Venue details

Panthers Penrith is located at 123 Mulgoa Road, Penrith and the Expo will take place in the Event Centre. The interactive workshops and presentations will be held in the Hunter Room.

Exhibitor bump in

Tuesday, 19 February between 1pm-4pm. You must have all your supplies inside by 4pm on that day so we can lock the doors prior to the event. You must be ready for first guests to enter by 7:30am on Wednesday, 20 February.

Exhibitor bump out

Wednesday, 20 February 3pm-5pm. As there will be a lunch taking place during 1pm-3pm you must NOT commence packing up before 3pm.

Access to venue

Access via Event Centre Entrance adjacent to Club Reception. The Expo will take place on the 1st floor with access via escalator, stairs or lifts.

Car parking

On-site parking available at venue.

Deliveries

Deliveries can be made between 1pm-4pm on Tuesday, 19 February.

Stands

Allocated stands are 2m x 2m in size. Exhibitors are able to purchase multiple stands. All walls are black and velcro compatible. Dividing walls between stands can be removed when purchasing multiple stands. All stands will have fascia signage and numbered according to the floor plan in the event program.

Furniture

Each stand will be supplied with 2 x chairs, a trestle table and black table cloths only. Extra furniture can be hired by the stand suppliers Exhibit Systems. Please contact us if you require further information.

Fascia signage

Each stand will be supplied with 1 x fascia signage. The signage will be white with blue text. Please note that the name you supply on the booking form will be used as your stand name on the signage and is restricted to 25 characters.

The fascia signage will also display your stand location number for reference on the event program floorplan/map.

Fixing material

All stands have velcro compatible walls. You are advised to use the male side of velcro to fix items to your walls or hooks that can go over the top of the wall if it does not impact the exhibitor next to you. Strictly no nails or screws are permitted to be used at any time. Exhibitors are also advised to bring free standing promotional material such as pull up banners and brochure holders. Any damage to stands will be billed to the exhibitor.

Important

All exhibitors must stay within their exhibition stand area (2m x 2m) and their display must not protrude outside of this area. Exhibitors must only market their company within their exhibition stand and must not walk around the Expo marketing their company. This is to keep it fair to all exhibitors. Exhibition stands must keep clear of all fire doors, emergency exits and firefighting equipment.

Marketing

IRT Foundation will organise a marketing campaign to promote the Career Check Up Expo for Mature Workers leading up to the event.

Event program

An event program with floorplan, presentation times, workshop times and listing of exhibitors will be created for the event and handed out to all guests. Deadline for inclusion in the event expo program is 25 January 2019. This information will be taken from your Business Details for Publication form.

Public Liability

Exhibitors are required to have a minimum of $10 million public liability insurance. This cover must be dated to include the Career Check Up Expo for Mature Workers. Copies of certificate of currencies evidencing cover must be received by Friday, 25 January 2019. Without public liability cover, exhibitors will not be permitted to participate in the Expo.

Presentations

As part of the Career Check Up Expo for Mature Workers we will be holding presentations and workshops to assist guests on their journey to securing a position in the workforce.

Career Advisors

Career advisors will be available for our guests to speak with and gain additional insights on job seeking and/or retirement and financial planning advice. Booking appointments prior to attending will be encouraged.

Cost

Thanks to funding received by the NSW Department of Family & Community Services, there will be no cost to participate as an exhibitor. We value your time and our ultimate goal is ensuring our mature workforce is fully equipped to become or remain gainfully employed.

PromotionGuests may complete a ‘passport’ provided to them upon entry to the Expo. The passport encourages guests to visit an exhibitor from the following categories:

Guests who complete their passports will be entered into a prize draw. Completed passports will be placed in a barrel located at the event. The winner will be drawn during lunch at approximately 2:30pm on 20 February.

As an exhibitor, you have the opportunity to be included in the promotion by providing a prize and marking off a guest’s passport when they visit your stand.

1. DEFINITION – in these terms and conditions:

Booking form means the attached application form to secure a stand at the Event.

Display means the goods, products and materials of the Exhibitor displayed in the stand, including any equipment and furniture used for displaying goods, products or materials.

Equipment means the inclusions identified in the Exhibitor Information Pack.

