1. General 1.1 EAFT General Assembly – 27th November 2014 The 2014 EAFT General Assembly (GA) was held at the Residència d’Investigadors in

Barcelona on 28th November 2014 coinciding with the VII Terminology Summit. The

corresponding minutes were distributed amongst the members together with the

formal convocation to the 2015 GA.

1.2 Board composition and functions Until November 2014, the Board was constituted as follows:

1.2.1 Board renewal The new Board was approved according to the Statutes at the last GA in Barcelona

and constituted itself the same day in a meeting where the roles of the Board

members were discussed. Henrik Nilsson accepted to be the new President as did

Eszter Papp as the new Vice President, and Sandra Cuadrado í Camps as the Secretary

and Treasurer. Marie Belina-Podgaetsky unfortunately had to resign from the Board

due to her organization. The new Board has divided itself in working pairs to tackle

various aspects of the EAFT:

1.3 Board meetings

During 2015, the Board has met twice:

• 16th June (Brussels) On 16th June, the Board met in Brussels. Among other topics, the agenda

included the general planning of the Summit, the planning of the International

Terminology Awards process, revision of the Statutes and the regulations of the

ITA, new agreements, membership campaign.

• 2nd December (Luxembourg)

The agenda included the preparation for the EAFT General Assembly, the

organization of the 20th anniversary and the planning of the Summit 2016.

1.4 Members

The EAFT currently has around 100 members. Four new members have joined

the EAFT during 2015: the Ľudovít Štúr Institute of Linguistics from the Slovak

Academy of Sciences, Emanuelle Jubinville from the Comité mixte sur la


terminologie au Canada (CMTC), Marta Małachowicz from the University of

Warsaw, Department of Applied Linguistics, and Intertext Traducción.

Early March, all EAFT members received the invoice to confirm their annual

subscription.

2. EAFT Activities 2.1 Terminology Summit The Terminology Summit is held every two years. This event aims to bring together all

the institutions and organisms that work in the field of terminology with the aim of

creating a solid platform. The VII Terminology Summit took place in Barcelona, on the

27th–28th November 2014, and was organized by TERMCAT in collaboration with the

EAFT. The Summit was held under the patronage of the Department of Culture of the

Government of Catalonia and the Délégation générale à la langue française et aux


langues de la France (DGLFLF). The conference gathered more than 100 professionals

from all the main European institutions and networks active in terminology, and its

main topic was the interaction between terminology work and social networks. The

It was considered interesting for the international terminology community to open a

debate about the impact of social media on all spheres of terminology work, from

research all the way through to dissemination. There were three back-to-back sessions

covering different subtopics. In each session there were guest speakers, who at the

end of the session made up a panel and answered questions, followed by a general

discussion. There was also an open section addressed to those who wanted to share

their experiences on the general topic; the section was done in a pecha kucha style,

i.e. in a set time limit of about seven minutes.

The summit was structured in four sessions as follows:

2.1.1 Publication of the 7th Summit proceedings

TERMCAT with the support of DGLFLF will publish the elaboration and publication of

the Summit proceedings, which will be available before the end of 2015.


2.1.2 Planning of the 8th Summit

Work has started on the next Summit and it has been decided that it will be staged in

Luxembourg at the European Parliament on 7th–8th November 2016. The theme will be

“Visons and revisions” and will contain a review of earlier Summits in the light of

recent developments as well as a look to the future of European terminology. The

Summit will also celebrate the 20th anniversary of the EAFT.

2.2 International Terminology Awards (ITAs) The two International Terminology Awards 2014 were given out in connection with the

celebration of the Terminology Summit in Barcelona: the International Award for

Outstanding Achievement in Theoretical/Fundamental Research in the Field of

Terminology and the International Award for Applied Terminology Research and

Development. Seven valid candidatures were submitted for the 2014 Awards. An

international jury, chaired by Corina Lascu-Cilianu, examined the works.

2.2.1 The winners

A. The International Award for Outstanding Achievement in Theoretical/

Fundamental Research in the Field of Terminology:

Besharat Fathi (IULA, University Pompeu Fabra) “Expert’s Needs as Primary Target Users: Evaluating Specialised Dictionaries in Communicative Circumstances”

B. International Award for Applied Terminology Research and Development:

Annette Weilandt (University of Leipzig) “A process-oriented approach shown by the example of the automobile industry”

An honorable mention was also given to Georg Löckinger (Upper Austria University of

Applied Sciences) for his work: “Translation-Oriented Special Language Dictionaries.

Developing and Testing an Innovative Model”.


2.3 Recruitment campaign

One of the main goals for the new Board has been to launch a recruitment campaign.

