This document describes how to use the various components that make up EMC ViewPoint for SAP Controlling Line Items (CO) Module. EMC’s technology allows you to effectively manage your application data by providing the ability to define the access, retention, and service level requirements for any business transaction at each point in its lifecycle.

Audience This guide is part of the ViewPoint documentation set, and is intended for use by anyone using the ViewPoint for SAP CO Module. It is assumed that the installer has a working knowledge of SAP Basis, and has the appropriate levels of responsibilities to perform the tasks described.

IntroductionThe ViewPoint modules are constructed in modular form and cover the application modules FI, SD, MM, CO, etc. with a special program package for exactly this application. You can easily see from the name which ViewPoint module belongs to which SAP module: FI, SD, MM, CO, etc. All ViewPoint modules have in common that they can be easily installed in the SAP R/3 system via the SAP transport utilities "tp" and "SAINT". Installation details of the ViewPoint modules can be found in the EMC ViewPoint for SAP Modules Installation Manual.

This administration manual was written to make construction and administration of the ViewPoint CO Module as easy as possible. At first, data archiving with transaction SARA is discussed; the second topic is the ViewPoint index construction from the SAP archive files.

Display transactionsFrom version 2.1 of the ViewPoint CO Module, the display transactions shown below are available. The ViewPoint transactions can display and evaluate CO line items from operative tables of the SAP database as well as archived documents via the ViewPoint CO Module. For your convenience, the ViewPoint transaction codes are listed in Table 1-1, “Display transactions for ViewPoint CO Module SAP releases 4.0, 4.5, 4.6,” together with the corresponding SAP transactions.

ViewPoint Software Suite has an own naming area from release 4.0. The transactions described in this manual have names from this naming area exclusively. Integrating ViewPoint transactions into SAP menus

The transactions of the overview table in the previous section can be called directly by the ViewPoint transaction code or be integrated into user specific menus or corresponding SAP menus (from 4.6: Roles and activity menus), e.g., ’Cost center accounting (KSMN)’, ’Internal orders (KAMN)’, or ’Cost/revenue types (CEMN)’. The controlling area menus can be maintained in the following way:

Tools > ABAP/4 Workbench > Development > Other tools > Area menus > Area menu KSMN (analogue to transaction SE43).

If you do not want to modify the standard menus, the area menu which you want to change can also be copied to a name beginning with ’Z’, as shown in Figure 1-1, “Cost Center Accounting menu 'KSMN' with ViewPoint extensions.”

Alternative to the modifications of the above mentioned SAP menus (e.g., ’Cost center accounting’) you can also create or extend user specific menus. Therefore, use System > User Profile > Favorite maintenance as shown in Figure 1-2, “Control ViewPoint CO Module via dynamic menu.”

ViewPoint line item reports

As you can see from Figure 1-3, “Menu selection for line item reports (information systems),” numerous line item reports are provided for the ViewPoint CCO Module:

Compared to the original SAP transactions the ViewPoint display transactions can read and display CO line items from both data sources, the ViewPoint archive and the SAP database simultaneously. You do not have to enter the archiving object or select the SAP files. This selection is automatically carried out in the background via the archive index of the ViewPoint CO Module.

Otherwise, the functionality of the ViewPoint display transactions and reports is completely identical to the corresponding SAP transactions. For more detailed information on the functionality of the corresponding display transaction, please refer to the SAP documentation.

In the display list the archive indicator * is shown in a separate column. This archive column is automatically created in all display variants, as shown in Figure 1-5, “Display list of transaction /PBS/KSB1.”

Report/report interface

The report/report interface allows you to call the ViewPoint line item reports also from other R/3 application components.

This is especially useful for the different totals reports you can use to compare the periods in different ways. The ViewPoint line item reports can be called from these reports as well. This allows to display all line items belonging to a totals record from an extract, the database or the archive. In contrast to the original SAP line item reports, you can access the line items from the database and the ViewPoint archive simultaneously.



