To access your DPMX trial:

Open a web browser and go to: dpmxtrial.syncopation.com

Enter the Username and Password contained in the email with the subject Your 30-day DPMX Trial Code to login to the DPMX System

You are now logged in to the DPMX Portal –a web app that serves as the hub of the portfolio system. Initially, the Projects tab will be displayed.

DPMX Trial User Guide - Overview

The DPMX Trial User Guide will assist you in completing the following basic tasks within the DPMX system:

DPMX Trial User Guide – Check Out a Project

To check out a project:

Select the Projects tab

Select one or more available project(s) by checking its box in the Select column

Click the Check Out button

Save the file to your local machine

Open the file in Excel

: If you check out a project(s) erroneously you can select the applicable project(s) and click the Undo Check Out button. The selected project(s) will be immediately checked back in to the DPMX System with no changes so that others may check it out.

Note: if you check out multiple project at once, the projects will be downloaded in a single zip file and will have to be extracted before opening.

DPMX Trial User Guide – Check Out a Project

After checking out a project, you'll see on the Projects tab that its status has changed from Available to Checked-Out. This indicates that the project is locked in the system -- ensuring no simultaneous edits will occur.

: You can lock a project by selecting the applicable project(s) and clicking the Lock button. To unlock, select the locked project(s) and click the Unlockbutton. Locking a project prevents anyone from editing it. Typically this functionality would be reserved for an admin user.

: You can download and view the latest revision of any project (Available, Locked, or Checked-Out) by selecting the project(s) and clicking the Download Copy button. You will not be able to edit the project.

DPMX Trial User Guide – Edit a Project

Editable in template; not saved to database

Decision SwitchYellow-shaded cells contains flag values that correspond to decision alternatives.

Uncertainty SwitchGreen-shaded cells contains flag values that correspond to uncertain outcomes.

Editable in template; saved to database

Input

Blue-shaded cells contain inputs (costs, timing, probabilities, etc.) that can be edited. These values will be uploaded to the database upon checking in the template.

To edit a project:

Edit the applicable blue shaded input cell(s) in the Excel file

Save the file to a convenient location for check-in

Project data is edited via an Excel template. Editing a project is the same as editing any Excel spreadsheet.

Shaded cells are linked to DPL, the analytic engine behind the DPMX system.

Once you've entered and saved changes, you'll need to check the project back into DPMX. DPMX uploads the data to the central portfolio database; timestamped, revision tracked and linked to the user who checked it out.

DPMX Trial User Guide – Check In a Project

To check in a project:

Select the Check-in tab –you'll see a list of projects you have currently checked-out

Under Workbook click the Browse… button and select the updated template file

Optionally add comments and click the Check-Inbutton

DPMX will re-evaluate the portfolio regularly to capture updated projects and store portfolio analysis results for on-demand access to graphical and numeric reports.

DPMX Trial User Guide – Viewing Reports

To view reports:

Click the Reports tab – initially a Risk/Reward chart is displayed

Use the drop-down menu to view the desired report

: You can download the underlying data for the report displayed for further analyses via the Download Data button. The file is a comma separated value file for easy load into Excel and other applications.

: You can hide project(s) or categories of projects from the active report by clicking Project Selection to maximize the form and un-check project category(s) or individual project(s). Click a project category (Ex: Final Design) to view the projects within it.

To create a new project:

Click the Admin tab - the Projects tab is active

Use the form at the bottom of the page to create a new project. You must specify the following:

‐ Name

‐ Template (there is only one template in the trial system)

‐ Business Class/Project Type/ Stage

Optionally choose to populate the project template with data from a file on your hard disk

Click the Add button to add the new project to the portfolio

Note: If you choose Create with Initial Data From File the file must be an Excel file with the same structure as the specified template.

Note: If you choose not to copy the initial data from a file, the project created will have no data in the template when first checked out.

To enter/edit data for a new Project:

Click the Projects tab

Check out the new project as described on Slide 4

Enter/edit the data in the shaded inputs cells and save it

Check the template back in to the DPMX System as described in Slide 7

DPMX Trial User Guide – Creating a New Project

To set up the initial data source file:

Click the Projects tab

Select the UPD project and click the Download a Copy button

- Be sure to save the file to a convenient location – you'll be using it to populate the initial template for Beam

To create the new project with the UPD source file:

Go to Admin | Projects and use the form at the bottom of the page to name the project, specify a template, and assign it project categories as shown below

Under Create with Initial Data from File, click the Browse button and choose the UPD project template saved above and click Add

Assume there is a new project, Beam, that needs to be added to the DPMX system. It's been suggested to use the UPD project template to source the initial data for Beam's project template.

