Word processor (Microsoft word)

For Assignment 3.1 I was required to use a word processing software to create a user guide showing the different components which are inside of a computer system.

I decided to use a word processing software for creating my user guide because I wanted to use create a professional looking user guide and a word processing software is the industry standard to achieve this due to the fact that a word processor is capable of spellchecking and displaying a large amount of text in a readable form. I used this word processing software as opposed to blog because this format is more capable of showing a lot of information in one place.

Presentation software (PowerPoint)

For assignment 1.4 I was required to give a presentation using PowerPoint to show the cultural differences in communication to the other students in my class.

I have decided to use PowerPoint as opposed to a word processor because it is capable of showing information in a slideshow format which makes it easier to partition the information so the viewers don’t get lost in a large wall of text.

Email (outlook)

I have been using email to contact my tutors whenever I have a query. I have also been receiving messages from the college via email.

Font, image embed, hyperlinking, sending message, receiving message

I have decided to use Email as my primary method of communicating because it is capable of archiving previous messages so I can read them later or refer to them if I need to offline as they are stored on my email client as opposed to instant messaging where I would need a constant internet connection to view my messages.

Web browser (google chrome)

I have been using a web browser software in able to access the internet where most of my research has been carried out. I have also been using the internet to download the documents which are required for me to finish all my assignments. I can also check my email and instant messaging using the web browser.

Upload, download

I have decided to use the internet because it is essential for me to upload my work. It also allows me to carry out my research.it also allows me to connect to other communication technology such as email and instant messaging

Blog (WordPress)

For assignment 3.4 I was required to create a blog which shows my progress while I was setting up and configuring a computer system.

Font, font size, font face, image embedding, tags

I used a blog to show my progression while setting up and configuring a computer system because a blog is an ideal format to show the progression that I have made in chronological order compared to other software such as PowerPoint.

Instant messaging (Moodle)

I have decided to use the instant messaging feature that is available on the college website; this allows me to contact my tutors in real time.

Font, send message, receive message

I have decided to use instant messaging alongside with emails because this allows me to communicate with my tutors in real time if they happen to be online. Instant messaging is better than emails in regards to the ease of sending messages instantly.

D2: Justify the use of the IT used to aid communication

Word processor

I have chosen to use a word processor (Microsoft word) to do my user guide for assignment 3.1. I will be reviewing some of the alternative choices that I could have done this user guide on.

Social media

I could have created a user guide on a social media website such as Facebook by typing down all the information as a big post. The pros that this can bring includes the fact that it reaches a lot more people instantly as it pops up to their news feed, it can be accessed by anyone who has an internet connection and if it gains popularity then it may be listed high up on the search engines. However the cons are that it cannot be viewed offline, there are no choices for formatting the text or font and either all the information must be posted in one single post making it hard to read or the information will need to be posted in separate posts which makes the user guide hard to navigate.

Image file

I could have created the user guide with an image format such as a jpg or a png. I could have made an infographic style image to display the information that the user wants. The pros that this can bring includes the fact that the image file could be read offline, you have full control of how you would like the user guide to look visually if you used a graphics software such as Photoshop and most windows computer comes with a software which allows the user to view the image without the need to install additional software. The cons includes the fact that it takes much longer to create a visually appealing infographic than if you were to create a word document, infographics could contain less detail than a word document due to the fact that it focuses more on being visually appealing rather than being in depth and the file size could be rather large if the image was done in high detail and saved in a lossless format.

Audio book

I could create a user guide through the medium of audio by recording myself. The advantage of this is that it provides more accessibility to people who may be vision impaired and some people learn better through listening rather than reading. This disadvantage of this medium is that there is a lack of clear text documentation which makes it difficult to find specific information.

Conclusion

I have chosen the word processor to do my user guide because it offers all the functionality that I would need. These functionality includes the ability to add images, being able to add header and footer information so that the user would know the context of the document and be able to follow the instructions in the correct order through the page numbers, being able to customise my font, font size and styles of the font and being able to index my work in the navigational pane so that the user could look up the information that they want with ease. With these functionalities I could be able to more clearly convey the information that I am trying to get across. An example of this could be that I could make the font bold on parts that I want to clearly emphasise.
