We do this by monitoring their progress through the course. We must be observant and respond to situations quickly and calmly. In the event of an emergency, remain calm, assess the situation, and contact a Race Director or HQ (see Event Protocol). We will never ask you to put yourself into a compromising situation in order to help others. We want you to take care of yourself out there as well so ask for help if you need it. SAFETY COMES FIRST. Assisting a racer in need will not necessarily disqualify them. It doesn’t even matter – racers do not have the right to make unsafe choices or proceed when they are not fit to do so. Notify HQ immediately if you have any concerns. Volunteer Duties: Place water and snack foods on the table. Alert HQ if you begin to run low on any supplies (less than half). Radio HQ when you receive your first runner. As a racer passes your location, write their bib number on the first timing sheet so we know they have passed. You have a second sheet with bib numbers; when you have time, rerecord the runners’ times here.

Communications • Radios are for communicating race progress and safety related issues. • Try to keep the social talk off the radios as we all use the same channel and this ties up our

communication line • Do not hold the radio too close to your mouth (about 15cm) • Do not cut other people off while they’re talking • The radios cost $800 each - keep them dry and don’t leave them sitting around. Event Protocol: You will have a radio to report when the first and last runners clear the area. You will also report any emergencies, general concerns or racers that drop out. If a racer drops out at your location, it is critical that you contact HQ right away.

Emergency Protocol

1. In the event of a non-medical emergency a) Coordinators/volunteers shall immediately contact HQ. If HQ cannot be reached,

contact the Race Director. HQ or the Race Director will then assign the appropriate personal.

i. HQ will assign SAR Coordinators and Medics to the incident ii. If outside resources are required, HQ or the Race director will contact

911 b) If neither HQ nor the Race Director are available follow 3. Protocol if

designated contacts are not available

2. In the event of a medical emergency a) Minor injuries at Transition areas will be attended by the on-site medics;

i. Contact the on-site medic and turn the injured person to their care b) If no medics are at your location, Coordinators/volunteers shall immediately

contact HQ. If HQ cannot be reached, contact the Chief Medic. HQ or the Chief Medic will then be responsible for assigning the appropriate personal.

i. HQ or the Chief Medic will assign SAR Coordinators and Medics to the incident

ii. If outside resources are required, HQ or the Chief Medic will contact 911 iii. Potentially fatal incidents will be referred to as a “CODE RED”

c) If neither HQ nor the Chief Medic are available follow Section 3: Protocol if Designated contacts are not available

d) If the nature of the emergency is such that minor first aid is required then contact any of our medical support staff to provide assistance.

3. Protocol if designated contacts are not available a) Evaluate the seriousness of the emergency; if outside assistance (RCMP, SAR,

Ambulance, Fish and Wildlife) is required initiate a 911 emergency call. When placing the call be prepared to give your location, nature of the emergency and patient(s) details without their personal name.

b) Gather an understanding of the remoteness of the emergency; are outside resources required in order to gain access to the emergency? If they are then Crowsnest Pass Fire Department has the resources to travel back country to the patient. If the emergency involves wildlife then also request Fish and Wildlife to be dispatched to the scene.

c) Continue to try and contact HQ, the race director and/or head of medical services with the race to fill them in on the details of the emergency.

d) Once any/all of the above is initiated the outside agencies would follow their protocols to carry out the operation

Food and Equipment Setup: Set up your site according to the drawing provided • Volunteers will ensure that food is put out and supplies are stocked up (make sure to wear

gloves when handling fresh food): o Cut up fruit o Put out sufficient snack food o Ensure water is set out o Mix sport drink in the collapsible container provided

• Place tents and tables as shown o Tents should be erected by two people minimum o Use small pegs only through the feet o Use rope and longer pegs to secure tents to a wider area

Driving Directions: • Leave the host site (Kimberley Alpine Resort) and drive to Gerry Sorensen Way • Turn left onto Gerry Sorensen Way and follow for 2.1km • Gerry Sorensen Way becomes Spokane St. – continue 160m to Kimberley Ave. • Turn right onto Kimberley Ave • Drive 86 m and Kimberley Ave turns slightly left to become Ross St • Drive 210 m and turn right onto Kimberley Hwy/Wallinger Ave/BC-95A • Continue to follow Kimberley Hwy/BC-95A for 5.7 km • Turn right onto St Mary’s Lake Rd • Drive 6.8km to the right hand access to Matthew Creek Forest Service Road • Turn right onto Matthew Creek Forest Service Road • Drive 2km (keeping right at the Y) to the right hand access to Horsebarn Valley • Drive 1.9km on Horsebarn Valley Access Road and park to the side of the trailhead • Set up your site according to your instructions
