Shipping and Customs Clearance

Shipping to the conference We ask all exhibitors to send their shipment to our provider’s storage facilities. We will then work with Mendelssohn Commerce to coordinate delivery of your shipment(s) at the Sheraton Toronto Centre Hotel. All shipments should be sent to:

Ensure that all pieces are properly labeled with the following information: your company name, your contact information, the mention of “International Baccalaureate Conference”, and Mendelssohn Commerce phone number for Customs Clearance. A label template is including in this kit (page 14). Below you will find sample shipping pricing from Mendelssohn (exclusive of customs clearance), should you choose to use them as your shipping provider.

outlined in the provisions of tariff classification 9993.00.00.00 duty free, on the condition that the goods will be

exported from Canada upon the completion of the event.

The provisions of Tariff Item 9830.00.00.00 (Foreign Organization Remission Order) has also been extended to you;

please contact the Canada Revenue Agency (CRA) to request a ruling or opinion as to whether or not the

temporarily imported goods are also non-taxable for the purposes of the Goods and Services Tax/Harmonized Sales

Tax (GST/HST) at 1-613-952-8810 or visit http://www.cra-arc.gc.ca/E/pub/gp/rc4027/README.html. Furthermore,

your event must not be open to the Canadian public at large. Giveaways should not exceed twenty-five dollars

($25.00) Canadian per item. At the conclusion of your event, all remaining goods must be exported from Canada or

be duty and tax paid.

Under certain circumstances, the CBSA will require a security deposit on goods temporarily imported to Canada.

These goods are normally documented on the Temporary Admission Permit (Form E29B).

At the time of exportation, goods granted temporary admission on a Form E29B or Carnet must be presented along

with importer’s/owner’s copies of the appropriate documentation to CBSA for verification and certification. This

presentation may occur at a CBSA office inland or at the port of export, depending on the circumstances involved

and is necessary for you to receive a refund of any securities posted. Please note that the refund is not immediate.

It has been noted that you have designated Mendelssohn Event Logistics as the official customs broker to effect

customs clearance of goods destined for your event.

CBSA requires everyone seeking admission into Canada to properly declare themselves to CBSA by providing

accurate identification. CBSA will accept a valid passport as proof of citizenship.

Persons who have been convicted of any criminal offences may be inadmissible to Canada. For more information

a copy of this letter for presentation to the Border Services Officer upon their arrival to Canada.

by a commercial carrier or courier service, a copy of this letter should also be attached to any shipping documents.

Exhibitor Terms and Conditions

Exhibitors and sponsors must agree to all terms and conditions:

• Additional exhibitors will have to pay a full registration fee.

• IB Americas reserves the right to refuse to rent exhibit space or deny sponsorship to any applicant whose product or service is not consistent with the International Baccalaureate’s mission and/or is deemed to be contrary to the best interests of the organization.

• IB Americas acceptance of a sponsor, exhibitor, or advertiser does not indicate an endorsement by IB Americas of the sponsor, exhibitor, or advertiser or any of its programs, products, or services.

• Exhibitors will maintain their exhibition table(s) during all hours the exhibition hall is open.

• Exhibitors are responsible for transportation, lodging, and non-conference meals and expenses for all members of their staff.

• Exhibitors will be responsible for any electrical, additional internet (one internet connection per exhibit table registration is already included), audio visual needs as well as hotel material handling charges.

The Sponsor/Exhibitor assumes responsibility and agrees to indemnify and defend International Baccalaureate Organization and the Sheraton Toronto Centre Hotel and their respective owners, managers, subsidiaries, affiliates, employees and agents against actual liability arising from the Sponsor/Exhibitor breach of its obligations under these terms and conditions. The Sponsor/Exhibitor understands that neither the International Baccalaureate Organization nor the Sheraton Centre Toronto Hotel maintain insurance covering the Sponsor/Exhibitor property and is the sole responsibility of the Sponsor/Exhibitor to obtain such insurance.
