Dallas Alumnae Chapter Minutes of the October 18, 2014 Chapter Meeting

“Uncompromising Commitment to Communities: Service, Leadership, Empowerment”

Ritualistic Opening

The meeting was called to order in ritualistic form by President Sharon Royal Hunt

at 2:20PM at Concord Missionary Baptist Church, 6808 Pastor Bailey Dr., Dallas,

Texas. Soror Bertha Whatley served as Vice President, Soror Karla McGary

served as Recording Secretary, Soror Laverne Reid served as Chaplain and Soror

Thalia Matherson served as Parliamentarian. A quorum was present.

Adoption of the Agenda

The Executive Board report was added as item M under Committee Reports –

Requiring Action; thus changing the Jabberwock report as item N under

Committee Reports – Informational. The agenda was adopted with the changes.

Approval of Minutes from the September Meeting

The minutes from the September 20, 2014 chapter meeting were approved.

Officer’s Report

President

Madame President opened her remarks by welcoming the membership to the

meeting. Madame President gave kudos to Soror Ericka Davison and the TASPers

committee and Soror Jackie Glee and the Delta G.E.M.S. committee; the

committees hosted an event about “Texting and Driving” at the Dodd Center with a

presentation given by a Police Officer from the S.W.A.T. team. There were about

30 to 35 young ladies in attendance at the event. Madame President informed the

membership the Southwest Regional Director is in town for the Delta on the Tour

event in Fort Worth. Madame President and 16 chapter members will be attending

the event; she thanked Soror Oscar Faye Williams and the Arts and Letters

committee for coordinating this effort for the chapter. She asked members to

continue to pray for our sisterhood and in closing she thanked Soror Reid for

serving as the Chaplain.

Vice-President

Soror Bertha Whatley presented the report. Visiting members were recognized.

All October birthdays were celebrated by serenade.

Madame President acknowledged the visiting collegiate Sorors from the Sigma Mu

chapter.

Treasurer

Soror Carol Crawley presented the Treasurer’s Report for September. A vote card

must be obtained in order to receive a treasurer’s report. The report will be filed

for audit. Soror Crawley informed the membership the revised voucher is posted

on the chapter’s website. She advised Committee Chairs the use of the revised

voucher will begin November 1st.

Protocol Moment

The Protocol committee report was given by Soror Oretta Johnson. The purpose of

the Protocol moment is to cover and review items during each chapter meeting to

ensure our chapter is in compliance. The presentation for the October chapter

meeting addressed decorum and the code of conduct required as members of Delta

Sigma Theta Sorority, Inc.

Presentation by Physical and Mental Health

The members of Dallas Alumnae who are breast cancer survivors were recognized

and each were presented with a pink flower.

The report was given by Soror Oscar Faye Williams, Chairperson. The following

recommendations were presented:

B. Budget and Finance (B&F)

The report was given by Soror Marsha Thornton, Chairperson. The following

recommendation was presented:

The 2014-2015 budget be amended as outlined in the attached document.

Informational:

The B&F committee held a Financial Fortitude Course for chapter members on

October 11, 2014. Approximately 35 Sorors were in attendance. Members

reported benefiting from the program. Twenty (20) out of 24 surveys received

marked the program with highest ratings. A reconciliation of the budget versus

actual expenses is below.

C. Elections

The report was given by Soror Kimberly Sims, Elections committee. The

following recommendation was presented:

The chapter purchase a Scantron Scanner, optional on-site maintenance

agreement for the first and second year, annual support, Scantron ballots (3

packs of 500), and Scantron tally forms (pack of 50) for a total cost of

$3,796.45.

Soror Sims moved for the adoption of the recommendation. Motion carried.

D. EMBODI

The report was given by Soror Loraine Lee, EMBODI committee. The following

recommended calendar of activities for 2014-2015 was presented:

The calendar includes 9 months of activities for the Pre-EMBODI GROUP.

Additionally, highlighted with *** are activities that Dallas Alumnae will sponsor

for our EMBODI group. With the exception of the Fun Day in March, Teen Town

Hall Meeting, and Closing event all activities will be held at the Inspiring Body of

Christ Church from 10:30am – 1:00pm. Parent sessions are also a part of the

program. Student sessions are taught by African American role models. African

American men and college male mentors also support the activities of the program.

Chapter members are the organizers of the program and also engaged with student

participants.

