DetailsoftheContract

1. GeneralInformation

EEA-ESEM Cologne will be held in the buildings of the University of Cologne, Germany, fromMondayAugust27toFridayAugust31,2018.ThedeadlineforapplicationforandfullpaymentofexhibitionspaceandadvertisingisThursdayMay312018.Allmaterialofallexhibitors/advertisersneedstobedeliveredto thevenuebetween10:00onWednesdayAugust 23andFridayAugust 25, 2018at 16:00 latest. Storage formaterialswill beavailable only during these dates. The exhibitors will have full use of storage room during theCongress. Returns must be collected by 13:00 Monday September 3 2018. It is of utmostimportancethatallboxesaremarkedwiththenameoftheexhibitingcompanyandlabelledforEEA-ESEMCologne2018.Completedeliverydetailsandcontactswillbeprovidedafterreceiptofpayment.AllexhibitswillbelocatedinPhilosophikum,closetothemajorityofconferenceroomsandfoodstationsandtheregistrationpoint,inaccordancewiththeenclosedfloorplan.TheCongressorganiserswill informallparticipantsatEEA-ESEMCologne2018ofexhibitorsandlocations of exhibition area through email blasts and Twitter feeds to maximize traffic flowthroughtheexhibitarea.A representativeof theCongressorganiserswillbeat the registrationstand,beginningMondayAugust27at9:30am(seesection6).Exhibitorsmustregisterandpickupbadgesbeforeenteringtheexhibitionareaandpreparingthestand.Badgesmustbewornatalltimes.TheCongressorganisers,however,reservetherighttochangetheopeningdateorthedurationofthe Congress, its prolongation, postponement or early closure, and the exhibitors / advertisershavenorighttoclaim indemnity. If theCongressdoesnottakeplaceduetocausesbeyondthecontrolof theorganiser, including consequencesof a fireor explosionoriginatingeitheron thepremisesornearby,thesumspaidbytheexhibitorswillremainthepropertyoftheorganisers.2. ExhibitionSpaceandEquipment

TheCongressorganiserswillensure that theexhibitorswillbeprovidedwithequipment (tablesand chairs) set up in suchaway that it covers an approximate areaof anythingbetween3mx1.5mand2mx2mor4mx1m).TheCongressorganiserswillnotprepareanyidentificationsignsfortheexhibitorsnorprovideanyfurnishingforthetabletops.Tomaintainuniformityandtopreventobstructionoftheviewoftheadjoining stands, displays must not be higher than 2.5 metres. No walls, partitions, paintings,decorations,orotherobstructionsmaybeerectedwhichinanywayinterferewiththeviewofanyotherexhibitor.Onlytheequipmentthatiswrittenontheapplicationformwillbeprovided.3. SpecialEquipmentandServices

If additional equipment, services or requests are required, exhibitors must send an email tocongress@eeassoc.org.Abudgetforthespecificcostswillbesentouttotheexhibitor.4. PaymentforSpaceand/orAdvertising

A signed copy of the application formmust be received by ThursdayMay 31, 2018, to ensurespaceand/oradvertising.Theapplicationmustbesignedbyamemberofstafflegallyabletosignonbehalfoftheexhibitor/advertiser.Applicationsmustbeaccompaniedbyconfirmationofbanktransfer.Applicationwillonlybefinalisedandconfirmedonreceiptoffullpayment.Allformsmustbesentelectronicallytocongress@eeassoc.org.5. AssignmentofExhibition/AdvertisingSpace

Exhibit space / advertising space will be assigned in the order in which applications with fullpayment are received. The Congress organisers reserve the right to add or remove space /advertisementsasnecessary.Anychangeinthepositiondoesnotentitletheexhibitor/advertisingto cancel the contract nor to request lowering of fees nor to put forward a claim to damagesincurredthereby.

6. Setup,Hours,andDismantlingofExhibitions

Setup: Monday27August 10:00-14:00ExhibitionHours: Monday27August 14:00-19:00 Tuesday28August 08:30-19:00 Wednesday29August 08:30-19:00 Thursday30August 08:30-19:00 Friday31August 08:30–12:30 Allexhibitorswillbepresentattheirspacesduringtheabovehours.Dismantling: Friday31August 12:30-17:00

TheCongressorganisers,however,reservetherighttochangetheopeningdateorthedurationofthe Congress, its prolongation, postponement or early closure, and the exhibitors / advertisershavenorighttoclaimindemnity.NOTE:Dismantlingmustbecompletedby17:00onFriday31August.Alldisplaymaterialsthatarenotremovedfromtheexhibitfloorby17.30willbediscarded.Wewould liketooffertheexhibitorsthechancetodonatethedisplaymaterial totheCongressorganisers at the end the Congress. Books would contribute and enlarge the Faculty´s library,which is frequently used by numerous researchers interested in all aspects of economicsliterature.

