What does the Management Fee include?

Our management fee includes all of the following as part of our service to you:

• Annual rent reviews to ensure you’re maximising your return.

• Advertising and photography of your property on the Professionals website, a ‘For Rent’ sign placed outside the property and marketing in our vacancy guide.

• Our Property Managers will accompany prospective tenants through the property either by appointment or at ‘Open Home’ times.

• Screening of all tenant applications to ensure only the best tenant is placed. Please note, credit checks incur an additional charge.

• Preparation of Tenancy documents within two working days of tenant approval. We will also lodge the bond with the Ministry of Business, Innovation and Employment.

• Access to qualified tradespeople at competitive rates.

• Collection and monitoring of rent payments.

• Enforcement of our zero tolerance policy towards any rent arrears.

• Notices issued when any aspect of the Tenancy Agreement is breached.

• Mediation representation

• Liaising with tenants on a regular basis and dealing with any issues relating to the property.

• Placement of funds to your bank account and a monthly statement sent to you.

• End of Year Financial Statements will be provided to you showing an accurate breakdown of rental monies and accounts received.

Our Written Service Standards and Guarantee

We commit to you in writing that we will perform the following duties when managing your property.

Marketing Your Property For Rent

• We will erect a ‘For Rent’ sign on your property within four (4) working days of your property being listed, if signs are permitted and the location is suitable.

• We will place a listing for your property on all the real estate websites we subscribe to, and each listing will include at least five (5) photographic images of the property.

• We will conduct an unlimited number of private viewings of your property until the property is rented (subject to access provided to us by any current occupant).

• All property viewings will be carried out by one of our Property Managers (we do not give out keys to prospective tenants).

• We will update you on the status of your available property each week until such time as the property is rented.

Renting Your Property

• All completed information and references provided by tenancy applicants will be verified by us within two (2) working days of receipt.

• All tenancy applicants will be screened on the TINZ and Ministry of Justice databases.

• Unless you instruct otherwise, all potentially suitable tenancy applications will be referred to you for a decision.

• We will rent your property for the rental amount nominated in the Management Agency Agreement (or higher if the market justifies it) and the property will not be rented for a lower amount without your prior approval.

• Subject to the tenancy commencement date and the tenant’s availability, we will prepare the tenancy documentation within two (2) working days of tenancy approval.

Rent Collection

• We have a zero tolerance rent arrears policy.

• We will follow up all rent payments in accordance with:

– our fully documented arrears process, and

– the requirements of the relevant legislation

• Should termination of the tenancy be necessary, we will keep you informed throughout the legal process.

Rent Monies

• All monies received by us will be banked into your nominated bank account on the 1st and 16th of each month or first working day thereafter.

Repairs and Maintenance

• You will be notified of all non-urgent repair requests from tenants within two (2) working days of receipt.

• We will not arrange any repairs to your property without your knowledge and approval (unless the repair is defined as “urgent” under the Residential Tenancies Act).

• We will attend to any Health and Safety repair requests within four (4) hours of receipt.

• All reasonable steps will be taken to obtain the best pricing for your repairs and maintenance.

• We will only use tradespeople from our preferred list for any repairs or maintenance work to your property.

• We will provide you with a copy of invoices for all work arranged on your behalf for the property.

Tenancy Agreement Renewals

• We will review the tenancy agreement for your property 90 days prior to its expiry.

• Unless you instruct otherwise, we will offer the tenant a renewal of their fixed term tenancy for the same period as the initial agreement at the same rent (or a higher rent if the market justifies it).

• You will be advised if the tenant does not want to renew their tenancy agreement.

Periodic Inspections

• We will carry out at least four (4) routine inspections of your property each year and provide you with a detailed report each time.

Tenant Vacating

• On receipt of vacating notice, we will:

– advise you by phone, letter or email

– confirm the details in writing to both you and the tenant

– list the property on our website and put the agreed advertising plan into effect within two (2) working days

– prepare all necessary vacating documentation

– arrange access for viewings by prospective tenants.

• A final inspection will be carried out to ensure the property is in good order.

• After the tenant vacates the property:

– We will process the tenant’s bond refund within seven (7) working days

– if deductions from the bond are considered necessary, full details will be provided to both you and the tenant.

Property Disbursements and Statements

• All agreed property disbursements will be paid on your behalf on the due date (subject to the availability of funds).

• Your Monthly Statement will be sent to you on the 1st working day of every month.

• We will provide you with an accurate End of Year Statement within 30 days of the end of the Financial Year.

• We will provide you with an Owner Login to our website where you will be able to view information about your investment.

General Communication

Our office hours are:

8.30am – 5.30pm Monday to Thursday 8.30am – 5.00pm Friday 9.00am – 12.30pm Saturday

We will respond to:

telephone messages by the end of that working day email within 24 hours mail within 48 hours

We will promptly advise you of any pertinent matters affecting your property or the tenancy.

Complaints Handling

• Tenants’ complaints received in writing (i.e. fax, letter, email) will be acknowledged within two (2) working days

• All complaints will be formally recorded and responded to within three (3) working days.

Documentation

• We will provide all documentation in a clear and concise format.

• We will ensure that all documentation is accurate and complete.

• All property condition reports will be comprehensively and accurately completed.

• Copies of all documents that we sign on your behalf as agent will be held in our office files.

Personal Information

• All personal information will be held in the strictest confidence and will not be released to a third party without written authorisation.

• All updates and corrections advised to us will be recorded in our system within one (1) working day.

Professional Standards

• The highest standards of honesty, integrity and professional practice will be conducted in compliance with the Code of Ethics of the Real Estate Institute of New Zealand

Our Guarantee To You

• If after three (3) months, you are not entirely satisfied with our service, we will cancel the contract and refund in full all monies paid to us by you in respect of the contact.

• This Guarantee does not apply when:

– We are asked to carry out non-standard duties.

– Matters are outside our control. For example, a natural disaster or accident.
