IntroductionIn this ever changing world of technology, the need for agile working and the demand to access IT

whenever and wherever you are, is paramount. Maximising budgets and resources are also of equal

importance as is delivering a quick and efficient service to end users.

With this in mind, LapSafe® have developed an extensive range of dynamic lockers to store, charge and

deploy multiple laptops, Chromebooks, tablets and other similar devices from self-service locker bays.

The extremely popular Diplomat™ offers the ‘best of breed’ when it comes to innovative self-service

lockers which allows users to borrow a device 24 x 7 x 365 without staff interaction. Devices can also be

updated or re-imaged simultaneously from a remote location.

Depending upon configuration the Diplomat™ can offer the user the option of ‘Choose Your Own

Device’ (CYOD) or a charging space to support ‘Bring Your Own Device’ (BYOD) schemes.

OverviewThe Diplomat™ is the first and most sophisticated intelligent smart locker system which can loan devices or lockers 24 x 7 x 365. Devices such as laptops, Chromebooks and tablets, can be automatically loaned to borrowers with no staff interaction.

Users can identify themselves with a host of identification technologies including MiFare™, Barcode, Magnetic Stripe, PIN or Biometric giving secure access to authorised borrowers only.

Charging of devices is provided by either low voltage supply specific to the device, USB (up to 2.1amp) or USB-C. To support ‘Bring Your Own Device’ (BYOD), a 13 amp mains sockets is installed for the users AC adaptors to be plugged into (Euro version available).

Loaning control is carried out in two ways either by linking the Diplomat™ to a Library Management System (LMS) using Standard Interchange Protocol (SIP2) or by linking to an SQL database which can, if required be connected to Active Directory for the auto scheduled import of user credentials. We are able to support ‘Choose Your Own Device’ (CYOD) with the ability to select one of up to three types of device on the touch screen interface.

With our unique integration; linking hardware, firmware and software together we are able to continually monitor the current state of both charging devices and the lockers themselves.

Specific workflows allow us to loan the best-charged device to a borrower at any time or deploy empty lockers supporting ‘Bring Your Own Device’ (BYOD).

Dynamic Self-ServiceBorrowers can access self-service device loans or a locker space anytime and anywhere via our clear 19” touch screen interface*. This allows open access learning with no restrictions, no-time frames and no fuss. The Diplomat™ smart lockers offers 24 x 7 x 365 access to fully charged devices.

Simple to use; borrowers just select the type of loan required, confirm their identity and collect their device or access their locker.

The Diplomat™ makes all the decisions regarding what to loan by continually checking for the best-charged device* or free locker that can be dynamically issued at any given point in-time.

Specific workflows in our software and firmware ensure that secure controls are in place. We monitor each transaction and ensure that devices or lockers are only issued to the correct borrower by the use of secondary identification at the locker itself.

SmartLine™ With PowaSave™Perfect for device loans

LapSafe® patented SmartLine™ with PowaSave™ features unique ultra-safe low voltage built-in charging cables specific to the make and model of laptop, Chromebook or tablet, eliminating the need for AC adaptors. Charge levels are continually monitored, so that the best-charged device is always deployed first*. This fully integrated charging method also monitors and detects when a device is removed or returned. Complete with LED indicators to display charging status and availability.

The highly intelligent PowaSave™, built-in as standard, monitors the charging of all devices and automatically turns off relevant power supplies rather than dissipating wasted electric as heat. Charging is automatically reinstated when required thus saving energy. Support for low voltage

Devices charge using their own AC adaptors plugged into a standard 3 pin, 13 amp socket (Euro versions available) located in the side of each locker bay).

Data TransferFor updating all your devices

With the option to provide Cat 5/6 cabling into each locker bay, updates can be carried out with the devices in-situ using Wake on LAN (WoL) technology.

Diplomat™ LMSAt the centre of the Diplomat™ LMS version is your Library Management System. With our full SIP2 communications we authenticate borrowers, check-out and check-in devices on the fly enabling administrators to keep track of loans, users and fines.

Utilising your existing LMS, means no extra database to set-up and manage, no replication of data, and no additional staff training. It enables you to stay in control with the integration of your existing ID technologies and workflow’s used in your Library.

We integrate with all popular LMS providers that use the SIP2* communication protocol.

Diplomat™ SOLOLoaning control is carried out by integrating the Diplomat™ to our SOLO SQL database which can, if required be connected to Active Directory for the auto scheduled import of user credentials.

SOLO SQL Database and Admin Portal

The SOLO’s SQL database can either reside on its own PC built into the terminal, or more advantageous for sites with multiple installs on a dedicated server (virtual or physical) running SQL Server Express and Microsoft Internet Information Services.

Multiple installed units are connected over the LAN to the SQL database. All transactions (check-outs/check-ins) are recorded against both the devices record and the user record, ensuring that full control and data is available for reporting.

SOLO reporting is possible via the web based Admin Portal accessed via a standard web browser, it provides a user-friendly interface to access the SQL data. All data can be searched between specific date ranges and the data exported to .XLS format for external manipulation. You can manage users, loans, returns, staff, rules and fines.

Availability DashboardThe informative dashboard displays information on each installation’s locker and device availability and can be searched by date range. Weekly or Monthly reporting on ‘availability’ can be set-up via the dashboard and information can be shared to administrators via email. The email includes an overview of availability for the selected period. More detailed data in csv format can be exported for external manipulation. *Coming soon

Device Fault ReportingWhen a device is returned, the user is asked if there were any faults with the device they borrowed.

This is a simple YES/NO question. If there are problems with the device, then the user is asked to specify the problem by selecting pre-set descriptive buttons on the clear touchscreen display.

Scalable SolutionThe Diplomat™ range is available from as little as 8 bays and can grow to suit the demand of future expansion to the system. Each terminal can support up to 96* bays, and unlimited terminals can be added to both our LMS and SOLO versions.

With two sizes of locker tower available, one suitable for laptops and larger devices and the other slim version perfect for tablets, e-reader and similar types of devices.

The Diplomat™LITE is a multi-bay locker system designed to store and safely charge laptops and other similar devices. It offers a balance of specification vs price point.

To make the best use of space the terminal includes 8 integrated locker bays. A maximum of 7 additional 12 bay towers can be added to the original terminal, giving a maximum of 92 bays per installation. There is no limit to the number of terminals being used at any one site.

When devices are returned to the locker bay, they are not made available for loan until 60 minutes has elapsed, the LITE version uses time based deployment only, therefore charge levels are not guaranteed before they are deployed.

The following are the main differences in specification compared to the Diplomat™LMS and Diplomat™ SOLO

to 10” for tablets