The CCO line item reports can be entered manually via SAP transaction GR52 into the report/report interface. From SAP release 4.0 this can be done easier via the ViewPoint utility /PBS/CCOI_BBS, as shown in Figure 1-6, “Selection screen of the ViewPoint utility /PBS/CCOI_BBS.”

In the selection screen of the utility you must select the transaction 'Enter reports into the report/report interface' and select the desired CCO line item report. If you start the utility via 'Execute F8' a list is displayed containing all sender reports (report groups), to which the SAP line item report is already assigned to. Select the desired sender report in the list and then confirm the selection again via 'Execute F8'.

The desired CCO line item report is now entered as a receiver report into the report/report interface, as shown in Figure 1-7, “Transaction /PBS/KSB1 entered into the report/report interface.”

Report trees (SAP releases up to 4.5)

If you want to link ViewPoint transactions to your own reports we recommend to proceed in the following way:

If the transaction name (e.g., KSB1) is defined directly in the report tree, you can add the corresponding ViewPoint transaction (in this example /PBS/KSB1) in this report tree, also. You get to the maintenance/definition of the report trees directly via transaction OKLS. Enter the name of the tree (e.g., RKS1) to be changed and pressed F6 (change tree).



You will get to the maintenance screen of the report tree. By clicking on the nodes, you can expand the tree, as shown in Figure 1-8, “Enhancement of report tree RKS1.”

Mark the node to be changed (e.g., RKS1-061 - Line item actual) via F2 or double click. A window is opened where you can enter the transaction name of the ViewPoint transaction (here /PBS/KSB1) via the menu: Edit > Create (F7) > Other report type > ’TR’. After you entered the transaction code, save your changes.

Navigation in the ViewPoint CO Module

ViewPoint area menus(SAP releases up to

4.5)

To avoid tedious entries of transaction or program names an own range menu has been created for the ViewPoint modules, allowing to easily call the corresponding transactions and programs. Within the different ViewPoint modules emphasis was laid on a clear structuring of the menu points, as listed in Table 1-3, “ViewPoint CO transaction names.”

In SAP releases up to 4.5 you can easily start these ViewPoint area menus by entering the indicated transaction codes (please take care to enter '/n' respectively '/o' before the actual transaction code).

In the main menu /PBS/MAIN all presently available modules of the ViewPoint modules can be accessed via corresponding menu entries, as shown in Figure 1-9, “Menu header strings of main menus /PBS/MAIN and /PBS/CCOI.”

Integrate ViewPointmodules into the user

start menu

You can integrate the start button of the ViewPoint modules into your user menu to be able to access the functionality of the ViewPoint modules easily via mouse click immediately after logon to the SAP system.

Enter the maintenance menu of your user profile via System > User Profile > Own Data and enter /PBS/PBS (for SAP releases up to 4.5) respectively /PBS/S000 (from SAP 4.6B) as start menu, as shown in Figure 1-10, “Enter the ViewPoint modules into your user start menu.”

When you enter your SAP system the next time, the usual SAP start menu appears with an additional button to start the ViewPoint main menu /PBS/MAIN via mouse click (SAP releases up to 4.5). From SAP release 4.6B, the SAP Easy Access Menu appears with additional opportunities to access the ViewPoint modules.

To enable comfortable access to the ViewPoint modules with SAP release 4.6, EMC Professional Services recommends to use the ViewPoint area menu /PBS/S000 as start menu (user settings - own data) for those users working frequently with the ViewPoint modules (please see the hints in the previous subsection 2.3.2).

Additional to the SAP standard functionality of the SAP start menu "S000", the user can easily navigate through the ViewPoint modules (and the ViewPoint fiscal year reporter, if installed) from the Easy Access menu, as shown in Figure 1-11, “Access to ViewPoint Modules via Easy Access menu.”

Furthermore, ViewPoint supplies area menus enabling quick and comfortable access to transactions and programs of the corresponding ViewPoint modules (like in previous SAP release levels). These area menus can be linked to a role which you then can access directly from the Easy Access Menu. To create or maintain a role (i.e. for the specific usage of transactions or area menus of the ViewPoint CO Module) you can use transaction PFCG.