Event means the Career Check Up Expo for Mature Workers to be held Wednesday, 20 February 2019.

Exhibitor means the person or organisation named on the Booking Form.

Guests mean the attendees of the Event.

Hire Company means the company which supplies the stands.

Hire Period means the duration of the Event.

Organiser means Illawarra Retirement Trust trading as IRT Foundation ABN 52 000 726 536.

Owner means the company which supplies the Equipment and Venue to the Exhibitor or Organiser.

Rules mean any rules, guidelines or requirements of the Organiser or Owner relating to the Event or use of the Venue.Sessions mean the time slots of presentations given during the Event where information is given to guests.Stand or Booth means the space made available for Expo used by the Exhibitor during the Event.Venue means the location where the Event is held at Panthers Penrith, 123 Mulgoa Road Penrith.

2. ACCEPTANCE – The Exhibitor agrees and acknowledges that, upon the Organiser accepting the Booking Form, a contract on these terms and conditions arises between the Organiser, and the Exhibitor. The Organiser reserves the right to refuse to accept an Exhibitor’s Booking Form at their absolute discretion.

3. WARRANTY – The Hire Company gives no warranty that the Stand is fit for the purpose required by the Exhibitor. The Exhibitor must satisfy itself as to this.

4. ALLOTMENT OF BOOTHS - Upon receipt of all exhibitors’ completed Booking Forms a map will be distributed to all exhibitors providing preference options for location of their respective Stands. The Organiser reserves the right to allocate Booths to Exhibitors at its complete discretion and the Exhibitor will not be entitled to withdraw from the Event or make objection on the basis of allocation of Booths to Exhibitors.

5. USE OF THE BOOTH - The Exhibitor will not be permitted to occupy their Booth unless all insurance conditions are met. The Exhibitor agrees to cooperate with the Organiser and other exhibitors and to abide by any rules and applicable laws relating to the use of the Venue. The Exhibitor must not use or possess any dangerous, flammable or corrosive materials in its Booth or Display, or interfere with the enjoyment of other Event attendees or exhibitors by using sound-producing equipment at a volume that can be heard outside the Booth. The Exhibitor is solely responsible for the safety of its Display within the Booth.

6. CARE OF THE BOOTH - The Exhibitor agrees to pay any costs reasonably incurred for replacement of any Equipment not returned by the Exhibitor at the end of the Event or for cleaning Equipment returned in an unclean state.

7. OWNER RECEIVING EXHIBITOR’S GOODS - If the Exhibitor fails to remove any items from the Venue after the conclusion of the Event, the Owner may dispose of those items without liability to the Exhibitor.

8. DISPLAY FOR FULL EVENT - The Exhibitor acknowledges and agrees that the Booth and Display must be kept open and attended for the duration of the Event and the Exhibitor is prohibited from closing its Booth or Display before the conclusion of the Event.

9. SUITABLE MATERIAL - The Exhibitor agrees that it will ensure that all materials displayed and distributed are of suitable content and format for the Event. The Organiser reserves the right to preclude any material proposed to be displayed or distributed by the Exhibitor, and the Exhibitor agrees to remove any such material upon the request of the Organiser.

10. NO SUBLETTING - The Exhibitor agrees and acknowledges that it will not sublet, license or assign any rights to use the Booth to any other person or organisation and will only display goods and services offered by the Exhibitor.

11. KEEP TIDY - The Exhibitor agrees to keep the Booth neat and tidy at all times during the Event, free from all rubbish, litter or materials that will detract from the professional appearance of the Booth.

12. FOOD AND DRINK - The Exhibitor agrees that the serving of food and drinks from their Booth is generally disallowed unless permitted by the Organiser. Such food and drink must be incidental and supplied in the demonstration of a product or service. It is the responsibility of the Exhibitor to comply with any health or council regulations regarding the provision of refreshments. Exhibitors may not charge for any refreshments provided at their Booth.

13. ALTERATION - The Exhibitor must not make or authorise any structural alteration to the Booth, the fixing of any fixture or chattel to the Booth or the floor, roof or walls of the Venue, or the running of any additional cables other than those incorporated in the Booth. Any damage to cables or other underground items will be repaired at the expense of the Exhibitor.

