EASITRAK ON THE WEB INSTRUCTIONS
Easitrak is now only available via the web and is designed to allow you to enter the
required information for your hazardous waste reports. These instructions are written
for the generic version of EASITRAK. Your data entry screens may be slightly
different depending on your state. Your EPA ID number determines the screens you
will use. You can visit our documentation page on our website for supporting
documentation. Be sure you use the LOG OUT option within the software to exit.
Failure to do so will cause you problems with caching within Internet Explorer.
WHEN DOING ANY DATA ENTRY DO NOT USE CARRIAGE RETURNS, I.E.
DO NOT HIT THE “ENTER” KEY TO START A NEW LINE. THE SOFTWARE
AUTO WORD WRAPS AND CARRIAGE RETURNS ARE NOT TO BE USED.
1. Go to the site http://www.arminc.net/Easitrak2009/ . You must register each
year. Click on the “Registration for New User” link to register. Now you get to
enter your own password. NO PASSWORD IS EMAILED TO YOU. If you
forget your password you must email your state for your password. Once
you register you can immediately begin using Easitrak by entering your EPA ID
number and password on the main page.
Enter the requested information. Please answer all four questions. When you
submit your data to the state you will be asked this information again.
NOTE: If you are an Indiana user, you will have to declare whether you are a
LQG or SQG, Easitrak will take you to the correct software, i.e. SQG’s use the
OS form and not the biennial hazardous waste report.

NOTE: If you are registering for multiple facilities be sure you clear your files
under Tools/Internet Options/Delete Browser History. You should see the LQG
and SQG option each time IN users register or do not proceed.
NOTE: If you are a Kentucky user, you will be asked to enter your AI number.
If you do not know this number please contact the state.
2. Once you have registered you will always log in as an Existing User.
3. The next screen that is displayed is a new page that allows you to edit your
information such as EPA ID Number, change your password, or change your
email address. Your email address is important so that the state can contact you
with questions and ARM can send you updates if necessary. Remember
ALWAYS use the Logout link to log out of the system, otherwise you will
have caching problems.
NOTE: Because of heavy use during the months of January and February, if
you are idle for 15 minutes, you will have to log back into the software.

The tabs at the top of the screen are as follows:
Services: Used to update users as well as provide key user functions such as changing
your password.
Form SI, GM, WR are screens to complete the required forms.
NOTE: For Kentucky users you will see Form SI, 2, 3, 4, and 5. For states such as
Arkansas you will see Form OI. If you do not see Form OI it is not required for your
state.
Submit: Use this screen to submit your data to the state. Once the data has been
submitted you can view your reports and print the reports but you cannot edit your data.
If you need to edit your data, contact the state and the state will “unlock” your report.
Reports: Use this screen to print your reports for your records. Some states require the
SI form to be signed and returned to them.
Instructions: This screen is used to see abbreviated instructions on-line.
4. When you log in the main information screen will be displayed. The user should
first complete the Site Identification Form by selecting the Form SI tab and this is
the default page that is loaded when you complete your registration or when
existing users log into the system. You will see Site ID Form Entry with
numerous links under that heading. This is the information that you will have to
complete to satisfy the Site Id Form Entry. Easitrak automatically populates the
information from the last report as much as possible. Those links that have a
green √ means the information is complete for that link. Links with a ? need to be
completed. Click on the first link you want to complete. If on the data entry
screen you see a data field blank, click on the and a data box will pop up.

If you click on "Reason for Submittal" the following screen is displayed. Choose
the correct response and click on "Save and Close" or "Next Screen".

If you click on the "Site Name and Location (SI1)" link the following screen is
displayed.
Enter the Site Name, Street Address 1, Latitude and Longitude. Then do not enter
the zip code but rather click on the hand and the following zip code pop up box is
displayed. Enter the zip code, in this case "72032" and click on "Search".

The above screen is displayed. Now click in the box in the box on the city
"Conway" line and click on the "Submit Button" at the top of the pop up box
screen.

