BANQUET INFORMATION AND POLICIES – PAGE 2 OF 2 Banners Only the facility Engineering staff may hang banners. Inform your Catering Manager or Crowne Meetings Director if you wish to display a banner; a $20 per banner charge will be added to your bill for this service.

Banquet Bars A $50 per bar setup fee is charged when beverage revenue is less than $350. A $75 bartender fee per bar will also be charged to your bill. The hotel recommends one (1) bartender per 75 guests.

Electrical, Phone Lines and Internet Access

If your event requires special electrical needs for bands, disc jockeys, exhibitors or other special equipment, we will make all necessary arrangements through our Engineering Department. Local phone lines and high speed Internet access are also available. Costs for these services will be quoted based on specific group requirements.

Exhibitors or Vendors

The facility will provide you with guidelines for using the loading dock if your event requires unloading or loading of equipment, decorations or exhibit materials. The Crowne Plaza at Historic Union Station will be happy to provide exhibitors with exhibit tables; the first five (5) tables and chairs will be supplied at no cost, six (6) or more tables and chairs will be charged at the rate of $35 per skirted table, per day. Facility employees can handle only items weighing less than 100 pounds. Deliveries by exhibitors or vendors weighing over 100 pounds that have no handling company will be refused. Your Catering Manager or Crowne Meetings Director will assist you with arrangements for an exhibition decorator or drayage firm.

Food and Beverage

It is the policy of the Crowne Plaza at Historic Union Station that all food and beverage must be purchased from our facility in compliance with the Indiana Board of Health requirements and the State of Indiana Liquor laws. We are unable to allow groups or individuals to bring food and beverage into any public space. Additionally, we are unable to allow any non-consumed food and beverage item(s) to be taken from the facility.

Guarantees

A representative from the Sales and Catering Department will contact you three (3) business days (72 hours) prior to your event. Guarantees are required by 12:00 P.M. with the exact number of guests attending your event. Events taking place on Saturday, Sunday and / or Monday will require guarantees by Wednesday.

We will consider this number to be the guarantee for which you will be charged even if fewer guests attend the event. If a guarantee is not received 72 hours in advance of your event, not to include holidays or weekends, we will consider your contract attendance figure as your guarantee.

Menus and Room Arrangements

Your Catering Manager or Crowne Meetings Director will need menu, room arrangements and all other information pertinent to the success of your event, 21 days prior to the event. We will be happy to make arrangements for those attendees with dietary restrictions when possible and with advance notification. All entrée pricing is per person unless otherwise noted.
