EMAR: Medication Dashboard This manual covers the Medication Dashboard. The Medication Dashboard contains a quick view for Potential Duplicate Medications, PRN medications given and results, Medications Held, Prescription Refills, and Medications not given as scheduled. To access the Medication Dashboard, click on the Medication Dashboard icon. Viewing each area of the Dashboard is dependent on the employee’s access level granted in employee setup. Below is an example of what the Dashboard would look like if an employee has full access.

EMAR: Medication Dashboard

This manual covers the Medication Dashboard. The Medication Dashboard contains a quick view for Potential Duplicate

Medications, PRN medications given and results, Medications Held, Prescription Refills, and Medications not given as

scheduled.

To access the Medication Dashboard, click on the Medication Dashboard icon.

Viewing each area of the Dashboard is dependent on the employee’s access level granted in employee setup. Below is

an example of what the Dashboard would look like if an employee has full access.

When granting employee access to the Medication Dashboard select the areas of the Dashboard that the employee

should see. See G2 Employee Access Management manual for further explanation.

Below is an example of what the dashboard would look like if access was not granted for the section Meds not given as

scheduled.

Buttons at the top of the screen:

Configure: Click on this button to set the amount of time to view.

The hours of history window will open.

Note: This setting is specific to each employee.

Enter the number of hours of history you want to see for PRN Meds Given, Meds Held, and Meds not given as

scheduled. Click ‘OK’ and the listing will be refreshed.

The number of hours you have entered will show in text on the left hand side of the screen.

If you want to change this time frame for any reason, click ‘Configure’ again.

Potential Duplicate Medications:

Medications will be pulled into this area as a potential duplicate if the resident has more than one order with the same

Medication Name.

Open each record to review, update, and/or mark the medication as Not a Duplicate.

Double click on the line to compare or right click and select ‘Open Inspector’.

Example of a medication that is not a duplicate:

Differences are shown in red. Click ‘Open’ to open the medication record.

If the medication is NOT a duplicate, click on the ‘Not A Duplicate’. This medication will no longer show in the listing of

potential duplicates.

Example of a medication that is a duplicate:

If the medication is a duplicate, determine which medication record should be ended and which to keep active.

Open the medication record by clicking ‘Open’. Check the Delivery History to see if the passing has been recorded

recently. Check the Origin field to see if this was a manual entry that was keyed into the system by staff. Click on the

‘Change History’ tab, check for entries with no initials, this is an indication that the medication came from the pharmacy.

Once the review of the first medication record has been completed, click on the ‘Open’ button above the second

medication and repeat the steps above.

Once it has been determined which order to end, enter a prescription end date and click ‘Save’.

PRN Medications Given:

This section will show all PRN medications given within the time frame selected. A quick way to check for PRN

medications given without results recorded is to click on the word ‘Results’ to sort the column. All of the medications

given without results will be pulled to the top.

To open, if you have access to edit the Dashboard, double click on the line, or highlight the line and click ‘Open Med

Delivery’.

Enter in the Date – type in the MM/DD - i.e. 8/8 and press the tab key, the year will fill in.

Enter the Time – type in HMa or HMp – i.e. 1012a and press the tab key, the time will format.

Employee – type in a few letters of the first or last name and press the tab key. The name will pull in or a shortened list

of employees will open to select from.

Results – Click on the drop down to select the result from the list. Click ‘Save’.

Note: Without employee access to the Dashboard, staff will need to record results of PRNs from the EMAR med pass

window.

The resident and PRN will be listed on the medication passing screen in the PRN Waiting Result column. The number

reminder will remain on the list until the results are recorded or up to 24 hours.

Medications Held:

This section displays the medications held and the reasons the medications are held. It will show Medications on Hold

from Leave of Absence (LOA), individual medications placed on hold, and medications charted as Held or Not Given

during the medication pass.

Prescription Refills:

This displays the medications needing refills and/or with refill ordered.

Go to File – Setup – Community – Clinical Setup – EMAR Setup to turn on the option Allow refill requests from

Medication Passing Window. This option will allow refill requests to be sent via the Pharmacy Interface, or Docutrack

directly from the Med Pass screen.

Prescriptions are marked as needing refill during the medication pass.

If the medication needs to have a refill ordered, double click on the medication line and the following window will open.

Check ‘Needs Refill’ and click ‘OK’ to save.

Note: Automated refill requests are not available for all pharmacies.

If refill requests have been turned on, you will see the Send Refill Request icon when a medication is selected. Highlight

the medication with the status of Needs Refill. If this medication was created from an interface message, the Send Refill

Request button will be available.

Click on ‘Send Refill Request’ button, and the status will change to refill ordered. The pharmacy will process the refill request. When a new message is received from the pharmacy, the status of the

medication will be updated.

Medications not given as scheduled:

Medications not given as scheduled will display in this area. The variance column shows whether the medication was missed, given late, or given early. If employee access has been granted to the Medication Delivery record and the Dashboard, staff can update the status. This can be used to record information if a paper MAR/MOR was used due to power or internet outage. Double click on the medication line or highlight the line and click ‘Open Med Delivery’. Complete the

Delivered/Recorded fields for Date, Time, and Employee name.

Enter in the Date – type in the MM/DD - i.e. 8/8 and press the tab key, the year will fill in.

Enter the Time – type in HMa or HMp – i.e. 1012a and press the tab key, the time will format.

Employee – type in a few letters of the first or last name and press the tab key. The name will pull in from the employee

Check the ‘Given’ box if this medication was given.

If this medication was not given, complete the Not Given Reason field using the drop down arrow.

Complete the Missed/Held Update Reason field to chart a reason why a missed medication was charted outside of the

passing window.

Click ‘Save’ when completed.

The Change History can be viewed on the Medication Delivery History record by clicking on the ‘Change History’ tab.