You can click on "Save and Close" to take you back to the SI link screen or click
on "Next Page" to take you to the next data entry screen.
For the "NAICS Codes and Waste Codes (SI3, SI4, SI5)" link the following
screen will be opened.
Select the hand and the following screen will be displayed.
Select the correct NAICS code and the screen will close.

Now select the hand for EPA Waste Codes to select the EPA waste codes that
your site generates. You must select at least one EPA waste code. Highlight the
codes you generate at your site and click on the >Add button to move those codes
to the Target column.
Select the "Done" button to save the EPA Waste Codes selected.

Click on "Save and Close" or "Next Page".
For the site mailing address you can click on the hand if the address is the same as
the site location or enter the information using the same method as the physical
location.
The next screen you need to complete is "Site Contact Person Information (SI1).

Enter the name and title of the site contact person. Each field has a limited
number of characters so for the Title you may have to abbreviate. The field
length is set by the EPA. If the contact address is the same as the site location
click on the hand. If not, then enter the contact person's address. Remember to
click on the hand to enter the zip code for the zip code, state, and city to be
populated. Enter the phone number, extension if applicable, fax number and the
email address of the contact person.

Once you have completed this screen click on "Save and Close". Now you must
complete the "Legal Owner and Operator of the Site (SI1)" link. The following
will be displayed.

If the Owner's name and address is the same as the contact person information
entered earlier click on the "hand" icon. If not enter the information as in other
address entry screens. Remember to enter the date the person became the owner.
Enter the operator's name and click in the date became the operator box and select
the date.
The next 3 screens deal with Type of Regulated Waste Activity. Answer the
questions and after each screen is completed click on "Next Page".

The next screen is a comments screen, enter any comments. Then click on "Next
Page". The final page of the Site Identification form is the Certification Page.
To enter the Certifier information, click on the icon in the "Actions" column. The
row is now able to have text entered. Enter the information, remember you might
be limited in the number of characters you can enter for the Title. For the date
click in the date field box and a calendar will be displayed. Select the date and
click on the file icon to save the row and the SI form is complete.

GM FORM COMPLETION
Click on the GM tab at the top of the page and then select "Add GM" to begin
adding your GM data. Each waste stream requires an unique GM form to be
completed.

GM Form Section 1.
Section 1.A. Waste Description. Enter the waste description.
Comments. Enter any applicable comments.
Section 1.B./C. EPA Codes/State Codes. Select the applicable EPA/State waste
codes for this waste stream. To select EPA and State Hazardous waste codes,
highlight the appropriate waste code and use the “Add>>” to bring the waste code
over to the selected box. The waste codes are divided into the applicable lists and
by selecting the appropriate code, such as D Codes, the list appears in the box.
Most states do not have state waste codes. Only if your state has state waste
codes will you see them in the State Hazardous Waste Code section.
NOTE: Labpacks can have an EPA Hazardous Waste Code “LABP”. This code
can be found at the end of the D Code List.
Section 1.D. Source Codes. Select the appropriate source code for this waste
stream by selecting “Source Code”. A list will be displayed and select the
appropriate code.
If G25 is selected, the user must indicate a management method. The option of
selecting a management method at this point is only available if G25 has been
selected.
Section 1.E. Form Code. Select the appropriate form code for this waste stream
by selecting “Form Code”. A list will be displayed and select the appropriate
code.
Section 1.F. Quantity Information. Enter the quantity of this waste stream
generated in the report year and the Unit of Measure. Select the appropriate unit
of measure. If a volume unit (gallons, liter, cubic yard) is selected a density and
density unit will be required. The density entry blank will not appear unless a
volume unit of measure is selected. For some states only “Pounds” is available as
an option.
Section 1.G. Waste Minimization Code. Select the appropriate code.
Click on "SAVE". This is activate the data entry for the GM On Site
Management and the GM Waste Shipped Off Site.

