Trigger:
Need to view or modify benefits selections for an employee or for a group of employees. This transaction is probably most useful for working on benefits selections for a group of employees because benefits information is presented in a convenient list format.
Business Process Description OverviewThis document describes the use of the Benefits Participation Monitor tool, which is used for viewing or modifying benefits participation data for a single employee or for a group of employees that the user specifies.
Input Required Fields Field Value/Comments
Key date Effective date of the benefits selections that you wish to view. You may choose “Today’s Date” or select the “Other Keydate” radio button and specify a particular date.
Selection Through search help you can identify and select employee’s Personnel Numbers using a broad range of search criteria, e.g., first and/or last name, org unit, etc.

Procedural Steps
1.1. Access transaction by:Via Menus Human Resources Personnel Management Benefits Participation Monitor
Via Transaction Code HRBEN0003
1.2. On screen “Participation Monitor”, enter the information in the fields as specified in the table below:

Set-Benefits Area
Chose from a pick list to select a Benefits Area from which you will select all employees
The benefit area is the primary subdivision of plans set up for benefits. Benefit areas are maintained and operate independently of one another. Usually benefit areas group employees according to common characteristics like country or org unit.

Benefits 1st program grouping
Chose from a pick list to select a Benefits 1st program grouping from which you will select all employeesBenefit 1st Program Groupings group employees for macro eligibility purposes. Benefits 2nd program grouping is a second identical method of grouping employees for eligibility purposes. The combination of these two groupings places every employee into a Benefit Program.

Selection Set-Benefits 2nd program grouping
Chose from a pick list to select a Benefits 2nd program grouping from which you will select all employeesBenefit 1st Program Groupings group employees for macro eligibility purposes. 1.2.1. To add to the displayed selection criteria fields, click “Further Selections” and add fields as desired
1.2.2. Select Search helps to get search criteria for specific criteria
1.2.3. Select Org. Structure to restrict search to employees within a specific structure
1.3. On screen “Participation Monitor: Overview” screen, review information and make changes as appropriate

1.3.1. Expand or collapse lines as needed
1.3.2. Select or deselect particular plans by checking the boxes at left.
1.3.3. Click “Stop Participation“ to terminate participation in the selected plans
1.3.4. Double Click an employee’s name or select an employee and click “Change Plan Election” to open the ”Participation Monitor: Change Employee” screen.
1.3.5. On screen ”Participation Monitor: Change Employee” make changes as appropriate and select “Enroll”

1.3.6. Highlight a plan and select the “Display Plan” Button to open the “Display Insurance Plans” screen to view plan details.
2.1.1 Highlight an employees name and select the “Overview” Button to open the “General Overview of Benefit Plan Data” Screen. This screen can also be accessed using transaction code HRBEN0006. Refer to BPP ehrben0005a46c for more information.

2.1.2 Select the “Change Effective Date” button to change the effective date for benefits selections.