Formal invitation letters were sent to organizations in Bulgaria, the Ukraine, Albania,

Turkey, Czech republic, Malta, Montenegro, and Kosovo among others.

2.4 Support to Károli Gáspár University. The MA in terminology stopped in

Hungary

The MA programme in terminology in Hungary (taught at Károli Gáspár University

since 2011) is planned to be abolished in Hungary. The Ministry of Human Capacities

published the new list of university training programmes and the MA in Terminology

was not on the list. This means that the master's programme is to be abolished in

2016. Reasons or explanations have not been provided by the Ministry.

A degree course in terminology has only been available at Károli Gáspár University, so

the abolishment of the MA would mean the end of university level terminology training

in Hungary. The Hungarian Council of Terminology and the EAFT were shocked by the

news, as the programme has been successful in providing both theoretical and

practical knowledge to students, most of whom found employment right after

graduation. The EAFT sent an open letter to the Minister to express our concerns over

The EAFT later received an answer to the letter which stressed that there had been no

interest in the terminology programme, and that the Brussels Declaration was not an

official document that needed to be taken into consideration.

2.5 Co-operation with the International Institute for Terminology Research (IITF)

It was agreed to try to establish a formal collaboration with the International Institute

for Terminology Research (IITF) parallel to the one existing with Infoterm. The first

co-operation point will be the ITA (International Terminology Awards), where the IITF

could participate in the jury. The option to co-organize a seminar on terminology

didactics, perhaps in connection with the TKE Conference in Copenhagen in 2016 or


even another event within the framework of the LSP Symposium in Bergen was

discussed at the IITF meeting, held in Vienna in connection with LSP2015 (see point

4.4.)

2.6 Renewed membership benefits

During 2015, the membership benefits, earlier agreed with Benjamins, were revised

and now include a favourable access to the electronic version of the Handbook of

Terminology which was released early 2015. Contacts were also made with the editors

of the magazine “Fachsprache”.

2.7 TOTh co-operation 2.7.1 9th TOTh International Conference “Terminology & Ontology: Theories

and Applications” EAFT has supported TOTh conferences (Terminology and Ontology: Theories and

applications) since 2010. 4 EAFT members are part of the steering committee:

Christophe Roche, Loïc Depecker, Philippe Thoiron and Rute Costa. The programme

committee also includes several EAFT members: Gerhard Budin, Maria Teresa Cabré,

Fidelma Ní Ghallchobhair and Henrik Nilsson.

The 9th TOTh International Conference entitled “Terminology & Ontology: Theories

and Applications” took place at the University of Savoie (in Chambéry, France) on 4th

and 5th June 2015 with the support of the DGLFLF and of the EAFT. John Humbley,

Fidelma Ní Ghallchobhair, Cristophe Roche, Frieda Steurs and Rute Costa were some

of the speakers.

2.7.2 TOTh workshop in Luxembourg The TOTh workshop took place in Luxembourg on 3rd December with the support of

the European Commission's Directorate-General for Translation, DGTRAD. The 2015

TOTh Workshop aims to focus on terminology and its standards in the changing

context of our information society.

2.8 NORDTERM (by Jan Hoel) Every two years, in early June, Nordic terminology environments meet for the

“Nordterm days”. The first of these events was organized in 1976. They include a

course and a conference, and, furthermore, meetings of standing working groups, a


general assembly and meetings of the steering group for this Nordic co-operation

forum. The Nordterm days are open to everyone who is engaged or interested in

terminology and terminology work. The five Nordic countries Denmark, Finland,

Iceland, Norway and Sweden take turns organizing the events in a set ten-year cycle.

This year the event was organized by The Árni Magnússon Institute for Icelandic

Studies at The University of Iceland in Reykjavík. There were 70 registered

participants. A basic terminology course followed by a practical workshop was given on

9th June. The conference programme comprised 29 talks altogether. The invited main

speaker was Professor doctor Klaus-Dirk Schmitz from Cologne University of Applied

Sciences (Fachhochschule Kõln). The symbol of the ambulating responsibility for the

Nordterm cooperation and its events is an umbrella where previous events and their

venues are perpetuated in writing on the screen. At the closure of the conference the

umbrella was handed over to The Language Council of Norway which represents

Norway in the Nordterm steering group. Thus, In June 2017, the Language Council will

be responsible for organizing the next Nordterm days in Norway.

2.9 20th European Symposium on Languages for Special Purposes LSP Two of the EAFT Board members (Henrik Nilsson and Sandra Cuadrado) contributed a

joint paper – “Software – hard for National termbanks?” – to a workshop during the

20th European Symposium on Languages for Special Purposes in Vienna. It was

presented by Henrik Nilsson.