7. Cancellation

A50%refundwillbemade if thecontractedspace iscancelledbyanexhibitorbeforeThursdayMay31,2018.NorefundwillbemadeifthecontractedspaceiscancelledbyanexhibitorafterThursdayMay31,2018,oriftheexhibitorfailstooccupycontractedspace.Ifthespaceisnotoccupiedby08:30onTuesday28August,theCongressorganisersshallhavetherighttousesuchspaceasitseesfittoavoidemptyspacesintheexhibitarea.8. PowerandLight

Sufficient lighting will be provided in the exhibition area. If special electric service is required,pleasecommunicateittousatcongress@eeassoc.orgbyThursdayMay312018.9. UseofExhibition/AdvertisingSpace

All demonstrations, interviews, or other activities, including advertising and distribution ofpromotionalmaterials,mustbeconfinedtothelimitsofyourexhibitspace.Nomaterialsmaybeplacedonseats,attachedtowalls,ceilingorwoodworkintheuniversitybuilding,orleftinpublicplacesintheuniversityfordistribution.Noexhibitorshallassign,sublet,orapportionthewholeorany part of the space allotted to them without the knowledge or consent of the Congressorganisers.Should you wish to organise a reception outside or inside the Congress venue, please contactGemmaPruner-Thomas,EEAGeneralManager,atgemma@eeassoc.orgprior tothestartof theCongress.Theexhibitoragrees that radio, television,motionpicturesorother soundproducingapparatusand visual aidswill beoperated in suchamanner andplaceas toprovideno inconvenience tootherexhibitors.Soundmustbeataleveltoreachtheimmediatevicinityoftheexhibitor'sareaonly.TheCongressorganisersreservetherighttoprohibittheuseofanyequipmentcontravening

these regulations.TheCongressorganisers reserve the right to requireanexhibitor toalter theexhibitbeforetheshoworonsite.TheCongress organisers reserve the right to require a sample descriptionof the product to bedisplayed / advertised prior to accepting an application for exhibition space. Material to bedisplayed inanexhibitionspacemustbereputableandappeartobeof interesttoasubstantialportionofourmembers.TheCongressorganisersreservetherighttomakeadditionalconditions,rulesandregulationsasitdeemsnecessarytoensurethesuccessoftheexhibition.Thisrightcanbeassertedinanymoment,evenaftertheCongressstart.10. CongressOrganisers’StaffingofExhibitionSpace

TheCongressorganiserswillprovideastewardtobeathandduringthehoursthattheexhibitionis open. However, the Congress organisers are unable to provide guards during the hours theexhibit area is closed, and furthermore, neither the Local Arrangements Committee at theUniversityofCologne,northeEuropeanEconomicAssociation,northeEconometricSociety,norany subcontractor, accept responsibility for security or any damage to the exhibitor's property.ThestaffingismerelyaservicetoassisttheexhibitorsduringtheCongress.11. MaintenanceandLiability

No combustible decoration, such as crepe paper, tissue paper, cardboard, or corrugated papershallbeusedatany time.Allpackingcontainers,excelsior,andwrappingpaper,whichmustbeflameproof, are to be removed from the floor andmust not be stored under tables or behinddisplays.Allmaterialsand fluids thatare inflammableare tobekept in safetycontainers.Openflames,butanegas,oxygentanks,etc.,arenotpermittedwithoutthepermissionoftheUniversityofCologneandtheFirePreventionBureau.It ismutuallyagreedthatit isthedutyandresponsibilityofeachexhibitortoinstalltheirexhibitbeforetheopeningoftheexhibitionandtodismantletheexhibit immediatelyafterthecloseoftheexhibition(seesection6).Theexhibitorassumesentireresponsibilityandherebyagreestoprotect, indemnify,defendandsave the members of the European Economic Association, the Econometric Society and theUniversity of Cologne and its employees and agents harmless against all claims, losses anddamages topersonsorproperty, governmental chargesor finesand legal feesarisingoutoforcaused by exhibitor's installation, removal, maintenance, occupancy or use of the exhibitionpremises.Inaddition,theexhibitoracknowledgesthattheEuropeanEconomicAssociation,theEconometricSocietyandtheUniversityofColognedonotmaintaininsurancecoveringtheexhibitor'spropertyandthatitisthesoleresponsibilityoftheexhibitortoobtainbusinessinterruptionandpropertydamageinsurancecoveringsuchlossesbyExhibitor.

No obstructions shall be placed in any aisles, passageways, lobbies or exits leading to any fireextinguishing appliances. Direct passageways leading to fire alarm communications must bemaintainedfreeofanyobstructions.By acceptance of exhibit space, the exhibitor agrees that neither he/she nor employees shalldeface, mar or otherwise injure the exhibit premises. Nothing shall be pasted, tacked, nailed,screwedorotherwiseattachedtowalls,floorsorfurniture.Anydamageresultingfromactionsoftheexhibitororhis/heremployeesshallbecorrectedbytheexhibitor.12. InabilitytoPerform

Ifforanyreason,theEuropeanEconomicAssociation,theEconometricSocietyortheUniversityofCologne,shouldbepreventedfromconductingEEA-ESEMCologne2018byanycausebeyonditscontrol,orifitcannotpermittheexhibitortooccupythisspaceduetocircumstancesbeyondtheircontrol,theexhibitorwillberefundedtheamountoftheexhibitionfeepaidlessaproportionateshare of the exhibit expenses, which shall be determined by the Congress organisers, inagreementwiththeEuropeanEconomicAssociation,theEconometricSocietyandtheUniversityofCologne,andallshallhavenofurtherobligationorliabilitytotheexhibitor.Inallcasesoflitigation,itisagreedtobytheexhibitorthatthecompetencyofthedulyauthorizedcourtinCologne,Germanyisrecognized.Germanlawistobeused.