To edit the project data for Beam:

Check-out the Beam project template via the Projectstab

‐ Beam's project data initially will exactly match that of UPD's

Make edits to the blue input cells

Save the file to a convenient location for check-in

Check the Beam template file back into the DPMX system

After the next re-evaluation of the portfolio, you can check the reports to ensure that the new project with updated inputs has been captured and stored in the system.

DPMX Trial User Guide – Creating a New Report

Assume you'd like a Bubble chart that shows the same values on the x- and y-axis as the default Risk/Reward chart (Expected NPV Given Success and the Probability of Success, respectively) but with the bubbles sized by Productivity Ratio.

To create this custom report:

1. Click the Admin tab, then the Reports link

2. Keep the Type as Bubble

3. Name the chart "Risk/Reward & Productivity Ratio" (without the quotes) - this is required and will be used in the reports drop-down

4. Keep the Chart Layout and Vector Data settings as they are

5. Optionally change the Palette and add Chart Titles/Subtitles

A wide variety of custom reports can be generated via the Admin | Reports page.

To create this custom report (cont.):

7. Supply the Axes labels and format within the Axis Data section as shown at the right

8. Specify the data to be included in the chart within the Data Points/Series section as shown at the right

9. Click the Create button

DPMX Trial User Guide – Creating a New Report

The report is generated and you'll be taken to the Reports tab to view it.

To make edits to a custom report:

Click the Edit Reports link

This will bring you back to the Admin | Reports page to make edits to the report's settings.

: The Cancel button discards any changes made to the report settings and brings you to the reports tab if no custom chart has been created or back to the custom chart you were editing.

: The Revert button reverts report settings to their original state – i.e., back to a blank form when initially creating a report or to the original settings for an already existing report.

: When editing an existing report, notice that the Create button has reverted to Save. The Savebutton saves any changes made to report settings, re-generates the report, and displays it.

Create a column chart that displays Expected Development Costs and Expected Development Costs Given Success for each project on a single chart. To create this custom report:

1. Go to Admin | Reports

2. Set Type to Column and keep the Options set to No Stacking

3. Provide a Name for the chart

4. Set Chart Layout to Create a point per project

5. For Vector Data select Use only first element

6. For the first series select "exp_dev_costs" from the drop down

7. Click the New Series button and select "exp_dev_costs_given_succ" for the second series

8. Fill in the Axis Data and Series Name as shown

9. Click the Create button

Setting Vector Data to the first element only allows you to include multiple scalar values per project to the report.

The column chart generated has a point per project with two bars per point as shown at the right. If you had created a series per project instead, the chart would have had two points with a different bar for each project as shown below.

DPMX Trial User Guide – View Revision History

To view revision history for a given project:

Select the Projects tab

Click the project name for which you'd like to review the revision history

: You can select one or more of the previous revisions listed and click the Download button to download and view previous revisions of the project template.

The project's current status is displayed at the top.

Below this is a listing of all previous project revisions along with the date the project was checked in, the user that it checked in, and any check-in comments.

Project Templates:

The project template defines the specific data requirements and evaluation particulars for the projects in the system. A project template consists of two items:

1. An Excel spreadsheet

A cash flow Excel spreadsheet provides the valuation model for the projects

It is a "real" spreadsheet – you can look at the formulas, enter data, and see how the results change in real time

DPL Portfolio, The Analytical Engine of the DPMX System:

Under-the-hood, DPL Portfolio…

…calculates base case, given success, and expected metrics for each project in the portfolio based on the uncertainties within the Excel valuation models.

Data entry in an Excel environment provides a familiar user interface and real time feedback of project valuation metrics which increases ownership and reduces errors.

Administrative users can define granular levels of read and/or write user access for project inputs and analytical results at the project, business unit or portfolio level.

The Managed Spreadsheet Approach:

DPMX steps around the Excel/system tradeoff by using Excel for cash flow calculations and for data entry but not for data management and storage.

The database is the central repository for the DPMX system, and is used for storing inputs to the system as well as portfolio analysis outputs from DPL Portfolio.

When a template file is checked back into the DPMX intranet portal, the project data is stored in a database, timestamped, and linked to the user who changed it and DPL Portfolio regularly re-evaluates the portfolio -- so analysts can maintain focus on what matters most:
