Development Setup in MarkSystems®

Let's begin by reviewing the current developments setup within Bristol Homes. From within Mark Systems, select the menu: File > Set Current Company

Within the Company Selection screen, use the binoculars button, or lookup button to select the company Bristol Homes.

Next, select the lookup button to view all the developments set up within Bristol Homes.

The development search screen does not include any developments for Bristol Homes therefore no developments have been setup within this company. Close the development search screen by selecting the button. Return to the main Mark System menu.

To create new developments for Bristol Homes, go to: Job Cost > Setup > Developments

Developments are company specific. The current company's name is located on the bottom right hand corner of the development file maintenance screen. If the current company is something other than Bristol Home, go back to the Set Current Company program to pick the correct company. To create a new development, select the button within the development file maintenance screen.

The development code, description and the G/L division are required fields. The development code is a two-digit alphanumeric field.

The G/L Division corresponds to the middle three digits of the subledger general ledger accounts. The divisions were set up in the previous exercise. For this example, Bristol Borough is part of division 000 – Management Team A.

The ITK Publish dropdown menu determines whether or not the development will be available on the Intern et Toolkit. Production and Warranty developments are available on the Internet Toolkit while the developments set to don't publish will not be available via the ITK. The company/development selection screens of the Internet Toolkit can be filtered to view only production developments, only warranty developments or all published developments.

When a development is no longer active, it can be disabled by checking the disabled checkbox. Disabled developments will no longer appear in the development dropdown menus within Mark System however the historical information is still available. The development file contains 6 tabs of information related to different departments or groups within the homebuilding company.

Construction Office:

The first tab contains the contact information for the main superintendent including address, phone numbers and email address.

Purchasing Office:

The purchasing office tab contains the contact information for the purchasing agent. This person will also be responsible for all emails generated through the custom option estimating process for this development. The sales tax percentage defined within the purchasing tab overrides the global sales tax percentage defined within System Configuration. Entering information in this field is unnecessary if the sales tax percentage does not change by development.

Sales Office:

Enter the Sales Manager's contact information in the Sales Office tab. The sales office tab may contain up to four different email addresses. The functionality of each email address field is different.

• Email – The primary email address is used during the Custom Option Estimating process in sales. The sales manager will be copied on all Custom Requests created in this development. The sales manager will also be copied on all emails sent from a homebuyer's Internet Toolkit portal.

• Pre-approval Email (not pictured) – if the Custom Option Estimating process requires sales manager approval prior to estimating, the pre-approval email will be notified. This email address only appears in the development file if the custom option estimating process is set up for pre-approval.

• ITK Prospect Registration Email – an email will be sent to this address every time a prospect registers online.

• Sales Executive Email – an email will be sent to this address when the contract sign date in sales is updated.

The Base Deposit Percentage and the Option Deposit Percentage are used as the defaults in the sales module for specifying customer deposits.

Warranty Office:

Enter the contact information for the Warranty Representative within the Warranty Office tab. The warranty representative can be notified via email whenever a homeowner enters a service order request through their Internet Toolkit web portal. To notify the warranty representative, a valid email address must be entered and the checkbox next to “notify above on ITK SO request” must be checked.

ITK Homeowner:

Homeowner community specific messages and service request instructions can be entered within the ITK Homeowner tab. This information will display on the Homeowner's Internet Toolkit portal. For example, information regarding the next community meeting and seasonal messages may be entered here. The text within these fields may be formatted with the use of HTML tags. These tag s can be used to change the font, size of the font and alignment among other things. If the messages are the same for all or most developments, a global company and development can be defined within System Configuration. By defining a global company and development, the community messages are maintained in one centralized location instead of in each development.

ITK HomeBuyer:

Homebuyer community specific messages can be entered within the ITK homebuyer tab. The information on this tab will display on the Homebuyer's Internet Toolkit portal. This field functions the same way as the homeowner's community specific message and service request instruction fields described above. By default, the homebuyer portal contains a link that allows the homebuyer to email the sales agent and sales manager directly. This link can be removed and replaced by the sales and superintendents contact information. To display the contact information, make sure the “display sales and superintendent contact information on homebuyer ITK” checkbox is checked.




Sales Goals:







Development specific documents can be saved and attached to the development file maintenance program. These documents will display each time a user edits the development within the development maintenance program. To upload a document, select the DocLib button.




Within the add document screen, the user must enter the document location within the document name field. The user can navigate to the desired file by using the lookup button. The lookup button will open a windows explorer screen that allows the user to find the location of the document. Once the document path has been defined, a description must be entered. Select to upload the document to the development maintenance program.

A secondary window containing the description of the document will display each time a user goes into the Bristol Borough development file.




To view the attached document, the user must double click the description. To delete a document, the user should highlight the description and press the delete button on the keyboard. Select the button within the add development screen which will bring you back to the main development file maintenance screen.

Repeat the above exercise to add two more developments: NP – New Portville and WF – Waterford.




Once these developments have been added to Bristol Homes, a report can be generated to review the information entered for each development. To generate the report, select the button.

A print preview of the development file listing will generate. This report includes the superintendent,




purchasing agent and sales managers' contact information. This report can be sent to a printer by selecting the print option from the file menu. For this exercise, close the report by using the X button.

For this exercise, Bristol Borough contains several houses which must be set up within Mark




Systems. These are single family houses which will be numbered sequentially. The houses can be set up one by one within the house file maintenance program or created at once through the development file maintenance program.

Highlight the development Bristol Borough and select the button to create multiple houses at once.

The house information can be reviewed and modified within the house file maintenance program located under the following menu: Job Cost > House File Maintenance




At this time, the ‘Set Current Company' screen will open. Use the lookup button to select development Bristol Borough or type the development code ‘TC' into the development field. Once the correct company and development have been selected, press the button to continue.

The house file maintenance program displays the twenty houses set up previously in the development file maintenance program. These houses currently have an Unknown/Unknown model




and elevation. Edit the houses to change the model and elevation if necessary and add additional information such as the address, lot and block. The process of setting up houses individually will be covered in a subsequent document. When setting up the developments, the zero lot was also created. The zero lot is used to track development or project costs. The house number is 00000000 with a model and elevation of PRO/CST which stands for Project Costs. The zero lot is automatically created every time a new development is set up.
