Convey It is defined for software purposes as the program module containing deeds, affidavits, purchase money

mortgage and purchase money mortgage notes and other miscellaneous documents signed by seller and buyer in a real

estate settlement. Click “File” and open a file in progress, or create a new settlement file. Click “Convey It” to access

deeds, affidavits, and other documents.

Preferences

Click “File” and then “Preferences” to access fonts and other features. Fonts: Click on the font name, style and size to

change the appearance of the data entry font to match the font style for all documents. Star preferences will begin each

tnew file with either an individual or a married couple for buyer and seller names. allows you to set the default marital

status for the buyer and seller names. This default will populate new files, but can be changed on a file-by-file bases.

Convey It: preferences are state specific and may only contain an option for “letter size” for most states.

Click document name

Click a documents name from the left side menu to complete the form. Data entry fields have a gray background when

the cursor is not on it (inactive). The green background indicates the cursor’s position (active). Use “Preferences” to

change the color scheme under the “Fonts” topic. The data from the “Start” program is in a white background (not

accessible). Click into a gray data entry field and begin typing. Use the “Tab” key from the keyboard to move to the

next data entry field.

Document Prepared By

A provision to “Use Separate Return to” option is provided, along with storage for preparer names.

Click the “Click or Press <F4> Database” blue tag or press the <F4> key from the keyboard when the cursor is in the

prepared by area to add names to a list. Use the “Add” button to store names. Type up to 6 lines of information. If

using the “separate return to” option, type only 3 lines of information. Once added to the list, click the blue tag or press

<F4> to open the list and then click the preparer to retrieve the prepare into the active file.

The first line phrase of the prepared by information appears automatically. The “prepared by and return to” phrase may

be changed. This phrase alters automatically when “Use Separate Return to” is selected. The second line of the prepared

by information prompts you to “Click or Press <F4>” to access the prepared by information list. Use the list to add your

information to the list, and then select the preparer from this list in any settlement case file.

Data From “Start”

The “Start” program provides global information necessary to complete documents in the “Convey It” program.

“Terms” contains the settlement date and value for consideration. Information from “Start” populates all forms in

“Convey It.” “Start” “Property” contains the address and legal description of the property being conveyed or financed.

The “Buyer” and “Seller” information contains the type of name (individuals/entity), gender (he/she/they), as well as

the signatures and notary acknowledgment. The data from the “Start” program appears in a white background. The

data from “Start” is unavailable until the “override” feature is activated. Make changes in “Start” to allow the changes

to flow to all documents. Use the “override” in “Convey It” only when necessary.

The “Start” program provides global information necessary to complete documents in the “Convey It” program.

Use the “Edit Long Style Name” check box to make necessary changes to complex buyer and seller names. Inside

“Start,” type in the name(s) and address(es) under the Name 1 box, add more names if necessary, and then scroll down

and use the “override” feature when necessary.

For complex situations, three components (name, signature, notary acknowledgement) can be customized inside the

“Start” program to populate the deeds and affidavit documents in “Convey It.” When a change or correction is required,

use the “Start” program to make changes and the information will update the deeds and affidavits in “Convey It.”

You can change the combined names as they appear at the top of the deed and other documents by using the “Edit”

check box in “Start” “Combined Names and Address” information block.

Use the “Move” feature to quickly separate signatures and add a separate notary in one click.

The signature block in the “Start” program has two features to formulate signature blocks. The “Move” button quickly

separates the party names. The “Edit Signatures” feature can also separate the party names and add more signature and

witness lines. Use the feature that best suits the situation.

Click the “Edit Signatures” check box to open “Start” signature block. The “Edit” feature allows you to modify the

signatory and add more signatures lines to effect to all documents in the “Convey It” program.

Click the “Edit Notary” check box to open “Start” notary clause and reveal more features. Use the “Notary is out of the

United States option, make changes to the party name(s), and add another notary clause. Making changes in the “Start”

program will update all the documents in the “Convey It” program.

The “Start” program provides one-time-data-entry to the “Convey It” documents. Save time by using “Start” to make

global changes. Changes to the data inside “Convey It” does not flow back to “Start.” “Convey It” forms may have

additional data entry fields that do not come form “Start.” They appear in a gray background. Click in the gray areas or

press the “Tab” key from the keyboard to move the cursor to the next data entry point and complete the data entry

process.


There are two “Override” features in the “Convey It” program, “Override” and “Modify.” The “Override Auto

Updating from the START Module” allows access to the data but retains control of the document format. The “Modify

Form” button uses the “DisplayWord” to open the form, merge in the data on the document, and allow you to make

changes to the document and the data in a word processor.

Over-Ride Inside “Convey It”


Additional signatures and additional notary acknowledgements features are available in the “Start” program for buyer

and seller which effects all the documents in “Convey It,” however, when the need arises to modify names, and to add

signature and notary acknowledgement only to certain documents in “Convey It,” use the “Override” to “Lock In Data”

in “Convey It” instead.

When the document is in “Override” the “Add” feature becomes available. Click the “Add” button(s) to generate more

witness and signature lines. Click the “Delete” button to remove witness and signor signature lines.

Click to place a check mark in the “Over-Ride Auto Updating” box to make changes to the data. Changes made to the

data entry appear only in the one document, i.e., the names, signature and notary clause, will not flow to another

document.

