Choose to share content and campaigns between different groups of audiences. Private workgroup: Two, one company has multiple clients where the content on each workgroup cannot be viewed by the other workgroups. This is called a ‘Private’ workgroup. The multiple workgroups provide users the ability to view, edit, and publish campaigns in each workgroup, but files cannot be seen or shared between the workgroups. Campaigns cannot be published to displays outside the workgroup. Note: Workgroups are completely optional. A company may not need to separate their content, campaigns, or displays.

What is a workgroup?

Workgroups is a tool to organize your digital signage system when there are a large number of displays that are managed by different users. Use workgroups to manage users by assigning roles. Choose to share content and campaigns between different groups of audiences.

Do I need a workgroup?

What is a parent workgroup?

A parent workgroup is the main account for Digital Signage. Workgroups are created off of the parent account. Every workgroup will have a parent account. The parent account, by default, is a workgroup.

Super administrators can only be assigned at the parent workgroup level, not on individual workgroups. To assign an admin of a workgroup, invite the user to the workgroup under the role ‘workgroup admin’.

All new devices added into the system are added into the parent workgroup.

What are roles?

Below are the default roles available. Any role can be custom created under Roles in the main navigation.

Campaign Manager - User will have full access to campaign management functionality within current workgroup.

Creator - User will have full access to content management functionality within current workgroup.

Device Manager - User will have full access to device management functionality within current workgroup.

Guest - User will have only view access within current workgroup.

Super Admin - granted access as admin to all shared workgroups, except private.

Workgroup admin - Has full access to the workgroup and can invite other users.

Note: Verizon My Business users are always Super admins. To set permission invite users via email.

Current workgroup

The top right corner of the navigation indicates which workgroup you are working under.

The green icon indicates which Workgroup you are currently working in.

1. Navigate to accountTo switch workgroups, select the down arrow next to the account. The green arrow indicates the workgroup you are currently working under.

Create a workgroup

1. Navigate to WorkgroupsClick the overflow menu in the top navigation. Then select ‘Workgroups.’ You will be taken to the ‘My workgroups’ page.

2. Create new workgroupClick ‘Create new workgroup’ in the top right corner.

3. Enter workgroup details• Name your workgroup• Add a brief description• Upload a logo

4. Select workgroup typeShared: allows other workgroups to share content, templates, and campaigns with each other.Private: does not allow other workgroups to share content.

5. Save & continueClick save and continue to keep creating the workgroup. Click ‘save & exit’ to create your workgroup but not add any additional details. You may come back and enter these details later.

6. Share settingsIf you have selected a ‘shared workgroup’ the next step is to select the type of access to give the workgroup.

Open access: shares with all other open workgroups as well as all the libraries with all the shared workgroups.

Limited access: choose to share to specific workgroups. Libraries can also be limited across each shared workgroup. For instance if multiple workgroups are created, choose to share with a limited amount. Also, share only the campaign library not the content library.

Note: Private workgroups do not have this option, as folders cannot be shared in a Private workgroup.

7. Save & continueClick save and continue to add detail to the workgroup. Click ‘save & exit’ to create your workgroup but not add any additional details. You may come back and enter these details later.

8. Available displaysSelect the displays to assign to this workgroup. Display may only be assigned to one workgroup.

Note: The list of displays shown are only available displays. If a display assigned to a display group, in any workgroup, it must first be removed from the group to make it ‘available’.

9 Invite usersInvite users from the list of available users. Then choose a role to assign to this user. Users can have different roles in each workgroup. All admins are already assigned to each newly created workgroup.

Share workgroup content folders

Sharing content or campaign folders can only happen in ‘Shared workgroups.’ When content is shared, it is copied from one workgroup into your current workgroup. Changes to files will not overwrite the original file.

1. Navigate to contentHover over ‘Libraries’ and select ‘Content’ in the main navigation.

2. Import contentClick ‘Import shared content’ in the body of the page

3. Import from workgroupSelect the workgroup to access their content libraries.

4. Select items to importSelect the individual pieces of content or select entire folders to import into your content library.

5. Import content to folderSelect the folder to copy the selected pieces of content. Once copied, this content will live in the workgroups library. To continue to select content to import from this library click ‘Import more’.

Add displays into a workgroup

Displays can be assigned to a workgroup at anytime. A display can only be assigned to one workgroup at a time. If there are unassigned or ungrouped displays in the Digital Signage Portal, follow the directions below.

If all displays are currently assigned to a display group, and need to be moved to another workgroup, follow the directions on the following page.

1. Navigate to displaysSelect the ‘Overflow menu’ in the top navigation and select ‘Workgroups’.

2. Select ‘Displays’ in the workgroupIn the line of the workgroup to assign displays to, select the ‘ # displays’ item.

3. Select ‘Assign displays’When there are no displays assigned to the workgroup, the page will remain empty with a ‘Configure displays’ button. Select ‘Configure displays’.

3. Select configure displaysConfigure displays to this workgroup by selecting the display in the left panel and adding the following information:• Name of display• Floor (optional)• Address• OrientationAssign this display to a display group then click ‘Save’.

Move displays into a new workgroup

To move a display that is currently in a display group, it must first be removed from that display group and then re-assigned to the desired workgroup.

1. Navigate to displaysSelect Displays in the main navigation.

2. Unassign displaySelect the overflow menu (three dots) next to the display that you would like the unassign. Click ‘unassign’.

3. Navigate to workgroupsSelect ‘Workgroups’ in the overflow menu in the top navigation.

4. Select workgroupClick into the workgroup to add a new display to.

5. Select ‘assign displays’Click assign displays button on the right of the page.

6. Select assign displaysCheck the boxes of the displays to assign to this workgroup. You may check multiple displays at one time. Click ‘save’ to continue.

6. Configure display(s)Each display will need to be configured to the workgroup. Configure the display by adding the following information:• Name of display• Floor (optional)• Address• Orientation Note: You can choose the configure the display later by allowing anyone within the workgroup with ‘displays’ role permission to configure the display.

Invite users to an existing workgroup

1. Navigate to workgroupsSelect ‘Workgroups’ in the overflow menu in the top navigation.

2. Select the workgroupSelect the workgroup to invite new users.

3. Click ‘edit’Next to the workgroup name, select ‘edit.’

4. Select usersIf the users are already invited to the Digital Signage Portal, but not the workgroup, they should appear as an ‘available user.’ Select from the list of available users to invite them to this workgroup.

5. Invite new usersIf the user is new to Digital Signage, select the ‘invite new user’ at the bottom of the window. Type in the users email address and select a role for each new user. Click ‘Send invites’ to finish inviting the new user.
