The ApproachHaving understood both the broader and more speci�c objectives DEX undertook a one month assessment of all document related activities using the XPEA audit tool

This analysis was then collated in to a client report, checked and then scope agreed for the ‘Design Phase’.

John West required a strategic review to understand how rule based printing would reduce document production costs whilst improving e�ciencies within the business. Together with our Managed Print Service o�ering, ongoing control has been given to John West throughout the life cycle of the Xerox devices.

Assess - Design - Implement - Manage

At the heart of the infrastructure are 4 new cost-e�ective Xerox devices. These units are all covered under one UK-wide Service Level Agreement (SLA) and constantly monitored by the DEX helpdesk in Manchester. This allows us to reduce John West’s workload by automatically replenishing toner stock, placing calls and o�ering remote advice to �x machines.

The main printing device is the revolutionary Xerox ColorQube which will be used to replace externally printed letterheads to an internal template and printed on the ColorQube saving money.

All internal marketing material will be checked through the DEX website for analysing various documents to optimise colour percentage and get the right 3 Tier billing system on the ColorQube device.

DEX also combined the hardware solution with the Equitrac and Watchdoc software. By using individual pin authentication, a secure ‘pull print’ solution, full rules based printing, follow me printing and accurate reporting by department or person enables John West to make immediate cost savings and improve e�ciencies now and in the future across all document production activity.

If the job isn’t ‘pulled’ within 24 hours it is deemed not to be wanted and deleted! By pulling jobs like this, individual users are accountable for everything they do. This process together with the Environmental saving produced by the ColorQube helps reduce John West’s impact on the environment.
