Dear Exhibitor: On behalf of the Home Builders Association of Metropolitan Harrisburg and the Show Committee, it is my pleasure to welcome you to the 43rd Annual Pennsylvania Home Show. The Exhibitor Manual will answer your questions and provide you with the materials necessary in preparing for the Show. It contains valuable information including the forms necessary for you to order tickets, electricity and telephone service, move-in directions and more. Please take time to review this manual carefully. If you need to order tables, chairs, carpet etc. please click on the link for General Exposition Services or see the attached document for their forms. If you have any questions as you review the manual, please contact Linda McMasters at the HBA for additional information or direction. The goal of the Home Show is to provide an innovative and productive environment that is valued by both Exhibitors and Attendees. We are always looking for ideas for new features and ways to improve the Show experience for both. As an Exhibitor, your input is an important part of making the Show a success. EXHIBITOR INFORMATION
Booth Requirements 1. All exhibit back and perimeter walls must be draped or constructed to a height of eight (8) feet. The maximum booth height is twelve (12) feet, including signs. 2. Back walls may not be shared. 3. Perimeter walls (masonry) must be covered or draped. 4. Any constructed sidewalls must be finished on both sides or draped. 5. The Home Builders Association reserves its right to do the aforementioned at the expense of the Exhibitor. 6. All double printed signs, banners and any other type of signage / promotional materials that are against the back of your booth or above another exhibitors booth (s) cannot be more than 12’ high. Any and all banners, signs etc. that need to be hung and said fees for this service are the responsibility of the exhibitor. If it’s a double sided sign and you do not have the other side of the booth, the sign must be covered. Booth space must be contiguous and no subletting of your booth is allowed.
Booth Cancellation Policy Cancellations of exhibit space must be made in writing. 30% of the total price of booth(s) will be charged for cancella-tions made before January 5, 2017. After January 5, 2017 and until February 1, 2017, the above refund policy will ap-ply ONLY if the booth is re-rented. After February 1, 2017, ABSOLUTELY NO refunds will be made.
Electrical Wiring If you have rented a 10 X 10 or 10 X 20 or less, your space includes (1)120 volt 20 amp, which means you get 1 plug in 1 outlet provided to you at no additional cost. If you have rented a 10 X 30 or greater, your space includes (2) 120 volt 20 amp services which means you get 1 outlet top & bottom to allow for 2 plugs. If you need more electrical service than this, you can purchase additional 120 volt - 20 amp hookups as well as 208 Volt Single Phase Services. MUST BE PAID FOR IN ADVANCE. To order additional electr icity, please use the Exhibitor Electrical Order. Farm Show Com-plex electricians will work only from the list of paid exhibi-tors that the Association office provides them. They will not put in any additional electric that is not authorized by the Association. Also, not all electric lines will be dropped be-hind booths. You must bring your own extension cords and or receptacle converters. (Extension cord should be at least 50’feet long)
Plumbing Requests for special plumbing should be made to the Farm Show Complex. (717) 787-5373. Equipment Verification All equipment which is identifiable by a fixed serial number must be reported. This is a requirement of the State Farm Show Commission. Use form on page 19 of manual.
Exhibitor Badges Blank Exhibitor badges will be available at the Show Office in the EXPO Hall starting on Thursday, March 16th of the Show. Exhibitors can wear their own company badges or use the Show’s badges but one must be worn while working the show.
Exhibitor Entrances For security reasons, all exhibitors with exhibitor tickets must enter and leave the Show through the designated Ex-hibitor entrances. These entrances will be open one hour be-fore regular Show hours. On Thursday, these entrances will be open two hours before regular Show hours. These en-trances may ONLY be used by exhibitors with exhibitor tickets. Exhibitors using other tickets must use the main admission gate “Public Entrance” into Expo Hall.
Exhibitor Parking Exhibitor Parking will be in the Rear of the Expo Hall’s far corner beside the Equine Arena. PARK IN THIS LOT and refrain from parking near the PUBLIC Entrance into the Ex-po Hall. Exhibitor entrance will be in the far corner of the Expo Hall.
Music Music played must be non-licensed – needle drop music. Due to the licensing restrictions of ASCAP/BMI, recorded, commercially prepared music cannot be played in your ex-hibit space for the entertainment of show visitors. This in-cludes music from a radio or personal music player. Further, should fines be levied by these licensing organizations, they are the responsibility of the individual exhibitor who violates the licensing terms and not the responsibility of the Home Builders Association of Metropolitan Harrisburg or the Pennsylvania State Farm Show Complex. Any device pro-ducing sound must be kept to a volume or level so as not to disturb neighboring exhibitors and show attendees. If, in the opinion of the Show committee, the device is considered too loud, you will be asked to remove such device from your booth.

