Here we are in January, the month famous for our making of New Years' resolutions, most of the time along with the wink and the smile to others which says to them, "Yes, I am making this resolution knowing full well I will break it sometime during the next few weeks". So then at least for some of us, our resolution becomes more of a wish, instead of something that will serve a useful purpose in our lives and the lives that surround us. Six months ago, did your club make a goal of being Distinguished or better? What makes the difference between us reaching our goals instead of them just staying dreams? I believe it comes down to three key points; Making a plan to achieve your goal, setting a time frame to achieve your goal, and then the RESLOVE to take the action needed to turn your goal into reality. Happy New Year, Members of District 40!

Remember 6 months ago, when the tempurature outside was muchwarmer, we were enjoying our vacations with fun activites, and ourToastmasters year for our clubs was just beginning?

Here we are in January, the month famous for our making of NewYears' resolutions, most of the time along with the wink and thesmile to others which says to them, "Yes, I am making thisresolution knowing full well I will break it sometime during the nextfew weeks". So then at least for some of us, our resolution becomesmore of a wish, instead of something that will serve a useful purposein our lives and the lives that surround us.

Six months ago, did your club make a goal of being Distinguished orbetter?

What makes the difference between us reaching our goals instead ofthem just staying dreams?

I believe it comes down to three key points; Making a plan to achieve your goal, setting a time frame toachieve your goal, and then the RESLOVE to take the action needed to turn your goal into reality.

Six months ago, did your club create a club success plan and get commitments from all of your clubmembers to work towards that plan together? Or is your club success plan still a dream, awaiting thatmember named "SOMEONE ELSE" to take charge to make it all happen for your club?

I once told an audience about a time when I was looking through somephotos that were not yet in an album. I came across a picture of mydaughter in the arms of … a huge, larger than life, teddy bear. “Why isshe there?” is the question that came to my mind. Sometimes asToastmasters we need to stop and ask that question about ourselves. Whyam I here? Why is District 40 here? Why are District Officers here?

Our District mission statement relates that we are here to: “enhance thequality and performance and extend the network of the memberclubs of Toastmasters International within the boundaries of thedistrict, thereby offering greater numbers of people the opportunityto benefit from the Toastmasters educational program”.That statement says a lot! It says that we (District Officers) exist to helppeople get the benefits of Toastmasters! Those benefits include:improved self worth, greater listening skills, the ability to give qualityfeedback, enhanced networking skills, stronger leadership skills,confidence in being able to share viewpoints when it counts, oh… andpublic speaking skills on the platform.

However, to get these benefits, guests have to become members. Members have to get to know theToastmasters Educational Program. As I travel around District 40 I find that many of our members have only acursory “introduction” to the Competent Communication manual. We must to strive to gain a thoroughunderstanding of the complete education program; including all of the various modules, manuals, and series.

Even more important than understanding the Leadership and Communication Tracks is the knowledge of whatToastmasters is all about. As Eastern Division member, Sean McClanahan, said: “Toastmasters changes lives!It helps us on our jobs, in our homes, and out in the community.” I agree with Sean. Points in the DistinguishedClub Plan are only important because they measure the health of our Clubs. These points delineate and quantifyour Clubs’ ability to help people progress through the Leadership and Communication tracks in order getbenefits that change lives.

Without the completion of speeches and performance of roles accompanied by motivational evaluations, ourorganization is relegated to being just another social club. We are so much more! Toastmasters “helps menand women learn the arts of speaking, listening, and thinking – vital skills that promote self actualization,enhance leadership, foster human understanding and contribute to the betterment of mankind.” (Excerpt fromthe Mission of Toastmasters International)

Every time a member achieves a goal or objective it fulfills our mission statement and helps us extend thenetwork of clubs in our district. And guess what… that is why I am here!

Achieving greatness as a Toastmaster may look like an intimidatingrequest, and yet our district theme asks us to do exactly this. Maybe, youare like me, wanting just a little improvement as a speaker, or the abilityand confidence to communicate effectively. One step at a time, you may bethinking. The idea of being a great speaker or a great toastmaster is beyondany of my visions. This was my thinking two years ago, but today I realizea new potential of greatness within myself I never saw before. I call it themagic of Toastmasters. Together, working as a group, we achieve the bestfrom each of us, and in time the accomplishment is truly great.

