Purpose

This specification defines the minimum requirements for A&E firms and subcontractors who provide facilities design documentation to the SLAC National Accelerator Laboratory in Menlo Park, California. All specifications set forth in this document must be met prior to submission of drawings to SLAC for preliminary review and prior to final submittal.

Scope This Drafting Deliverables applies to deliverables from all A&E firms and subcontractors, in addition to any contractual agreement between SLAC and an A&E design firm.

A&E Firms Architectural and Engineering Firms and Subcontractors.

Drawing Deliverables AutoCAD and Revit files, PDFs, Excel spreadsheets, and image files, electronic or otherwise.

SEDA SLAC Engineering Document Archive – a viewer of PDF drawing images

PDM/PLM - Teamcenter Product Data and Lifecycle Management system utilized at SLAC

Responsibilities

External A&E vendors and subcontractors

Follow this specification when generating Drawing Deliverables to SLAC National Accelerator Laboratory.

SLAC employees Check to ensure standards set forth in this procedure have been followed through preliminary inspection and final inspection of the documentation package. Preliminary and final inspection requirements are described later in this document.

Specifications

The details of establishing uniformity for each of the documentation package deliverable are listed below in no particular order.

Title Blocks and Formatting

The Drawing Title shall consist of four lines and include typical Title Block Information. Each Line must not exceed 32 characters. See examples of titles below.

Title line 1 Project Description/Location B0044, or BEAM SWITCH YARD, or BEAM TRANSPORT HALL, etc.

Title line 2 Project name OFFICE ADDITION, or UNDERGROUND UTILITIES, etc.

Title line 3 Discipline STRUCTURAL, or ELECTRICAL, or MECHANICAL, or CIVIL, etc.

Title line 4 Drawing Content PLANS AND DETAILS, or SINGLE LINE DIAGRAM, or FLOOR PLAN, or DETAILS, etc.

Revision Level

The revision number is displayed in two locations; in the lower-right corner of the drawing title block and in the lower-right side of the drawing format as shown in Figure 1 above and indicates the number of revisions to the drawing. All revisions descriptions shall be recorded in the revision record block located in the upper-right corner of the drawing. All revisions shall be recorded on the first sheet of a multiple sheet drawing package.

The drawing numbers consist of five separate fields (Prefix, Discipline & Subcategory, Suffix, and

Revision). See example B0051-A01-0001-00 in figure above. See below for numbering conventions:

1. PREFIX:Building # (5 digits)

2. DISCIPLINE:This is a two letter prefix indicating the drawing type, below is a small example of generaldisciplines, see sheet 2 on 'Drawing Numbers' excel file for the full list:

A0 - Architectural General

C0 - Civil General

E0 - Electrical General

G0 - General

L0 - Landscape General

M0 - Mechanical General

P0 - Plumbing General

S0 - Structural General

4. SUFFIX:

This contains a 4-digit value representing the successive drawing number from 0000 through9999. This number will be assigned by SLAC

5. REVISION:

The revision numerical value will be a number greater than zero if revisions have been made tothe initial release.

NOTE: Revision should be 00 for final as-builts.

Excel sheet requirements for all drawing information

The highlighted areas on the Facilities Project Drawing Index shall be populated by the A&E firm to include the following information:

NOTE: SLAC will provide the Drawing Index template (see Figure 3) to be filled in, once the highlighted sections of the spreadsheet are populated, the excel file will be returned with the appropriate drawing numbers.

PDF File Requirements

Listed below are requirements for PDF files prior to being accepted by SLAC.

• PDF files to be saved in this following format:

• Raster PDF must be 300x300 dpi

• Vector PDF files are acceptable

• All PDF files must be directly viewable in the proper orientation with title block reading fromleft-to-right.

• PDF files shall be submitted in the following Engineering sizes shown in 'Table A' below:

AutoCAD Information, Requirements, and Configuration Details

A&E firms and subcontractors documentation packages must fully comply with the drawing information and configuration details listed below. Drafting Deliverables DS-016-410-18 R2, title block, and excel sheet here https://suppliers.slac.stanford.edu/subcontract-administration-documentation

• SLAC will provide AutoCAD template, .ctb, .shx, and .pc3 fileso NOTE: Font shall be Arialo DO NOT change or use any templates that are not provided by SLAC

• All drawings shall be created on a SLAC provided template• All drawings should include Project ID# provided by SLAC (e.g. B0002.18.02)

o All A&E Firms and subcontractors shall use the title blocks provided by SLAC• CAD drawings shall be created using CAD Software Applications as listed below:

o AutoCAD (.dwg) - Version 2010 and newero Revit & SketchUp accepted - 3D models only

• All digital CAD files shall be provided on thumbdrive (memory stick) in the following formats:o AutoCAD (.dwg)o PDF (.pdf)

AutoCAD File Requirements

• All drawings to be drafted and saved in AutoCAD (.dwg) only - exports from other softwareapplications, such as Revit, will be accepted.

