TRANSFORMATIONAL BUSINESS SYSTEMS AND PROCESSES

Goal Six of the CHS Strategic Plan 2016 - 2020 (Resource Management and Operational Efficiency), aims at continuously improving our business processes, governance, internal controls and use of technological innovations for management of CHS resources. In this regard, CHS is implementing transformational projects, which will greatly contribute to the realisation of this strategic goal.

Enterprise Resource Planning (ERP) UpgradeIn 2011, CHS acquired and implemented basic enterprise resource planning software - Microsoft Navision Version 2009 with only two functional operating modules: HR and Finance. Over the years, the operational and business needs of CHS have continued to grow and evolve necessitating change of strategy.

As we strive to find creative ways to improve our operational efficiency and optimal resource management, we are further investing in an enhanced Microsoft Navision ERP system with additional modules, which we consider relevant to our business needs. These modules will include Human Resource, Finance, Procurement & Stores, and Business Intelligence.

When fully implemented, the impact of this investment will

stretch beyond improving our operations to providing timely information for key business decisions.

Contractor: CoreTech Systems & Solutions Limited International Financial Reporting Standards (IFRS) ConversionOver the last six years of operation, our financial operations have grown both in size and complexity, with an annual budget of US$470,000 in 2010 to approximately US$12M per year today.

From inception, we adopted and operated Generally Accepted Accounting Principles (GAAP) as the accounting framework for reporting and preparing our financial statements. To align our financial reporting processes to global trends and best practices, we seek to convert the GAAP accounting framework to the International Financial Reporting Standards (IFRS) framework. The adoption of IFRS will provide CHS with a single set of global accounting standards that require transparent and comparable information for financial statements. The new framework will further improve our compliance with statutory requirements.

Review of Policies, Development of Procedures and ProcessesWe are reviewing our Sub Recipient Management, Procurement, Finance, Human Resource and Information Communication Technology policies and developing processes and procedures.

The processes and procedures will be aligned with the reviewed policy manuals adopted in 2014. The review is geared towards ensuring effective, efficient and economic allocation and utilization of CHS resources.

Contractor: PriceWaterHouse Coopers Ltd (PWC) The Approach/MethodologyThe entire process will take a consultative approach that will involve close interactions with all stakeholders/representatives, gathering of requirements, identification of gaps, design of the processes/systems, benchmarking, testing and adoption/go live. Our Role as CHS StaffThough there is a team selected to champion and coordinate different aspects of these projects, there will be significant interaction with both the users of the system and staff. This will the take a form of interviews and presentations from the contracted consultants. This also means that there will be a significant change in how we conduct our business operations once these projects are complete. The participation of all us will be critical in ensuring success both during implementation and adoption of the new systems, processes and procedures. We are all encouraged to participate in this process.

CHS at the IAS ConferenceDr Angela McLigeyo represented CHS at the just concluded International AIDS Society conference, held in Durban, South Africa. She had three poster presentations which were shared with the conference delegates, authored by Dr Paul Wekesa, Francis Mbate, John Njenga and herself. Congratulations for a job well done... Test and STARTLast month, the Ministry of Health launched the new ‘test and START’ HIV guidelines in Nairobi. This presents a complete shift in HIV implementation programs from the initial case where clients who tested positive were started on treatment depending on their CD4 count, to a new era where all those who test positive are to immediately be put on antiretrovirals; on the same day and at the same testing site, regardless of their CD4 count. Roll-out of Child-Friendly TB MedicinesCHS, through its TB ARC activity, has been actively involved in the plans leading to the roll out of the child-friendly TB medicines set to be rolled out in October this year. These fixed dose combinations are an expected sigh of relief for about 8,000 Kenyan children infected with TB.

The Baby-Boom Continues...Brian Jessel and Kennedy Muthoka were both blessed with young ones in July. We celebrate with them for the safe deliveries and good health of both mothers and children, as we continue to wish the fathers’ a ‘quick recovery’.