2.10 Representation of the EAFT on the “Civil Society Platform on

Multilingualism” (by Jan Roukens) 2.11

The European Civil Society Platform for Multilingualism, established by the The

Directorate General for Education and Culture of the European Commission in 2009, is


effectively discontinued by the European Commission in 2015. The Platform was

supposed to advise the Commission on measures to be taken in the field of

multilingualism. Civil society organisations with a European dimension were invited to

express their interest to join. EAFT was among the 30 or so organisations selected and

is a founding member of the Platform. Initiatives are now taken by some of its civil

society members to continue the Platform is some form, but it is too early to report in

detail. Jan Roukens, former vice-president of EAFT and former senior administrator at

the European Commission, has been the EAFT representative since 2009.

2.12 ISO/TC 37 (by Rute Costa) The ISO/TC 37 meetings were hosted by the Japanese Industrial Standards Committee

(JISC) in Matsue, Japan, from 21st to 26th June 2015. A Workshop on “Variations on

Controlled Natural Language (CNL) – Different Purposes and Applications of CNL

preceded the ISO/TC 37 meetings on 20th June 2015.

Rute Costa represented EAFT in the annual ISO meeting week event. EAFT is a “liaison

member” of the International Organization for Standardization (ISO). Rute Costa is

also the Convener of the SC1/WG3 of TC37.

2.13 Co-operation with Infoterm In 2011, EAFT and Infoterm signed a co-operation agreement. During the current year

both institutions have continued mutual co-operation with regard to the promotion of

terminological activities and specialized terminology research, participation in mutual

events and regular exchange of information.

The 16th session of the Infoterm General Assembly IGA took place in Matsue (Japan),

on 23 June 2015 – as usual in conjunction with the ISO/TC 37meeting week.

There was also a “Workshop on Controlled Natural Language (CNL) on 20 June 2015

prior to the ISO/TC 37 meetings.

According to the minutes from the 2015 Infoterm GA, the present composition is as

follows:

2.13.1 Infoterm Infoterm devoted its efforts to:

- standardization activities at international (ISO, IEC, ITU), regional (CEN, ETSI)

and national levels (ASI and DIN), on the one hand, and on

- the EU-Project CELAN, the Network for the Promotion of Language Strategies

for Competitiveness and Employability, on the other hand.

2.14 Co-operation with the EU Parliament's Terminology Coordination Unit

(TermCoord) The TermCoord team is embracing EAFT membership as an opportunity to acquire new

contacts and to collaborate with other institutions and organisations. One of the goals

of TermCoord is to establish contact and co-operate with private and public entities

working in terminology in Europe. EAFT also continues to support IATE with a mutual

linkage of websites. To facilitate the access to IATE for EAFT website users, an icon

with a link to IATE has been copied onto the EAFT home page. IATE, containing

terminology from the law-making process of the European Union, validated by senior

terminologists of the European Institutions, registers an average of more than 3000

hits per hour from all over the world.

2.15 Cooperation with LIND-web The Language Industry Web Platform (LIND-web) is managed by the European

Commission's Directorate-General for Translation (DGT), assisted by an editorial board


which includes 9 high-level experts and representatives of language-industry

associations, who check the quality of the documents uploaded.

Their purpose and goals are the following:

• to enable the sharing of statistics and information about the language industry in the EU, through the web platform open to all;

• to create a partnership between DG Translation, the language industry, professional associations, and universities – through the editorial board, which meets 3–4 times a year;

• to increase the language industry’s visibility in the long term, through a change to the European industry standard classification system (NACE).

The Language Industry Web Platform (LIND-web) was launched in 2010, and the

development work carried out in 2011. Marie-Pierre Mayar (of the Institut Libre Marie

Haps, Brussels) represents EAFT at this platform. Due to financial circumstances and

staff restrictions in the Commission, the goals of LIND-web have been slightly

modified. According to Marie-Pierre Mayar, the aim is now more focused on best

practices and employability in the language industry.

In this frame, Marie-Pierre attended a meeting (17th September 2014) in Brussels, on

behalf of EAFT, dedicated to training and trainees and the elaboration of an

international framework.

The Directorate-General for Translation (DGT) is offering to establish several experts

groups in order to enhance collaboration and effectiveness. EAFT was invited to

collaborate with the EMT group and to participate in a mock exercise in February

2015. The aim is to gain insight into the application procedure for the next EMT call.

Experts were asked to examine more thoroughly the employability aspects of the

questionnaire in question, which also included terminological matters. The same

experts will participate in the selection of candidates in the forthcoming meetings and

have a “consultative voice” about the employability aspects.

