User Questions
How do I Print or Save Quotes to a PDF?
• To Print a Quote
• Click on the 3 dots (overflow menu)
• Click on Run Report
• Click on Quote – Print
• This will bring up the quote where
you can print of save to a PDF
• Click on the Save button and click
on Acrobat (PDF) file
• If you have the Auto Track feature configured, all subsequent emails are tracked• For Email Router this can only be done through a Forward
Mailbox• This feature works 80-90% in a perfect environment• Recommend if utilizing Auto Track, to turn on Smart Matching
and Tracking Token• It is highly recommend that you manually hit the Track/Set
Regard button for the most current email in the chain at the end of the day
“When you select to track a message in Outlook, do all subsequent messages (received and sent) from within that conversation also get tracked? Or is it a manual process where you select to track each message individually?”
• I recommend creating one Dashboard that can be utilized by each Sales Person• What makes this unique to each sales person is utilizing the
Owner Equals Current User filter
• Regardless of the information included in the dashboard, you can utilize one dashboard for the entire team
• Create the views and/or charts
• Create a System Dashboard from Customizations
“How do I setup a user dashboard for a team member in Sales?”
• An Account cannot directly go back to a Lead, a workaround I recommend is• Deactivate the Account (this sets status to inactive for the
Account)• Close the Opportunity that was created from the Lead as
Lost• Deactivate the Contact that was created from the Lead • Open the Qualified Lead and click Reactivate Lead
• The other option is to then create a new Lead
“Does an account that is deactivated go back to being a lead? Can an account be moved back into a lead?”
• It is important to create a Competitor SOW first • Captures:
• Competitor• Department and Product Segment• GP, Revenue and Volume the Competitor is gaining from your customer
• Adds this information into graphical information under SOW• If there is an opportunity to be pursued:
• Creates a new Opportunity • Adds the information from the Competitor SOW directly into the Opportunity
“Since I input opportunities and SOW for some of our Sales Reps, it would be helpful to understand the process of creating a new opportunity or SOW and why we would choose one over the other?”
• When an Account is created the Account # will CRM Only Account• An Opportunity creation will not trigger the creation of an
Account
• Due to the Parental relationship between Opportunity and Account, when an Opportunity is deleted the Account will remain• When an Account is deleted the Opportunity and many other
Records that have a Parental Relationship with Account will also be deleted
“I see that when I create a new opportunity, a ‘CRM only’ account gets created, however, I do not understand why this ‘CRM only’ account stays in the system when I delete an opportunity. It would be helpful if you went over the reason why that ‘CRM only’ account gets created and what happens to it as the opportunity is opened/closed/deleted.”
ContactOpportunity
• In the Outlook Client• Open the list(created from Adv. Find) of the entity you would like• Select the Record(s) you want on the mail merge recipient list• On the Add Tab click Mail Merge• Select the Mail Merge Type• Choose to start with a blank document or template
• For Template click on the Lookup button to select the template
• Choose the Records to Merge (all selected records, all records on page, all records on all pages)• You can add or delete data fields
• Word supports up to 62 data fields, 2 have to be used for Owner and the Primary Key in CRM
• Click Download• In the Mail Merge Recipient box, confirm that the list is accurate and click OK• Update the Match Fields (Field in CRM to Mail Merge Field)• Follow the Mail Merge Instructions• Choose whether you would like to create Activities in CRM
• Assign Owner of the Activity and whether to close the Activities
• If you created a new template or updated a template, these can be uploaded• Save Document as a Template: in the Complete the Merge section, click Upload Template to CRM
• The template you uploaded can be edited by navigating to SettingsTemplatesMail Merge Templates
“I recently had to perform a mail merge out of CRM for envelopes. Can you go over how to setup a mail merge?”
