1. Introduction

elcome to the Course Progression Project.

Course Progression a web-based planning tool that works with Banner to

help students and Course Coordinators monitor student's progress toward

degree completion. Course Progression automatically retrieves the student's

academic record from Banner and organises it into an educational plan on the web, easily

identifying program requirements; which courses have been completed; and which courses

the student still needs in order to complete their degree.

During 2013, the first phase of the project consisted of scribing and testing the course rules

for a selected group of courses into Course Progression. It was decided to limit the scope of

Course Progression scribing to 2010 academic year onwards, capturing the majority of

current students. Course Progression will not be able to be used for students enrolled prior

to 2010.

Phase II is designed to complete the scribing and testing for all undergraduate courses for the

current participating Faculties, as well as testing the remaining campuses for Phase I courses.

Also, a small Focus Group of students will be asked to comment on the software. A full list of

participating courses and Course Coordinators can be found in Appendix A.

As Course Coordinator, your role is pivotal in the testing phases, and your contribution is

highly appreciated!

The feedback you provide will be used to ensure quality and data integrity; to correct any

errors; and improve the overall usability of the package. It will directly impact on the success

of the roll-out to the rest of the University and ultimately enhance the course progression

experience for all users.

In order to meet the project deadlines, Phase II testing must be completed and online

Feedback Forms (Appendix B) submitted by no later than COB Friday 28 February 2014.

2. Testing Approach

Overview

The objective of Course Progression testing is to assess: the legitimacy of the course and

student data presented; usability and the ‘look and feel’ of the software; capacity to meet

Course Coordinator / Course Administrator needs; and the overall course progression

experience.

This workbook contains:-

• testing instructions; • list of courses and Coordinators (Appendix A); • example of the online Feedback Form (Appendix B).

To complete the testing, you will also need your Course Progression login details (User ID

and password) which you should have received via email from IRM. If you have not yet

received your login details, please email [email protected].

It is recommended that you also make use of the Frequently Asked Questions (FAQs) resource

available on the Course Progression webpage, which provides more detailed explanation of

the features of the software and possible issues.

Testing Sample

It is considered appropriate to conducting testing on at least 5 student records from each

course-academic year cohort from 2010 to 2013. For example, 5 students from the

Bachelor of Counselling who commenced in 2010; then 5 from 2011 cohort and so on – a total

of 20 students tested for each course).

Student records should be selected at random from each cohort, however, it would be

preferable that these are students that have made significant progress in the course (eg.

completed 50%-75% of the course requirements) to ensure that there is a reasonable test of

the application of course rules to course progression data. For courses that have only

recently been introduced this may not be possible, unless the student has had credit applied.

If your course has already been through testing in Phase I, and you are Course Coordinator for

a particular campus, you will be required to check that you are happy with the structure and

layout of the course rules, and that the course rules have been applied accurately to students

from your campus. The same testing sample (above) applies.

Course Feedback

A Feedback Form must be completed for each course-academic year cohort, whether there are

any changes required or not. The inclusion of an example student ID and/or screen shot will

assist in identifying and resolving issues.

Student Record Feedback

Should you locate student record/s that are incorrect (eg. incorrect grade), please submit a

separate Feedback Form per student. Please do not record any identifying student

information on the checklist, other than the Student ID number.

3. Testing Instructions

Process

1. Login to Course Progression

using your User ID and

Password.

2. Search for a Student Record using the Find

3. Search for which course and cohort you would like to review

by choosing from the drop down lists under:

Degree

Academic Year

Campus

Click Search.

Note: you will need to come

back to the FIND screen to

change to the next Academic

Year for that course, or to

move onto another course for

review.

Results are listed at the bottom section of the screen – in this case 11 matching student

records are found.

Click OK to view records for the whole cohort, or Uncheck All and select specific

students using the check boxes to the left of the student ID numbers.

4. Check that the Degree name and Academic Year are correct.

5. The course rules will be displayed at the bottom of the page. Use the scroll bar on the

right hand side to continue viewing the full list of course rules.

NOTE It is important that you are reviewing the correct course and academic year.

Sometimes this error is the result of out-dated information.

To ensure that you have the most up-to-date data, press the

REFRESH button and THEN the button.

6. In another browser window, open up the applicable Academic Year Handbook and

navigate to the course rules for the course you are reviewing (ie Handbook 2013 –

Bachelor of Applied Public Health).

Issues to note include:-

• Careful review of the course rules in the

Handbook against those displayed in Course

Progression (this is the ‘front end’ view of

what has been scribed by IRM).

You need to ensure that the course rules have

been interpretted accurately, and that the

course structure and headings are consistent

with requirements.

• Check that the students’ record has correctly

loaded from Banner, and that the course rules

have been appliedby Course Progression to

faithfully reflect that students’ progression in

the course.

Specific areas to check are:-

• Degree

• Academic Year

• Credit Required

• Degree Name/Title

• Majors/Minors

• Course descriptions

• Fallthrough / Insufficient / In Progress

• Completion Requirements as per the relevant Handbook; and

• Schedule of Unit Offerings

• Banner data (for the same student).

7. Repeat the review process for 5 student records from the current cohort.

8. Complete an online Feedback Form for each Course-Academic Year cohort (2010-

2013)– regardless of whether there are any issues found or not (for our records).

9. Complete a separate online Feedback Form for each student record you identify as having

issues / errors to be addressed.

To assist us in our review of your feedback…

• Please provide a student ID number as a reference point wherever possible to allow us to view the error in the system.

• Sometimes it is hard to describe the issue - screen shots can be useful when trying to work out what the issue is and how to best address it. (Save the screen shot to your desktop and upload the picture to the Feedback Form)

4. Reviewing your feedback

Once you have submitted your feedback via the online Feedback Form, IRM will log the

issue/s as a job.

You will receive an email notification with the job reference number and details. Should you

wish to contact IRM regarding a particular issue, please reference the job number provided.

IRM will review the issue/s and take action wherever possible. If required, we will be in

contact with you to seek clarification or discuss possible solutions.

Once the job has been completed, you will receive another email notification advising of the

outcome of your feedback and details of any actions taken. We would appreciate it if you

could check the issue again and advise whether the matter has been resolved to your

satisfaction. If not, please provide details or outstanding issues and we will review the job.

If there are no further issues and the matter has been resolved, please advise us and we will

close the job.
