The objective of this document is to help customers with the Emailcomponent of the communication plan. This document lists severalgeneric samples of Email templates that can be used as part of acomprehensive communication plan.
The samples need to be adapted to the specic customer and thedeployment, but can be used for general guidelines.
This document doesnt try to cover all scenarios and communicationopportunities. Each organization will need to evaluate how theycommunicate internally and use the samples that t their needs andcommunication guidelines.
The links and credentials referenced in the templates are eamplesonly. !"#s should not be copied since they may not be up$to$date orlinkable. %ustomers may choose to create documents and job aids
and reference them in the email communication.&udio conferencing user guides that are referenced in the sampleswill be provided separately. &s audio migration has several versions,the relevant documentation will be provided to customers.
Gene$al Reco((en%at'ons
The basic Email communication plan should address severalobjectives related to the migration and should include the followingstages'
(nitial communication should create the awareness and visibility ofthe new service. The general purpose of the initial communicationis to advise the users about the upcoming change, the reasons forthe change and the epected high level timeline.
The second communication should focus on educating the users onthe actions and steps they will be re)uired to perform as part ofthe migration. *igration timelines should be included in thiscommunication. (f migrating from another provider the end of lifedate of the current service should be communicated clearly as well.
The third Email is the standard "egistration Email sent by &T+T to
the users with their account information and links for training andsupport. This is the o$#ive communication. -ample of this Emailis provided below.
& follow$up Email should be sent after the o$#ive date to ensureusers received their "egistration Email, completed their migrationactivities and are aware of the end of life date of current service.
(t is recommended to include in each communication general linksand information for support documentation and training resources.
