Chapter 1Product Description

Documentum Administrator enables you to monitor, administer, configure, and maintainDocumentum servers, repositories, and federations located throughout your company from onesystem running a web browser. Documentum Administrator is a Web-based tool used to performmost of the system administration tasks for a Documentum system. These administration tasksinclude:• Configuring servers, repositories, and federations

• Creating and changing users, groups, roles, permission sets, and LDAP configurations

• Managing content storage areas and full-text indexing

• Creating Content Delivery configurations for Interactive Delivery Services

You can perform all document management functions (create new documents, check in and checkout, start workflows) from Documentum Administrator.

Chapter 2New Features and Changes inDocumentum Administrator

EMC Documentum Administrator version 6.6 includes new features and several improvements.Refer to the product documentation for complete information about these features.

New features and changes in release 6.6This section describes the new features, enhancements, and changes in Documentum AdministratorVersion 6.6.

Java Method Server configuration

In release 6.6, Documentum Administrator offers a Java Method Server (JMS) node that allows usersto view and modify JMS configurations. JMS is a customized version of JBoss to execute ContentServer Java methods. One JMS is installed with each Content Server installation. DocumentumAdministrator provides a Java Method Server configuration page for• Viewing and updating Java Method Servers.

• Associating Content Servers with Java Method Servers.

• Viewing the Java Method Server status information in the Content Server memory cache.

• Resetting the Java Method Server information in the Content Server memory cache.

Java Method Servers (JMS) are displayed on the Java Method Server Configuration page. Users withsuperuser or system administrator privileges can access the Java Method Server Configuration page.To access the page, log into a repository and navigate to Administration > Basic Configuration >Java Method Servers.

Object owner permission changes

Documentum Administrator version 6.6 allows administrators to control the minimum and theextended permissions for object owners. The minimum owner permissions are granted regardless

of any restrictions that are specified in the ACL of the object and prevent users from accidentallyexcluding themselves from being able to modify objects they own.

The minimum and extended object owner permissions apply to the entire repository and can beconfigured on the Repository Configuration Properties page under the Repository node. Users withsuperuser privileges can access Repository Configuration Properties page. To access the page, loginto a repository and navigate to Administration > Basic Configuration > Repository.

The minimum and extended object owner permissions can be configured as follows:

Minimum Owner Permission Specifies the minimum permission for an objectowner after all ACL rules have been applied.The permission applies to the entire repository.Valid values are:• Browse

• Read

• Relate

• Version

• Write

• Delete

The default value is Browse.

Minimum Owner Extended Permission Specifies the minimum owner extendedpermissions for an object owner after all ACLrules have been applied. One or more extendedpermissions can be selected. By default, noextended permission is selected. Valid valuesare:• Execute Procedure

Users with superuser privileges can changethe owner of an item and run externalprocedures on certain types.

• Change Location

Allows the object owner to move the objectin the repository.

• Change State

Allows the object owner to change the state ofa lifecycle attached to the object.

• Change Permission

Support for Atmos stores

Documentum Administrator version 6.6 supports Atmos stores. An Atmos store is an EMC softwarestorage system that consists of several distributed services running on a network of connectedhardware nodes. Each node is attached to one more disk enclosures. The nodes run a collection ofservices to store, retrieve, categorize, and manage the data in the system or cloud. Content Serveruses the ACS connector to communicate with the Atmos store. The ACS module supports storing andretrieving of content through an HTTP interface.

Users can create, view, and modify Atmos stores from the Storage page under the StorageManagement node. To access the Storage page, log into a repository and navigate to Administration> Storage Management > Storage.

Graceful shutdown of workflow agent

Documentum Administrator version 6.6 supports graceful shutdown of a workflow agent. Theworkflow agent controls the execution of automatic activities in a workflow. The new systemshutdown timeout property on the Server Configuration page sets the time that the workflow agentattempts to shut down work items gracefully after receiving a shutdown command.

User can modify system shutdown timeout on the Server Configuration Properties page. To accessthe page, log into a repository and navigate to Administration > Basic Configuration > ContentServers, select a server configuration object in the Name column, then selectView > Properties > Info.