2.16 EAFT website The EAFT Secretariat is commissioned to ensure that the EAFT corporate identity will

be used in a correct way by using the same visual system throughout all its

interactions (events, documents, website, merchandise). Everything that EAFT

supports has to have the same logo, style and character. The EAFT website was


revamped to achieve this goal, assuring that the EAFT brand is used in the same way

through all the sections on the website.

It was agreed to create new channels of cooperation on our website:

- Opening a space linked to social networks by means of a new communication

channel in Twitter, which could lead to an increase in website visitors.

- Creating a permanent frame for banners on our website in order to offer

mutual linking pages among collaborating partners.

- Persuading our members to use their networks to disseminate EAFT activities.

- Continuing to encourage all EAFT members to contribute to the Newsletter.

Introducing new sections such as “Partners”, highlighting co-operation, and including

tweets on the home page of the website are some of the strong points. Apart from the

new box structure mentioned above, Catalan and Croatian were added as new

languages and Hungarian will be the next one. With their inclusion, the EAFT website

reflects another step forward towards reaching the goal of having a truly multilingual

website.


In 2014 and 2015, the website was updated by the Secretariat with the assistance of

all the members. The languages represented on the website at present, wholly or in

part, are: Catalan, Croatian, Dutch, English, French, German, Greek, Italian, Slovene,

Spanish and Swedish. The website maintenance tasks have included:

• announcing upcoming events and reporting past ones

• updating out-of-date information

• analysing new functionalities for the platform

• launching calls for events

• coordinating the translation of the corporate contents to additional languages

• taking care of the domain renewal

Please find the statistics summary for the EAFT website that shows some interesting

data which confirm a positive tendency regarding the number of visits to our site.

include the newsletter and the contributions presented at the Summit. Therefore,

these are the points we should continue highlighting during next year. According to

the statistics, it has been proven that the largest number of visits coincides with the

launch of the Newsletter every month.

The largest points indicate locations driving the most visitors to our site. Although the

largest number of visits are from Europe, it should also be noted appreciated that

visitors come from China, the US and even South America.

This graphic above compares each geographic region, numbers of visits, pageviews

per visit, and the average value of each visit. Regarding this parameter, the US is in

first place followed by France and China.


Digital communication campaign for the Summit A new site was created on the occasion of the VII International Summit which reached about 8000 views.

2.16.1 Newsletter The EAFT newsletter is launched every month – except August, which is

covered by the July issue – in order to maintain an active and regular means

of communication among all members. Since July last year, the translation

agency Language Experts Group, courtesy of its employee Eszter Papp,

provides the French translation for free in exchange for a publicity banner in

the Newsletter. The board approved this collaboration in its meeting in

Budapest in June 2014.

The Newsletter is divided into four sections:

News: a section aiming to inform about new projects or initiatives organized

by the Association’s members.

Agenda: this section is devoted to the international terminological agenda

and informs of events which can be of interest to all members.

Suggestions: this third section encourages all members to share their news

and events in upcoming issues of the newsletter.

Articles: this fourth section is aiming to improve knowledge exchange among

EAFT members. This section allows recent papers or publications from

members to be highlighted.


The Newsletter’s sections are fed by contributions mainly from EAFT members. The

contributions can be sent in English or in French or in both, and also in every

member’s language.

Since January 2015, we are using Mailchimp, an online email marketing solution to

manage contacts, send emails and track results, to launch our newsletter campaigns.

To date, EAFT counts more than 160 Newsletter subscriptions and has published

63 issues. More than 30 members have shared their information through this channel

(such as TERMNET, IULA, REALITER, ELETO, Civil Society Platform, ISO/TC37, GTW

(The Association for Terminology and Knowledge Transfer), TNC, TERMCAT, etc.). All

issues are permanently available on the EAFT website, on the Newsletter page.

2.16.2 Twitter

EAFT’s Twitter account has already 375 followers (230 in 2014), among others active

members of the European terminology scene such as Arnfinn M. Vonen, Marita

Kristiansen, Natasha da Silva, Marie Calberg, Rodolfo Maslias, Annika Asp and Maria

Pita Montoro. We count also on the support of the following EAFT institutional

members: DGTRAD, DCU Languages Service, Foras na Gaeilge, RITERM, Språkrådet,

TERMCAT, Translations UK, Xarxa Vives, UZEI, just to name a few.


This initiative was proposed last year when we were thinking of how to improve the

communication of EAFT activities to our members. In this frame, it has been noticed

that offering a regular set of news through a media channel, such as Twitter, has

contributed to increasing the number of visits to the EAFT site.

