors to ensure all the waste construction materials are cleared from the loading bay and exhibition during installation and dismantle. The appointed contractor will be charged a penalty and disposal fee from the performance bond if any materials found left at the loading bay or exhibition hall.

2. All contractors must follow the assigned move in/move out schedule arranged by Official Contractor to ensure the loading/unloading run smoothly.

3. It is the responsibility of space only exhibitors to ensure that their stand number is incorporated within their stand design and is clearly displayed.

4. For special construct booth, RM 30.00 per sqm administrative fee and Performance Bond shall be made to Pico International (M) Sdn Bhd before 17th August 2017.

5. Sharing of power socket among booth during build up is strictly prohibited.

6. Power socket and 30Amp 3 Phase power is only meant for machinery use. The usage of power extension cord in the exhibition hall is strictly prohibited.

7. Lighting Connection (maximum 100W per fitting) has to be ordered for every lighting items fitted at the booth.

8. An official warning letter will be issued and a penalty fee will be imposed by the official contractor to outside contractor who do not comply to venue and show rules & regulations (as spelled out in this indemnity letter) after verbal warning is given.

9. No exhibit or decorative items, including TV screen, light fitting is allowed to place beyond the contracted booth area.

10. Round edges at the four corners of the booth are required for any raised up platform. ‘Caution tape’ is deemed necessary at all edging of platform that may cause hazard to the visitors.

11. For double storey design stand (if any), the upper level should be maximum 50% or less of the contracted space area. The signage of ‘Maximum Weight and People allowed at any one time’ on the upper level must be prominently displayed.

12. In the event of using fabric as part of the stand design, kindly provide the certificate of fire retardant as a proof.

13. No Exhibitor may place any display material and exhibit or allow dividing wall or any part of their stand design

and fittings beyond their contracted boundary.

14. Open frontages: All stands, irrespective of height must have at least 50% of any frontages facing an aisle open or fitted with transparent (clear see-through) materials. This area must be left visibly free of obstruction.

15. Exhibitor occupying perimeter space must include in their design a back wall for their stand. Failure to do this will result in the Organiser building this wall on the Exhibitor's behalf and re-charging the cost to the exhibitor or the appointed contractor of the exhibitor.

16. All booth designs and construction must comply with guidelines, rules and regulations laid down by the relevant

government authorities, as well as both Organiser and the exhibition hall owner's requirements.

17. Stand designs and layout plans must be submitted to the officials at least 1 month prior to the exhibition. Only upon approval, can the contractor commence work on site.

18. The booth must be constructed in accordance with the approved design and be ready within the build-up period

specified in the show rules and regulations.

19. The contractor shall ensure that the booth is dismantled in a safe, systematic and organised manner, within the specified dismantling period.

20. All booth structures are required to have:

ELECTRICAL RULES AND REGULATIONS - PICO

1. Electrical power supply:

Single-phase: 230V / 50Hz ± 5%

Three-phase: 415V / 50Hz ± 5%

2. All prices quoted include approval fees, installation, power consumption, and standby maintenance.

3. Lighting Connection:

All lighting connection work must be done by Pico. Without any exception, exhibitors including those who provide their own lighting fixtures will be charged the lighting connection. (100 watt maximum per fixture).

4. Lighting connections are charged according to the number of tubes and bulbs lighted on the stand.

5. Light boxes are charged according to the number of tubes in each light box, using the lighting hook-up or connection rate,

whichever is applicable. Exhibitors are encouraged to use tubes of higher voltage (maximum 100 watts) wherever possible.

6. Exhibitors who provide their own lighting fixture containing wiring installation must comply with the following procedures: -

Submit detailed drawings of such installation to Pico for approval.

Show proof that such installation is carried out by a registered wiring contractor with relevant Class of Certificate of Registration issued by the Energy Commission of Malaysia or its equivalent.

Use materials approved by the Energy Commission of Malaysia or its equivalent.

7. All equipment should have independent neutral & earth for equipment that require three phase power supply.

8. All exhibitors are encouraged to retest the incoming voltage before commissioning their equipment.

9. Exhibitors whose lighting fixtures are found to have been the cause of trips in power supply will be responsible for all re-energisation.

10. Exhibitors are encouraged to use Uninterruptible Power Supply (UPS) to prevent any immediate interruption of power supply in the event of tripping and stabilizers for sensitive equipment.

11. Each individual power point or isolator is to be restricted for the use for only (one) piece of equipment and it cannot be used for lighting purpose.

12. Exhibitors should refer to and obtain from Pico for special light terms required and pay all relevant cost directly to Pico.

13. Plans and location of electrical points have to be submitted 4 weeks before the show opening to Pico.

14. Pico reserves the right to request Exhibitors to change any wiring installation, connection etc. contained in lighting fixtures for safety reason.
