WO2040: Child Care Capacity - Self Service Reporting Enhancements

System Changes

PSS • Providers will be able to report information around operational capacity, vacancy, and waitlist, as necessary from

their Location Profile Summary.• Providers will be able to indicate if they are accepting enrollments and can designate a specific email address to

allow parents / caretakers to contact them.

CCW • ELRCs and OCDEL will be able to update operational capacity, waitlist, and vacancy information on behalf of

providers.• RE202-Provider Directory Report will be modified to include operational capacity information.

• RE212-Provider Profile Update Report and RE223-Provider Profile Report will be modified to include operational

capacity, vacancy, and waitlist information.• A new report will be available for ELRCs and OCDEL to view summary and detailed operational capacity, vacancy,

and waitlist by care level for each provider location.• Care levels served will be updated to remove ‘Before/After ½ Day Kindergarten’ and labels for ‘Newborn’ and

‘Infant’ will be updated to reflect the new age ranges.

COMPASS • Parents will see an enrollment indicator that considers the provider’s R&R Status (Active/Inactive), as well as the

Providers’ selection on the new Operational Capacity, Vacancy, and Waitlist Summary screen.• Parents will be able to see openings by care-level.

• If enabled in the provider’s profile, parents / caretakers will be able to contact the provider via COMPASS by

clicking the Contact Provider button.• Maximum Capacity and programs offered will be displayed for all providers within their detailed profile.

• In search results, an interactive map will list providers in much the same way as a Google Maps search functions.• The summary and detail reports, accessible with the current ‘My List’ functionality, will include Openings, Maximum

Capacity, and Program Participation information.

• Care levels served will be updated to remove ‘Before/After ½ Day Kindergarten’ and labels for ‘Newborn’ and ‘Infant’ will be updated to reflect the new age ranges.

CCW • Indicators to show whether a provider is operating during an emergency will be displayed on the provider’s profile.

• The Voter Registration form will be updated to the latest version.

COMPASS • OCDEL will be able to configure if only providers who are operating during an emergency or if all providers will be

displayed in COMPASS.

1809737 CCW: When requesting the RE105-Service Delivery Area Remittance Advice Statewide Summary report, FY will no

longer be available as an option.

1810241 CCW: The RE301-Payment System Management detailed report will display the title and ‘Service Period From’ date as

expected.

1813599 CCW: Users will only be able to enter today’s date or a future date for telephone contact in the Face-To-Face

Appointment Letter correspondence.

1814081 CCW: If a user has KTQ Specialist role with access to CCW, a user message will be displayed if ChildLine Inbox or

ChildLine Search are clicked from the Provider Search screen.

2194613 CCW: In the Universal Provider View the Legal Entity Name will be moved to the second line.

2202462 CCW: The RE313-Child Count and Expenditure by Funding Source report in pdf version will display the Child Count

subtotals and totals as expected.

2202667 CCW: Data warehouse reports will display updated values for FPIG and SMI.

2211370 CCW: Search results displayed on the Correspondence Search screen will be expanded to 1,000 (from 500) and a new

message will alert the user that the search results displayed have been limited.

2224935 CCW: Users will no longer receive ERR9999 error if they attempt to assign new cases to their caseload from the CIS

Inbox screen.

2236912 CCW: Absence alerts will no longer be received before the invoice is in ‘Calculated’ status.

2204547 KTQ: Correspondence search results are will be filtered correctly when user searches correspondences by ‘Keys to

Quality Specialist User ID’.

2261157 PSS/KTQ: Users will be able to enter an ECT on the last day of the FY.

2270751 PSS/KTQ: The eligible amount can be equal to the requested amount for ‘Merit award grant’ or ‘Budget revision for Merit

award’ without a receiving an error.

2278822 PSS/KTQ: The time frame for the Online ECT (submitted through PSS) will not change to the system date after ELRC

approved the ECT through KTQ.


ECE Summit 2020 Update

• ECE Summit will be held virtually this year.

• All presentations and workshops will be completed using Zoom.

• OCDEL plans to have at least two presentations on PSS that focus on CCW and KTQ-related topics.

Regional Task Force Teams will:

• Meet regularly, as determined by each team, to discuss activities, requests, findings, challenges and needs.

• Triage requests from providers and deploy staff and resources as appropriate.

• Work to ensure services and supports are not duplicated.

• Provide information to the PQA team lead that can be reported up to the Senior Health Manager.

• Consist of Certification Reps (or designated staff), ELRC staff, PQA staff, IECMH staff, Preschool Program Specialists, Infant Toddler Contracted Slots staff, EI and EITA, and any other regional representation the group believes is needed.