Further changes in the “Start” program are ignored (not including the legal description) when the “Convey It” override

is selected. Leave the “Data Locked In” to retain the isolated information. If the override is deselected (turned off) the

data from the “Start” program will re-populate the document.

When the deed is in over-ride, reference to singular and plural, and gender may be altered. Signature blocks and notary

acknowledgement blocks may be added, removed and separated. The “Move” button in the signature block in “Convey

It” is designed to work the same as the “Start” program feature and can separate the signature and add a notary block

quickly.

Use the “Modify Form” to gain access to the document in the “DisplayWord” word processor environment, even when

the data is in “override.” The “Modify Button” feature allows changes to the entire document, the fonts, format and

page breaks. Upon exiting “DisplayWord,” further modifications can be made or return the dorm back to its original

format.

The word “corrective” will be added to the document title when the “Is Corrective Document” check box is

selected. Remove the check mark to remove “corrective” from the title.

The “Make as 2 pages” feature will force a one page deed into a two page deed.

DisplayWord Processor

"DisplayWord" is a word processor identified by an “Edit” button embedded on certain forms. The information typed

into DisplayWord appears on the form at the “Edit” button location. The DisplayWord processor has a clause list for

storing repetitive verbiage that can be retrieved and used in any file. One legal description template clause is provided

in the software and a few clauses are included for the deed. Clauses on the list may be modified. You can make your

own clauses and add them to the list.

Legal Description

The legal description is labeled specifically as such and may be accessed through the “Legal Description” button

available in the “Start” program and the “Edit Legal” button embedded on each document that requires a legal

description, i.e., the Warranty Deed. Making changes to the legal description in one location will affect all forms

throughout the settlement case file. Simply type into the workspace or click one time on the clause name from the list,

i.e., Legal.rtf, to preview the text and then double click the clause name to insert the text into the workspace. The text

inside the workspace becomes part of the document.


• Fill in the “____” blanks (“Stop Code”) that are not merged. Use the “Field Codes,” “Next” button from

the menu to locate blanks (“Stop Code”) and fill them in.

• The “Field Code” will fill in (merge) upon exiting or you can click on “Field Codes,” “View Code

***Data***” from the menu to view the merged information.

• Click the “Edit” button to return to the workspace to add, remove or otherwise make changes as needed.

The legal description is global to all forms, while clauses are form specific. Click the "Edit Clauses“ button to open the

DisplayWord word processor. Type into the workspace or use the clause list to retrieve pre-formed phrases into the

document. The clauses will appear in the body of the form at the location of the "edit" button's position. Continuation

pages, if any, are generated automatically. Use the “font” options to increase or decrease the space being used to allow

more words to appear on the first page. Exit DisplayWord to see the effect. Return to this area by clicking the "Edit

Clauses" button and make changes.

Insert Multiple Clauses

(1) Click the “Edit” button to open the workspace.

(2) Select clauses from the list by clicking the check box to the left

of the clause name on the clause list.

(3) Click the “Insert Selection” button and the selected clauses will

appear in the workspace.

• If you need the clauses in a different order than shown in the list, select the clauses individually.

• Fill in the “____” blanks (“Stop Code”) that are not merged. Use the “Field Codes,” “Next” button from the menu to

locate blanks (“Stop Code”) and fill them in.

• The “Field Code” will fill in (merge) upon exiting or you can click on “Field Codes,” “View Code ***Data***”

from the menu to view the merged information.

• Click the “Edit” button to return to the workspace to add, remove or otherwise make changes as needed.

A file must be open to gain access to any form in the software. Click the EDIT button on the form to open

“DisplayWord,” the word processor used for the Legal Description, Schedule B Clauses, the Mortgage Description,

etc., and then type a clause or clauses inside “DisplayWord.”

(1) Click “Clause List” from the menu.

(2) Drag the mouse across the text to be saved under one clause title, otherwise all the text in the workspace

will be saved together under one clause title. In this example all the text in the workspace will be saved to

the clause list under the clause titled “Sample”. Click “Save to Master Clause List.”

(3) Type a name or reference for the clause title (without the .rtf extension). In this example, “Sample” will be

the reference name for multiple clauses under one clause title.

(4) Click the OK button to save to the clause list.

Repeat the steps above to revise the clause and save the revised version. For example, a saved clause revision would

be necessary each year when saving a tax clause that contains the tax year.


Use the “Save Clause” feature to save clauses pertinent to specific condo projects and sub-divisions.

Then as you prepare each unit or lot, you can retrieve all the pertinent clauses with one click.

My Document is (is not) Complete

Marking a document complete does not prevent access and further modifications. Keep track of active file’s progress

with a quick look and for knowledge about which forms are included in this settlement or closing package using the

“Completed” feature, a visual indicator depicted by a check mark on the input and output menu.


Print, PDF and Outlook Email:

1. Click “File.”

2. Click “Output.”

3. Click the “Deeds” module program button to expand the list. Click the categories to reveal form name(s) for

selection.

4. Click the document form name(s) to select. You can select other forms in any program module to print at the

same time.

5. Click the Print (7 in Q) button; Or click PDF; or Outlook Email.

• Click the document name in the queue to deselect a selected document (cancel).

• Click the expander symbol to exit output and return to data entry.

• Click “File” to return to the data entry menu.
