Workflow

As of SAP E-Recruiting, Enhancement Package 5 (ERECRUIT 605), Business Function

HCM, SAP E-Recruiting 4, there is one changed and one new workflow available which is

involved in the new E-Mail Verification Process:

Existing standard template WS51900008

WS51900008 got adapted to make sure that - in the standard case BF4 is active and the

new T77S0 switch RECFA VERIF has value „X‟ - the candidate receives the verification mail

instead of the confirmation mail.

New standard template WS51900018

WS51900018 got introduced to cover the process “candidate needs to request a new

verification mail”. This workflow works similar to WS 51900003 “Assign New Password”.

Workflow „After Creating E-Recruiting Objects“

WS 51900008 – Workflow After Creating E-Recruiting Objects

OLD Behavior if verification process is not activated

When a candidate registers in the Talent Warehouse, an object of the type Candidate is created internally.

The workflow checks whether applications that were created before the registration date already exist for the

candidate in the system. If there are none, the system checks whether the candidate is an employee. If the

candidate is not an employee, the Acknowledge Candidate activity (planned) is created. The

acknowledgement is then sent by e-mail and the status of the activity is set to Completed.

NEW Behavior if verification process is activated

When a candidate has entered the data required for registration in the Talent Warehouse, an object of the

type Candidate is created internally. The workflow checks whether there are already applications from the

candidate in the system and whether the candidate is an employee. If the candidate is not an employee, the

workflow checks whether the verification process is active. If the verification process is active, the activity type

for sending the confirmation mail that is to be used is determined and an activity with the status Planned is

created. In the standard system, this is either the E-Mail Confirmation (Registration) activity or the E-Mail

Confirmation (Application) activity. The confirmation mail is then sent by e-mail and the status of the activity is

set to Completed.

Workflow „Send Requested Confirmation Mail“

WS51900018 – Send Requested Confirmation Mail

A candidate can request a new confirmation mail if the original mail for confirming his or her e-

mail address is no longer valid. The system uses the Send New Confirmation Mail workflow

(ERCSendVerif) to send the candidate a new confirmation mail.

The following workflow steps – driving the system behavior - are provided in the

standard system:

Step 1: The workflow determines the activity type that is to be used to send the new

confirmation mail.

Step 2: The workflow creates a corresponding activity for the candidate.

Step 3: The workflow sends a new confirmation mail to the candidate.

How to check / configure

Take WD Component HRRCF_C_APPLICATIONS_UI COMPONENTCONTROLLER:

In the method SC_JOBS_APPL_RETRIEVE the data for the applications will be loaded from BL and

bind to the context.

It was added an if-clause in the loop for copy the data from result table into a local structure.

The if-clause checks the status of the application 5 standard application status are available (0-4).

Only in case the status is equal to 3 (“Rejected”) then the attribute APPL_STATUS_TXT will be set to

the OTR-text with the alias PAOC_RCF_UI_SELF_SERVICES/NOTSELECTED. The OTR text in

English is called „Not selected“ (German “Nicht berücksichtigt”) and can be changed easily.

Assign Processes to Candidate Sources

It needs to be ensured that the processes get assigned to the available candidacy sources. In this way,

candidacy sources get linked to corresponding recruitment processes. The system then initially displays

candidacies of a specific candidacy source in the list of selected candidates on the tab page of the relevant

process.

Note: A new version of the workflow template 51900010 is available! This needs to be adjusted & activated. The

workflow template now contains the additional workflow task TS51907922 (Change Process Assignment)

if the status of a candidacy is changed to In Process.

Authorization Roles

As of EhP4 there are already new authorization roles (see transaction PFCG)

available that can be used as copy templates for customer roles which contain all

necessary authorizations needed to use the corresponding Web Dynpro

applications. The roles are:

SAP_RCF_REC_ADMIN_ERC_CI_2: Administrator

SAP_RCF_RECRUITER_ERC_CI_2: Recruiter

Authorization Objects

New authorization object P_RCF_WDUI as of EhP4 contains the Web Dynpro

applications in SAP E-Recruiting that the user can execute

The old authorization objects P_RCF_APPL (Logical applications based on BSP)

and P_RCF_WL (Access to worklists) as of EhP4 are no longer supported

Authorization Roles for Menu Navigation

There are new roles available as of EhP5 (TC: PFCG) that can be used as copy

templates for customer roles. These roles contain all necessary authorizations

needed to use the corresponding Web Dynpro applications without usage of the

SAP portal. They are driving the menu’s (navigation) for each user in the SAP

NetWeaver Business Client (NWBC) for HTML environment! The roles specifically

for E-Recruiting services access are:

SAP_RCF_ESS_SR_ERC_CI_4: E-Recruiting Services for ESS

SAP_RCF_MSS_SR_ERC_CI_4: E-Recruiting Services for MSS

SAP_RCF_RECRUITER_SR_ERC_CI_4: Recruiter NWBC

SAP_RCF_REC_ADMIN_SR_ERC_CI_4: Recruiting Administrator NWBC

SAP_ASR_HRADMIN_SR_HCM_CI_3: HR Administrator (New Hire Scenario)

In addition to these roles the known E-Recruiting roles need to be assigned to

the relevant users profile to ensure that all services can be executed.

Note: Adjustment of the “Object-Based Navigation of Roles” may be necessary

You would use the Launchpad Customizing to adjust the object-based

navigation (OBN) of the role for SAP NWBC for HTML. You have to make

settings there only if you want to change the indirect navigation for a role.

Business Server Pages vs Web Dynpro

In case you have not used business function HCM, SAP E-Recruiting

2 (EhP4) before, please be aware that activating the business function

of EhP5 changes the technology used to display the user interfaces

from Business Server Pages (BSP) to Web Dynpro ABAP

The previous BSP user interfaces for the recruiter and recruiting

administrator are no longer supported as of business function HCM,

SAP E-Recruiting 2 (EhP4)

Manager Self-Service or Manager Involvement for recruiting will only

support the Web Dynpro ABAP user interface via the portal as of

Enhancement Package 4

Candidate BSP user interface is still supported

Note: All future UI developments will be performed based on

Web Dynpro ABAP