To achieve this magic you must have a desire to push your boundary as abetter speaker or a better leader. You need a goal, and as your Lt. Governorof Marketing I have asked many, what are your goals? The answer to this

question has great variation, which is not surprising. There may be commonthreads among us, but as a group the goals of our membership spans thegamut of personalities in our district. So, I keep asking myself, how can the district help you all achieve suchwidely different goals? The answer comes back to the club and the Toastmasters’ process. Club meetings aregreat learning opportunities and fun. You should not expect instant results. The Toastmasters’ meetings are notpowerful caffeine shots from a Toastmaster espresso machine. Your skills don’t grow by leaps and bounds, it’smore like a single step of a long journey. One meeting, like one step of your journey, will not make much of adifference, but after a year or two, the change is simply astounding. That’s the magic of Toastmasters.Amazingly, the meetings address all variety of goals from leadership growth, how to listen and evaluate, tospeaking tips that can help you on that next important project. It’s a learning opportunity for the whole, and aprocess that allows the group to grow together. I’m sure you would agree, there is nothing better than a wellexecuted Toastmasters’ meeting. A great meeting is the combined product of small contributions fromeveryone. If the burden falls on one, or two, or the same six individuals, the value and diversity falters, and theclub may struggle.

This is why membership is a critical factor to a club’s success. Small clubs can have great meetings, but it’spails in comparison to large meetings, where there are no doubled roles, great laughter, and ideas stream fromthe energy of the group. The most successful clubs have active members with large attendances. All clubsshould try and build their club to size where maximum benefit is realized for each member. You can decide onthat golden number, but if you want a recommendation, think twenty-five as the starting point.

Another critical factor is organization. Again, the support of all is vitally important. The TOD “ToastmastersOf the Day” may be the conductor at the meeting, but each person should have a role in the event. Greatmeetings are well organized, starting long before the opening words. Verifications of roles, room set up,greetings and introductions, meeting flow and timing; execution of it all becomes the hallmark of a greatexperience and a great meeting. When organized and executed well, meetings are fun, and provide the greatestopportunity to the members and guest. Make all meetings a great meeting as the goal for your club.

Here is how you can help your club and yourself.

1. Participate and give your best in each club meeting – make participation a priority2. Help your club grow – be the ambassador for your club and talk up toastmasters

A club size of 20+ is a district goal. The infusion of new blood and new ideas through new members, keeps theclub dynamic, exciting, and fresh. Club growth is critical for your success because it is one key to a greatmeeting. Make your meetings great by participating and executing your part to your best ability. Your part is apiece the whole, as you succeed, so will the club, and the district. The numbers will add up like steps in ajourney, and we all achieve greatness, together.

Two Easy Steps to Build MembershipW. D. Smith, Jr., DTM, Lt Governor Education and Training

1. Public relations, get the guest in.

2. A good show, let them see what they’re getting.

Now perhaps I over-simplify a bit, but if you get these two things right, your club will be overflowing with eager guests and members. I can hearyou now, “But how do we create good PR?”

In my experience, guests show up at a meeting mostly through one of two ways:

1. Word of mouth, a personal invitation from someone they know2. Via the Toastmasters International “find a club” page and (if it exists) the club web site

So this tells us that we need to get our members to invite their friends, family, co-workers, barista, bus driver, and nanny. At the next clubmeeting, hand out a blank sheet of paper and without telling them why, ask each person to write down the names of ten people they know.

After they do so, ask them to pick five of them to invite to the next meeting (this lets them leave out some people they might think wouldn’t besuch a good membership candidate). Follow up and keep score on who brings guests, split into several teams and recognize achievement.

At the same time, make sure your club details on the TI “find a club” page are accurate (like meeting days and address!), that the phone numberand e-mail address go to someone who is ready to return messages promptly and sell the guest on coming to the meeting. Be sure the club website is attractive and up-to-date, and includes some recent pictures of the meetings and membership. Include something unique about your club,especially if you’re near other clubs. (Club web sites could be the topic of a whole article itself, and probably will be.)

Now, we’ve got lots of guests coming to the meeting, what’s next? Put on a good show! Let them see what the Toastmasters program is allabout. Be sure every meeting is demo quality, as you never know who might show up. Manual speeches with constructive positive evaluationsare the key, and then table topics to get everyone else involved and practicing off-the-cuff speaking too.

Have a guest welcome packet that includes:

a welcome letter from the club president a brief outline of the Toastmasters program and the benefits members derive from it; remember “what’s in it for me”! important contacts (president, VP-Education VP-Membership, and treasurer, at a minimum) with e-mail and phone the exact amount of the dues for each of the 12 months of the year (don’t make them do the math), who to make the check out to, who to

give it to a membership application with the essentials already filled in (club name and number, district, etc.)

Be sure to conclude the meeting with asking guests what they thought about it, and invite them to fill out a membership application.