The system shutdown timeout property on the server configuration object sets the time that theworkflow agent attempts to shut down work items gracefully after receiving a shutdown command.This feature is only applicable for repositories that use multiple Content Servers.

If the shutdown timeout period is exceeded (or is set to zero), the workflow agent shuts downimmediately. When the workflow agent does not shut down gracefully, automated tasks in certain

states can be corrupted. If tasks are corrupted, restarting the Content Server does not result inresumption of the managed workflows. The server log file indicates when a graceful shutdown didnot occur. Use the RECOVER_AUTO_TASKS administration method to recover the automated tasks.

Kerberos SSO support

Documentum Administrator version 6.6 supports Kerberos SSO user authentication, which providesa secure Single-Sign-On (SSO) solution using Windows Integrated Authentication. Kerberos issupported on Content Server using the Microsoft Active Server Domain Services for Kerberos KeyDistribution Center (KDC) services.

Note: Kerberos SSO authentication is not supported on ACS and BOCS servers.

The Kerberos authentication plug-in that enables Kerberos support for KDC services is automaticallyinstalled with Content Server. There are additional steps to enable Kerberos SSO on the ContentServer that have to be completed subsequent to Content Server installation. These additional stepsinclude:• Determining the Kerberos Service Principal Name (SPN).

• Registering the SPN on the Active Directory and generating a Keytab file using the WindowsServer Ktpass utility.

• Creating Kerberos users in the repository.

• Configuring LDAP synchronization for Kerberos users.

For detailed information about enabling Kerberos SSO authentication, refer to Appendix D "KerberosSupport” in the Documentum Administrator User Guide.

Job scheduling improvements

Documentum Administrator version 6.6 offers improvements for job scheduling. For existing jobs,users can specify the next invocation date. When the job is run, the next invocation date is computedbased on the current date and the scheduled frequency.

Administration methods for login tickets

Documentum Administrator version 6.6 provides two new administration methods for login tickets:• The EXPORT_TICKET_KEY administration method encrypts and exports a login ticket fromthe repository to a client machine.

• The IMPORT_TICKET_KEY administration method decrypts a login ticket from a client machineand imports the ticket into the repository.

LDAP SSL mode configuration

Documentum Administrator version 6.6 eliminates the need to copy platform dependent librariesinto the application server path and the platform dependent JSS jar file into application server classpath. If the SSL mode has been enabled on the LDAP Configuration object, the LDAP CertificateDatabase automation functionality imports all SSL certificates into the certificate database.

Chapter 3Environment and SystemRequirements

This chapter lists the hardware (machine) requirements and software versions supported with thisrelease. Machine resources, non-Documentum software components (Operating System, JavaRuntime Environment, and so forth), and other EMC Documentum products determine the uniqueenvironment for each EMC Documentum product. Hardware requirements, page 15, addresses basicmachine resource requirements. Software requirements, page 16, addresses specific software versionsthat are required for the installation platform.

Documentum Administrator (DA) operates on a browser client and a web application server. Whenthe supported environments for the browser client and web application server are the same, they canbe on the same machine. Otherwise, they need to be on different machines.

Hardware requirementsThis section lists nominal machine resources required for product installation and use. Yourindividual machine requirements vary depending on factors such as the number of productsinstalled, size of your deployment, number of users, and network latency. The Documentum SystemSizing Tool dynamically generates estimates of your hardware resource requirements based on youruser and hardware profile.

You can download the Documentum System Sizing Tool from the Powerlink website(http://powerlink.emc.com) by navigating to: Home > Support > Technical Documentation andAdvisories > Software ~ D ~ Documentation > Documentum System > Systems Sizing.

Browser machine requirements

For WDK-based client applications, you need a client machine capable of running the supportedsoftware configurations listed in Browser environment, page 17, plus whatever disk space, RAM, orCPU requirements that may be specified by third-party products such as Microsoft Office.

WDK-based client applications may install applets and a JRE on the client machine. This requiresapproximately 100 MB of free hard disk space. Additionally, you need sufficient free disk spaceto handle checked-out and cached documents.

