What we are doing now?

• We have manual process of raising request..• Requester has to raise it on a paper.• Get signed it with approved signatories. • If anything particular item related IT. It has to be signed with IT person. • Warehouse received that request, and pool up related stock codes. And put

them into related open fields with respect to given description.• It then create a issue note in a PeopleSoft. • Then user has to receive it from Warehouse

Where we can improve?

• We can bring transparent system where we can track our stock consumptions .• Optimizing the need – resulting cost saving. Supervisors can ensure

this.• Stock codes are needed to be correctly filled. • Simplify the dispatch process by warehouse.

What can be done?

• To bridge the same online process as we have in AKUH for raising requests.

• We have two options to implement this. A. Enabling PeopleSoft request system

(Not Possible, as workflows are not defined for secondary hospitals… we can only use this option for only two department that is Food Service and Housekeeping as there stock requests are directly replenish by main warehouse.

B. Development of Ancillary System supporting the purpose. Applicable to all user departments where stock requests are to be replenish by Kharadar

hospital warehouse.

Bringing change….

• Development of an online web based software as a full In-House made… (all requirements can be efficiently taken care)• User can raise a request and get approved it online with supervisor. • After request is approved online, it moves to warehouse.• User can now be facilitated on desk• Warehouse can distribute on all past day requests.• Urgent request can also taken care with similar process.

Some improvement for next quarter. • Additional Email Alert on changing status of requisition. • Database will be uploaded online on cloud to prevent any data loss. • Cloud hosting is already purchased for this purpose.