Contributions and news about our activities are fed and encouraged by the Secretariat

and EAFT followers. Posts, mentions and retweets reflect the dynamism of terminology

in Europe together with an active promotion of multilingualism. All tweets and

mentions can be followed through the EAFT twitter account https://twitter.com/_eaft.

2.16.3 Pinterest Pinterest is a social network made to collect and organize the things you are

interested in. EAFT is also present on this digital platform through the active

Terminology Forum, Termlist (http://www.pinterest.com/termlist/). In this forum

terminological literature, terminological events, glossaries and other terminology

sources and even a complete guide of terminological organizations and bodies which

includes the mention of EAFT with a proper post can be gathered.

3. Financial matters

3.1 Financial report 2014


Accounts for 2014 have been approved and signed by the auditors, Susanne Lervad

and Maja Bratanić (see appendix 2).

At the end of 2014, the balance was 12551 euros, nearly the same amount compared

to the balance at the end of 2013 (12449 euros).

The main expenditures in 2014 were the 5000 euros allocated to the Summit, 1300

euros paid in order to cover the expenses of the Terminology Awards 2014 and the

1387 euros for the web improvements and new design.

Besides, the Secretariat was paid half of the agreed annual amount (750 euros) for

necessary expenses (administrative tasks, EAFT mail campaigns, communication

activities, events organization, design editing process, etc.). The 2nd half pending will

be paid in 2015.

It is also important to be aware that the total of the memberships fees received in

2014 only represent half of the sum expected when counting all members. It is most

important that all the individuals and institutions who have traditionally been EAFT

members are prepared to pay their subscriptions. If not, the accumulated capital of

the association may be further reduced in following years putting at risk its financial

standing in the long run and restricting future activities.

3.2 Budget 2015

Regarding the budget, on 31st December 2014, the balance registered on the bank

account was 12551,97 EUR.

On 13th November 2015 the balance registered on the bank account is 15830 euros.

To this date, the annual fees paid amount to nearly 6400 euros (2014: 5850 euros)

corresponding to 47 members (22 individuals and 25 instituonals).

The main expenditures were the regular ones taking into account that this was a year

between Summits (Secretariat duties, meeting expenses, Chamber of Commerce,

website domain, etc.).


To sum up, it is estimated that our balance at the end of the year will be 14000 euros

(see appendix 3), which is slightly higher than the balance at the end of 2014 (12500

EUR). The economic situation may be considered stable, but without the annual fees

from our members, the association cannot go on supporting activities and may stop

functioning in the long term.

4. Activity plan for 2016

4.1 Organization of the VIII Terminology Summit 2016

TermCoord will host the next EAFT Summit (“Visions and revisions”), at the European

Parliament in Luxembourg on 7th–8th November. It will coincide with the celebratation

of EAFT’s 20 year anniversary in 2016

4.2 International Terminology Awards (ITAs) The International Terminology Awards (ITAs) are given out every second year for the

highest achievements in research in the field of terminology. They have been

established with a view to promote research and development and supporting future

terminological activity by rewarding the work of up-and-coming researchers in the

field. The awards are open to candidates from all over the world.

The EAFT is preparing the International Terminology Awards for 2016, culminating in

the presentation of the awards at the VIII Terminology Summit. As always, calls for

candidates will be widely disseminated. More information will be provided soon on the

EAFT site.

As previously, the EAFT will act as secretariat for the awards and administer

communications concerning the competitions and keep contact with the Jury

members. Furthermore, an EAFT Board member will act as chairperson of the Jury.


4.3 Support to local terminology events

EAFT would like to support (if possible also economically) local events in 2016 and

encourage members to propose such events at the GA.

4.4 Workshop on terminology didactics

EAFT and IITF plan to propose a workshop on terminology didactics within the

framework of TKE 2016 in Copenhagen, 22nd–24th June 2016.

4.5 Continued revisions (of statutes and ITA regulations)

Work on revising the statutes will continue, especially those sections concerning the

Advisory Council. Also the ITA regulations are being revised.

4.6 EAFT website and Twitter account

During 2016, we will work to improve the new sections on the website trying to keep

them updated, visible and attractive for EAFT members. The option to share contents

with social networks in some particular sections such as news, agenda and activities,

will be explored and, if possible, implemented. At a later stage, the possibility of

creating an intranet website where board documents can be stored safely and easily

accessed should also be considered.

Regarding our Twitter account, we will work on reaching satisfactory communication

among our members and followers aiming to encourage them to get involved in EAFT

activities, news and events.
