WORKSHOP DESCRIPTION

Overview Participants will create, format and publish a quiz for WebCT or for print using Respondus. You are encouraged to bring your quiz material. Respondus is a PC only product, so we will be using Windows XP.

Prerequisites WebCT training or experience is required in order to participate in this workshop. Participants should have an understanding of Windows 95 or higher, and basic computer skills.

Objectives Participants in this workshop will:

▪ Learn how to create a quiz for WebCT or for print using Respondus

TIP : This document has been designed for WebCT users. If you do not wish to publish to WebCT, quiz printing options can still be used.

GETTING STARTED Respondus is a tool used to create quizzes, surveys and self-tests for WebCT or print. Respondus creates seven different types of questions including:

▪ Multiple Choice ▪ True/False ▪ Paragraph ▪ Matching ▪ Short Answer ▪ Multiple Response ▪ Fill in the Blank ▪ Jumbled Sentence ▪ Calculated

Our site license allows all Sac State faculty to install the software on their home and office computer. Create quizzes by clicking the tabs in the order shown below.

REQUESTING RESPONDUS To request the software, submit the online form at: http://www.csus.edu/atcs/tools/respondus. Your request will be processed within two business days.

INSTALLING RESPONDUS After your Respondus request has been processed, and you’ve received a confirmation e-mail, you will need to complete the following: step 1. Login to WebCT at http://online.csus.edu. Click the course Respondus &

Studymate. step 2. Click the Respondus folder. step 3. Click Download Respondus and save the file to your Desktop. step 4. Double-click the file Respondus35Campus.exe on your Desktop. step 5. WinZip Self Extractor dialog appears, click OK. step 6. Click Unzip and click OK step 7. The Respondus Welcome dialog appears, click next. step 8. The License Agreement appears, click Yes. step 9. The Destinations Folder dialog appears, click next. step 10. The Documents Folder dialog appears, click next. step 11. The Installation Equations Editor appears, click Yes. step 12. The Setup Complete appears, click Finish. step 13. Open Respondus. When prompted select WebCT 6.x / Vista as your personality.

OBTAINING SUPPORT Send e-mail to [email protected]. If you are using our site licensed software, please do not directly contact Respondus.

CREATING A QUIZ In Respondus, you create a file that can contain as many questions as desired. You can treat the file as a database holding dozens of quizzes, if desired, or as individual quizzes. Selecting a WebCT Personality Before you begin creating a quiz in Respondus, you’ll want to be certain that you’ve selected the correct WebCT personality – in other words, you need to check that the quiz you’re creating will be created (and published to) the correct version of WebCT (version 6 in this case). To select a personality, step 1. From the Start tab in

Respondus, select the option labeled WebCT 6 / Vista from the Current Personality drop-down menu at the top of the screen (see screenshot at right).

Specifying Global Point Values Specifying global point values will affect all future quizzes only. It does not affect existing quizzes. step 1. From the File menu, click Preferences. step 2. Click the Edit & Publish tab. step 3. In the Point Values for Questions box, enter a value for all questions. Specifying

values in each question will overwrite this value. Click OK. Creating a New File step 1. Click the Start tab. step 2. Click the Create button. step 3. In the Name of File box enter a name. This will be the name of your Respondus quiz

file. step 4. In the Description box enter a description. step 5. Select the Exam radio button. step 6. Click OK. Wait a few seconds and the Edit tab window will automatically appear.

CREATING QUESTIONS To create questions click the edit tab. Navigating to each type of question is easy, just click the question type on the left bar. If you would like to create feedback for any type of question, check the Enable Feedback checkbox located in the left menu bar.

The questions you create will appear here. To edit an existing question, click the title name.

Click a button to create that type of question.