Yes, your club can grow, you can draw more guests and sign them up - every club can and should be at 20+ members and distinguished!

One Toastmasters activity I have a lot of fun with is contests. Over the years, I have frequently entered speech contests. You won't find my name onany of the district winner's plaques - my all time best so far was second in a district humorous speech contest -- but the point is growth, not victory.

As you work your way through the various levels of contest, you have the chance to develop one speech and one theme in more detail than youusually do in your club. Good speakers don't look for new material and new messages - they work to improve a message and seek newer and biggeraudiences for it. By reworking your contest speech as you go from one level to the next, you imitate what the good speakers do anyway.

Contests are an effective way to improve your speaking and expand your network of Toastmasters friends.

Impromptu speaking is something that we all do, every day. Some of us do it better than others. Table Topics (TT) provides avenue to practice this skill.

I use the following example to illustrate how one should respond to a Table Topics question: You work for a professional footballteam. Your boss comes into your office on Tuesday and says, “Hey, what did you think about our strategy during the gameyesterday?” Would it be OK if you responded with, “Well, I did not watch the game, but let me tell you about a good basketballgame I watched two weeks ago. ” In this case, a football question called for a football answer. Answering a question that we havenot prepared for is a skill and we should all practice it.

However, somewhere along the line some TM’s feel that TT is just a chance to stand up and say anything you want. The judges even feel that thesmoothest talker gets the prize. That is simply not the intent of the exercise.

In TT, many TM’s (and even the TM magazine) feels that you can change the question. This is not reality. The rules of TT give the contestantsan “out” if they are not familiar with the topic. That is, ACCURACY IS NOT A GRADED COMPONENT of the answer. So there, we all have a“get out of jail free” card. We can now make stuff up on the fly and it not be held against us.

A good TT answer starts with a good TT question.

The rules clearly state two points about the TT questions. They are:1. All contestants shall receive the same topic, which shall be of a general nature, and shall speak for two minutes. (I

realize that in some one hour clubs, like mine, we give each contestant a different question.)2. The topic shall be of reasonable length, shall not require a detailed knowledge and shall lead to an opinion or conclusion.

The questions should be reasonable and give the contestants a “target” for which they can wrap their response around. Vague questions and reallycomplicated questions should not be used. Also, the judges may not be able to determine if the contestant answered the question.

Judging is the last area that I want to discuss. One component is the “Effectiveness” area. This accounts for 25% of the score. How often haveyou seen someone win the contest and not even answer the question? This should not happen. One can’t do it at work and should not do it in TM.

TT Masters should sit down right in front of the speaker or in the middle of the crowd. This helps the contestants as we all want to speak directlyto the person that ask the question.

[Editor’s Note: One of the advanced projects that a Toastmasters Club can take on is conducting a Speechcraft program. The officialTI web site states it “…allows experienced Toastmasters to present the fundamentals of public speaking to non-members in anatmosphere of a Toastmasters club meeting.” The Franklin Club is in the process of conducting a six-session Speechcraft program aspart of the Columbus Regional Airport Authority current year-long Leadership Academy. Asked to describe her experience as part ofthe club’s Speechcraft team, ATM Susan Stasiak responded by telling how such a program can also “teach the teachers”.]

Some learn by doing. Some by teaching. I’m a teacher who is always learning… and our Speechcraft project isteaching me. I’m learning while mentoring a group of professionals involved in a leadership training program.Naturally, as we mentor, we review Toastmasters’ principles and speaking processes, but it’s so much more aswell. As our team of four to five Toastmasters offers educational sessions, table topics, evaluations, and one-on-one coaching, I’m learning about the learners…how they think, how they respond to new assignments and howthey interact with one another for peer learning. The latest hot button in corporate learning is peer mentoring, thatis learning from our colleagues to accelerate performance. My Speechcraft experience demonstrates that theToastmaster process works very well in the peer mentoring realm.Probably the most gratifying learning for me is getting to know our “Crafters” through the Toastmaster meeting format. The ice breakers andsubsequent speeches allow me to experience the new acquaintances up close and personally. I learn of their passions and interests through speechesand table topics. I note how each member’s natural talents and unique styles are integrated within their speeches. I’m impressed with the creative ideasand presentation formats during our lively and often thought-provoking sessions. And mostly I learn and relearn how the supportive and encouragingspirit of Toastmasters gently guides us through the challenge of Toastmasters.