The screen now has an icon to the right of the On Site Management and Waste
Shipped Off Site headers.
IF you managed hazardous waste on site during 2009 you will need to select icon
to the right of the section title.

Add the On Site Management information. Enter the on-site management method
code by selecting the appropriate process from the displayed list. Enter the
quantity of hazardous waste treated, disposed or recycled on site in 2009 for this
GM and click on “SAVE and Close” to save your data to the database.
The following screen will be displayed showing the on-site management process
that was added. You can edit the line item by selecting the “Edit” icon in the Edit
column or delete the row by selecting the “Delete” icon in the Delete column. If
the user needs to add an additional on site management process, repeat the
process.
If no On-Site Management process is listed, the software will automatically enter
a “No” on the report.
If you have an on-site management process but NO off-site waste shipment select
“Save”.
If you do not have an On Site Management and have an off-site waste shipment
simply click on the icon adjacent to the Waste Shipped Off Site heading. The
following screen will be displayed.

Enter the EPA ID Number of the Off-Site Facility the waste was shipped to and
enter the quantity shipped in 2009. Select the Management Method Code from
the list and then click on "Save and Close".

You can edit the line item by selecting the “Edit” icon in the Edit column or
delete the row by selecting the “Delete” icon in the Delete column. If the user
needs to add an additional on site management process, repeat the process.
Once the GM Form has been completed for that waste stream click on "Save".
This will take you back to the main page and now you see your GM form that was
just added. You can edit or delete GMs from this page.
Repeat this process for each GM that is to be completed by clicking on the "Add
GM" button.
Remember when you are done for a session of data entry you must use the Logout
link to avoid problems.

WR FORM COMPLETION
Click on the WR tab at the top of the page and then select "Add WR" to begin
adding your WR data. Each waste stream requires an unique WR form to be
completed.
To add a WR Form click on the "Add WR" and the following screen will be
displayed.

Section A. Waste Description. Enter the waste description.

After you have entered the data click on the "Save" button to save your data..
You can also edit or delete a WR form by selecting the edit or delete icon in the
appropriate column. To add additional WRs select the "Add WR" button.
Remember to log out of the software use the Logout link on the main screen.

FORM OI
NOTE: The OI form is required only for AR and PR.
To initiate a Form OI, select the Form OI tab on the main page. The following
screen is displayed.

Enter the EPA ID number of the Off Site Facility. Once you have entered the
EPA ID number click on the green check mark. This runs a check on the EPA ID
number to ensure it is a valid number. Enter the name of the installation or
transporter and check the correct box, enter address line 1 and 2 if applicable.
Enter the zip code and click on the hand icon and select the correct city. That will
populate the state. If you have any comments enter them now and then click
"Save and Close".

After you have entered the data click on the "Save" button to save your data..
You can also edit or delete a OI form by selecting the edit or delete icon in the
appropriate column. To add additional OIs select the "Add OI" button.
Remember to log out of the software use the Logout link on the main screen.

Printing Reports
Select the "Reports" tab in the tool bar and the following screen is displayed.
Choose the form you wish to print. Remember you must print a "Declaration of
Electronic Filing of the Annual Hazardous Waste Report". (Or Biennial Report
depending on your state)
To print the Site Identification report, select “Site ID Form”. The form will be
displayed in pdf format. Go to the printer icon in the toolbar and print as
illustrated below.
The print dialog box will be displayed. Select the desired printer and click on
“OK”.

Data Submittal
To submit the data to the state, select the "Submit" tab in the toolbar.
To submit your data to the state go to the “Submit” tab and click the “Submit”
button. Once you click this button you are locked out of the software, you cannot
edit your data but you are always able to view and print your forms.

Remember if you need assistance email us at [email protected] and someone will
respond within 24 hours. ALWAYS include your EPA ID number and password
when asking a question. Also, you can click on the “ALT” “Prnt Scrn” buttons to
COPY the screen with the error message and PASTE that in your email to us so
we can assist you quicker. Use the State Info web page located at
