Packages for your event may be delivered to the hotel no more than two (2) business days prior to the day of your event, as the hotel has limited storage space available. Written permission is required for any heavy equipment to be brought into the facility. The Crowne Plaza at Historic Union Station is not responsible for transferring any equipment to / from meeting rooms. Shipments over 100 pounds will not be accepted or moved by facility employees. Planners requiring drayage and exhibit setup should contact the hotel Convention Service Department for a list of approved vendors.

Parking

Valet parking for hotel guests is available at the front entrance of the Crowne Plaza at Historic Union Station. The closest self-parking option is Pan Am Plaza Garage located across Louisiana Street in front of the hotel.

Decorations

The Crowne Plaza at Historic Union Station is listed on the National Register of Historic Places. Therefore, nothing can be posted, nailed, pinned, taped or otherwise attached to the walls, floors, furniture or other parts of the building, including the hotel and conference center. Please note that attaching items without proper authorization may result in damage charges. Please ask for assistance with affixing items so that no damage to the building occurs. Confetti or smoke / fog machines are not permitted. Helium balloons are not permitted in the Grand Hall Ballroom. If used, a $500 cleaning fee will be assessed.

Security

The Crowne Plaza at Historic Union Station assumes no responsibility for damage, loss of merchandise or articles left on property prior to, during and following your event. Special arrangements can be made for a security officer. If such service is required, your Catering Manager or Crowne Meetings Director will make those arrangements and the cost will be added to your bill. In the event you or your guests damage the property, you will be held fully responsible for all replacement and/or repair charges as determined by hotel management. All security must be contracted through the facility, no exceptions will be allowed. All large events at Union Station require security when alcoholic beverages are served. We require one officer per 100 persons. The charge per officer is $35 / hour and a 30-day notice is required. Hourly security rates are subject to change and vary on special event weekends.

Tax Exemption

Only legitimate “fund-raising” events are exempt from Indiana sales tax with respect to food and beverage. Indiana State Law does not allow any organization to be tax exempt from alcoholic beverages. A tax-exempt certificate must be on file prior to these events with acceptable proof that the event is a fund-raiser. Please consider that even if your organization is tax exempt, it is exempt for a food function only when the event is a fund-raiser or for elementary, high school or college students. Tax-exempt laws and interpretations are subject to change at any time.

Audio Visual

Markey’s Audio Visual provides for in-house AV needs, including the use of the hotel public address system. Markey’s will coordinate all of your AV needs; please inform your Catering Manager or Crowne Meetings Director of any requests. Appropriate charges, including tax and service charge, will be added to your bill for items ordered.

Deposits

For all social events, a deposit equal to the amount of room rental fee is due at the time of booking. No event is considered definite until a deposit and signed contract are received. All deposits are nonrefundable; additionally, cancellation charges apply to all cancelled bookings. Your contract will indicate a payment and cancellation schedule.

Banquet Bars A $50 per bar setup fee is charged when beverage revenue is less than $350. A $75 bartender fee per bar will also be charged to your bill. The hotel recommends one (1) bartender per 75 guests.

Electrical, Phone Lines and Internet Access

If your event requires special electrical needs for bands, disc jockeys, exhibitors or other special equipment, we will make all necessary arrangements through our Engineering Department. Local phone lines and high speed Internet access are also available. Costs for these services will be quoted based on specific group requirements.

Exhibitors or Vendors

The facility will provide you with guidelines for using the loading dock if your event requires unloading or loading of equipment, decorations or exhibit materials. The Crowne Plaza at Historic Union Station will be happy to provide exhibitors with exhibit tables; the first five (5) tables and chairs will be supplied at no cost, six (6) or more tables and chairs will be charged at the rate of $35 per skirted table, per day. Facility employees can handle only items weighing less than 100 pounds. Deliveries by exhibitors or vendors weighing over 100 pounds that have no handling company will be refused. Your Catering Manager or Crowne Meetings Director will assist you with arrangements for an exhibition decorator or drayage firm.

Food and Beverage

It is the policy of the Crowne Plaza at Historic Union Station that all food and beverage must be purchased from our facility in compliance with the Indiana Board of Health requirements and the State of Indiana Liquor laws. We are unable to allow groups or individuals to bring food and beverage into any public space. Additionally, we are unable to allow any non-consumed food and beverage item(s) to be taken from the facility.

Guarantees

A representative from the Sales and Catering Department will contact you three (3) business days (72 hours) prior to your event. Guarantees are required by 12:00 P.M. with the exact number of guests attending your event. Events taking place on Saturday, Sunday and / or Monday will require guarantees by Wednesday.

We will consider this number to be the guarantee for which you will be charged even if fewer guests attend the event. If a guarantee is not received 72 hours in advance of your event, not to include holidays or weekends, we will consider your contract attendance figure as your guarantee.

Menus and Room Arrangements

Your Catering Manager or Crowne Meetings Director will need menu, room arrangements and all other information pertinent to the success of your event, 21 days prior to the event. We will be happy to make arrangements for those attendees with dietary restrictions when possible and with advance notification. All entrée pricing is per person unless otherwise noted.