Multiple Choice Questions To create Multiple Choice questions, step 1. Click the Edit tab then click Multiple Choice on the left bar. step 2. In the Title of Question box, enter a short descriptive name for the question. step 3. In the Question Wording box, enter your question. step 4. In the Answer boxes, enter the answers. To randomize the answers as they are

delivered check the Randomize box. step 5. In the Select Correct Answer box, select the letter that represents the correct answer. step 6. Next to Point Value, enter a value if desired. step 7. Click Add to End of List.

True & False Questions To create True & False questions, step 1. Click the Edit tab then click True and False on the left bar. step 2. In the Title of Question box, enter a short descriptive name for the question. step 3. In the Question Wording box, enter your question. step 4. Under Select Correct Answer, select True or False.

Paragraph Questions To create Paragraph questions, step 1. Click the Edit tab then click Paragraph on the left bar. step 2. In the Title of Question box, enter a short descriptive name for the question. step 3. In the Question Wording box, enter your question. step 4. In the Select the size of the window box, select the amount of lines available to your

students. step 5. Next to Point Value, enter a value if desired. step 6. Click Add to End of List.

Matching Questions To create Matching questions, step 1. Click the Edit tab then click Matching on the left bar. step 2. In the Title of Question box enter a short descriptive name for the question. step 3. In the Question Wording box enter your question. step 4. In the two cells, as shown above, enter the matching pairs. step 5. Next to Point Value, enter a value if desired. step 6. Next to Credit Given select one of the following,

a. Proportional to # correct b. All points or None c. Right Less Wrong

In the table rows A, B, C, … enter all acceptable answers. step 5. Next to Point Value, enter a value if desired. step 6. In the Credit Given box, select one of the following:

Multiple Response Questions To create a Multiple Response question, step 1. Click the Edit tab then click Multiple Response on the left bar. step 2. In the Title of Question box, enter a short descriptive name for the question. step 3. In the Question Wording box (3.), enter your question. step 4. Enter your answer in the Answers box (in the long cell on the right-hand side of the

box). To randomize the answers as they are delivered check the Randomize box. step 5. In the small cell to left in the Answers box, enter "X" for each answer that is correct. step 6. Next to Point Value, enter a value if desired. step 7. Next to Credit Given select one of the following:

a. Cumulative b. All Points or None

step 8. Click Add to End of List. The question now appears in the Question List.

Fill in the Blank Questions To create Fill in the Blank questions, step 1. Click the Edit tab then click Fill in the Blank on the left bar. step 2. In the Title of Question box enter a short descriptive name for the question. step 3. In the Question Wording box enter your question.

a. Words that you want students to fill in must be enclosed in [brackets]. step 4. Next to Point Value, enter a value if desired. step 5. In the Credit Given box, select one of the following:

a. Equals (Exact Match) b. Contains c. Regular Expression

step 6. Click Add to End of List. The question now appears in the Question List.

Jumbled Sentence Questions To create Jumbled Sentence questions, step 1. Click the Edit tab then click Jumbled Sentence on the left bar. step 2. In the Title of Question box enter a short descriptive name for the question. step 3. In the Question Wording box enter your question.

a. Words or phrases that you want jumbled must be enclosed in [brackets]. step 4. Next to Point Value, enter a value if desired. step 5. Click Add to End of List. The question now appears in the Question List.

Calculated Questions To create a Calculated question, step 1. Click the Edit tab then click Calculated on the left bar. step 2. In the Title of Question box, enter a short descriptive name for the question. step 3. In the Question Wording box, enter your question.

a. Variables that are used in the question wording must be enclosed in [brackets].

step 4. In the Type or Create the Formula box, type the formula that should be used for the question you have indicated in the Question Wording box. Variables need to be enclosed in [brackets]. a. Instead of typing the formula, you can use the drop-down boxes labeled Variables,

Functions, Operators and Constants. step 5. Click the Variable Properties button to set up the minimum and maximum value for

your variables, as well as the number of decimal places you want displayed (precision). a. To indicate the minimum, maximum and precision for your variables, click in the

cell for the value that is to be set (or changed) in the Variable Properties window.