The tables in this section reflect the latest versions of third-party products, upon which the EMCDocumentum product depends, that are supported at the time of this release. EMC Documentumrecommends that you upgrade third-party products to the version listed for this release. If youcannot upgrade your third-party products to the version listed for this release, EMC Documentumcontinues to support all third-party product versions supported for EMC Documentum productversions 6.x and 5.3x, with the following caveats:• the third-party product is not of the same or earlier version than those versions listed in Table3, page 17

• the third-party product version is still supported by the third-party vendor

• the third-party product version is forward compatible with the version supported in this release.

Browser environment

The user interface for Documentum Administrator runs in a browser environment. The browserenvironment consists of a specific combination of operating system, browser, and JRE. Native 64-bit support

Documentum 6.5 and later versions provide native 64-bit support such that 64-bit Documentumapplications can run on 64-bit operating systems where 32-bit browsers are used.

Prerequisites to run Documentum 6.5 and later products in the native 64-bitmode

You must ensure that your 64-bit environment comprises the following prerequisite componentsbefore you run the Documentum 6.5 and later products:• 64-bit processor

• 64-bit operating system

• 64-bit Java Virtual Machine

• 64-bit web application server (if needed). Ensure that the web application server is bundled with64-bit Java Virtual Machine.

64-bit support in browser environment

Documentum 6.5 and later versions provide support for WDK-based applications that are deployedon a 64-bit application server installed on a 64-bit operating system. However, Documentum 6.5 andlater versions do not support accessing any WDK-based application in a 64-bit client environmentwhere a 64-bit browser is used. Documentum 6.5 and later versions support only 32-bit browsers ina 64-bit client environment.

The native 64-bit support takes full advantage of 64-bits of address space and the concurrent use ofmore than 4 GB of executable memory.

64-bit support in web application server environment

Documentum 6.5 and later versions continue to support 32-bit versions of the Microsoft Windowsoperating system. In the 64-bit domain, Documentum 6.6 and later will support 64-bit versions ofWindows Server 2003 SP2 x64 Edition and Windows Server 2008 R2 x64 Edition.

IPv6 support

Documentum 6.5 and later now supports dual-stack (IPv4 or IPv6) and native IPv4 operation. Inaddition to this, Documentum 6.5 and later products which are Java based applications also supportnative IPv6 operation. Support for dual-stack operation enables Documentum 6.5 and later productsto use the appropriate protocol (IPv4 or IPv6) when communicating with third-party products andother Documentum products.

Documentum Foundation Classes determines the operating mode, and by default, DFC is configuredfor dual-stack and native IPv6 operation. The Documentum Foundation Classes Installation Guideprovides information on how to configure DFC for native IPv4 operation.

Applet certificates

Applet code signing certificates shipped with Documentum applications are signed before theexpiration date of the certificate. If you are running JRE Java 6 update 18 or later, the certificates donot expire and no warning messages are displayed. If you are running an earlier version of JRE andtry to download the applet to a client machine for the first time but the digital certificate has expired,a warning message indicating that the certificate has expired, is displayed.

If that happens, you can choose one of the following options:• Click Run in the warning message window to accept the previously validated certificates. Thecode and digital signature are valid because the date when the code was signed was prior to thecertificate expiration date.

• Replace the expired applets with the new certificates provided in advance of the expiration date.

Chapter 4Fixed Problems

Within two weeks of the release, a list of the fixed problems in the release will be posted on the EMCPowerlink website (http://powerlink.emc.com). You must have a software support agreement to login and access the list of fixed bugs.

To view the list of fixed problems:

1. Log in to the Powerlink website.

2. Select the Search Support tab, and then click Advanced Search.The Search Support page appears.

3. Under the Search Support heading, click All Support Resources and select Documents fromthe list.

4. In the text field, type the product name.

5. Click Show Advanced Options to expand the Advanced Options pane.

6. Under Document Type, select Fixed Bugs List.

7. Click Search at the bottom of the Advanced Options pane.

8. Scroll down to see the search results listing the Fixed Bugs documents for each release of theproduct.

9. Click the document name to view the file.

Fixed problems for version 6.6This section describes problems that were fixed in Documentum Administrator 6.6.