Brr! The weather outside is frightful. I’m working on promoting the CL designation within district 40. Which is delightful.Before I talk about what my team and I will be doing, let me share some of my background with you. I’ve been a Toastmastermember since 2005. I’ve served as club Vice Presidents of Membership and Education and as club President. In 2007, I assumedthe educational lead in my club in regards to the CL designation. As the lead, I worked on producing a calendar of CL relatedevents that my club, The Breakfast Club, puts on every year. The calendar lists when the events occur and what CL credit isavailable to club members. In July of 2010, I assumed the role of CL Advocate (CLA) for district 40. I’m charged with CLDesignation promotion within district 40. I’m also charged with educating the district 40 club members about the CL designation.

Now let me introduce my team members and share what they’ll be doing.

First is Teresa Glenn from the Western Division. She’s a past Division Governor and current District 40 Secretary. Teresa will be presenting at TLIsin the Western Division.

Second is Brian Jones from the Central Division. He’ll be presenting at TLIs in that Division. Brian will also be coordinating an initiative to set up amonthly CL related BLOG on the District 40 website.

Third is Kate Pape from the Mountain Division. She’s the current Division Governor. Kate will be presenting at TLIs in the Western Division.

Fourth is Richard Spangler from the Northern Division. He is currently the Area 5 Governor. Richard will be presenting at TLIs in his area and iscurrently heading the initiative to collect and post CL related Frequently Asked Questions on the District 40 website.

Fifth is Jim Adams (CTM/ALB) of the Bluegrass Division. Jim chaired the 2010 Fall Conference, and will be presenting at TLIs.

The CLA team is looking for workers on the all of the initiatives listed above plus another one. We’re still looking for someone who will review andanswer CL designation related emails. If you’re interested, please advise at the email address below.

Starting in 2011, the CLA will be promoting the fact that in order to complete a CL designation, each club member has to chair either a membershipdrive or a public relations campaign. The public relations campaign can be linked to the membership drive. There can be chairs for both themembership drive and the public relations campaign which halves the workload for each chair. The membership drive can run for only thirty daysand be very low key.

I would like to thank the Northern Division Toastmaster members for their support in forming a Gavel Club at Springboro High School. I wasinterested in forming a Toastmasters Club at Springboro High School to help the students work on their communication skills toward college andwork interviews and to gain confidence in their speaking ability. Unfortunately, Toastmaster clubs are unavailable for students because we are under18. Fortunately, Toastmasters International has an affiliated program called a Gavel Club for those instances.

On Wednesday December 15, the SHS Gavel Club had an open house. Five toastmasters from three local clubs demonstrated the full flavor of aregular Toastmaster meeting. The Toastmaster of the Day was Eileen James, the Northern Division Governor and member of the AquinasToastmaster Club #2159. Ray Marcelo from the Mid Day Cabaret Club #1206 gave a speech titled “Forked Road” from his AdvancedCommunication manual. Alan Bunker from Springboro Coffee Talk #631540 evaluated Ray’s speech. Don Wright from Springboro Coffee Talkwas the Table Topic Master and got the students involved. Li Marcelo from Mid Day Cabaret Club prepared the meeting agenda and took otherroles. It was a complete success and all students present expressed their interest in the Gavel Club. We expect 15 members to join.

The Mid Day Cabaret Club will be our sponsor club. Our club just submitted the application form to Toastmasters International and will become anofficial club very soon. We intend on meeting on the 2nd and 4th Wednesday of each month. Our first official meeting will be January 26th.

I was somewhat reluctant to come back to being the editor of the ST when Kevin approached me last November. I thought… “been there… donethat….” The more I thought about it though, the more I thought “Why not? It was fun then, it could be fun again.” The biggest challenge beforewas coming up with content for publication. I’m sure that will be the case again. In the final analysis, the impact of this newsletter is based on thecontent of this newsletter. Does it provide you, the reader, with value or not?

Having said that, the next question is “What is value based on?” I submit that it is based on what we find interesting. How do we know what’sinteresting? We know it in part, because you, the readers, submit it for publication. This newsletter is nothing without your input. Periodically, the“Call for Articles” is sent out to club Presidents and VPPRs, as well as Area and Division Governors, and the newsletter needs input back, or it willbe of no value to the rank and file of our membership. The idea is to have that call distributed down the ranks. Send out the word, rally the troops,bring in the sheaves!

Input need not come from District leadership ranks alone, anyone can submit content… Any. One!

Think of it as… Table Topics in writing. Are you up to the challenge? Most of us have no problem standing in front of a group of people andexpounding on a topic that is sprung on us only a few moments before. So… why not an ST article for the District? Surely there must be things inthe district worthy of attention! It’s just another forum, just another CHALLENGE. If you have something of interest, send it in. Maybe it won’tmake it to” print”, but what have you got to lose? A simple seven letters, NOTHING!