Click on a cell to change a value.

b. If you need to set up the answer precision, tolerance and/or unit name, click the Answer Properties button located to the right of the Variable Properties button.

step 6. Click the Value/Answer Sets button to indicate the number of answer sets you’d like Respondus to create. a. The number of answer sets created by Respondus by default is 10.

step 7. Next to Point Value, enter a value if desired.

EXERCISE #1 CREATING QUESTIONS

Using what you’ve learned so far, create four different questions types:

1. In Respondus, create a new Quiz. Title it “Sample Quiz”; give it a short description.

2. Create four different questions using four different question types. For example, you might create a Multiple Choice question, followed by a Paragraph, Short Answer and a Multiple Response question.

3. Preview your new questions.

4. Save the Quiz you’ve created (File > Save).

Formatting Text

Formatting Text step 1. Select any text in the Question Wording or Answer box. step 2. Click the Bold , Italicize , Underline , Subscript or Superscript

icons in the toolbar.

Inserting Tables step 1. Click the Edit tab. step 2. Click inside the Question Wording or Answer box. step 3. Click the Power Edit icon located in the toolbar at the top of the Respondus window. step 4. Click the Insert Table icon in the toolbar. step 5. From the Insert Table window specify the desired amount of columns, rows, the

border thickness and table width. step 6. Click OK. step 7. From the Power Edit window, click the File menu then Save & Exit or close the

window. The table will now appear in the field. step 8. To edit an existing table, just click within the table and then click the Power Edit icon.

Deleting Tables step 1. Click the Edit tab. step 2. Click inside the Question Wording or Answer box. step 3. Click the Power Edit icon located in the toolbar at the top of the Respondus window. step 4. Click inside one of the cells belonging to the table that is to be deleted. step 5. From the Table menu (top of the Power Edit window), choose Delete > Table. step 6. Close the Power Edit window.

Adding Links & Images

Adding a Web Link to a Question step 1. Click the Edit tab.

Type your Web address here.

step 2. Click inside the Question Wording or Answer box.

step 3. Click the Web Link icon in the toolbar. The Insert Link to Image… window appears (right).

step 4. In the Address (URL) box under the URL link to Website, Audio/Video clip… section, enter a URL with the format similar to: http://www.csus.edu.

step 5. In the Text Displayed box, enter text to represent the link.

step 6. Click OK. step 7. A Respondus indicator will appear

similar to <H_1>.

TIP : The Address (URL) box in the Image Link section creates a link to images that are stored on another Web server. Instead of using the Image Link section to add images, following the steps on page 14.

Editing or Deleting a Web Link step 1. Click on or next to a Web Link indicator which

looks like <H_1>. step 2. Click the Web Link icon. step 3. Select Modify an Existing Web Link

a. To delete a Web link, choose Delete an existing Web link instead.

step 4. Click the link to be changed, such as <_1>, then click OK (right).

step 5. If you chose to modify your existing link, the Insert Raw HTML dialog box appears where you may modify the link (you may decide to delete the existing link and start over).

EXERCISE #2 ADDING WEB LINKS

Create a new question containing a Web link to your existing Quiz:

1. Open the Quiz you’ve worked on in the last two exercises (if it’s not open already).

2. Create a new Multiple Choice question (your choice). Include a link to a Web page in your question.

3. Preview your new question.

4. Save your changes (File > Save).

Adding a File Link to a Question If you have a file you’d like to include as part of a question, you can use a File link instead of a Web link. step 1. Click the Edit tab. step 2. Click inside the Question Wording or

Answer box. step 3. Click the Insert Picture or File icon in

the toolbar. step 4. Locate the file to be linked to; click Open.

a. To have access to all file types on a PC, you may need to change the Files of type option to All Files.

step 5. Choose Linked object, HTML… (right). step 6. Enter the text you want shown for the link. step 7. Click OK.