In case you defined an own role for the main menu of ViewPoint CO Module (area menu /PBS/CCOI), you can access this role simply by clicking on button "Other menu" from the Easy Access menu as shown in Figure 1-12, “Access to role of ViewPoint CO Module via the Easy Access menu,”.

The area menus of the ViewPoint CO Module listed in the table below can be integrated in own roles (and/or activity menus). These area menus cannot be started via transaction code (in difference to the

main menus discussed in subsections “ViewPoint area menus (SAP releases up to 4.5)” on page 1-12 and “ViewPoint area menus (from SAP release 4.6)” on page 1-16. In each of the menu trees, the SAP display transactions for CO line items are substituted by the corresponding display transaction of the ViewPoint CCO Module, as listed in Table 1-4, “ViewPoint CO area menus.” Thus, complete access to the data to be evaluated is possible without further adaptation.

In case you do not use the SAP Easy Access Menu, you can use the ViewPoint area menus (in analogy to earlier SAP releases) to start the ViewPoint transactions and programs. Please exit the SAP Easy Access Menu by entering '/n', <enter> in the command field, as shown in Figure 1-13, “SAP Easy menu.”

Now you can start the ViewPoint area menus as usual by entering the transaction code (i.e., /n/PBS/CCOI). The main menu initial screen of the ViewPoint CO Module will appear. From SAP release 4.6, this main menu has been enhanced by push buttons to start the ViewPoint specific archive maintenance programs, as shown in Figure 1-14, “Menu header lines and buttons of the Main Menu /PBS/CCOI.”

Conversion of R/2 data from CCO/CCA archivesIf archived CO line items have been migrated from SAP R/2 (release 4.3 or 5.0) into SAP R/3 (release 3.x) with the ViewPoint CO Module/CCA before the implementation of ViewPoint CO Module (from 4.0B), you can migrate this data with the help of program /PBS/CCOIUMSL into release 4.x. Then you can continue to use and display this data with ViewPoint CO Module. In the ViewPoint CO Module/CCA release 3.x, the data was stored in a ViewPoint-specific format which does not correspond to the ADK standard.

All archive data archived in SAP R/3 can directly be processed for the construction of a ViewPoint archive (/PBS/CCOILOAD) in ViewPoint CO Module. But, R/2 archive data, which were migrated into a former CCO/CCA archive in SAP release 3.x must be converted into a format which can be read by load program /PBS/CCOILOAD. Program /PBS/CCOIUMSL creates archive files corresponding to the data format of archiving object CO_ITEM from the migrated R/2 data being stored in an ViewPoint archive CCO/CCA of SAP release 3.x. Then, these archive files can be processed with program /PBS/CCOILOAD as described in chapter 4.1. Please call conversion program /PBS/CCOIUMSL via the main menu of CCO:

According to your delimitations on the selection screen the conversion program accesses an existing ViewPoint archive created under release 3.0/3.1 with the ViewPoint CO Module/CCA, as shown in Figure 1-15, “Selection screen of conversion program for migrated KOEP data.”

EMC Professional Services recommends to convert the data step by step into the corresponding archive files of archiving object CO_ITEM depending on the size of the old CCO/CCA archive (monthly, quarterly or yearly).

The following preconditions must be fulfilled for the implementation of conversion program /PBS/CCOIUMSL:

� The file path to the existing ViewPoint archive CCO/CCA under 3.x has to be accessible from the current system (file path: described in the SAP for CCO/CCA manual).

� Online access to the archived data of CCO/CCA was made possible by running program /PBS/CCOCFILE (in analogy to ZZCKFILE of ViewPoint CO Module/CCA, described in the SAP CCO/CCA user manual). Program /PBS/CCOCFILE is called via the CCO main menu:

Having completed the conversion run, program /PBS/CCOIUMSL displays a protocol of the archived CO line items, as shown in

After the successful conversion of the old data, the ViewPoint CO Module/CCA for release 3.x which is no longer needed can now be deleted.
