How do I get my parking tag?The Parking Services building is located at the back of the campus. However, you should be able to take care of all your parking needs through the website.www.usf.edu/parking_services

How do I get my employee ID card?The USFCard is the official identification card of the Uni-versity of South Florida. Replacement cards are $15.

PROCEDURES FOR OBTAINING AN USF ID card Your U-number must be in the system before an ID card can be issued. This typically takes 48 after the comple-tion of your new hire paperwork.

· Persons requesting an ID must visit the ID center located on the first floor of Student Services Building (SVC)

· Legal identification (passport, driver’s license, or State/Government Photo Identification card) must be presented to obtain an ID.

· Customers may pay with Visa/MasterCard, Cash, Check, or BullBucks. Hours: Monday - Thursday: 9:00am-6:00pm, Friday: 9:00am-5:00pm For more information, please call (813) 974-2357.

Do I get discounts and perks? You sure do!· Visit www.usf.edu/hr/benefits and click “work/

life programs” for a directory of discounts and info about programs such as child care, tuition programs, transportation, and more.

What about a gym/recreational activities?

Center’s fitness floor, upper gym, lower gym, equipment check-out, group fitness classes, indoor pool and racquetball courts.

• Currently Campus Recreation accepts VISA/Master-Card and payroll deduction (annual faculty/staff memberships only).

• Intramural Sports: USF Faculty and Staff must pur-chase a Campus Recreation membership in order to participate in any Intramural activity.

• Outdoor Recreation: Campus Recreation members can checkout bikes with NO Rental Fee. NON USF Campus Recreation members with a USF ID are eligible to RENT BIKES for a $10 rental. NON USF Campus Recreation members can rent camping/trip gear with a USF ID.

Welcome to USF and the start of an exciting journey with one of the fastest growing research institutions in the country!

This guide has been designed to provide you with information and resources that will help you become successful as you start your USF career. We’ve started with what you can expect and should review in your first week. The remaining sections will guide you on information that will help you the first month and beyond.

Each USF department has a dedicated team to provide answers on benefits, payroll, employee relations, and other HR Services. Please let us know how we can make your new employee experience even better.

You will probably spend a lot of time during the first week meeting your coworkers and getting to know your new office surroundings. As you do, we encourage you to jot down names, numbers, and other things you don’t want to forget in this notebook for easy reference.

The University of South Florida pays on a bi-weekly payroll cycle. Each pay period begins on Friday and ends two weeks later on Thurs-day. You will be paid for that pay period one week later on Friday.

Section 110.113 of the Florida Statutes requires that all employees, except undergraduate work study students, are required to enroll in direct deposit as a condition of employment. You may enroll in direct deposit via Gems Self- Service or by completing a Direct Deposit Au-thorization Form. Employees enrolled in Direct Deposit do not receive a printed paycheck, or a printed itemized pay statement. You may ac-cess your itemized payment statement in GEMS Self-Service.

In addition to direct deposit enrollment and viewing your payment statements, GEMS Self-Service also allows you to do the following: • Make changes to your Form W4 (Fed-eral Withholding) status and number of exemptions • Change your address and phone num-bers • Request leave • View your salary history • Enroll for electronic W-2; view and print your W-2 • Register for training classes

PAYROLL PARKINGAll USF faculty and staff electing to park on campus are required to have valid parking permits displayed in vehicles on campus at all times. Permits may be purchased through USF Tampa Campus Parking & Transportation Ser-vices by logging into the parking account that is created for you within 48 hours of activating your USF NetID. Many employees purchase “E” permits that are valid in any lot or space designated “E.” “E” lots are spread throughout campus and can be found near most build-ings and offices. Some employees prefer to purchase “Y” permits, which offer a more cost effective Park-N-Ride option. “Y” permits allow for parking in lots 18 and 43 and use of the USF Bull Runner, a campus bus, to get to destina-tions on campus. Gold zone “GZ” permits are considered prime parking and are sold on a first come, first served basis.

Permits are available by the academic year or semester and are prorated depending on the date of purchase. For permits purchased by early August for the new academic year, certain employees may qualify to opt for pay-ments made through payroll deductions.

EMPLOYEE RELATIONSEmployee Relations (ER) provides education, training, mentoring and guidance to individual employees, supervisors, managers and admin-istrators to address questions and workplace issues for non-Faculty employees. ER Consultants work with managers and indi-vidual employees on effective employee-man-ager communications and provide individual coaching to improve employee performance and resolve conflicts and problems before the point of formal corrective action and griev-ance.

ER Consultants advise on and interpret univer-sity policies, procedures, regulations, labor con-tracts, and key state statutes and federal laws.

Many issues presented by customers are com-plex, involving more than one functional area in HR. Customers can contact a member of their Service Center who will assist them in re-solving their issues. HR Organizational Development (HROD) provides training and development programs for all university employees. We provide employees with the training to learn USF business systems and procedures in their jobs, and professional development programs to grow and expand their role in the university.