14. CABLES AND FACILITIES - All electrical, data, phone and other cabling and other available facilities must be arranged with and installed by the person or company authorised to do so by the Organiser, Owner or Hire Company. The Exhibitor agrees and acknowledges that it will enter into any agreement reasonably required in order to be provided with the facilities required by the Exhibitor.

15. LIABILITY AND INSURANCE - The Organiser will not be responsible for any loss, damage, or liability of the Exhibitor, or to any person or property of the Exhibitor, howsoever caused, including by any event beyond the control of the Organiser or to the extent permissible by law by any act, omission or negligence of the Organiser. The Exhibitor agrees that it is responsible for any third party claim arising from the Booth or Display and agrees that it is responsible to insure against any such risk to the maximum extent possible and for a minimum of $10 million. Proof of such cover is a requirement of participation in the Event.

16. MAKE UP OF EXHIBITORS AND ATTENDEES – The Exhibitor agrees that the Organiser makes no guarantees in relation to the number or make up of exhibitors and attendees at the Event. The Organiser accepts no responsibility for any loss, damage or liability incurred by the Exhibitor as a result of the number or make up of exhibitors or attendees at the Event.

17. NO ENDORSEMENT – Participation by the Exhibitor in the Event does not constitute the Organiser’s endorsement of any product or service of the Exhibitor. The Exhibitor agrees and acknowledges that it must not represent otherwise at any time before, during or after the Event without prior approval from the Organiser.

18. EXCLUSION OF WARRANTIES – To the maximum extent permitted by law, any warranties that would otherwise be implied into these terms and conditions are hereby excluded.

19. HEALTH & SAFETY – The Exhibitor must comply with all applicable work health and safety laws and standards and immediately implement and comply with any safety instructions or directions provided by the Organiser or Organiser’s delegate.

20. RISK – Use of the Equipment is at the risk of the Exhibitor during the Hire Period and at all times during which it is in the Exhibitor’s possession. The Exhibitor holds the Equipment as bailee and must take reasonable care of it.

21. INSPECTION AND REPAIR – The Owner may inspect and repair the Equipment at any time during the Hire Period.

22. REMOVAL, ALTERATION AND USE OF EQUIPMENT – The Exhibitor must not: remove the Equipment from the Venue; alter the Equipment; repair or attempt to repair the Equipment; or use the Equipment for a purpose which is different from that for which it is designed.

23. DAMAGE TO EQUIPMENT – The Exhibitor must compensate the Owner for the replacement cost of any Equipment which is damaged, lost or stolen during the Hire Period or at any time during which it is in the Exhibitor’s possession. The Exhibitor must also compensate the Owner for any other loss or expense it incurs as a result of such events. The Exhibitor acknowledges that any Equipment which has been damaged will be kept for one month after it is returned to the Owner, and then will be destroyed at the Owner’s discretion. A statutory declaration signed by the Owner as to the condition of the Equipment and the number of items delivered and/or returned is final, cannot be disputed by the Exhibitor and is admissible in legal proceeding as conclusive evidence of its contents.

24. INDEMNITY – The Exhibitor indemnifies the Organiser, its officers, employees and agents against all claims the Organiser incurs as a result of: the Exhibitor’s negligence; the Exhibitor’s breach of contract; the Exhibitor’s breach of any warranty contained in these Terms; the Exhibitor’s breach of any law; and any damage arising from contact with underground pipes or wires at the Venue.

25. OWNER NOT LIABLE – The Owner is not liable to the Exhibitor for, and is released from liability in respect of: failure to have the Equipment ready for collection when the Hire Period commences; failure to deliver the Equipment in accordance with the delivery instructions; loss, damage or injury to any person, property, animal or thing resulting from the delivery, installation, inspection, use, dismantling and collection of the Equipment, the break down or failure of the Equipment; failure to provide Equipment of the type and in the quantity represented; and defects in the installation of the Equipment at the site.

26. WEATHER – The Event will proceed in all weather conditions. Only extreme weather conditions deemed unsafe by the Organiser will require this to be revised.

27. CHANGES TO THE EVENT DATE – The Exhibitor agrees and acknowledges that the Organiser has the right to change the Event date and or location at any time by notice.