Outside Services Because of insurance considerations, all Exhibitors using outside contractors in the exhibit area must notify the Show Office.
Restrictions 1. No babysitting in the booth is permitted 2. Gas tank caps must be locked or taped shut 3. No gas bottles permitted in the Complex. 4. Vehicle batteries must be disconnected 5. No posting of advertising material on any walls, windows, doors, columns, etc. 6. No highly flammable or explosive materials permitted. 7. No open flames permitted. 8. No helium balloons or bumper stickers permitted. 9. No liquor or intoxicating beverage without permit. 10. Exhibitors may not tear down prior to 6:00pm on March 19th, or you will not be allowed to exhibit in the next year’s Show. 11.Smoking is allowed ONLY in Designated Areas and will be strictly enforced. 12. Doors must be kept CLOSED at all times. Anyone found propping doors open WILL BE ESCORTED FROM THE PREMISES, THEIR BOOTH DISMANTLED, AND WILL NOT BE ALLOWED TO EXHIBIT IN THE NEXT YEAR’S SHOW. 13. Any exhibitor, or their employees, who hands out extra exhibitor tickets to the general public WILL BE ESCORT-ED FROM THE PREMISES, THEIR BOOTH DISMAN-TLED, AND WILL NOT BE ALLOWED TO EXHIBIT IN THE NEXT YEAR’S SHOW.
Sales Tax License Any exhibitor doing direct sales or taking orders for mer-chandise must have a Pennsylvania Sales Tax License, and be able to show their PA license number to the Department of Revenue upon request. If you do not have one, you can obtain one by calling them at (717) 783-3239 or at www.pa100.state.pa.us.
Security Twenty-Four (24) hour guard service, which is included in the space rental charges, will be provided on the Show floor beginning Monday, March 13th and continuing to Monday, March 20, 2017 at 5:00 PM. Any Exhibitor requiring special duty services in his/her display area is responsible for all arrangements and cost. All security activities must be coordinated with Show Security. Please cooperate with all security guards, particularly at the entrances and exits. Doors to the outside, on the actual Show floors, may not be used and are not to be propped open.
Security Room Exhibitors may check equipment into the Home Show Office in the EXPO Hall. This office is locked at night. Items may be checked one hour prior to the close of the Show each day. You may pick them up one hour before the opening of the Show each day. This is an important security service, and Exhibitors are urged to take full advantage of it. To the extent that this service is provided, this does not create a bailment relationship between the Exhibitor and the Home Builders Association. Exhibitors are cautioned to use care in safeguarding exhibit materials and property during the installation period, during the Show and when the Show
is dismantled.
First Aid First Aid care will be available on Monday, March 13th to Monday, March 20, 2017 during set-up, tear down and regular show hours. The first-aid station is located in the Cameron Street Lobby. It is marked on your Exhibitor map and the Consumer Show Map as a Red Cross plus sign.
Food Areas Light snacks, sandwiches and beverages are available from State controlled concession stands within the Farm Show Complex during Show hours. ONLY LIST PROD-UCTS THAT YOU SPECIFICALLY DEAL WITH, SELL OR SERVICES YOUR COMPANY PERFORMS, and email them to [email protected]. Each word is to be separated by a semicolon ( ; ) Liability Insurance The Exhibitor, at Exhibitor’s expense, shall obtain and maintain in effect a commercial general liability insurance policy, written on an occurrence basis, that provides cover-age against claims for personal injury, death or property damage occurring on the premises of the Home Show, in-cluding, without limitation, the building and parking lots. Such policy shall afford protection with a limit of not less than One Million Dollars. ($1,000,000.00) combined sin-gle limit with respect to bodily injury, personal injury or damage to property in any one occurrence. Exhibitors shall cause the HBA to be an additional insured on such pol-icy and shall deliver to the HBA a certificate of insur-ance evidencing said coverage by February 14, 2017. It is to include the dates 3/13 to 3/20 to cover set-up, Show and tear-down. Failure by the Exhibitor to comply with the provision of this section shall result in the termi-nation of this Agreement upon written notification to the Exhibitor by the HBA and, should such termination occur, the Exhibitor shall not be entitled to a refund of any part of the rental fee.