Replacing or Deleting a File Link step 1. Click on or next to a File Link indicator which will look similar to <AV_1>. step 2. Click the Insert Picture or File icon in the toolbar. step 3. Select the Replace an existing image or AV file radio button.

a. To delete a File link, choose Delete an existing image or AV file instead. step 4. Click the link to be changed such as, <AV_1>, then click OK. step 5. If you chose to replace your existing file, you will need to select and add a replacement

file.

Inserting an Image in Question Before inserting an image, re-size the image first with a photo editor, such as Adobe Photoshop Elements. The image you insert should be in GIF or JPG format. You can sign up for training at http://itweb.csus.edu/traindb/. step 1. Click the Edit tab. step 2. Click inside the Question Wording or Answer box. step 3. Click the Insert Picture or File icon in the toolbar. step 4. Choose Add a new image or audio-video file. Locate the image, then click Open. step 5. If a GIF or JPEG image is selected, a Text Description of Image dialog box will

appear. Enter a more descriptive caption (be sure not give the answer away). Click OK. step 6. A Respondus picture indicator will appear similar to <PIC_1>. To view the image,

click the Preview button in the lower right corner of the window.

ACCESSIBILITY : Image Descriptions

Don’t forget to add alternate descriptions to your images (step 5 above)! Alternate text for images is used in the event an image cannot be seen.

Replacing or Deleting an Image step 1. Click on or next to a Respondus image indicator, such as <PIC_1>. step 2. Click the Insert Picture or File icon in the toolbar. step 3. In the Add, Replace or Delete Image or AV File dialog box, click the Replace and

Existing Image or AV File radio button. a. To delete an image, choose Delete an existing image or AV file.

step 4. Click the image indicator that will be replaced or deleted, then click OK. a. If you chose to replace an image, select the new image then click Open. ▪ In the Text Description of Image dialog box, enter a descriptive caption (be

sure not give the answer away). Click OK.

EXERCISE #3 ADDING AN IMAGE TO A QUESTION

Create a new question containing an image to your existing Quiz:

1. Open the Quiz you’ve been working on in the exercises (if it’s not open).

2. Create a new Short Answer question (your choice). Include an image.

3. Preview your new question.

4. Save your changes (File > Save).

RANDOMIZING QUESTION SETS step 1. Click the Settings tab. step 2. Click Question Sets, in the left bar. step 3. Click the Questions Sets button. The Questions Sets window will appear:

step 4. Select the Add New Set radio button. If you previously created a set, select the

Modify or Delete Existing Set radio button and choose the set from the drop box. step 5. In the Enter the number of the first question… box, enter a question number. step 6. In the Enter the number of the last question… box, enter a question number. step 7. In the How many questions in this set should be randomly… box, click the Select

Number radio button then enter a value or click the all radio button to select them all. step 8. In the Enter the point value box enter the point value for each question in the set. step 9. Click Add New Set. The list at the bottom will be updated with a set letter, click OK.

EXERCISE #4 RANDOMIZING QUESTIONS

Using the questions you created in Exercise #1, create a randomized question set:

1. Open the Quiz you created in Exercise #1 (if it’s not open already).

2. Add a new question set to the Quiz.

a. Include all questions contained in the Quiz in the new set.

b. All questions included in the set should be randomly selected.

c. Each question in the set should be worth 2 points.

3. Save your changes (File > Save).

COPYING QUESTIONS FROM ANOTHER FILE step 1. Click the Edit tab and then click the Copy from Another File button on the left. step 2. On the Select Source File for

Copy window (at right), click on a quiz file and click Open.

step 3. Click in the far left cell to select the questions to be imported, a check will appear. At the bottom of the Question List dialog box there is a Select All button option if you need to select all questions from the quiz you’ve selected.

step 4. Click Add to End of List then click OK.