Classloader used by the BOF2 objects are not loadingthe expected xml libraries (141153, 152781)

The classloader used by the BOF2 objects on some application servers, such as WebSphere, hasproblems loading the expected xml libraries and displays a blank page (141153) or throws an errormessage (152781). To resolve these issues in Documentum Administrator, copy xml.jar fromWebsphere/AppServer/java/jre/lib directory to Documentum Administrator web-inf/lib directory.

Fixed Problems

Invisible federation object using DA (164278/DA-892)

After successfully creating a federation object in Documentum Administrator, the object does notappear on the Federation list page. To resolve this issue, restart the repository and docbroker aftercreating a federation object.

No change in a_next_invocation_date attribute whilechanging Start Date and Time job attribute(DA-1146)

When you change the Start Date and Time attribute of a job in Documentum Administrator, thechanges are not reflected in the a_next_invocation_date attribute.

Configuration of LDAP with SSL fails (DA-2804)

The validation of the SSL test connection for 32-bit machines succeeds, but fails for 64-bit machinesfor LDAP configuration. LDAP SSL configuration is not supported in native 64-bit mode.

Upgrading from 5.3 SP6 to 6.5 SP2 repository fails(DA-3375)

When you upgrade from 5.3 SP6 repository to 6.5 SP2 repository, the Presets.dar,ResourceAgentsRegistry.dar, and Adminaccess.dar files are not installed. Therefore, Admin AccessSet and Resource Agent functionality of Documentum Administrator do not work.

Mismatch in count in Files column of categories(DA-3388)

When the processing of DocSet is done in the Production view, the number of documents in theFiles column of the categories in the Test view increments resulting in a count mismatch. Also, nodocuments are found in categories in Test view. This behavior is seen only on Windows/Oraclesupported combination.

Repository properties sharing the same name but adifferent type cannot be added in the property mappingattribute of the LDAP configuration object (DA-3666)

Using repository properties with same name for different types in the property mapping attribute ofthe LDAP configuration object generates an error. This behavior is seen only when you try to connect

This section identifies problems and limitations that may affect your use of the product.

Note: This section and the Technical Notes section may refer to platforms or features that are notsupported for this release of your product. Check Chapter 3, Environment and System Requirementsto verify requirements.

EMC Documentum makes the latest information about customer-reported issues and knownproblems available on the Powerlink website (http://powerlink.emc.com). You must have a softwaresupport agreement to log in and access the list of issues.

Note: EMC Documentum has recently migrated to a new defect tracking system. As a result,problems and limitations in this chapter may include the legacy tracking number (a numericreference), the new tracking number (an alphanumeric reference), or both references.

Known problemsThis section describes known problems in EMC Documentum software that may affect your useof the product.

Migration policy trace files (80728)

Documentum Administrator does not display a dmcl trace file after a new migration policy runssuccessfully. When the trace is switched on the server, all traces go to that file and a separate tracefile is not generated.

Reordering assignment policy rules (80839)

When editing the rules of an assignment policy, do not reorder the rules. The changes are applied tothe wrong rule.

Documents locked after a user or group is reassigned(CS-3839)

If you reassign a user or group, documents locked by that user or group remain locked, even if youuse the option to unlock the objects.

Creating an SSL-enabled LDAP configuration objectfails on HPIA Platform (DA-648/170896)

Creating an SSL-enabled LDAP configuration object using Documentum Administrator fails on theHPIA platform.

To create an SSL-enabled LDAP configuration object, perform the following steps:1. Create a non-SSL LDAP config object using Documentum Administrator.

Index Agent MBean log file is not downloaded(DA-737/153922)

When users click to view All events in the Log tab of an index agent MBean, all events should belisted. Instead, the download log file operation throws an error for the index agent MBean.

