About the post The Digital and Data Manager performs a key role within New Writing North, working on a broad range of digital, IT and data management tasks to support marketing, projects and office management. We’re a small, dynamic organisation and we’re looking for someone who can manage the competing demands of the role with energy and good grace. The role is varied and the appointed person will be expected to apply themselves equally to the range of tasks – one day you might be analysing audience data and the next editing a podcast or trouble-shooting IT issues. You’ll be given responsibility from day one, but your current experience in using particular software is not as important as your can-do approach to problem solving and developing new skills on the job. The Digital and Data Manager will work across the organisation and with senior staff and external stakeholders, developers, designers and project partners. New Writing North’s mission is: To empower people from across society in the North to become writers and to support their work so that it finds local, regional, national and international audiences, and to support readers to become more adventurous by providing access to literature of the highest quality to enrich their lives. We lead the development of new writing and expanding creative reading in the North by being a catalyst for enterprise and creativity. Our core office hours are 10am-4pm, with most staff working 9.30am-5.30pm. There is a one-hour unpaid lunch break. Annual leave: The annual leave entitlement for this post is 25 days pro-rata, plus public holidays. Pension: New Writing North operates a company pension scheme, which is available to all employees after successful completion of the probationary period. Position in Organisation Reports to Senior Marketing and

Communications Manager Budget accountability Responsible for digital core and

project budgets. Overall purpose of the job This is a varied post, which performs a key role within New Writing North, working on a broad range of digital, IT and data management tasks. The post holder will ensure the smooth running of all of New Writing North’s digital platforms, manage and report on audience data and support other staff with marketing, projects and office management. The Digital and Data Manager will work across the organisation and with senior staff and external stakeholders, developers, designers and project partners. Duties required from each Responsibility Responsibility #1 - Websites and content management

• Work closely with the Senior Marketing and Communications Manager and the Digital Marketing Intern to undertake the content management of New Writing North’s websites including updating content, copyediting, managing images, sound and video

• Ensure that our site content is current and to remove or archive content as necessary

• Work with external designers and developers to oversee the running and development of New Writing North’s websites and in conjunction with other staff to lead the commissioning, delivery and launch of new sites as and when required

• Perform annual appraisals of New Writing North’s websites and online profile and manage plans for updating and development

• Manage online submissions of work and engage with project managers to ensure the smooth running of projects

• Assist with the delivery and project management of the digital elements of the Northern Writers’ Awards and other online competitions

• Update and edit New Writing North’s image content, archive and social media

• Undertake the editing and uploading of New Writing North audio and film recordings onto our own website and to platforms such as Soundcloud and YouTube.

• Responsible, along with the Senior Marketing and Communications Manager and Senior Project Managers, for final sign off on all NWN websites before launch

• Advise and support staff, freelancers and volunteers with the running of associated digital initiatives and where useful training others to perform content management tasks.

Responsibility # 2 – Digital communications and marketing

• Working closely with the Senior Marketing and Communications

Manager and Digital Marketing Intern to edit, format and produce all monthly newsletters, bulletins and other external digital communications produced by the company

• Manage customer data to ensure efficient and effective direct e-marketing campaigns/initiatives

• Lead staff usage of digital platforms including Airtable, Submittable, PeopleHR and Zoho Expenses.

Responsibility # 3 – Data capture management and reporting

• Lead the development and implementation of New Writing North’s customer database to ensure that data is collected, updated, cleaned and managed in accordance with the new GDPR standards (General Data Protection Regulation)

• Manage the various user and audience data held by the company. To include managing incoming data from partner organisations, updating information, modifying fields of data capture and future-proofing our provision in this area

• Rigorously query, extract and report upon data from a variety of sources

• With the Director of Finance & Administration, to ensure that all staff understand GDPR rules and regulations and that New Writing North adheres to good practice in this area

• Lead responsibility for providing the Executive and Senior Management teams with data for evaluation purposes when requested and to ensure that our processes and systems are adequate for collecting the data that we need to support both the reporting requirements of our core funders and the delivery of our Audience Development Plan

• Report quarterly on digital usage and website stats across our output in a format that can be used by New Writing North for internal and external reporting

Responsibility # 4 – Digital planning and management

• Manage the software required to implement our digital communications and to ensure that this is kept up to date and is cost effective

• Work with the Senior Marketing and Communications Manager to ensure that all NWN project websites adhere to our house style

• Offer support to staff across the organisation on the development of new websites or hosting of projects to ensure continuity and a high level of security across our output

• Manage company email accounts, company back-up processes and to assist staff with day-to-day software queries and troubleshooting

• Lead the day-to-day management of our data security system and policy, hosting and server facilities and to manage contracts for mobile phones and other technology

• In conjunction with the Director of Finance and Administration to collaborate with IT capital planning and updating

• Report to the board on issues of risk in relation to New Writing North’s digital provisions, protection and sustainability

• Keep a register of domain names and ensure that rental of domain names is up to date across all of our sites.

Experience Experienced user of content management systems (WordPress) Experience of using web development tools, including a working knowledge of HTML Experience of managing and reporting on data

Skills or knowledge

Excellent computer skills – proficiency in MS Office packages, especially Excel and Outlook. A high level of technical competency across a range of digital media Ability to build simple websites (WordPress) Familiarity with design software such as Photoshop and InDesign Proven ability to innovate and to improve delivery Strong planning and organisational skills Great communication skills and an ability to communicate technical information to non-specialists