E. Internal Audit

The report was given by Soror Cynthia Fuller, Chairperson. The following

recommendation was presented:

The Internal Audit (IA) committee has the responsibility of recommending an

external auditor to the chapter in order that an audit may be performed as ordered

by Grand Chapter. This year’s auditor was Frazier Gills. The IA also has the

responsibility of performing a sampling of the income and expenses for the 4th

Quarter to see if policy and procedures were followed. This information is also

submitted to Grand Chapter.

o Total Expense Vouchers: April - June = 147

- 62 expense vouchers were checked and 25 did not have the proper

signatures/or supporting documents.

o Total Deposits: Reviewed 22

- 10 were checked and they were all made within the proper time

line.

Recommendation: Ratify the action of the Internal Audit Committee of

completing the 4th Quarter Internal Audit and submitting it to Grand

Chapter along with the external auditor report.

The committee discussed the report in detail with the Finance Team and gave

suggestions to the team and committee chairs to avoid deficiencies in the future.

Soror Fuller moved for the adoption of the recommendation. Motion carried.

International Awareness & Involvement

The report was given by Soror Francetta Smith, Chairperson. The following

recommendations were presented:

1. Requesting two letters as follows:

o From Dallas Alumnae Chapter explaining our community public

service outreach and involvement to serve and bring awareness with

understanding our rationale to develop partnerships and sponsorships

for underserved communities. Timeline – Oct 2014.

o From Dodd Education & Support, the 501c3 organization of the

chapter acknowledging that our sorority is a non-profit service

organization and is supporting newly African immigrant women and

children in the DFW area. Timeline – Oct 2014.

2. Requesting the chapter to donate $1,000.00 with funds coming from local

community to Louise Troh and family (the Liberian woman and family that

was affected by the Embola virus). Timeline – Oct 2014.

3. Requesting the chapter to send a letter to each DFW chapter of Delta Sigma

Theta Sorority, Inc. to meet the challenge to donate funds. The goal is

$5,000.00 by Christmas, Dec 2014.

Soror Smith moved for the adoption of the recommendations. Soror Thornton

moved for the recommendations to be voted separately. The motion was seconded;

Motion carried. It was moved for the adoption of Recommendation #1; motion

carried. It was moved for the adoption of Recommendation #2; motion failed. It

was moved for the adoption of Recommendation #3; motion failed. Soror Daisy

Critton moved for the chapter wait until further investigation is done and

information is provided by Dallas County to determine how to proceed with

providing support to the family. The motion was seconded; Motion carried.

Nominating

The report was given by Soror Donna Taylor, Nominating Committee member.

The following recommendations for the 2014-2015 sorority year schedule were

presented:

The Committee will post a monthly blog on the Chapter’s secured website

(ning), which will review the qualifications for each elected office/position

and the nominating process. Email address –[email protected],

(included on the blog) can be used to ask nominating questions. This

information is a part of the approved Policies & Procedures.

for submitting the application – Saturday, February 21, 2015.

Madame President informed the membership that Soror Tonya Derrick was

appointed as the Southwest Regional PPAD Coordinator by the Southwest

Regional Director.

PPAD The report was given by Soror Tonya Derrick, Chairperson. The following

recommendations were presented:

THRUST: Economic Development

o Ratify recommendation to partner with Dallas City Council Members

Scott Griggs and Dwaine Caraway for National Night Out on

Tuesday, October 7, 2014 from 5:00pm-9:00pm at Kiest Park Stone

Pavilion, 3080 S. Hampton Rd, Dallas TX. There will be no financial

commitment from the chapter. The need is for 15-20 volunteers to

work in the children's area from 4:30pm - 8:30pm (i.e. games, bounce

houses, etc., games will be similar to those at street carnivals). All

games will be provided by the Council Members offices. Sorors may

volunteer for the entire time or in shifts. Shifts are from 4:30pm -

6:30pm or 6:30pm -8:30pm.

Economic Development o The chapter to host a joint Teen Town Hall, Community Market

Festival and Health Fair in partnership with Harold W. Lang Sr.

Middle School, 1678 Chenault Street, Dallas, TX 75228 on Saturday,

April 11, 2015 from 8:00am to 3:00pm. Partnering with Arts &

Letters and Physical & Mental Health Committees and Harold W.

The report was given by Soror Deirdre Southall, Chairperson. The following

recommendation was presented:

Request the approval of the changes submitted by the Elections committee

that were presented for preview at last month’s meeting. The committee did

not receive any revisions to the attached changes.