SPECIFYING WEBCT QUIZ SETTINGS In addition to the Questions Sets category, Respondus has separated the WebCT settings into three categories: Basic & Availability, Security & Submissions and Results. Below is a brief description of the WebCT settings. For detailed information, refer to the Detail Guide at www.csus.edu/atcs/tools/respondus/. Choose When a Quiz is Available step 1. Click the Settings tab. step 2. Click a setting button on the left bar (Basic & Availability, Security & Submissions

or Results) and enter settings as desired.

Use military time Example: 2PM is 14:00

PUBLISHING A QUIZ TO WEBCT OR FOR PRINT From the Publishing tab you can publish to WebCT, print your quiz, or create a self-test.

Publishing to WebCT Connecting to the WebCT Server If you have previously configured your WebCT settings in Respondus (on your home or office computer), you can proceed to the next section (Selecting a WebCT Course). step 1. Click the Preview & Publish tab. step 2. Click Publish to WebCT on the left bar. step 3. Click the Publish Wizard button on the Publish to WebCT screen. step 4. Select Publish to a single course in the Type of Publish… [#1]. step 5. Choose add new server from the WebCT Server box [#2]. step 6. Click Yes, check for preconfigured server settings, then click Next. step 7. Choose WebCT at CSU Sacramento from the Choose Server drop down menu, then

click OK. step 8. Fill out the Auto Server Settings Wizard screen.

a. Type WebCT 6 in the Enter a name… textbox at the top of the Auto Server Settings window.

b. Enter your SacLink ID and password for the User name and Password. c. Click Next to “run connection test” or to “skip connection test”. If the

connection was successful, you will get a confirmation message. step 9. Click Next, then click Finish.

TIP : If the check for Preconfigured Server Settings in step 6 above fails, you can try adding the settings manually by substituting steps 6 through 11 with these steps below:

step 6. Click No, I want to enter the server settings manually. step 7. The WebCT Server Information window will appear.

Saving a Quiz as Text and Printing step 1. Click the Preview & Publish tab. step 2. Click Print Options on the left bar

(see screenshot at right). step 3. From the Select Format section

select one of the following options: Exam, Exam with Answer Key or Answer Key only.

step 4. Under Top of Page Contents, click Edit Headers to add headers then click OK.

step 5. Under Other Options, select Use original order if you don’t want the questions randomized; otherwise, choose a variation for randomization to be enabled.

step 6. Click Print Preview to verify the layout is satisfactory. step 7. Click Save to File to save a text document. From the Save as Type dropdown box,

select either Microsoft Word (.doc), Rich Text File (.rtf) or plain text file (.txt). step 8. Click Send to Printer to print the quiz.

ACCESSIBILITY : Printing WebCT Quizzes

You may find that some of your students cannot effectively take an online quiz due to a disability. If this is the case, you will need to deliver a paper version of your WebCT quiz to a student. The Print option (above) offered by Respondus produces a nice, clean copy of a quiz. To download a quiz from a WebCT course into Respondus for printing, see the instructions on page 26 of this handout.

UPDATING WEBCT QUIZ SETTINGS You can easily update quiz settings using Respondus for quizzes or exams that already exist in a WebCT course (or that have previously been published using Respondus). To update settings for quiz in WebCT, step 1. Click the Preview & Publish tab (not available unless a quiz is open). step 2. Click Update Settings on the left bar. step 3. Choose WebCT 6 from the Choose Server drop-down box [#1].

a. If this option is not available, follow Steps 5 - 9 in the section labeled Connecting to the WebCT Server on page 18 of this document to add a new server.

step 4. Choose a course from which to retrieve quiz settings using the Group or Section drop-down menu [#2].

step 5. Choose a quiz from the course you selected using the Select quiz or Survey drop-down menu [#3].

step 6. Click the Settings button to retrieve the quiz settings [#4].

step 7. Use the tabs (Basics & Availability, Security, Results) to update existing quiz settings (settings are covered on pages 16 and 17 of this document).