Deployment fails on Windows Server 2003 SP2(32-bit version)/Oracle AS 10g Release 3 (10.1.3.3.0)environment (DA-742/154754)

The Documentum Administrator WAR file deployment fails on Windows Server 2003 SP2 (32-bitversion)/Oracle AS 10g Release 3 (10.1.3.3.0) environment. The system displays a blank page witherror message as ’Object Expected, Syntax error’ when users access the DA URL using InternetExplorer.

The workaround for the Oracle application server environment is to comment out the following linesin DA\WEB-INF\web.xml:<init-param><param-name>wdk_cache_control_redirect_includepages</param-name><param-value><![CDATA[(\.jar)$]]></param-value>

Changing the owner of an already assigned ACL doesnot change the acl_domain of the affected objects(DA-1264/118785)

After the owner of an ACL is changed, the acl_domain of this acl associated with an object does notreflect the updated owner. The object’s acl_domain has not been updated to the new owner, but isstill pointing to the old owner. This can cause security issues when viewing the object associatedwith the updated ACL.

Two references to the same group appear afterreassigning (DA-1468/136710)

As an example, groupA and groupB belong to admingroup. After reassigning groupA to groupB,two references to groupB appear as members of admingroup.

Changing the ACL or home cabinet for a user requiressuperuser privileges (DA-3365)

Only a superuser can change the ACL or home cabinet of a user. If you are logged into a repositorywith system administrator privileges and edit an user account, you can select a different ACL orhome cabinet for the user. However, when you save the changes, they are not implemented andthe system does not display an error message.

Object type dm_message_archive lost in docsetproperties (DA-3607)

When you create a new docset with an object type dm_message_archive and then save it, the objecttype is lost. This behavior does not occur in all other object types except dm_message_archive.

Replacing, deleting or revoking of LDAP databasecertificates is not supported (DA-3620)

Replacing , deleting or revoking of LDAP database certificates in the LDAP certificate database isnot supported using the LDAP Certificate Management functionality. To update the certificates,

manually remove the existing LDAP certificate database on the Content Server, restart the methodserver, and import the new certificates using Documentum Administrator.

Removing a role member after a search generatesruntime exception error (DA-3854)

If you select a role and perform a search for a user, the system displays the user in the searchresult. If you then select the user in the search result and try to delete the user, the system throws aruntime exception. This behavior happens for members of any role that contains a mix of groupswith more than 10 users.

Known problems common to all WDK applications

For information about WDK applications, refer to theWDK and Webtop Release Notes.

LimitationsThis section describes limits on the usability of current functionality. The limitations may be part ofthe product design or may result from issues with associated third-party products.

Menu behavior

When you click a menu under Internet Explorer, you can navigate the submenus by holding themouse button and moving the mouse pointer. When you click a menu under Netscape Explorer,you must click on the submenu picks.

Failover

If the server to which you are connected fails, Documentum Administrator does not automaticallyreconnect to the repository. You must reconnect manually.

File store and job names

Do not use single quotation marks in file store and job names. Single quotation marks in file store andjob names can cause exception errors when a user views the associated Properties page.

Viewing log files

Viewing large log files in Documentum Administrator can take several minutes and the browseror product appears to hang.

Very large log files are truncated when displayed in Documentum Administrator.

Inherited default ACL must have Read access

The default_acl attribute of the Content Server server config object specifies how Content Serverassigns default access control lists (ACLs) to newly created objects, including categories. One possiblevalue for this attribute causes the server to assign the default ACL associated with the user whocreates the new object. If Content Server is configured to inherit the default ACL from the user, thedefault ACL associated with the user who enables CIS functionality in the repository must grantat least Read access to all CIS users.

Simple search fails with an error message in severalminutes after Index Server has restarted (DA-3627)

After restarting the Index Server, simple search can fail initially despite the status of the Index Serverdisplays ’Running’ in Documentum Administrator. The Index Server requires several minutes to startup all components, including search components processes. Wait until all Index Server componentsare up and running before using the simple search feature.

Failover not supported in clustered environments

You can install Documentum Administrator in a clustered environment; however, failover is notsupported.