1. Smoking is prohibited in the Farm Show Complex & Expo Center.
2. Vendors, setting up tents, canopies and membrane covering, must provide fire department with fire rating of material.
Also required are additional portable Fire Extinguishers as needed.
3. Fueling/Refueling of motorized vehicles must take place outside and away from the building.
4. Outside propane tanks shall be protected by posts or other approved physical barriers (Jersey barriers).
5. Extinguishers need to be visible, accessible and located in a conspicuous location where they will be readily accessible
and immediately available for use. These locations shall be along normal paths of travel.
6. Doors shall never be blocked or tied off.
7. If existing exit signage is blocked by a display, additional signage must be installed.
8. All exit corridors and emergency exits must be kept clear; no partial blocking will be permitted.
9. All fire alarm pull stations must be kept clear.
10. Fire extinguishers may not be covered by any drapes or hidden by any type of displays.
11. No motorized camping units or vehicles may contain more than one (1) gallon of fuel while on display.
12. All pressurized fuel tanks must be drained.
13. All fuel fills must be locked and fuel caps must be taped closed with duct tape.
14. Any living trees or shrubs are acceptable as long as the shrubbery is individually bagged and baled.
15. Artificial trees and shrubbery must be treated with a flame proofing material. The fire official may request certification
of flame proofing.
16. Any type of mulch materials must be treated with a flame proofing material, or watered daily. If treated with a flame
proofing material, certification may be requested by the fire official.
17. The Fire Prevention Code of Harrisburg will be strictly enforced.
18. No open flames, fires, burning of any kind will be permitted within the Complex. No exterior burning is allowed unless
the Department of Environmental Protection and the Bureau of Fire grant permission.

• No vehicles are allowed in any building except for unloading. Those vehicles must then be moved outside as soon as they are unloaded. This will be strictly enforced. Please bring your own hand carts.
• Dock use is for vehicle unloading ONLY. No unattended vehicles permitted. • In case of inclement weather, vehicles will not be allowed in any halls. • No display may extend beyond the 10’ width booth mark. Includes but not limited to trailers, steps, display racks etc. • Please do not leave hand tools, etc., in booths unattended. • Exhibitors are responsible for removing any tape they use on the floor. • Exhibitors will not be allowed to move in unless the HBA has full payment of booth rental. • After your move-in day, you may begin work at 8:00 am each day. All doors will be locked and the building closed each day at 9:00 pm

Discount Tickets Exhibitors may purchase a maximum of 150 discount tickets, at a cost of $5.00 each. This is a savings of $5.00 off the regular adult admission. To order discount tickets, use the form on page 16 of this manual.
Exhibitor Punch Tickets 1. All Exhibitors will receive a certain amount of exhibitor punch tickets depending on your
booth size. 2. These punch tickets are good for all (4) four days. One punch per day. If you plan to leave
and re-enter the Show on the same day, please have your hand stamped by the guards at the Exhibitor entrances.
3. Only exhibitor ticket cards will be accepted at the Exhibitor entrances. If you are using a discount ticket, please use the regular admission entrance.
4. Exhibitors with 1 sq. ft. up to but not exceeding 200 sq. ft. of exhibit space will receive 3* exhibitor punch tickets.
5. Exhibitors with 201 sq. ft. up to but not exceeding 799 sq. ft. will receive 6* exhibitor punch tickets.
6. Exhibitors with 800 sq. ft. and over will receive 8* exhibitor punch tickets. 7. Exhibitors will not receive any exhibitor punch tickets unless the HBA office has a signed
contract and payment in full for booth space. 8. If you need additional exhibitor punch tickets, you may purchase them for $20.00 each.

As per your 2017 PA Home Show Contract, you are required to provide a Certificate of Commercial General Liability Insurance. The following re-quirements must be met. The Exhibitor, at Exhibitor’s expense, shall obtain and maintain in effect a commercial general liability insurance policy, writ-ten on an occurrence basis, that provides coverage against claims for per-sonal injury, death or property damage occurring on the premises of the Home Show, including, without limitation, the building and parking lots. Such policy shall afford protection with a limit of not less than One Million Dollars. ($1,000,000.00) combined single limit with respect to bodily inju-ry, personal injury or damage to property in any one occurrence. Exhibitors shall cause the Home Builders Association of Metropolitan Harrisburg to be an additional insured on such policy and shall deliver to the HBA a certifi-cate of insurance evidencing said coverage. Failure by the Exhibitor to comply with the provision of this section shall result in the termination of this Agreement upon written notification to the Exhibitor by the HBA and, should such termination occur, the Exhibitor shall not be entitled to a refund of any part of the rental fee.
