Objectives of this Lesson

An understanding of the purpose the CASORT drop-down menu for “Organization Identifier.”The relationship of the admin permissions to the ability to view-add-edit the Organization Identifier Listing.The creation of a unique Organization Identifier.The ability to insert the Organization Identifier and Project Description in the proper fields, save and edit the record.The ability to use the Organization Identifier for Standard Reports.

Purpose of Organization IdentifierThe Organization Identifier becomes the “acronym” for the organization to which it is assigned.

Organization business names vary in length, and are not suitable to summary reports where predictable spacing is necessary.

The Org ID is also used by some CAAs as a part of the file number assigned to the organization.

An Org ID should be assigned only with the concurrence of management.

The Org ID is used throughout the database in lieu of the

organization’s business name.

The Organization Identifier is limited to 6 character spaces to

conserve space in a formal report.

functions of the CAA

Organization Identifier Start-UpThe CASORT Database Suite is provided with no Organization Identifiers entered.The only entry in the Organization Identifier drop-down menu will be the “0000-Need New Organization Identifier.”It is the responsibility of the Data Quality Coordinator to:

– “ADD” new Organization Identifiers, – “EDIT” (revise) existing descriptions, and – “RETIRE” (De-activate) numbers for Projects that are completed.

This DQC responsibility should be very restricted to ensure that “standardized” entries are made.

Having a single point of entry through the DQC ensures that there are not duplicates, different Organization Identifiers for

the same place and poorly entered numbers/descriptions.

For the normal user, use the Admin Panel to select only the VIEW permission.

Setting Normal User Permissions

This will give the user the ability to VIEW, SEARCH and USE (Select) a Organization

Identifier from the menu on Action Entry form.

User will NOT be able to ADD a new Org ID, or

EDIT an existing Org ID.

DQC View-Add-Edit PermissionsThe DQC should have the responsibility for ensuring that the

Organization Identifier listing is “standardized.“

The DQC with this assignment will be given the permissions for VIEW-ADD-EDIT.

The assignment of persons to ENTER and EDIT Organization Identifiers should be restricted to 1 or 2 persons.

Create an Organization Id

Determine a 3 or 4 letter acronym for the organization.From the following list, select a prefix letter denoting general type of organization.

– A = Air Operator (AOC) of Large Aircraft– B = Basic (AOC) Air Operator (Air Taxi)– C= Commuter (AOC) Air Operator– H = Helicopter (AOC) Air Operator– F = Foreign Air (FAOC) Operator– M = Maintenance (AMO) Organization– T = Training (ATO) Organization– W = Aerial Work (AWC) Operator

Place the Prefix Letter in front of the acronymSeparate the Prefix from the acronym by a hyphen.

Take time to ensure that the acronym is acceptable to

management.

Remember: You will not be able to change this

Organization Identifier after this record is saved.

Purpose of Prefix Letter

The Prefix Letter serves to group the organizations with similar certificates and authorizations.

This will be an important feature as

the number of approved

organizations gets larger.

The previous slide recommends the protocol for having a Prefix Letter in front of the acronym used for the organization.

We recognize that this recommendation is contrary to recommendations provided prior to 2012.

If your CAA is using the pre-2012 protocol of having the last letter in the acronym to indicate the type of certificate, you may continue to use the

previous method.

If your CAA has a large number of certificated organizations, this new recommendation for formatting provides more efficient accessing.

If you choose that option, we will assist you to make that changeover at no charge.

Business Name

The Business Name used by the organization for operations under the specific certificate (AOC, AMO, ATO, AWC) should be entered.

A separate Organization Identifier is required for each certificate issued to the company.

Foreign organizations with CAA approval should have the acronym for the State of the Organization in brackets following the business name.

It is not unusual for an organization to use the same

business name for each type of certificate approved by the

CAA

The Business Name and Type of organization can

be revised at any time will automatically update to all

previous records.

The Active = Yes/No should be edited to

“No” when the Org is no longer subject to

CAA safety oversight.

The assigned Org ID cannot be edited after the originating Organization Identifier record is saved.Org IDs should only be assigned to those organizations that are under the safety oversight of the CAA.The Org ID is used to selectively connect all CAA Action records pertaining to a specific organization.Inserting a Prefix Letter before the Organization acronym provides better VIEW and report access.A Org ID that has been made “inactive” will no longer appear in the default listing, but may continue to be used.