Compatibility limitations between CIS server and CI APIclients

The development of some new features caused compatibility limitations between CIS server and CIAPI clients.

CIS server 6.5 requires CI API clients, such as Documentum Administrator, version 6 SP1 or later. CISserver 6 SP1 requires CI API clients 6 SP1. CIS server 6 requires CI API clients 6.

Error on folder names with single quotes (CIS-164)

When defining document sets in the Content Intelligence node, an error occurs when you select afolder or cabinet with a name that includes a single quote character. The single quote character isa reserved character in DQL syntax.

Selector pages

If you have items you want to add selected on a selector page and you click OK instead of clickingAdd, Documentum Administrator exits to the previous page and you lose the selections.

Server and connection broker logs

You cannot manually delete server or connection broker logs from Documentum Administrator.Ensure that you set the Log Purge job to active and set a regular schedule for it.

Customization not supportedCustomizing Documentum Administrator is not supported.

Adding connection brokersThe ability to add a connection broker using Documentum Administrator is limited to users withSystem Administrator or Superuser privileges. If you need to make more connection brokers and therepositories to which they connect available to users, you can also update the dfc.properties in da.earlocated in /web-inf/classes folder and re-jar the ear file.

Displaying job trace filesTurning on tracing in the dfc property on the Content Server host overrides DocumentumAdministrators ability to display a trace file. If Documentum Administrator does not display thetrace file after a job runs successfully, examine the dfc property file on the Content Server host. If thetrace_file parameter is set, remove it and the trace_level parameter.

View Jobs buttonDocumentum Administrator displays a View Jobs button at the bottom of each page next to theView All Messages button. Clicking the View Jobs button displays information about asynchronousWDK operations, not repository or server jobs.

Accessibility options not supportedDocumentum Administrator is built using components from WDK and Webtop. Webtop supportsthe accessibility options, which present menu choices as clickable links on the primary page for eachWebtop function. When you access Documentum Administrator and choose accessibility optionsduring login, similar links are displayed. However, Documentum Administrator does not supportthe accessibility options.

User privilegesTasks performed using Documentum Administrator include creating or modifying objects, enablingauditing, and initiating site publishing jobs. Different tasks require different user privilege levels.For example, to create a site publishing configuration (now called as content delivery configuration),you must have Superuser privileges. You must have config audit privileges to configure auditing,view audit privileges to view audit trails, and purge audit privileges to remove audit trails from arepository.

A user who connects to Documentum Administrator may not have sufficient privileges to performadministration tasks, but the user is still able to navigate Documentum Administrator and viewthe available administration options.

The Administrator Access chapter inDocumentum Administrator User Guide contains more informationabout this functionality.

Reassigning users objectsReassigning a users objects in the repository does not automatically deactivate the user in therepository. To deactivate the user, from the Users list page, select the user, and on the users Infopage, click Inactive.

Japanese Documentum AdministratorThe Documentum Administrator version 6.6 interface is localized for Japanese.

LDIF filesOn Japanese and Korean Windows hosts, LDIF files used to import users should be saved in UTF-8format before importing the files.

LDAP configurationsWhen the deactivate_user option is enabled in an LDAP configuration and a user is deactivatedin the LDAP server, the LDAP synchronization job disables the user in the repository by settingthe user_state attribute to 1. When the user is reactivated in the LDAP server, the next LDAPsynchronization job reactivates the user in the repository by setting the user_state attribute to 0.

Audit events in new repositoriesIf you view audit events in a newly-created repository, you may not see any events because the datadictionary job has not completed. The events appear after the data dictionary job completes.

Assignment policiesA user without proper permissions on a policy is not allowed to create a content file that qualifiesto the rules in the policy. In this scenario, the policy is executed, and the user is not allowed tocheck in the document.

Documentum resource agentsUse Documentum Administrator to manage Documentum JMX resources. The JMX service URLsfor ACS and BOCS resource agents are created during Content Server installation. The tablebelow lists the JMX URLs for resource agents accessed through the Resource Management node inDocumentum Administrator. The host is the machine hosting the agent and the port is the portused to communicate with the agent.