ServicesWe provide services in technical training, data management, program support services, professional learning and organization development.

Technical Training CenterThe Technical Training Center is equipped with 12 computer stations located in SVC 2068. The Center serves the technical/functional training mission by:• Providing skill training for business systems, such as GEMS, FAST, and OASIS• Delivering training on commonly-used software such as Microsoft Office

Data Management and Support ServicesWe support training activities by coordinating training events, administering registration, tracking participation, and providing evaluations.

Professional development offerings and services are provided to assist employees in meeting performance and developmental objectives established in the Performance, Planning, and Communication Process. Programs and offerings are identified on the HR Organizational Development (HROD) web site by competency and/or by job function.

Competencies are defined as sets of knowledge, skills, abilities and behaviors needed for job success. There are seven competencies identified on the website. Program offerings are listed under individual competencies. You and your manager determine together the competencies critical to success in your current or future job role. Once you know that, you will be able to determine which development activities are needed to improve designated competencies.

Your job function or role is described in your position description and in conversa-tion with your supervisor regarding your job duties. Our program offerings are aimed at employees in management/supervisory roles, academic support, office management, trainers, and front-line service providers.

AWARDS & RECOGNITION PROGRAMS Recognition is an important part of our culture at USF. LEARNING PLAN DEVELOPMENT

Tips for Creating a Learning Plan

The individual learning plan will identify the areas you most want to develop and the most effective methods to acquire skills and improve performance.

1. Make a list of developmental needs and review with your supervisor. For example:

• I want to speak up more in meetings and make a contribution in problem solving and in expressing what I need to accomplish my goals.

• I want to be more confident in my presentation abilities in small groups or when presenting status reports to my manager and to clients.

• I need to build a more productive relationship with a coworker that I usually disagree with.

• I need to learn the latest upgrades to the current business systems. I need skills in the areas of budgeting and IT.

• I am becoming more responsible for several administrative processes in our area. I could use better skills in improving the flow of paper through our department.

2. Develop learning objectives based on your developmental needs. For example:

• Demonstrate the ability to use effective communication skills in staff meetings, and in gaining cooperation with peers.

• Successfully contribute to group problem solving by applying more effective methods of analyzing root causes and generating solutions.

• Apply skills in active listening and resolving disagreements in productive manners.

• Increase efficiency in assembling information for displaying data for regular reports available in the business system.

• Demonstrate skills in administrative processes.

3. Consider the variety of resources and actions available to accomplish learning objectives. These include:

Staff development is critical for employee and university growth. Planning for development with one’s supervisor is essential in identifying the knowledge and skills necessary to achieve department and organization objectives.

Employee Tuition ProgramAt USF, employees are encouraged to pursue continuous learning, including taking USF courses. USF offers the Employee Tuition Program (ETP) to help our employees waive tuition costs of up to 6 credit hours per semester. Employee Assistance ProgramThe Employee Assistance Program (EAP) is a service program designed to assist employees with personal, family, or workplace concerns. The EAP professional staff seeks to enhance the emotional functioning of employees and to respond to the needs of faculty and staff through various educational and psychological interventions including assessment, crisis intervention, psychological counseling, substance abuse services, couples counseling, career counseling, seminars, consultation, and information/referral services.

USF Preschool Center for Creative Learning The USF Preschool Center for Creative Learning features a curriculum that emphasizes the process of learning. MoBull Messenger is part of USF’s Emergency Notification System, but it requires indi-viduals to “opt in” for this important service. The service is free; however, standard text messaging rates may apply. Check with your carrier for details on your plan. The University strongly recommends all faculty, staff, and students sign up for this critical emergency service.

EyeWitness is a tool that gives students, faculty, and staff an easy and confidential way to report criminal activity to help keep USF safe! Registered MoBull Messenger users can send anonymous crime tips and reports to the University Police via text messaging.

Once you’ve signed up for MoBull Messenger at mobull.usf.edu, USF offers to additional free, voluntary “opt in” emergency services:

Guardian works like a “pocket blue phone” by turning a cell phone into a mobile safety device. Subscribers can activate a “precautionary timer” as they travel from one area of the campus to another. The timer is set as the individual leaves a location and will alert the University Police if that person does not call to cancel the timer in a specified amount of time.

Smart911 provides emergency responders with critical personal data about a subscriber. Having this information available to emergency responders can improve outcomes of emergency calls. This service is only available for USF Tampa and can only be used while on campus.

The safety of students, faculty, and staff is a top priority at the University of South Florida. In the event of an emergency, USF activates its Emergency Notification System (ENS) which includes cell phone messages via MoBull Messenger, the USF Website, desktop alerts, emergency sirens, and digital display boards located throughout campus.