ORGANIZING QUIZ FILES

Creating Folders This is a great way to organize your quizzes in folders. Create folders such as Chapter 1, Week 1, Topic..., and then move the appropriate quizzes in the folders. step 1. Click the Start tab. step 2. Click Open or Create in the left bar then click Open. The Open Respondus File

dialog box is where you will manage all your Respondus quizzes:

step 3. Under Name is a list of quizzes and folders (see screenshot above). Quizzes appear with the Respondus icon and folders appear with a folder icon.

step 4. To create a folder, click the New Folder icon and enter the name of the folder. step 5. Click OK. step 6. To move a quiz into the new folder, click the Browse button in the lower left-hand

corner of the window. step 7. The Copy File or Archive into Respondus Projects folder dialog box appears, click

and drag the quiz folder name to the destination folder. Close the dialog box.

DO NOT rename or delete the Respondus created folders!

Creating Archive Folders Respondus has an archive tool that allows you to compress quizzes and their media into a single compressed file. In addition, you may compress folders with multiple quizzes into a single file. Archive files are excellent for sharing a quiz with a colleague, backing-up your quizzes or packing your quizzes to work on multiple machines. step 1. Click the Start tab then click Open. step 2. Click a folder or quiz icon. step 3. Click the small Archive icon in the top right. step 4. A Create Respondus Archive dialog box appears, enter a file name then click OK.

step 5. Click the large Archive icon - your new archive file will appear in the list.

Restoring Archive Files step 1. Click the Start tab then click Open. step 2. Click the large Archive icon on the left-hand side of the window. step 3. Click an archive quiz name then click Open. step 4. If you already have a quiz with the same name, the Rename or Replace dialog box

will appear. Click Write over the existing folder to erase the existing quiz or click Restore to a different folder and enter new name.

step 5. Click OK.

IMPORTING QUESTIONS FROM TEXT FILES

Creating a “Standard Format” File Respondus will import multiple choice, true-false, paragraph, short answer, matching and multiple response questions. Create a plain text file (.txt), a rich text file (.rtf), or a Word document and organize your questions in a “Standard Format” as shown below before importing into Respondus. Some formatting (such as bolding, italics, subscripts, superscripts and underline) - will be imported (if importing a rich text file or a Word document). step 1. Format your questions in the Standard Format as shown below.

EXERCISE #6 IMPORTING QUESTIONS TO A QUIZ

Questions have been provided that you will be formatting and importing into Respondus. If you don’t have access to these questions, create your own.

1. Using Microsoft Word, open the file entitled sample_questions.doc.

2. Format the file so that the questions follow the “Standard Formatting” described in this section.

a. Include a title for each question as well as a type, if need be.

b. Indicate the correct answer for each question.

c. “Fix” anything else that doesn’t follow “Standard Format”.

3. Save the file.

4. Back in Respondus, import the Word file in as a new Quiz [document].

5. Preview your questions in Respondus.

6. Save the Quiz you’ve created (File > Save).

CREATING A FILE FROM EXISTING WEBCT QUIZZES Connecting to the WebCT Server step 1. Click the Retrieval & Reports tab. step 2. Click Retrieve Questions on the left bar. step 3. In the WebCT Server box, select Add New Server. Follow Steps 5 - 9 in the section

Selecting Existing Courses & a Quiz step 1. Click the Retrieval & Reports tab. step 2. Click Retrieve Questions on the left bar. step 3. Choose WebCT (or WebCT 6) from the WebCT Server drop-down menu.

step 4. Select the course that has the questions to be retrieved from the Group or Section box.

step 6. Enter a filename next to Enter a New Name for File.

step 7. Click Retrieve. If you haven't saved your current quiz, a dialog box will appear prompting you to save the current quiz, click yes. The status bar will change indicating when the process is complete. Respondus automatically creates and opens the quiz.