Soror Southall moved for the adoption of the recommendation. Motion carried.

Scholarship

The report was given by Soror JoAnn Brunson, Chairperson. The following

recommendations were presented:

To award two (2) recipients for the Frederica Chase Dodd Scholarships for

2015 in the amount of $10,000.

To award one (1) recipient for the Joy Scott Woodfork Community Service

Scholarship for 2015 in the amount of $500.00. Additional scholarships

may be awarded based on the total amount of donations by the contributors.

The total amount of the donation is due to the Scholarship and Educational

Support Committee by the last day in February 2015.

To distribute the Frederica Chase Dodd Scholarship application to Dallas

County public school principals and counselors, due by February 21, 2015.

The committee will partner with the Delta G.E.M.S. and T.A.S.P.ers at the

College Prep Workshop on November 15, 2014.

To continue a dialog, and explore a partnership with the Dallas Women’s

Foundation to award a scholarship, fully funded by the Dallas Women’s

Foundation, to a female high school senior entering a two year program at a

community college or technical school that provides a certificate or degree

upon graduation. Dallas Alumnae has been a member of the Dallas

Women’s Foundation for many years, and this would provide a wonderful

opportunity to assist a young woman while expanding our outreach to other

community based organizations. If it is determined that this is a viable

program, and after the details have been worked out, the committee will

present the program to the Chapter for approval.

To administer the Ramona McCain Young Artist Award for 2014-2015 in

the amount of $500.00 funded through the Arts & Letters Committee. This

recipient is chosen via an art competition sponsored by the Arts & Letters

Committee.

Executive Board

The report was given by Soror Karla McGary, Recording Secretary. The following

recommendations were approved from the October 14th Executive Board meeting:

The Lambda Nu Chapter of Delta Sigma Theta Sorority, Inc. located at Paul

Quinn College (PQC), Dallas, Texas will celebrate its 40th Chapter

Anniversary and host a Celebration Luncheon on Saturday, November 1,

2014 at 11:00am at PQC Grand Lounge. The theme of the event is “40th

and Flawless”. The guest speaker is the Honorable Toni Rose, State

Representative, District 110. Soror Rose is a PQC Alumni and past member

of the Lambda Nu chapter. They are seeking support in the form of

monetary donations or ticket purchases. The ticket price is $20.00. The

event is open to members of Delta Sigma Theta Sorority, Inc. All proceeds

will go to support Lambda Nu programs and initiatives. The deadline to

purchase tickets is October 22, 2014. Soror Deborah Watkins moved for the

chapter to purchase two (2) tickets to attend the luncheon – one (1) ticket for

the President or designee and one (1) ticket for the Project ACE

Chairperson. Funds to come from Delta-related. The motion was seconded;

Motion carried.

The North Dallas Suburban Chapter of Delta Sigma Theta Sorority, Inc. will

present “Crimson Sunset, An Evening of Jazz” on Thursday, November 6,

2014 at Noah’s, 2251 Greenville Ave, Dallas, TX from 7:00pm to 10:00pm.

Live music by Natural Change Band. The ticket price is $40.00 (hor

d’oeuvres and silent auction). Become a sponsor: Gold level $1000, Silver

level $500, Bronze level $250, Digital Souvenir Ad $100. Donate an item

for the silent auction. Proceeds from this event will provide scholarships to

local high school seniors and support local community programs. Soror

Daisy Critton moved for the chapter to purchase one (1) ticket for the

President or her designee to attend the event. Funds to come from Delta-

related. The motion was seconded; Motion carried.

Soror McGary moved for the adoption of the recommendations. Motion carried.

Committee Reports (Informational)

Jabberwock

The report was given by Soror Leslie Swann, Chairperson. The following updates

were presented:

Eleven young ladies have submitted the application to participate in

Jabberwock 2015. The committee would like any young lady who desires to

participate to have the opportunity. There is a need for additional team leads.

Any member interested in serving as a team lead, please contact the

committee chair.

The Jabberwock 2015 theme is Diamonds and Pearls: A Red Carpet Affair.

The committee is requesting guests dress in formal attire for the scholarship

pageant.

Sign-Up for SMU Basketball Concession will begin after the meeting. The

plan is to work a minimum of eight basketball games in an effort to raise

scholarship funds. Fundraising goal this year: $100,000.00.