• Drawing files to be saved in this following format:

• All layout tabs to be labeled ‘00’, per the revision number.• All drawing files, including reference drawings, shall be drawn to scale.• All notation, dimensioning, and lettering on drawings shall be at the industry accepted scale; 1/8

inch for notes and 1/4 inch for all major labels. Do not use lower case lettering. All drawingsshall have the standard SLAC graphic scale integrated into the format.

• Flatten all folders from each discipline into one folder.• REMOVE from drawing files all broken or unused reference files, layers, blocks, image files, font

files, and pdf files.o NOTE: A&E firm should purge and audit before submitting to SLAC at 90% submittal.

• Do not explode attribute block or any other SLAC provided block.

Revit File Requirements

• All drawings to be exported to AutoCAD (.dwg) only.

• Drawing files to be saved in this following format:

• All layout tabs to be labeled ‘00’, per the revision number. • All notation, dimensioning, and lettering on drawings shall be at the industry accepted scale; 1/8

inch for notes and 1/4 inch for all major labels. Do not use lower case lettering. All drawings shall have the standard SLAC graphic scale integrated into the format.

• Flatten all folders from each discipline into one folder. • Keep all 3D/BIM models as .rvt file and include in the drawing package. • REMOVE from drawing files all broken or unused reference files, layers, blocks, image files, font

Xref Requirements

• REMOVE from drawing files all broken or unused reference files, layers, blocks, image files, font files, and pdf files.

• Use No Path (Remove Path) for all xref's. • All xref files should be accompanied by an excel spreadsheet that contains the locations and

drawing dependencies of the xref. • All xref files shall start with an X designator, for example X_imagename.jpg.

Note: Nested xref files SHALL NOT be used on AutoCAD drawings submitted to SLAC.

Additional ‘GIS’ Drawing @ 100% as-built

Included in the 100% as-builts there shall be an additional drawing called ‘GIS’. This drawing shall include the following:

• Use only the GIS layers. The GIS layers will be included in the AutoCAD title block. See below Figure 6 example of GIS layers.

• Drawing shall be a flat file with no xrefs. • The drawing shall consist of

a. One GIS.dwg file for each floor plan, i.e. B0057_GIS_FL1.dwg i. Roof plan, if available, i.e. B0057_GIS_ROOF.dwg

ii. Basement level plan, if available, i.e. B0057_GIS_BSMNT.dwg b. Footprint of ground-level, if different than 1st floor layout c. All lines and polylines shall be closed d. All blocks shall be exploded and lines shall be put on their respective layers

Initial inspection for the CAD Documentation Package

Three weeks after the drawings commence, a drawing package will be submitted for inspection of file structure and drawing accuracy, completed by an AutoCAD SME to ensure the standards set forth in this document are being followed.

NOTE: Only a portion of drawings are needed, submit AutoCAD files.

The drawing package inspection includes:

• The excel spreadsheet as outlined in this specification

• Title block, provided by SLAC, is being used

• CAD file naming conventions as outlined in this procedural guide

• Drawing numbers correctly named (see Figure 5) and saved as separate drawings (no multiple tabs)

• Embedded images

• External references (xref) guidelines are being followed

• Fonts are being used correctly

Final inspection of A&E and Subcontractors Deliverables to SLAC

Prior to final completion of drawing package the following items must be included for submission to SLAC National Accelerator Laboratory:

• Submit all drawings digitally, including AutoCAD files, 3D Models, and PDF files.

• All drawings to be saved as SLAC designated drawing numbers (see Figure 5).

• Hard-copies of all drawings.

• Provide an excel spreadsheet that contains all drawings and xrefs including file locations and drawing dependencies of the xref's.

• Additional deliverables as outlined in the work contract signed at the beginning of the project.

NOTE: All final 100% as-built drawings shall incorporate all RFI changes, all approved submittals, all approved shop drawings, red lines, and all Addendums. The set of as-builts will be labeled as a final revision as-built and shall be Revision 00 with all previous revision information removed from drawing.
